Welcome to the Sales Event Reporting course.

The overall goal of this course is to help you report Medicare Advantage and Prescription Drug plan sales events accurately, timely and in accordance with plan policy and CMS Guidelines.

A course is considered completed with a passing score of 90% or higher on the test for this module. Once you have successfully completed this module, you will see a completion checkmark on your online training list.

This module may also be used for agent re-education if necessary in the event of a sales incident. Note: You may return to this module at any time, for a refresher on Sales Event Reporting.

Types of Events

What is a Sales or Marketing Event?

Sales and Marketing Events are events designed to steer, or attempt to steer, potential enrollees toward a plan or a limited set of plans.

• You may promote specific benefits, premiums and/or services offered by the plan

• You may also accept enrollment forms and perform enrollment at sales and marketing events

What is an Educational Event?

An Educational Event is designed to inform Medicare beneficiaries about Medicare Advantage, Prescription Drug or other Medicare programs.

• Materials distributed or made available must be free of plan-specific information (including premium and co-payments)

• Marketing materials and/or enrollment applications are prohibited

• It must be explicitly advertised as “educational,” otherwise they will be considered as sales or marketing events.

• It must be held in public venues and cannot occur in a one-on-one setting

Time Frames for Reporting Events

Agents and brokers must report all events (Sales and Educational) prior to advertising.

When reporting Events for our plans:

• Confirm the date and time of the event with the venue

• Be cautious not to schedule events on holidays

Time Frames for Modification of Reported Events

Cancellations or modifications must be reported to the plan.

When Modifying or Cancelling an event:

• Report the modification or cancellation to our plan immediately

• Notify beneficiaries of cancellations or modifications by the same means used to advertise the event

• If an approved event date must to be changed to a future month, that event must be cancelled in the online event reporting tool and reentered as a new event for the future month

Repeated occurrences of late reporting or event cancellation may result in corrective action.

Event Compliance

Priority tips for event compliance:

• Clearly inform beneficiaries that completion of any contact information is optional and is not required to participate in any drawings or prizes

• Ensure your event is visible and accessible to all beneficiaries

• Start the event at the scheduled start time

Sales Events Do’s and Don’ts

At a Sales Event you may:

• Distribute approved marketing materials

• Assist with and accept enrollment applications

• Review benefit information using the approved sales presentation

Sales Events Do’s and Don’ts

At a Sales Event you may NOT:

• Be late or absent from an event reported to the plan.

• Solicit or accept any enrollment applications for the Annual Enrollment

Period (AEP) prior to October 15.

• Require beneficiaries to provide any contact information.

• Conduct health screening or other like activities that could give the impression of “cherry picking.”

• Provide and/or subsidize meals to attendees.

• Use unsubstantiated absolute superlatives (e.g., “the best,” “highest ranked,” “rated number 1”) and/or qualified superlatives (e.g., “one of the best,” “among the highest rank”).

Sales Event Reporting Assessment

Now it is time to put together all of the elements covered throughout this course.

An assessment will be given to test your knowledge on the information presented. A score of 90% or above on the assessment is required to successfully pass this module. If a score of 90% is not obtained, the assessment can be attempted again immediately.
