SFUO 101 Week Events Accessibility Checklist 2012
The SFUO 101 Week Events Accessibility Checklist 2012 is applicable to the Student Federation
of the University of Ottawa (SFUO) and its member associations (referred to as Federated
Bodies) when planning the uOttawa 2012 101 Week. For this document, the term Student
Groups will refer to both the SFUO and the Federated Bodies.
1. Scheduling
The event location is physically accessible
o Person of any capability can enter the space without physical barriers
o Washrooms are accessible to individuals using mobility devices
o The majority of the inner space of the venue is accessible to individuals with
different physical capabilities
o Guide animals are allowed at the location, or other arrangements have been
made with the participant
If you are hosting a wet event, there must be an alternate dry event If busses are needed for the event, accessible transportation has been accessed
through the SFUO. The SFUO will be booking accessible transportation that can
accommodate multiple events in one night.
All persons are able to engage in the event activities with guide facilitation
When the event location and/or activity is not physically accessible, a physically
accessible alternate event is available
2. Logistics
Accompaniment
o
Each Student Group needs to have a minimum of 6 people trained in
accompaniment (with a minimum of 2 Executives)
o At least two of the trained executives or guides must be at every event
o 101ers are informed of who is trained in accompaniment at the beginning of the
week
o The accompaniment service must be advertised in 101 promotion materials and
the names of those guides that are trained in accompaniment must be in a flyer
in the kits (this is also listed in the Promotions section of the check-list)
o A list of the name of individuals trained in accompaniment is given to CSD by
each Student Group
For each event, there is a resource indicating accessible washrooms and measures in
place for accessibility
o This resource is available to the President, VP Social, and trained guides at all
times

All Fedstock presentations will have closed captioning on the screens.
Movies presented by Student Groups must have closed captioning in French or English
(or there are two screenings, in separate locations, one in each language, with
corresponding subtitles)
All material is available in alternate formats including schedules in electronic and large-
print format
Language Accommodations
Events with a large portion of dialogue have ASL and/or LSQinterpreters booked
(depending on the language(s) of the event)
Students who require individual interpretation during 101 Week will be referred to the
Accessibility Fund for individual subsidization
Food
On all forms, you must provide a question stating Do you have any dietary restrictions?
If yes, please specify. These dietary restrictions must be met. When you are orderingfood, it is important that you confirm your ability to change or modify your order last
minute. If that is not possible, you should have an alternate plan for how to provide
dietary accommodations if you receive them the week of 101 Week. If providing dietary
accommodations results in further costs, you can apply to the Accessibility Fund for the
extra costs incurred.
Promotions
The statement "Where possible, we will make accommodations available upon request"
must be written on all promotional materials. It must be written in a clear font type, and
size, in a contrasting colour to the background colour.
For mail-outs, it must also state that Requests for accommodation must be made at
least 2 weeks before the first day of 101 week (August 18, 2012).
If a request for accommodation is received after August 18, 2012, steps still must be
taken to try and meet the accommodation.
If requested accommodation could not be provided, a 101er must receive follow-up and
efforts must be made to find an alternate form of accommodation.
In the case that accommodation can be provided, this should also be communicated to
the 101er.
The accompaniment service must be advertised in 101 promotion materials and the
names of those guides that are trained in accompaniment must be in a flyer in the kits(this is also listed in the Logistics - Accompaniment section)
Kit Sales
A phone number and email address is provided on the website for kit sales or schedule
questions in case the schedule is not accessible to all screen readers.

Kit sales online, or in person, include a question about accommodations, with a note
that accommodations are more likely if requested two weeks or more in advance
Miscellaneous:
Support persons, and/ or individual interpreters, must be given a bracelet for free, to
receive upon the kit sale purchase. If an additional bracelet is required, this can beaccessed from an executive of a Student Group. This is only applicable if an individual
brings their support person / interpreter to an event.
No products can be used throughout 101 Week that may cause an anaphylactic allergic
reaction. For the purposes of 101 Week, this will include latex products, fish, or peanuts.
In the case in which a product is brought to a 101 Week event unexpectedly, the
organizers are responsible for removing the allergen in an immediate manner. This
would also include asking the person with the allergen to wash their hands.
SFUO 101 Week Events Accessibility Checklist 2012/2013
Definitions:
Accompaniment
A service that is offered to people to give people physical and directional guidance when
requested. This is commonly used for people who have physical limitations and/or visual
impairments.
Alternate Event/Activity
An alternative event can be considered one of the following things:
1.
An additional event organized by the Federated Body taking place at the same time as
the inaccessible event, or
2. An event organized by another Federated Body, where the Federated Body with the
inaccessible event needs to send guides to support the participants in attendance. If
101ers are attending an event of another Federated Body out of interest, as opposed to
accessibility, the Federated Body is not responsible for sending guides.
ASL
American Sign Language (ASL) is the English version of sign language spoken in Canada.
Closed captioningClosed captioning is also referred to as subtitles.
Dry event
A dry event is one at which there is no organized consumption of alcohol within the event.

Each student is able to participate in the activity in a meaningful way, with guides supporting
the participants in attendance. This means that, for example, if a student cannot participate in a
soccer game, watching becomes a meaningful activity with snacks, music, icebreaker games,
or other activities in which the participants and guides can play an active role.
Gluten-freeAt the events where food is served, outside the Shinerama BBQ, a gluten-free option needs to
be available. Specific products that usually contain gluten include, but are not limited to bread,
pasta and desert food. This will often be notified on the package.
LSQ
Langue des signes qubcoise (LSQ) is the French version of sign language in Canada.
Mobility Devices
Assistive equipment for mobility purposes such as wheelchairs; sizes to be determined
Peanut-free
All food which is served at an event organized by a Student Group needs to be peanut-free. This
will also include if a product with peanuts is brought to an event unexpectedly, the Student
Group organizing the event will be responsible for its immediate removal.
Physically Accessible
A physically accessible location includes the following:
- An entrance in which an individual with a mobility device can enter into a
space independently
-There is at least one physically accessible washroom available to allgenders
- Is the majority of the inner space of the venue accessible for someone
using a mobility device to move freely (ex. A dance club where the
majority of the space to dance is accessible to individuals who have
different physical capabilities)
- A space that is open to guide animals, and support people. In the case
where a venue cannot be found where guide animals are not permitted,
the fed body execs are responsible for negotiating and providing
alternate adaptive measures with the 101er.
Support Persons
A support person is an individual who accompanies a person, being a volunteer, paid person,
family member or friend, who assists that person with everyday activities.
Vegan
Food that does not contain animal products including, but not limited to, meat, fish, milk,
cheese, eggs, butter, modified milk ingredients, or honey.

Vegetarian
Food that is not or does not contain meat, fish, meat broth, or fish oils.
Wet event
A wet event is one that includes any organized consumption of alcohol within the event.

SFUO Accessibility Fund
Throughout the check-list there are several accommodations for which one can apply for
subsidization from the SFUO Accessibility Fund such as:
- The SFUO accessible transportation that will be made available to all
Student Groups organizing events during 101 Week- Any additional costs incurred for providing closed captioning
- Interpretation services
- Additional costs incurred for an individuals support persons and/or
interpreters
