Creating Notices

To create a Notice, follow these steps:

Client Services Court Mgmt Section

Hearing Notebook

1. Click the Notices page tab (A), then click the “+” in the Notices grid (B).

2. Select the type of notice in the Notice Type drop-down list (A).

3. Click the “+” in the Recipient grid (A) to indicate who is to receive notice of the hearing.

4. In the Notices Select Individuals, select the Individual Type that will receive a notice of the hearing (A), select the Individual (B), Service Method (C), Date of Service (D), and click Apply (E).

5. Use the Individual Type drop-down list to select other types of individual who are to receive notices. When all individuals have been identified, click the OK button (A).

6. Click the Service Method/Date of Service button to add service method and date of service to an individual(s) to be noticed (A).

7. Select the Service Method (A), enter the Date of Service (B), and then click Apply (C). Repeat this process for each individual listed in the Recipient grid.

When the Notices page is completed, you can generate the written notices.

8. Select Print Report (A) from the File drop-down menu. In the Print Report dialog box, select the Report Name (B), and click the Print Preview button (C).

9. Select Case or Referral if you are working in a referral (A) in the Item to Select drop-down list, and click the Load button (B). Select the case from which the notices are to be created (C), then click OK (D).

10. Select the notice to be created in the Select this Notice grid (A), and click OK (B).

Microsoft Word will start.

11. Select the children to appear in the header of the notice (A), indicate if a True copy of this petition and if a copy of the Social Worker’s report is attached to this notice (B). Select the social worker for the signature line (C), select the Generate Proof of Service check box if proof of service is required (D), then click OK (E).

12. Select the recipients for whom a written notice is required (A), then click OK (B).

Creating Notices

13. Select the address for the notice (A), and click OK (B). This dialog box will repeat for every client selected in the previous step. If all recipients were selected in the previous step, click the No button in the Notice Generation dialog box (C). Otherwise, click the Yes button, and repeat steps 11 through 13.

14. When Microsoft Word has generated the document, review the information (A), print or save (B), if applicable, and close (C).
