SituationPepsiCo is one of the largest
multinational food and beverage
groups and one of the most
successful consumer product
companies in the world. The
companys products include soda
drinks, such as Pepsi, 7Up, and
Mirinda, which are widely sold in over
190 countries. It has been rated by
magazines, such as the Financial
Times (U.K.) and Fortune (U.S.),
numerous times as one of the most
respected food and beverage
companies in the world and among
the most admired food and beverage
companies in the United States. The
Shenyang Branch of Tianjin PepsiCo
was established in 2002, and is
mainly responsible for sales and
market promotions in the Liaoning
area of China. Business is increasing,
and the company is becoming more
familiar with market demand in
Liaoning. It will open a new bottlingplant this year in Shenyang.
Several years ago, the company used
the Microsoft Windows NT Server
operating system version 4.0 to set
up a domain structure to build its
financial system. Not having
professional IT administrators to
design and manage its corporate
network, nine machines in the finance
department were administered and
used in the Windows NT 4.0 domain,
while the other dozen client machineswere in work groups. They used
Microsoft Windows XP Home Edition
operating system, which could not be
added to the domain structure for
administration, making for very low
usage of network resources. At the
same time, Windows XP as a client-
end operating system meant
connections were extremely limited,
as the maximum support was for 10
concurrent connections.
With business developing quickly and
more and more PCs being added, the
network structure needed to be
rebuilt.
A huge problem then appeared with
network administration. The status of
virtually all of the machines was set
to administrator, with user profiles in
a state of disarray. This meant that
the security of internal information
could not be guaranteed.
Furthermore, resources could not be
shared and information flow was
obstructed. Simple things like
forwarding data and printing files
required constant copying onto USB
drives, which was not onlytroublesome, but led to data loss or
damage and the leakage of sensitive
data. Not having a file server meant
that files were spread out over
employees machines so that people
in the same department could not
synchronize data, making for data
inaccuracies. Work productivity was
not very high, and administrative
work in all areas was extremely
cumbersome.
The lack of an e-mail system meantthat resources could not be
effectively shared. To send and
receive e-mail the company had to
install a modem on every employee
machine so that they could access

was not only slow, delaying
information transmission, but also
resulted in expensive telephone bills.
The Shenyang Branch of Tianjin
PepsiCo needed a stable, fast,
expandable network environment that
would allow resource sharing, data
synchronization, and centralized
storage and backups. This would
enhance information communication
and data security and integrity, along
with the potential to provide support
for more extensive network
administration.
SolutionThe company used the Microsoft
Windows Server 2003 Enterprise
Edition, the foundation of Microsoft
Windows Server System integrated
server software, to set up a
completely new domain structure.
Client operating systems were allupgraded to the Microsoft Windows
XP Professional operating system, and
office software was upgraded to
Microsoft Office Professional Edition
2003. The company set up a file
server, printer server, and mail server
to save on costs and enhance
employee productivity. This had an
impact on management and gave
employees the ability to acquire new
knowledge.
Windows Server 2003 was used tobuild a completely new domain
structure. The client machines,
upgraded to Windows XP Professional,
were added to the domain to be
administered together, and user
accounts and machine accounts were
set up. The appropriate authorizations
were configured for the various
departments and employees.
A file server was established so that
files on various employee machines
could be saved centrally. Different
administrative methods were applied
to shared and backed up information
on the file server to ensure file
integrity, confidentiality, and
restoration.
Windows Server 2003 was used to set
up a printer server so that printing no
longer required copying to USB
drives. This increased productivity
while preventing data loss and
leakage.
The mail server function in Windows
Server 2003 was used to set up an
internal e-mail server. With the
addition of the Microsoft OfficeOutlook 2003 messaging and
collaboration client, the company now
had an internal e-mail system that
was easy to use. This improved
information communication between
departments and employees and
lowered the companys operating
costs.

The previous network situation wasnot ideal. Data was spread out among
the individual machines of employees
and, because almost all of them were
in work groups, there was basically no
authorized or centralized

management. Data was difficult to
recover when damaged or lost. At the
same time, resources could not be
shared effectively, and sending data
or printing files required copying to
USB drives. This would result in the
leakage of sensitive data, an
annoyance for the companys
management. However, since setting
up the file, printer, and e-mail
servers, these problems have been
resolved. Employees share and back
up materials on the server space
allotted based on their positions and
departments, and can share files with
other personnel based on their
authorizations. They can also use e-
mail to send files to employees who
need them. Printing is simple, as they
need simply connect to the printer
server.
Improved Security and Expandability
of Network
The number of PCs at the companykeeps increasing as necessary. In the
previous network, servers were not
used effectively, and the Windows XP
clients, with their connection
limitations, resulted in a bottleneck in
network development. There were
only 20 machines. Now there are 60
computers, and the new domain
supports even more capacity. This
has taken pressure off network
administration, which is performed
easily for machines and employees in
the office environment byimplementing group policies. Security
updates issued by Microsoft can be
distributed in real time, ensuring
network security.
Since upgrading from Windows NT to
Windows Server 2003, the network
has been stable and secure. Ive been
relieved of a lot of meaningless work
so that I can concentrate on bringing
out the potential of the network,
says Wang Liyu, Finance Manager,
Shenyang Branch of Tianjin PepsiCo.
Improved Employee Enthusiasm,
Individual Qualities Enhanced
No training was given to employees
regarding authorizations or backups
following the network refit, but most
of them figured it out anyway. In
effect, they did the work the IT
department normally does.
Microsofts products are easy to use.
A lot of our employees can perform
common operations without any
training whatsoever, such as file
sharing, file backups and
authorizations, says Wang Liyu.
By learning to use Office 2003
applications, employees saw how
they could perform many complex
tasks very easily. Enthusiastically
gaining new knowledge meant
enhancing their skills. The whole
company was caught up in a frenzy of
learning, and the result was an
improvement in the employees
enthusiasm and individual character.
This was an accidental benefit of the
IT refit.
Accurate Reference Data for Decision

Without an e-mail system, the only
way to send and receive e-mail was to

equip every employee computer with
a modem to access an Internet e-mail
account. Not only was this slow,
hindering timely dissemination of
information, but also resulted in
expensive telephone bills. At the
same time, effective administration at
all levels was impossible due to the
lack of accurate data analyses.
For example, the company used to
have only a vague idea of the actual
amount it spent on telephone bills,
but now it can track the bills for every
department and employee, along with
the specifics of where they call and
for how long. Centrally stored
transaction data can now be analyzed
in detail in a pivot table in the
Microsoft Office Excel 2003
spreadsheet software to show
expenses over a month or a quarter,
along with comparisons between
different periods to see which are
necessary or unnecessary.
Telephone bills are now controlled,
which works effectively to lower
company costs. It provides a good
reference for the subsequent years
budget. The IT environment can
provide the company with accurate
data for decision making, along with
enhancing enterprise management.
Wang Liyu adds, This has increased
productivity by a lot, and saved the
company from investing in othersoftware. Were going to continue
learning more about the functionality
of Microsoft products.
