The enrollment process for the 2015-2016 school year is coming up soon.

Some dates to remember are:

Kindergarten Enrollment online process opens January 26th

New Student Enrollment online for all other grades opens March 2nd

Returning Student Data Verification and Updates process online opens April 8th

We will continue to have online enrollment for the current 2014-2015 school year. If parents come to your school, please let them know that they must complete the online enrollment information first before they come to either an onsite event like the kindergarten events or to the Central Office for a residency letter.

The Kindergarten Onsite Events are each Wednesday in February, when we will be at each school to provide parents with opportunities to complete the entire process in one day.

New Procedure: DO NOT WRITE SSN ON CUMULATIVE FOLDERS

A few changes in infosnap have been made that you need to be aware of.

First, Providing SSN in Infosnap is now voluntary and is not a required field. If parents dont provide, Judy will catch it and assign an alternate number. We can NO LONGER REQUIRE social security card/number as a document for student enrollment. BUT, because special education students must have a SSN in SETS, you may follow up with parents of special education students to get the SSN after enrollment.

SSNs MAY NOT BE WRITTEN ON THE CUMULATIVE FOLDERS anymore. If you need to write a number, use the State ID number because it does not change if a student transfers to another school.

ALSO, we cannot REQUIRE a certified birth certificate anymore. We must accept other methods of proof of students age.3

8Infosnap Student Race

The state is now requiring that every student have a race specified. Non-specified is no longer an option.Each race is now described in detail.9Military Family Connection

There is room here for four family members who are immediate family, in case there are mother, father, stepmother and stepfather.

A student can have up to ten non-parent/guardian contacts.12

The Enrollment History section has been expanded to include more information about evaluation for special education services. The additions were requested by one school, but we felt they would benefit every school so we included it for everyone.

Changes to the Technology Usage policy include:14

Will continue to ask information for the Home Language Survey, which you will print for every new student.16

The Technology Usage Policy agreement was updated to be more specific about disciplinary actions and to emphasize that students should be using their School Gmail accounts when emailing with teachers or other school personnel. This is for everyones protection.

The student AND the parent still need to respond to these agreements.19

We still have a Media Waiver and FERPA agreements. These are CRITICAL to 21st century learning environments because so much the learning activities involve media and sharing. 20

The FERPA agreement is also critical because when a student is opted out, his or her name and any other information cannot appear anywhere related to school that is public.21

The third critical agreement is COPPA because of the online sites that ALL teachers use at some time in their classrooms. When a parent opts to consider each site permission separately, you are REQUIRED TO ensure that teacher get that permission before every site their students use. 22

Each school still has a Field Trip permission form with preference for any funds remaining.23

We still have a few more FERPA type agreements related to health information and screenings.24

Once the parent submits the information, they will have the opportunity to add other new students.

Assistant Principals, Registrars and Technology Coordinators are General Users in infosnap and are able to view, sort, print, and export information for students in your schools.26https://my.infosnap.com

27Infosnap Forms

There are many forms that can be printed from infosnap. Some forms need to be printed at the school, and some are printed at Central Office. This is a list of the forms and who prints them. Some of the information may be better for you exported into a spreadsheet. Im noting those here as well.

The Application for Student Enrollment must be printed for every new student and placed in the Cumulative folder. The state has added more fields to that form, so it is being updated. You will not need to do anything for students who enrolled earlier in the school year. We will use the new form for any new students from January 26th and going forward.
