legal PA’s will be part of a Hub team at DLA, which is a central
secretarial hub, I have some experience also doing real estate and
employment work as well).
Legal Team Assisting Location Head Partner, Special Counsel, Precedents lawyer
and various graduates and summer clerks. Work involved:
Electronic diary and calendar management, organising client
meetings, teleconferences, video link conferencing, liaising
with catering to organize refreshments where required;
Organising lawyer’s individual emails, sorting into client related
folders and general maintenance of lawyer’s emails;
Organising travel and accommodation for lawyers, barristers
and clients where necessary on specific matters;
Opening new client files, doing conflict checks, preparing
engagement letters and ensuring all client contact details are
put into the computer system, which in turn automatically puts
those contact details into the Outlook Contacts;
Ensuring all court dates, hearings, tribunal dates etc are put
into the lawyers calendar (with reminders prior to the event);
Attending to printing and filing of all correspondence and
documents on each file on a daily basis to ensure case moves
forward without unnecessary confusion or delay.
Generally working on cases, liaising with clients, barristers, etc
to ensure the matter proceeds efficiently
Organise fortnightly CLE seminars,
working on and amending various documents via Word,
Powerpoint and Excel including:
o Creating and putting together Briefs to Counsel and
ensuring all parties have copies of same;
o Ensuring court documents and indexes are
continuously updated;
o Drafting various letters and emails enclosing/attaching
documentation;
o Preparation of Powerpoint presentations to take off-site
for client seminars etc.
o Scanning and emailing documents
o Performing a variety of document edits such as redline
tracking, preparing table of contents, indexing, cross-
referencing and scanning into pdf format
Attending to monthly billing process and liaising with accounts
where necessary. Keeping a record of those we have given
fixed fee quotes to, discounts to etc
If working on multi-jurisdictional cases, liaising with
corresponding law firms and other third parties, both interstate
and overseas;
Implementing weekly team meetings;
Ensuring each lawyer in team completes the requisite PDP’s
per year and keeping track of seminars etc attended;
Liaising with internal clients such as accounts, IT, HR, Office
Services and WP in order to achieve my daily tasks. Where
possible and in the event that my department hasn’t sufficient
work, alerting other departments and secretaries as to my
