Scheduling Beach Crew schedules are weekly and run in tandem with our pay weeks starting on Saturday and ending on Friday. Schedules will be posted online at least one week in advance, often much longer. It is your responsibility to check the schedule and know when you need to report to work. Please Note: Schedules are subject to change frequently due to shift change requests. If you need a day off or a specific shift, please make sure you have put a request and that it is approved (see requests for time off and shift changes below). Do not assume that because you are initially not scheduled for a specific date and time, it cannot change.

When I Work Our schedules are posted using an online portal called “When I Work”. You can access your schedules anytime at WhenIWork.com. When I Work is also available as an iPhone or Android App. For complete When I Work training resources, click here or visit http://wheniwork.com/docs/resources/EmployeeQuickTraining.pdf.

From your When I Work Dashboard you can:

● Request to switch shifts with a co-worker ● Take an open shift ● Set notifications and reminders for schedule updates and changes

Scanning In and Out Hand scanners are located in both the North End and South End beach offices. On your first day of work, your handprint will be scanned into the system and you will be given a PIN number. Please scan yourself in/out at the beginning and end of every day. It is your responsibility to remember to scan in/out. Pay hours are calculated through the hand scanner.

Crew Chief Procedures Supervisors will be required to pick up a radio during your shift so the office staff can communicate you directly throughout your shift. You will also write your name on a whiteboard on the office so the staff knows who is on duty at any given time. Should two Crew Chiefs be schedules at the same time, please discuss amongst yourself who will be in charge of the radio during that shift. Crew Chiefs should not sign out for your shift until your relief has arrived.

Shift Times Beach Crew employees have 3 shifts which include an Early, Late, and Full Day. Full (F) 8:00am – 5:00pm (One hour, unpaid lunch break) Early (E) 8:00am – 1:00pm (No lunch break) Late (L) 1:00pm – 6:00pm (No lunch break)

Please be punctual, the start of each shift are normally the busiest times of the day. If you are going to be late or in the event of an emergency situation, which would prevent you from coming into work, please contact a supervisor/crew chief scheduled for that day. If you are unsure who that is, contact Anthony immediately.. Early and Late shifts will be most common for ALL crew members this year as we move away from the full-day schedule. All crew members are to report into their respective offices and use the hand scanner to check in and out for the day.

Emergencies Should you have to call out for an emergency situation or unexpected illness, please do not email us. Call your direct supervisor for the day or contact Anthony immediatley

Requests for Time Off and Shift Changes All requests for time off need to be submitted through When I Work at least 5 days in advance. This includes any personal days or extended vacations. You may also initiate a shift change with another member of the beach crew, all requests need to be approved by a supervisor.

Request Off

1. Hover your pointer over Tray icon in the upper-right corner of the screen, then click Request Time Off.

2. Set up your time off request. For more information about modifying time off request details, go to Request Details.

3. Select the Time-Off Type. 4. Set the date and time for your time off request.

a. If you are submitting an all day request, click to set the Start Date and End Date. b. If you’re submitting a partial day request, click to set the Start Date, then set

the Start Time and End Time. 5. If you want to include a message to your manager with your request, add it to the

Message field. 6. Click Send Request. 7. After you submit your time off request, it is sent to your manager for approval.

Just because you are not scheduled for a day, does not mean you have the day off. Please make sure you request off for each day you actually need off to avoid being scheduled during any shift changes for the week.

Swapping Shifts You may initiate shift switches from When I Work, however the shift is still your responsibility until it is picked up by a co-worker. All shift switches and drop requests require approval.

1. From your computer, use a supported web browser to sign in to When I Work on the web.

2. Go to My Schedule. 3. Click the shift that you’d like to swap with a coworker. 4. Click Swap Shift. 5. Select the shifts that you’re willing to work in place of your shift.

All shifts are still your responsibility until you have confirmation that the switch has been completed.

Dropping Shifts

1. From your computer, use a supported web browser to sign in to When I Work on the

web. 2. Go to My Schedule. 3. Click the shift that you’d like to swap with a coworker. 4. Click Drop Shift. 5. Select the coworkers that you’d like to offer your shift to.

All shifts are still your responsibility until you have confirmation that the drop has been completed.

PLEASE NOTE:

● Once a weekly schedule starts, it is your responsibility to find coverage if you need to switch or drop a shift. While we may assist you in this process, it is more difficult to approve time off once a schedule week has started.

● All shift changes and drops must be submitted through When I Work and approved by a supervisor.

● You can request a specific early or late shift by selecting “partial day” ● Some days may be “blacked out” from requesting off if we are getting short on help. ● Time off approvals come on a first-come/first-serve basis, so get your requests in as

soon as possible. ● Please notify us of any extended vacations as soon as possible. ● Please notify us of your last day of work in early August. ● If you have any problems accessing your schedule or requesting time off, please contact

Anthony immediately at [email protected].

Sport/Academic/Work Schedules If you have any other job, sports, academic, or other schedule that need to be scheduled around, please submit a hard copy of your schedule as soon as possible so we can schedule around it. These schedules can also be put into WHEN I WORK under “Availability Preferences”. Learn how to do this here: https://help.wheniwork.com/articles/setting-your-availability-preferences/ Here you can set preferred times to work or set specific times you are unavailable. Under “Advanced Mode” you can make these preferences recur every week.

Please Note:

● This feature allows Users to input a preference. Managers have the right to schedule employees for any time they feel is necessary for the business’ needs.

Rain Days There will be days where you may not have to come to work due to inclement weather. In most cases, Beach Crew scheduled for Early or Full day shifts will report to work at their normal scheduled time when the weather is overcast, cloudy, or lightly raining. If the weather continues to deteriorate, we will send crew home as necessary. Crew scheduled for Late shifts on these days should check with their crew chief about an hour before you come in that day to see if you are needed. If you have any shift on a rainy day, just be on standby as you may be asked to come in if the weather improves. SLBeachCrew.com will be updated as soon as possible with weather related notifications or you can sign up for our new TEXT alert system (see next section).

Text Alerts Sign up for crew text alerts by texting @SLBCREW to 81010. This is the fastest way for you to learn about weather delays, important information, and tasks that need to be completed.

Breaks & Downtime Lunch If you are scheduled for a full-day shift, you are entitled to an hour lunch break. Your supervisor generally assigns lunch breaks for either 11:30 or 12:30 depending on the day's outlook.

Breaks Two fifteen-minute break periods are also given over the course of the day.

● If you are in view of the public, you are still required to maintain a professional disposition while on breaks. Please do not wear your crew uniform if you are on lunch

and hanging around the beach area. Either turn your crew shirt inside out or bring another shirt to change into.

● Keep your break areas clean! Please pick up after yourself if you are eating in the back room or upper deck.

● Please respect everyone’s property and personal space in the break rooms. ● Anyone reported abusing break policies will lose backroom/upper deck privileges

immediately. There is always something to do, we do not want to see crew members continually handing around the break areas or office. There are always stairs and walkways to sweep and trash to be picked up!

Breakrooms You should only be in the break rooms (storage areas) when on break or grabbing supplies for a crew task. These rooms should be kept clean and uncluttered at all times. You are not hidden in these rooms. Other employees and the public know you are back there and no one should walk into the rooms multiple times in the day and see beach crew sitting, doing nothing. If the back room becomes a problem, we will limit its use to supplies ONLY. If you need something to do, check with your crew chief, the assignment board, or take initiative yourself. You should not be hanging out in the breakroom all day.

Music & Headphones We will allow you to listen to music using headphones when you are on your breaks or lunch and out of site of the public. You are not permitted to wear headp when working in sight of the public anywhere along the beachfront.

Cell Phones & Electronic Devices You may carry your cell phone while you are on duty, but it must be kept out of sight. You are expected to only use it during emergency situations or when conversing/coordinating with other crew members, staff or conducting beach related tasks, but still please be discreet. We do not want to see crew members walking down the boardwalk texting and generally not paying attention or looking unprofessional. Please do not bring electronic devices, other than a cell phone, to work.

Friends & Family Please do not loiter around beach entrances or invite friends to hang around while you are at work. Only employees are permitted in the back rooms and break areas. You may not invite friends to use the pool or beach facilities unless they have the appropriate badges. We realize you may see a lot of your friends and family around the beach, don’t feel bad about stopping to say hello quickly, just remember you are working and have responsibilities to focus on.

Supervisory Staff Beach Maintenance Supervisor Manages administrative duties including hiring, scheduling, conflict resolution, etc. Please come to the Beach Maintenance Supervisor with any questions or concerns about these items or any day-to-day tasks first.

Crew Chief (Shift Lead) There will always be a crew chief on duty at each pavilion. These are the crew members who will manage day-to-day crew operations and direct crew members on where to go and what tasks need to be completed.

Assistant Crew Chiefs In the event that no crew chief is available, an assistant crew chief will assume responsibilities.

Crew Chiefs and Assistant Crew Chief Sign In Crew Chiefs (or Assistant Crew Chiefs) will be required to pick up a walky talky from the office each morning. These will be used so office staff and management can always be in contact with the supervisor in charge. They may ask you to come into the office for instruction or request a

task completion. Crew Chiefs and Assistant’s will then delegate the task to themselves or an available crew member.

Equipment Put equipment back in its proper location after being used and treat everything with care. Equipment can take a while to be replaced if lost or broken and will only make work more difficult for everyone.

Uniforms and Attire Each crew member will be provided with 2-3 shirts and either a sweatshirt or jacket depending on the year. Uniforms can be picked up on your first day of work. Please always wear your uniform to work. Wear shorts and shoes that you do not mind getting dirty. While we do work at the beach, sandals, crocs or any other open shoe are not permitted for safety reasons. Shoes or sneakers covering your entire foot are required while working at all times.

Other Staff & Departments

Office Please do not hang around the office unless you are signing in/out for the day or need to get water to stay hydrated. The office staff is very busy and it may be distracting if you are hanging around too much. On occasion, the office staff may ask for your assistance with a task, please be as helpful as possible unless you are currently busy doing other work.

Badge Checkers On occasion, you may be asked to sit for a badge checkers lunch or a checker may ask for you to sit for them while they use the bathroom. Under no circumstances are you to handle any money or sell badges. If you are sitting for a checker, they are responsible for taking their moneybox and badges with them. Direct any beach patrons who need to purchase a badge to the nearest selling point. Many of the badge checkers may need assistance setting up their umbrellas or selling station. Please be as helpful as possible.

Safety & Injuries It is important that you comply with all borough ordinances and regulations. Please report any dangerous situations or injuries to the appropriate personnel by calling 732-449-0800 x630.

All beach crew will be required to sit through bloodborne pathogen training at some point during the year. If you get injured on the job for any reason, notify a supervisor immediately! All work related injuries must be reported to the borough.

Beach & Pool Rules / Misc Beach Items Here is some helpful beach related information. It is good to keep up-to-date on beach and town ordinances. Here is some of the most common information visitors might ask about:

Refunds The Spring Lake Beach Department does not offer refunds. This policy is printed on all daily badges. If a beach patron asks you about a refund, please direct them to the office or beach manager.

Dogs There is a dog beach available at North Beach (right on the border between Spring Lake & Belmar) from 7am – 9am daily. Dogs are otherwise not permitted on any other beach during the season. Dogs are NEVER allowed to be walked on the boardwalk.

Bikes Bikes are permitted on the boardwalk from 5am – 8am ONLY. Skateboards, rollerblades and scooters are not permitted on the boardwalk at any time. These regulations apply to all beach employees as well.

Fishing The following lists the designated areas for fishing during the normal bathing hours of 9:00 am to 6:00 pm. During these hours, fishing is strictly in prohibited in all other areas. The designated surfing areas are as follows:

● Pitney Avenue (Far Surfers) Jetty: north and south sides ● Washington Avenue Jetty (Washington): north and south sides ● Newark Avenue Jetty (Kayak): north side only ● Passaic Avenue Jetty (Mombo II) north and south sides ● Sussex Avenue Jetty: (E & S): north side only ● Brown Avenue Jetty: (Brown): south side only

Surfing At the discretion of management, contingent on crowd and water conditions, surfing is permitted in the following areas during the normal bathing hours of 9:00 am to 6:00 pm. During these hours, surfing in all other areas is strictly prohibited. The

designated surfing areas are as follows:

Kayaking At the discretion of management, patrons may launch and land kayaks on most area beaches. Patrons interested in kayaking must check with the lifeguards and receive permission before launching the kayak. The following lists the designated areas for riding waves in a surf kayak during the normal bathing hours of 9:00 am to 6:00 pm. During these hours, kayaking in all other areas is strictly prohibited. The designated kayaking areas are as follows:

● Remsen Avenue (Far Surfers) wave riding ● Passiac Avenue – wave riding ● Mercer Avenue (South End Surfers) launch and land only

Stand Up Paddleboarding

● Remsen Avenue (Far Surfers) launch and land, wave surfing with leash ● Washington Avenue (Washington) launch and land only ● Passiac Avenue – wave riding with a leash ● Mercer Avenue (South End Surfers) launch and land only

Windsurfing At the discretion of management, patrons may launch and operate Windsurfing equipment at the following designated areas. Patrons interested in windsurfing must check with the lifeguards and receive permission before launching the kayak. The following lists the designated areas for operating windsurfing equipment during the normal bathing hours of 9:00 am to 6:00 pm. During these hours, operating windsurfing equipment in all other areas is strictly prohibited. The designated areas for operating windsurfing equipment are as follows: Remsen Avenue (Far Surfers)

Other Beach Rules ● No Food/Drinks on beach, lockers, pool areas ● No Skateboarding ● No Smoking ● No Kites ● New Tent Restriction

Upper Deck

● South End & North End upper decks get locked between 5pm and 8pm depending on staff.

Beach Wheelchairs Beach wheelchairs are available at each pavilion. You may be asked to get the chair for a beach patron by the office staff.

Dealing with the Public While at work, you represent the Borough of Spring Lake and are expected to maintain a professional disposition at all times. Always remember you are highly visible to the public eye. Be polite and courteous if approached by a beach patron. Do not be confrontational, even if you believe you are not at fault. If a patron becomes confrontational, remove yourself from the altercation and alert the office staff or a manager. If you are uncertain how to handle a situation that arises when dealing with a patron, please direct them to speak with a supervisor or the office staff.

Suggestions & Concerns If you have any suggestions to help you feel more comfortable working (i.e. new equipment ideas, scheduling comments, etc.) please feel free to share your ideas with a supervisor. We are always looking for new ways to help make your job here enjoyable! If you are having problems with another employee, please report the situation to a supervisor as soon as possible. We cannot do anything to rectify the situation if we are unaware. No one should feel uncomfortable coming into work for ANY reason.

Have Fun While you still have to work, make the best of it. Enjoy being outside at the beach all day, get to know one another, and have a good time. While there will be very busy days, you should never feel completely over-worked. Let a supervisor know if you need anything or have any questions at any time.

Harassment Policy The Spring Lake Beach Crew and Borough is committed to a workplace that is free of discrimination and harassment based on race color, religion, age, sex, national origin, disability or any other basis protected by federal, state or local laws. In an effort to prevent such illegal

harassment or discrimination from occurring, we will communicate this policy to every employee. No employee of this company is exempt from this policy. Examples of misconduct Discrimination or harassment based on race, color, religion, age, sex, national origin, disability, or any other legally protected status is considered a form of employee misconduct. Examples of such misconduct may include, but are not limited to:

● A request or demand for sexual favors accompanied by a threat concerning an individual’s employment status or a promise of preferential treatment.

● Unnecessary and unwelcome touching of an individual for example- patting, pinching, hugging or repeatedly brushing against another individual’s body; or

● Offensive jokes, comments, slurs, email, memos, faxes, cartoons or gestures. ● Physical violence or threats of any kind. Disciplinary action, up to and including

termination, may be taken against any employee engaging in this type of behavior. Disciplinary action may also be taken against any employee engaging in this type of behavior. Discipline action may also be taken against any employee who in bad faith makes a false or dishonest claim of harassment or discrimination. Any supervisor or manager who has knowledge of such behavior yet fails to take appropriate action is also subject to discipline. Reporting complaints Any employee who believes he or she is being discriminated or harassed based on any of the grounds stated above should report it immediately to his/her direct supervisor or to the human resources department (or manager). The company will investigate the complaint, make a written determination of its conclusion and when appropriate prepare a plan of action to correct the problem and prevent reoccurrence. The company shall inform the complaining employee of its determination. Non retaliation Under no circumstances will an employee be penalized for reporting what the employee believes in good faith to be harassment under this policy. If you believe that you are being retaliated against for bringing a complaint of harassment or discrimination, you should report such conduct immediately to your direct supervisor or to the human resource department (or manager). Any supervisor or manager who retaliates against an employee for making a complaint shall be subject to disciplinary action up to and including termination. If you have questions about the policy, please contact your supervisor or the human resources department (or manager). The success of our policy depends, in significant part, upon the understanding and cooperation of all our employees.

Disciplinary Policy When it becomes necessary, our company reserves the right to discipline employees who knowingly violate company safety rules or policies. Disciplinary measures will include, but are not limited to:

● Verbal warning (documented) for minor offenses. ● Written warning for more severe or repeated violations. ● Suspension without pay, if verbal and written warnings do not prove to be sufficient.

If none of the above measures achieve satisfactory corrective results, and no other acceptable solution can be found, the company will have no choice but to TERMINATE employment for those who continue to violate policy or jeopardize their own safety and the safety of others.
