SnapShot is an interactive game in which attendees utilize the Conference & Expo Mobile Event App to take pictures on a series of items, called CHALLENGES. The “digital scavenger hunt” encourages

interaction between attendees as they find people, places and other items. Dozens of CHALLENGES are located in the Expo Hall. The individuals completing the highest number of CHALLENGES receive a prize. Ninety-five percent of attendees utilize the mobile event app!

In addition, each booth receives: 2 name badges, wifi, refreshment breaks, listing in the Program Guide and Mobile Event App, mailing list of attendees within 30 day after the event, admission to educational sessions on Tuesday and Wednesday for 2 booth representatives, admission to the receptions on Tuesday and Wednesday as well as 2 drink tickets per booth. Exhibitors also have the option of purchasing a 30-minute demonstration period—Taking the Stage: Vendor Spotlights—during dedicated Expo Hall hours for an additional charge.

BOOTH ASSIGNMENTS: Exhibitors will be assigned the best available booth(s) based upon the order in which their contract is received—first-come, first-served. PRPS will try to accommodate requests; however, they are no guarantees. Preference is given to Champion Sponsors, who support PRPS year-round, and Event Sponsors, who specifically support the conference. PRPS will do its best to assign competitors so that they are not adjacent to one another.

EXHIBITOR REPRESENTATIVE MEALS: Breakfast, luncheon (beyond 2 Exhibitor Appreciation Luncheon tickets) and banquet tickets are not included with a booth purchase. Additional meal tickets (3/27 Banquet, 3/28 Breakfast, 3/28 Exhibitor Appreciation Lunch, 3/28 Banquet) can be purchased prior to the event or on-site. In addition, the Kalahari Resort has a wide variety of cafes, restaurants and bars.

CERTIFICATE OF INSURANCE: Exhibitors are required to provide PRPS with a Certificate of Insurance (COI) with a $1,000,000 limit of liability. The Pennsylvania Recreation & Park Society, Inc. (2131 Sandy Drive l State College, PA 16803) should be the COI certificate holder and also include as “additional insured.” Utilize the Expo dates of March 27-28, 2018. The COI is due by March 1, 2018.

ELECTRICAL, AUDIO VISUAL EQUIPMENT, DRAYAGE & FURNITURE: Spectrum Associates, Trade Show & Special Event Services, will coordinate electric, audio visual equipment, drayage and furniture needs for an additional cost, which must be ordered no later than ten days prior to setup. All electrical equipment must be UL listed and all splices must be installed in a metal closure to prevent emission of sparks. PRPS will provide exhibitors with the Kalahari Resort Electrical and Exhibitor Packet upon receipt of their contract, so they can order any needed additional services.

RESTRICTIONS: PRPS reserves the right to restrict exhibits which, because of noise, method of operation, or for any other reason, become objectionable.

LIABILITY: PRPS and its employees, or conference committee will not be responsible for any injury, loss, or damage that may occur to the exhibitor, nor to the exhibitor’s employees or property from any cause whatsoever, prior, during, or subsequent to the period covered by the exhibit contract. This includes the period of storage prior to and following the conference. The exhibitor, on signing the contract, expressly releases the above-mentioned PRPS, individuals, and committee from any and all claims for such loss, damage, or injury. To prevent loss, small or portable articles of value should be properly secured or removed after exposition hours and placed in safekeeping. Exhibitors will be required to complete a hold harmless form prior to the start of the conference.

USE OF SPACE: All demonstrations must be confined to the limits of the exhibit space (excluding Taking the Stage: Vendor Spotlights). No exhibitors shall assign, sublet, or share the whole or any part of the space allotted without the knowledge and consent of PRPS. Aisles must be clear. Advertising material may be distributed only within the space assigned to the exhibitor presenting such material.

HOLD HARMLESS AGREEMENT The exhibitor agrees to indemnify and hold harmless PRPS, its members, officers, directors, and employees against any and all damage to property or personal injury or loss caused by the exhibitor or its agents, representatives, or employees. The exhibitor assumes complete responsibility and liability for all injury to any and all persons or property in any way connected with the exhibitor’s display, caused by the exhibitor, its agents, representatives, or employees.

Sponsorship, Exhibiting, Advertising Contract PAYMENT & CONFIRMATION PROCESS: A $100 deposit is required for sponsorships and exhibit booths along with this signed contract. The full balance for sponsorships

and exhibit booths is due by March 1, 2018. Booth reservations and sponsorships made on or after March 1, 2018, require full payment. Program Guide and Mobile Event App advertisements must be paid in full along with this signed contract. Upon receiving a signed contract and the minimum required payment, confirmation of booth assignments, sponsorship and/or advertising details will be emailed to the contract Contact. CANCELLATIONS: Booth cancellations must be received by PRPS in writing before February 25, 2018. Written notification must be sent to: PRPS, 2131 Sandy Drive, State College, PA 16803 or emailed to: [email protected]. A $50 handling fee will be deducted from the refund. Mail and personal delivery of the cancellation notice shall be deemed delivered on the day such notice is received at the PRPS office. This CONTRACT shall not be binding until it is signed by an authorizing agent of the contracting Company/Organization and accepted by a PRPS representative.
