Greetings and a warm welcome to our families of St John Catholic School.

This summer the administration has worked diligently to put together a plan to address best practices that allow us to reopen our school to in-person instruction. In addition to regular meetings with the other principals and the Diocese of Lexington throughout the spring and summer, the administration of St. John School formed a COVID-19 task force to assist in formulating a best practices plan based on the requirements and available guidance. This task force consisted of teachers, staff, medical professionals, parents, and other professionals. The task force worked to address how best to hold in-person instruction as the primary approach to education this year. The two top priorities for the task force to consider were the health and safety of the students and staff while on campus and the quality of the educational experience. The task force ensured that recommended policies were formulated into a plan that addressed concerns related to class size/distancing, cloth face coverings/health policies/personal protective equipment, screening/exclusion criteria, cleaning/sanitation, and contact tracing.

Using guidance from the local, state, and federal level, this plan includes policies and practices that we believe meet the requirements to protect the health and safety of our students and staff. We must also acknowledge that while no plan at this point can eliminate the possibility of transmission of the virus, the steps laid out in this plan are designed to mitigate the risk of transmission while at school. We must also acknowledge that this plan is based on current best practices to reopen our school and that as more is learned about the nature of the virus, it is likely that recommendations will change and our plan will need to be re-evaluated and adjusted as necessary.

One of our unique advantages during this global pandemic is that St. John School is a community of faith. And as a community of faith, we must continue to look out for our fellow man. Our families must take an active role in monitoring the health of our children and seeking medical guidance more frequently. As parents and guardians, your daily routines are going to be upset this school year. Our teachers and staff will be asked to take on additional responsibilities and will be trained to protect your children in new ways. We ask that you be patient and help us to protect all our students and staff. The sacrifices you make this year, some small and some large, serve the greater good of our school and allow us to continue to offer a great Catholic education. As always, we strive to provide the best education possible and be a place where mind, body, and spirit grow.

In addition to the plan, we have provided a frequently asked questions and answers guide. Please take the time to read through the Q&A and familiarize yourself with the policies and expectations for this upcoming school year. We are excited to welcome you and your children back to campus and look forward to a successful year.

God bless

Communications We have provided communications to our families via email, Facebook, and the school website. A link to this plan can be found on our website. You will also find a link to frequently asked questions. During parent/student orientation, handouts and discussions will be provided. During staff orientation/training, handouts will be provided. COVID Contact Person As questions arise about the policies and procedures that we have put in place due to COVID-19, we ask that our parents contact Jennifer Noffsinger with any questions. Please direct all of your COVID related questions via email to [email protected] or call 502-863-2607. Fiscal Responsibility Due to the current healthcare crisis St. John School must implement many changes to comply with the guidelines established for the school reopening. The most important priority is to protect the health and safety of our students, faculty, and staff, while maintaining an environment that is conducive to learning and working. Our approach is to implement the necessary precautions that are most practical and financially feasible for the school and parish. With this we may have to make cuts to certain programs this year. The Roman Catholic Diocese of Lexington applied for and received the Small Business Administration Paycheck Protection Program Loans to assist with payroll and benefits during our closure. Our school is also eligible for CARES ACT funding. The Governor’s Emergency Education Fund (GEER) and Elementary & Secondary School Emergency Relief (ESSER) will be issued through Scott County Public Schools. Funds from those sources can be used for distance learning, sanitization, technology, mental health curriculum, and professional development. For our preschool, we have received money through the CARES ACT Capacity Stipend to assist with compliance with all preschool regulations. School Operation Face Coverings Goal: Implement a plan as determined by the relevant guidances to address respiratory etiquette and protection for our students and staff.

Expectations for Staff and Students: Students enrolled in K-8th grade are required to have a face covering, either cloth or disposable, unless medically waived. Face coverings will be required to be worn anytime the student/staff member would be moving around. Face coverings will also be required in small group activities. Face coverings will be supplied if you are not able to provide them for your child. Face coverings may be lowered or removed during instructional time if all students are seated and 6 feet apart. When students are outside they may remove face coverings as long as social distancing can be practiced. Face coverings should fit properly, allow for breathing without restriction, cover both the nose and mouth, and must be machine washable/disposable. Please see the picture below to ensure a correct fit. Clear masks or face shields will be provided for staff if needed for instructional time to help with clear communication and a visual so that students may see the teacher's face. Face coverings should comply with dress code, for example no inappropriate or offensive designs that would not align with the character of St. John School. If students require a medical exemption, a note from your provider will be required prior to the first day of school. Remember the motto WE MOVE, WE MASK! Wear your Face Covering Correctly

● Wash your hands before putting on your face covering ● Put it over your nose and mouth and secure it under your chin ● Try to fit it snugly against the sides of your face ● Make sure you can breathe easily

Arrival We will open the gates at 7:20 for morning arrival. You will only be able to make a right hand turn off Military Street into the St. John campus. To reduce congestion on Military Street, we ask that you comply with this directive. More information will be provided on the change in drop off procedure. All students must come through the drive between the Mary and Benedict

Houses. There will be a temperature check point at the end of the Francis Hall ramp. All students will have their temperature taken before they are allowed to exit their cars to enter their classrooms. See Screenings and School Exclusion for more information. Due to the safety concerns, arrival practices will be different this year. Parents are not allowed to enter the school classroom buildings.

Students will enter their classroom, place their materials in their cubby/container, and sanitize their hands.

Late Arrivals/Drop off of materials

● Students arriving after 7:50 am must enter the school through the office. The parent will have to sign them in as tardy.

● Students will have their temperature taken. If a student’s temperature is less than 100.4 degrees, they will receive a tardy slip and be sent directly to the classroom. If a student has a temperature greater than 100.4 degrees, they will be sent home.

● Forgotten materials can still be dropped off in the school office.

Dismissal Preschool will dismiss at 2:40 from the front porch of the Benedict House. Parents will need to park and walk to the deck for pick up. Parents are asked to stay socially distanced and to wear a face covering while waiting for their child.

Kindergarten - 8th grade dismissal will occur at 2:55. Gates to the parking lot will open at 2:50. We ask that you do not stop and block traffic on Military Street. Again, you will be required to turn right ONLY into the pick up line between the Mary and Benedict Houses. Parents are asked to stay in their cars during dismissal. We will call for students of a limited number of cars to be dismissed and those cars will leave the parking lot and all others will pull forward. We will continue this process until all students have been picked up. Students remaining in the classroom will then be dismissed to after school. SCREENING AND SCHOOL EXCLUSION

1) St John staff will be screening children during a set time period at the beginning of each day of school. Children and caregivers are to remain IN THEIR CARS while the staff checks the temperature of school children. The staff is also going to go through a short list of questions to ensure that the child/ren are not SICK. This questionnaire will look something like this:

a) THEIR SIBLINGS MUST QUARANTINE FOR 2 WEEKS b) AND THE SIBLING’S CLASS MUST QUARANTINE UNTIL THE WEDCO

HEALTH DEPARTMENT CLEARS THE CLASS TO RETURN. c) NOTE: IF A LIVE-IN FAMILY MEMBER (e.g. GRANDPARENT, PARENT,

NON-SJS SIBLING) OF A STUDENT TESTS POSITIVE FOR COVID-19, THE SCHOOL NEEDS TO BE MADE AWARE, ST. JOHN SCHOOL WILL CONTACT THE WEDCO HEALTH DEPARTMENT AND FOLLOW INSTRUCTIONS PROVIDED BY WEDCO FOR QUARANTINING STUDENTS AND/OR CLASSES.

We have created a sick room in the school office. It will have room for 2 students at a time that will be separated by a room divider. They will have access to a restroom. PPE will be provided. Staff will be health-screened prior to starting their work day and will be excluded should they fail to meet the temperature or question requirements.. Any staff member falling ill during the course of the work day will be isolated and the same measures related to illness and quarantine will be applied. Visitors and Volunteers will be health-screened prior to admission onto the campus. These screenings will take place in the school office. Visitors will be kept to essential only. Volunteers will have limited access and be directly responsible to the principal. Contact Tracing If a student/staff tests positive for COVID-19, the school will automatically contact:

1. The Wedco District Health Department and follow their recommendations. 2. St. John families will be notified via email and text message.

Social Distancing “Social Distancing” refers to measures being taken to restrict where and when people can gather, as a means of stopping or slowing the spread of infectious disease. Currently, the CDC recommends 6 feet as the distance that should be kept between students within high traffic areas and areas where large groups of children are located. Our students will stay in the same classrooms and our small size will allow for 6 feet social distancing between desks. Visual aids and signage will be used when necessary to illustrate traffic patterns in high traffic areas. Sanitization One of the most important steps in reducing the spread of infectious diseases in child care settings is cleaning, sanitizing, or disinfecting surfaces that could possibly pose a risk to

Page 10: 2020-2021 Operations Plan For Reopening St. John Catholic … · 1 day ago · 2020-2021 Operations Plan For Reopening St. John Catholic School (K-8) (as of guidances available 7/14/20)

children. Routine cleaning with detergent and water is the most common method for removing germs from surfaces in the child care setting. Sanitizer is a product that reduces - but does not eliminate - germs on inanimate surfaces to levels considered safe by public health codes or regulations. A sanitizer may be appropriate to use on food contact surfaces (dishes, utensils, cutting boards, etc.) and toys that children may place in their mouths. Disinfectant is a product that destroys or inactivates germs (but not spores) on an inanimate object. A disinfectant may be appropriate to use on hard, non-porous surfaces such as countertops, door & cabinet handles, toilets, and other bathroom surfaces. The U.S. Environmental Protection Agency (EPA) recommends that only EPA-registered products be used. All teachers/staff will use the three-step process for disinfecting and sanitizing non-porous surfaces, which is based on the state guidelines from the Kentucky Division of Regulated Child Care. A cleaning and sanitizing plan shall be posted indicating the schedule for cleaning and sanitizing, as well as extra precautions required by the CDC regarding pandemic-related cleaning and sanitation. This includes the elimination of lost-and-found bins; the prohibition of the use of water fountains; and the removal of toys that children have placed in their mouths, or that have been contaminated until they are cleaned and sanitized. New sanitizing technology is being utilized in the school. Currently, the school is exploring other beneficial sanitizing options approved via the EPA. Teachers will undergo extensive training on cleaning, sanitizing and use of PPE. The following are the guidelines set by our committee:

The committee recommends the following safety expectations to help keep students and staff healthy during school. The school office will supply the spray bottles, rags, and cleaning solutions.

Recommendations:

· Teachers should have students sanitize their hands upon arrival to the classroom in the morning. Students should do this before taking their seats.

· To limit bathroom breaks, students should have the opportunity to take toilet breaks every two hours unless an emergency occurs. Teachers will need to spray the bathroom area after each break.

Page 11: 2020-2021 Operations Plan For Reopening St. John Catholic … · 1 day ago · 2020-2021 Operations Plan For Reopening St. John Catholic School (K-8) (as of guidances available 7/14/20)

· Students and teachers should wash/sanitize their hands before and after eating, after bathroom breaks, and before and after recess.

· Emphasis on reminding everyone to cough, sneeze, yawn in elbow. Tissues need to be thrown away after using and not kept on desk. Anyone should use sanitizer after touching tissue.

· Remind students to not touch their nose, eyes, and mouth since this is an entryway for germs.

· There will be special attention in sanitizing the technology room equipment- keyboard, mouse/mousepad.

· Teachers will be responsible for sanitizing every 2 hours frequently touched surfaces. This includes doorknobs, desks before and after lunch, etc.

· Students will need to bring their own water bottles with enough water for a full school day.

· Legos, shared toys, any hand friendly items need to be sanitized at the end of the day.

· Recess will be divided into different times. Wash hands before and after recess. Each class will have their own outside equipment to use and will need to disinfect at the end of the day. Any handlebars on playground equipment will need to be wiped down at the end of every day.

A checklist will be provided to help classrooms keep track of cleaning items.

Cafeteria

The cafeteria will not be utilized for dining at the beginning of the year. Students will eat in their homerooms. Students will still be able to order lunch from the cafeteria, or bring their lunch from home. Lunch from the cafeteria will be boxed and delivered to students in Preschool. Students in Kindergarten through 8th grade will come through the cafeteria line to pick up their lunch and take it back to their classroom. The cafeteria is run by the Diocese of Lexington and they have established a strict procedure for cleaning and disinfecting the cafeteria.

Extracurricular

At this time school-related extracurricular activities will not occur in the buildings of St. John School Campus. The first priority will be the safety of the students and their leaders when determining the best way to begin implementation of extracurricular activities. As soon as more guidance and directives have been given, plans will be communicated for each of the extracurricular activities.

Academics

Our standard will be face to face instruction five days per week. Students will also utilize Google Classroom. Whether we are providing instruction to students face to face, distance, or in a hybrid situation, it is our goal that students will be presented with high quality instruction. The goal is centered on the continuation of student growth regardless of the student environment. During classroom instruction, students will directly interact with their teachers, either in whole or small groups, to receive instruction, seek clarifications, and to engage in activities or assessments. In remote instruction, it is our goal that teachers provide as many authentic experiences, videos, etc., during remote learning, so that students remain connected to their teachers and content. In the event that school is closed for remote learning, the following serves as our framework for instruction: Google Classroom which will be enhanced by using online learning programs such as MAPPERS, FLIP GRID, and various other online resources. We are currently working to develop a list of consistent online programs for students to use.

Frequently Asked Questions

Q1. Do students have to wear face coverings? A: The task force is currently working toward the goal of students not wearing face coverings for as much time as possible. Students will be required to face coverings anytime they are moving throughout the classroom (to sharpen a pencil, use the restroom, depart for the day, etc.). However, the task force is working to arrange the classrooms so that students WILL NOT need to wear a face covering while seated.

Q2. What time does school start? What time is drop off? What time is pick-up?

A: School Start Time: 7:50 AM

Start of Day Drop Off: 7:20 AM End of Day Pickup: 2:55 PM NO Early Dismissal

Q3. Where will students eat lunch?

A: The current plans are for students to eat lunch at their desks in their rooms. This is to limit the risk of contact exposure in the lunchroom.

Q4: What is the plan for the children to attend weekly mass? Will it be live streamed to the classrooms or will students be attending on a rotating basis (1-2 classes on Mon, 1-2 on Tue, etc.)?

A: Due to social distancing requirements in Church, we will only be able to have a limited number of classes attend Mass weekly. The classes that are not attending will be able to

12

Page 13: 2020-2021 Operations Plan For Reopening St. John Catholic … · 1 day ago · 2020-2021 Operations Plan For Reopening St. John Catholic School (K-8) (as of guidances available 7/14/20)

view Mass from their classroom. Students that have received their First Holy Communion and are viewing in their classroom will be able to receive communion at the end of Mass.

Q5: I’m concerned that the requirement for a Doctor’s note each time a student goes home sick or is absent will create an economic hardship for my family. Is this really necessary? My kid gets sick a lot but is usually better the next day.

A: Yes, it is necessary. While we understand that kids get sick and recover quickly, we are in an unprecedented time. In order to create the safest environment for all children at SJS, we feel this step mitigates the most risk. The Doctor’s note can come from a Telehealth service, your local family Doctor, an urgent care center, a local clinic, etc. We will accept notes from nurse practitioners, physicians assistants, MD’s or DO’s (Doctor of Osteopathic Medicine).

At this time, we cannot predict how frequently families will need to go to see a Doctor but if it starts to become an economic hardship, please schedule an appointment with Mr. Mardell. There is financial aid available for families with this need.

Q6: How will traffic be handled/routed at drop off/pick up since additional time will be required? I have multiple drop-offs each morning and need to arrive at work on-time. I can’t afford to have this process operate inefficiently.

A: We completely understand this concern and are working to make the process as efficient as possible. We plan to have multiple temperature check stations available and we are expanding the drop-off window to spread out the traffic. Specific details of drop-off and pick-up are being worked on right now.

During drop off students will be temperature checked and parents will need to acknowledge the students in the car do not meet any of the Covid exclusion criteria (contact with a Covid positive person in the last 24 hours, fever above 100.4, or presenting Covid symptoms).

During pickup parents will be asked to stay in their cars, students will be directed to the cars and then parents will be released to drive away.

We are planning on increasing volunteers to support these activities for the first few weeks of school and we will monitor the efficiency of each process.

Q7: My son likes to wear a UK Wildcat mask. Will he be allowed to wear this mask at school or does he have to wear a solid color mask.

A: Students will NOT be allowed to wear masks that others find offensive. We will handle this on a case-by-case basis and issue further guidance as needed. In general the mask does not need to be a certain color.

13

Page 14: 2020-2021 Operations Plan For Reopening St. John Catholic … · 1 day ago · 2020-2021 Operations Plan For Reopening St. John Catholic School (K-8) (as of guidances available 7/14/20)

Q8: Will children be allowed to use the playground equipment?

A: Children will be allowed to use the playground equipment. Each class will also need their own playground equipment (e.g. football, basketball, four square ball, etc.). Students will not be required to wear a mask while outside if they are distanced 6ft apart.

Q9: Will there be an attempt to keep kids from the same classes separate from others in the afterschool program or are they all going to be thrown in together?

A: We are trying to separate them as much as possible but we will also want to keep students in the same family together as well. This is one of the big challenges we are currently working through. Regardless of what we decide, we will follow the mask and social distancing policies.

Q10: Will the school have extra masks on hand in case they become lost, broken, wet, dirty, etc during the day?

A: The school will have extra masks on hand. We would like for each student to have one back up mask in their backpack in case their primary mask gets damaged or dirty.

Q11: Will we still be offering lunch or will students be expected to pack their lunches daily? If students are required to pack lunches daily, will we be allowed to send reusable containers?

A: We will still be offering hot lunch to our students. If a student packs a lunch they can send in reusable containers but they must be cleaned daily. If the reusable container is left at school for 24 hours, it will be thrown away.

Q12: If health officials order Scott County Schools to close due to community spread of the virus, will SJS follow suit? What measures will the school follow to determine when it is safe to reopen?

A: According to the Wedco Health Department the decision to close St. John if Scott County closes will be made if or when Scott County closes. The health department could not give a definitive answer at this point.

Q13: Singing has been frowned upon in the healthy at school guidelines and has been proven to be an action that spreads the virus. Will music classes be adapted because of this? What about singing in school masses?

A: Yes. We will be focusing on rhythm and other music activities during music class. We are looking into the guidelines established by the Diocese for singing in classes. In the meantime, children will be able to go outside to sing socially distanced.

Q14: Will the academic enrichment program continue or is that off the table?

A: Yes, this program will continue.

Q15: If a family emergency comes up and I am required to travel to a funeral out-of-state, will we have to quarantine for 14 days or will my child be allowed to return to class the next day?

A: While we obviously discourage travel during the school year to limit the risk of exposure, we understand that family emergencies are inevitable. At this time, we are not requiring students to quarantine if they leave for a short period of time. We will monitor local, state, and federal regulations and adjust this policy if those policies change.

Q16: What is the protocol for a student who refuses to wear a mask and/or cannot wear a mask due to health reasons? If a student cannot/will not wear a mask (for health reasons presumably), how will this be communicated to the class so that the child is not singled out by their peers and, also, to ensure the child's HIPPA rights are not violated?

A: A student that refuses to wear a mask will be sent home. A student that is unable to wear a mask and has a valid Doctor’s note that is received prior to the start of the school year, will not wear a mask. Teacher’s will monitor the situation in the classroom and will address any misbehavior related to the student.

Q17. Do we have a school calendar available? Do we know when fall and winter breaks will be?

A: Yes, we have a school calendar. It is posted on the school website. Due to COVID-19 it is subject to change.

Q18: If students attend mass weekly, will those masses still be open to the public to attend?

A: No

Q19: Would face shields be acceptable or do students/teachers have to wear cloth masks?

A: Face shields are not acceptable to be worn as the sole protection. Students and teachers must have disposable or cloth face masks.

Q20: The Governor's document states masks are not recommended for Kindergarten and below. Will Preschool-K be required to wear masks when moving?

A: The mask policy will be for St. John Students Kindergarten- 8th Grade. Kindergarten will be required to wear masks when moving or while participating in small group activities in the classroom. While seated all students will be able to remove the mask. Preschool will not be required to wear a mask.

Q21: How will recess and specials be handled, specifically Music since singing in close quarters has been known to spread the virus more so than just talking?

A: During recess there will be two classes on the playground. Students will not be required to wear a mask as long as they maintain 6 feet of social distance. Students wishing to play basketball or other contact sports and that are within 6 feet of their peers, will need a mask. Students will be asked to stay with students in their grade and not intermingle with students in another grade. For music class, we will not allow singing. This is a great question. Q22: If a child needs to arrive late or leave in the middle of the day for an appointment and wishes to return, what will the protocol be for admittance/readmittance to school?

A: If a child needs to arrive late or leave in the middle of the day, they will need to bring an excuse (usually these events are for doctors appointments) to the office and the parent will have to sign the student in/out for the day. They will be temperature checked and screened upon arrival.

Q23: Will the dress code be updated to include stipulations around type/color/material/etc. of the masks or will any mask be acceptable so long as it covers the child's nose and mouth?

A: Masks of any style may be worn however the mask should fit properly and the material design should comply with the standards of SJS. No inappropriate designs or words will be allowed.

Q24: If a student displays symptoms of Covid and parents refuse a test, when can that student return to school?

A: The student can return to school only after being seen by a medical professional. This can include an urgent treatment center, nurse practitioner, physician assistant, MD or DO.

Q25: If a student is diagnosed with Covid and had been present in class, will those teachers and students in the room be sent home to isolate for 14 days? If not, what is the procedure going to be to avoid the spread?

A: Yes.

Q26: How many subs are available? What will happen if there is a need for more subs than what is available?

A: We have a few subs but we are looking for more subs.

Q27: How will school mass be handled now or will it be streamed to classrooms for students to watch?

A: Two classes will attend and mass will be streamed.

Q28: What is the plan for if a student refuses to wear a mask when out of his seat? How will this be addressed?

A: There will be a zero tolerance policy for refusal to wear a mask. All students and parents will be required to sign an agreement form prior to the start of the school year. Students that do not follow the policy will be sent home. Our school community can only continue when everyone follows the policy.

Q29: Masks get damp after a while. Are you making a recommendation for how many a student should bring to school and when they should switch it out? As a teacher, I'm taking 6-7 with me to class every single day.

A: Our recommendation is at least daily cleaning of the masks if a parent would like for their child to wear more than one a day that is certainly up to the family.

Q30: Will there be multiple temp check stations in the morning to speed up the process? I have 4 kids to get to school in 4 different places. Drop off has been a problem with bottlenecks in the past--we need to make sure it is efficient this year to get people through.

A: Yes.

Q31: Is group work going to be prohibited this year? Essentially we were told the only way students could work together was from separate areas on a shared google doc…

A: No. Students will be able to work together in groups but they will need to wear their masks since they will be seated within 6 feet of each other.

Q32: How will teachers be compensated if they are required to quarantine? A: Teacher compensation is handled by the school administration and will not be commented on in this FAQ.

Q33: How will it work if a sub tests positive and has been in multiple classrooms within the past 14 days?

A: The classes will all be required to quarantine.

Q34: How will it work if a teacher is required to quarantine either from testing positive or from having a student test positive in their classroom, will they still be required to teach virtually during that quarantine period?

A: A teacher that is on quarantine due to a student testing positive will be required to teach virtually. If they test positive, the teacher can continue to teach the class virtually.

Q35: Will the school have an updated attendance policy? If I am encouraged to keep my kids home due to an abundance of caution- how will that reflect their record. Also- what will the school policy be for students not in attendance and make- up work? How will students home during in class teaching continue to learn along with the class?

A: During quarantine children who are not sick, will not be counted as absent. There are no more perfect attendance awards. Students will be marked absent if you are kept home due to illness. Attendance policy is relaxed by the Kentucky Department of Education this year. If students are home for only one or two days they will receive their work when they return to school and will have one or two days to complete their work. If students are out for longer periods of time, we are looking at remote learning using Google Classrooms and other online platforms. Q36: What can I expect from my students’ teachers for distance learning in the event of a shutdown?

A: Google Classroom will be our basic platform. We are in the process of developing a consistent plan using other online programs. Q37: Will CCD and other groups like Little Flowers meet in the classrooms after the school day? If they do, what are the implications for quarantine if one of the kids in these groups tests positive for Covid-19?

A: At this time due to safety concerns, school buildings will not be used for any other group meetings or activities. Q38: What will SJS do if a parent (or live-in relative) of a student tests positive for Covid-19?

A:When this happens, we expect Wedco to quarantine the student since they are living in the same household. If Wedco decides to quarantine other students, Wedco will handle the notification process. If Wedco directs SJS to send communication, we will. Unless Wedco directs SJS to quarantine a class, the class of the student will not be quarantined.
