THE VIRTUAL EXHIBITION

The virtual exhibition at Euroanaesthesia 2020 offers unique and new opportunities to inform and exchange with delegates and potential customers from all over the world.

Different booth options are available to allow all sizes of companies to present themselves, their services and products, and to interact in different ways with the delegates.

The virtual exhibition will be hosted on 6Connex. This platform enables us to manage the contentand eventually the design of your booth directly. More information will follow.

Positioning on the virtual exhibit hall floor will be based on the partnership category and virtual booth category.

There will be dedicated times within the live congress programme where delegates are encouraged to visit the industry exhibition, and eventually participate in an interactive feature.

• How to book a booth?

Please return the Stand Order Form by 5 October 2020. A booking will be considered firm uponreceipt of the completed and signed stand order form. All orders for Exhibition booths will be paid entirely within 30 days of invoice date and in case the booth is booked within 30 days preceding the Congress is to be paid one week before the Congress. See 2020 Guidelines and Terms & Conditions for the cancellation policy.

VIRTUAL INDUSTRY SYMPOSIUM

The main objective of a virtual industry symposium is the communication of scientific material to enhance the knowledge of attendees.

The scientific programme and industry sessions will be broadcasted and displayed on a specific page accessible from the lobby. The industry symposia overview and programmes will also be displayed on the Euroanaesthesia website.

Organisers of a virtual symposium will receive 5 additional delegate badges to allow company representatives to follow the symposium on top of the free delegate badges for the symposium speakers.

• Industry symposium timing & format

The industry symposia will be held at lunchtime. The duration is limited to 60 minutes, including the Q&A, polling and quizzes, which is the best suited format for a virtual meeting.

The session can be running live or pre-recorded with live Q&A and polls. We strongly advise the pre-recorded option in order to avoid technical failure. Details about the assisted recording process will be sent separately at a later stage.

Symposium organisers have the possibility to choose for pre-registration of participants and will receive in advance the list of pre-registered people who agree to share their data.

• Accessibility & compliance

Your symposium will be accessible to registered delegates during the congress and to the public after the congress. The webcast will remain available on our On-demand platform until 2 years after the Congress.

Alignment with compliance regulations when delivering content for an online industry symposium is the responsibility of the sponsor.

• Chairpersons & speakers information and guidelines fortechnical support

Technical coordination and briefing will be assured by our provider Estensis. Information will follow at a later stage. Industry has to inform the ESAIC if a speaker does not agree to be filmed and visible during thesession and the On-demand webcast.

• Lead retrieval

Symposium organisers will receive general statistics (number of viewers, average view time, country distribution) and will be able to request the details of live participants (first name, lastname and email address) who agreed to share their data.

• Advertising

The ESAIC offers the following to all industry companies holding a symposium:

➢ One-page advert placed in the industry section of the congress website➢ Advert in the briefcase of delegates (virtual congress bag)➢ Targeted communication sent by ESAIC to registered delegates: one e-blast mentioning all

the symposia.➢ Broadcast message in the virtual environment sent by ESAIC shortly before lunchtime:

one message per day for all symposia taking place on the same day.

• Fee

The fee for an industry symposium is 22.000 EUR excl. VAT.

• How to Apply

To book a symposium, please return the Symposium Order Form. The full programme - title, presentation titles, chairman and speakers (including town, country) - must be submitted by 10 October via the Symposium programme form to be approved by the Chairperson of the ESAIC Scientific Committee, who is responsible for controlling the scientificcontent of the symposia. The details will only be added to the dedicated online page after approval is confirmed.

The slots will be allocated according to the partner category and secondly on first come first served basis. We will try to respect as much as possible the allocated slots for the physical meeting.

LIVE INDUSTRY HOSTED MEET THE EXPERT SESSIONS

Schedule a 30-min live session with your medical experts before or after the scientific programme.

Participants can interact with speakers directly and polling option can be added. The maximum

number of participants is limited (30-50) with the possibility of pre-registration.

SPONSORED “LET’S TALK” SESSION WITH A MEDICAL EXPERT FROM THE ESAIC The ESAIC scientific department is organising live interactive sessions with a medical expert and limited audience sponsored by industry companies. The sessions will be held before (morning session) and after (evening session) the scientific programme.

They will be hosted on Zoom and are for 20 people who pre-register for a small registration fee. The income of the fees will be given to a charity.

There is no recording of the session.

As a sponsor, you will have the following visibility :

The Euroanaesthesia newsletter comes out each day during the Congress and one post-event newsletter is sent two weeks after the Congress, for a total of four issues. VIRTUAL EUROANAESTHESIA 2020 Guidelines

Code of Practice between Euroanaesthesia and Commercial Organisations Euroanaesthesia is an important international event with thousands of participants. It is an event for the presentation and exchange of up-to-date scientific data and brings together specialists from many countries. It is also an opportunity for commercial companies involved in healthcare to interact with practitioners and specialists in the field. Without the support of pharmaceutical and medical equipment companies the virtual meeting would not be possible in the present form. The contribution from companies is therefore welcomed by ESAIC.

Healthcare is under public scrutiny. The relationship between science and commerce at these medical scientific virtual meetings must be balanced and professionally managed. This responsibility lies equally with individual delegates, ESAIC as organiser, and the participating commercial organisations. ESAIC has adopted a "Code of Practice" for the commercial organisations participating at Euroanaesthesia. The commercial organisations who take part in virtual meetings under the jurisdiction of the ESAIC should plan and conduct activities which will enhance the scientific objectives of the meeting. Commercial activities should not exceed what is deemed acceptable. The following guidelines represent the code of practice adopted by ESAIC and are applicable to commercial organisations participating at Euroanaesthesia virtual meetings.

Virtual Exhibition Stands The virtual exhibition stand is an important opportunity for commercial organisations to meet doctors and present products. Virtual exhibition stands should allow the company to display information relevant to both the company and its products, and other scientific information that the company may choose to disseminate. Activities not related to the practice of medicine are not appropriate under this code of practice.

Product Disclaimer Exhibition of a product or service does not constitute an endorsement by the European Society of Anaesthesiology and Intensive Care.

Lotteries Contests such as lotteries and raffles are subject to the code of conduct for healthcare industry regarding promotional activities and must be

submitted to the ESAIC for prior approval. The prize should be useful to the delegates for medical professional use. No pictures or brand names are allowed to promote your raffle and/or lottery.

Exhibitors’ Participation in virtual Euroanaesthesia Registered exhibitors cannot attend Euroanaesthesia scientific sessions. Exhibitors who wish to attend any scientific session must pay for delegate registration. Exhibitors will receive complimentary exhibitor accesses.

Public Relations The participant shall not disclose inappropriate information or use any technical or confidential information regarding the business or affairs of the organiser or any of the other participants of the event.

Press Conferences organised by commercial organisations participating at Euroanaesthesia meetings may not be organised during times of the official scientific programme, without prior approval. These times include the time for abstract viewing and the annual meeting of the General Assembly.

Publicity and Advertising The Euroanaesthesia virtual meeting logo is only used in official congress publications, at events, or in publications officially organised, or approved, by ESAIC. The congress logo may, however be used on invitations for official sponsored satellite symposia held during the congress. Otherwise, use of the ESAIC name and/or logo and/or the Euroanaesthesia meeting logo in any fashion, by any commercial entity, or for any purpose, is not allowed without prior written permission from ESAIC. This also applies to any publication made after the congress.

Organising a virtual Industry Symposium or a Meet the Expert session Industry symposia and meet the expert sessions during Euroanaesthesia must be organised through ESAIC at times offered in the Exhibitor Manual. The ESAIC shall not cover the costs arising from the audio-visual extras; invitations, or registration fees for any party concerned; or any such cost as yet undetermined.

Submitting the virtual Symposium / Meet the Expert session Programme The title and names of chairperson and speakers must be submitted to the chairperson of the

Scientific Committee for approval. The final structure of the symposium /meet the expert session must be submitted in writing to the ESAIC by the deadline that will be communicated.

Advertising the virtual Symposium / Meet the Expert session Please note that all symposia / meet the expert sessions adverts should focus on the content of the event and needs to be submitted by the deadline that will be communicated.. Advertisement for your event is included in the fee and described relevant pages of the exhibitor manual. Absolutely NO material inducement or publication of a reward may be offered to attend the symposium/ meet the

expert session. Delegates may be sent dedicated communications inviting them to attend but there should be no reward for attending.

Lead retrievals and Privacy Lead retrievals will generate lists of delegates who agreed to share their data. Exhibitors wishing to obtain data from lead retrievals should contact the ESAIC as set out in the ‘important contacts’ page. VIRTUAL EUROANAESTHESIA 2020 Terms & Conditions

1. Terms of ReferenceIn these Terms and Conditions the following definitions shall apply:

1.1. “Contract” shall mean the contract established between the exhibitor, sponsor, and/or advertiser, and the organiser upon the exhibitor, sponsor and/or advertiser accepting the offer of the organiser to participate, upon these terms and conditions, in the event.

1.2. “Event” shall mean the virtual Euroanaesthesia 2020 congress and exhibition, online on 28-30 November 2020.

1.3. “Exhibition” shall mean the virtual exhibition forming part of the event.

1.4. “Exhibition Area” shall mean the virtual exhibition in the 6Connex platform.

1.5. “Exhibition Space” shall mean any virtual booth in the exhibition area licensed to the exhibitor by the organiser for the purpose of the virtual exhibition.

1.6. “Participant” shall include exhibitors, sponsors and advertisers, the person being described as such in the application form and all employees and agents of such person and shall, if applicable, also include permitted sub-licensees of the exhibitor.

1.7. “Exhibitor’s Manual” shall mean the manual supplied by the organiser to the participant, which contains information relating to the exhibition and the exhibition space.

1.8. “Fees” shall mean the amount payable for the exhibition space, symposium, meet the expert session, advertising space and sponsorship of the opportunities listed in this prospectus.

1.9. “Organiser” shall mean ESAIC- European Society of Anaesthesiology and Intensive Care.

2. Application for Participation2.1. All applications for participation shall be madeon the prescribed order form. Only completed andsigned order forms will be taken into consideration.The order form shall be submitted to the organiserfollowed by the payment of the fees for theexhibition space as stated in Terms of Payment andCancellation Policy.

2.2. The organiser has absolute discretion in the admission of participants and reserves the right to decline any application without giving any reason.

3. Exhibition Space Licensing and Allocation3.1. Exhibition space is licensed to the Exhibitor fortrade promotion purpose only for the duration ofthe exhibition. The exhibitor is not allowed to sub-license the exhibition space allocated to it, neitheras a whole nor in part, without the prior writtenconsent of the organiser. The exhibitor shall ensurethat any such authorised sub-license comply withthese rules and regulations and shall be responsiblefor any default of such sub-license.

3.2. The organiser has absolute discretion in allotting space in the exhibition.

4. Use of Exhibition Space4.1. The exhibitor shall set-up the exhibition spaceaccording to the arrangements and within the timelimits specified by the organiser.

4.2. During the license period the exhibitor shall be responsible for the good conduct of its employees, servants and agents, contractors and sub-contractors who shall be bound by and must observe these terms and conditions in all respects.

5. Liability5.1. The organiser shall not be responsible for anyerror or omission relating to the exhibitor or itsvirtual booth content.

5.2. The organiser shall not be held responsible in any manner whatsoever for the consequences of any introduction or commercial transaction made during or as the result of the exhibition.

5.3. Neither party will be liable for any failure or delay in the performance of the Agreement which is caused by circumstances beyond the reasonable control of the party concerned including without limitation acts of God, war or national emergency, acts of terrorism, pandemics, virtual platform failure, network lockdowns, strike, lock-out, fire, explosion, volcanic eruption and flood (“Force Majeure”), provided always that the de-faulting party uses all reasonable endeavours (but without an obligation to incur cost) to minimise the period of disruption caused by Force Majeure.

5.4. The Organiser reserves the right to defer or to cancel the Congress (without liability to the Exhibitor) in the event of a Force Majeure.

6. Terms of Payment and Cancellation PolicyAll signed application forms are irrevocable

6.1. All orders will be paid entirely within 30 days of invoice date.

6.2. A €150 administrative fee will be charged for each modification of an issued invoice. The invoicing party should be clearly mentioned on the order form.

6.3. Failure to pay cancels your reservation. The organiser is free to assign the option to other exhibitors/companies if payment is not done 30 days after the due date stipulated on the invoice.

6.4. Any late payment (i.e. receipt of money by organiser 30 days beyond the due date stipulated on in-voice) will be subject to a penalty of 21% APR (Annual Percentage Rate) on the total amount invoiced. No participant will be allowed to participate or have access to the event should the payment not have been received by the organiser prior to the event and within the stipulated deadline.

6.5. No refunds will be issued for cancellations of orders. ESAIC maintains a cancellation fee of 100%.

7. Waiver7.1. No waiver by the organiser of any of theprovisions of these rules and regulations or of anyof its rights hereunder shall have effect unless givenin writing by the organiser.

7.2. The waiver by the organiser of any of these rules and regulations shall not prevent the subsequent enforcement of these rules and regulations and shall not be deemed to act as a waiver in respect of any subsequent breach.

8. Termination of ParticipationThe organiser reserves the right to terminatewithout notice a participant’s right to participate inthe event upon occurrence of any of the followingevents:

8.1. If the participant or any of its representatives commits a breach of any of these rules and regulations; or

8.2. If the holding of the exhibition or the performance of this contract by the organiser is substantially or materially interfered with due to any cause or causes not reasonably within the control of the organiser; or

8.3. If the organiser believes that the participant is conducting an activity that does not conform to the nature and purpose of the event or if proper use is not being made of the exhibition space or at any time during the term of the exhibition; or

8.4. If the payment of fees is not made by the participant in accordance with point 6; or

8.5. If the participant is, for any reason, unable to meet his contractual obligations.

In the event that a participant’s right to participate in the event is terminated the participant shall have no claim for refund of any fees paid to the organiser.

9. ComplianceGiven the global scope of the IFPMA Code,Companies are expected to use the IFPMA Code asthe minimum standard. The EFPIA and PhRMACodes reflect the principles and rules of the IFPMACode and should be considered in conjunction withthe IFPMA Code when the meeting is hosted by aEuropean or American medical association.Companies should consider the code from theregion from which the majority of delegates wouldbe expected to come based on past experience. AtEuroanaesthesia 2019 most delegates came fromthe UK.

These terms and conditions shall be governed by and construed in accordance with the laws of Belgium. Any disputes or claims arising out of or in connection with these terms and conditions shall be submitted to the courts of Brussels.
