Requesting a new session

(a) Select exam period you want to enter in, for example, and select by clicking the one you want:

(b) Click on New Exam Session Booking / Request

Application tab

Your contact details will fill automatically from your membership record. If any of these details are

incorrect, contact the Membership Administrator immediately, as they will need to update all of our

systems.

You are automatically listed as the Primary Organiser on your session.

Additional Staff

- Press Add if there is a Teacher 2 or Teacher 3 in your application

- Enter teacher’s membership number and press Add

Changing Primary Organiser

- Select Teacher 2 or Teacher 3 and click on Set as Primary

- In a pop-up message asking if you are sure you want to change this teacher to the primary

organiser, click OK

- Now teacher is the Primary Organiser

Adding genres and exams to the application

Please note: it is very important that when creating an Exam Session, you add the

highest level of Exam requested within each faculty, as it helps us select the

examiner correctly. Complete estimated number of days for each faculty plus

estimated no of candidates for vocational / professional exams. The number of

days for an exam on the add exam section can be left blank if you have already

reached the total number of days you would like to request. Once your application

has been submitted, only the ISTD can change amend these on request.

- In the example below we have Imperial Classical Ballet as the selected genre,

Intermediate as the highest examination level in this genre, an estimated 25 candidates

being entered for examinations in this genre and an estimated 2 days’ worth of exams

- Should you need to make changes here, select the genre and press Edit or Delete

Adding Professional Exam Candidates

For candidates taking DDE, DDP, Licentiate, Associate and/or Fellowship

examination, the teacher will be asked to add their PINs to the application before it

is submitted

- Please see Adding Candidates section for more information

Adding Lower Level Exams

- In this example we will add lower level examinations in the Modern Theatre Dance Faculty

(a) Press Add Exams

(b) You can use the Search box – in this example we typed mth graded exam to display a list of

examinations matching this criteria

(c) We select Grade 1, Grade 2, Grade 3, Grade 4 and Grade 5 exams in Modern Theatre Dance

and press Add

(d) Lower level exams in Modern Theatre Dance have been added to the application

Exam Dates have to be selected now

To select examination dates you must press the Add button in the Dates area:

A pop-up message will appear. You can select any date within the Exam Period:

- Add every preferred date one by one

- If you can’t find a suitable date please select another Exam Period and apply for a session

there

Please note Unavailable dates can be selected for overseas based exams only

- If you made a mistake, select the affected date and press Delete

- If you want to make alterations here – for example change Type from Preferred to

Unavailable

(a) Select the affected date and press Delete

(b) Press Add

(c) Select your date again

(d) Select the right option from Type drop-down list and press Add (see previous

screenshot)

Venue and school contact details

- Estimated Hours Required and Estimated No of Candidates are obligatory

- Venue is now needed so that we can book an examiner

- Pianist name and contact details can be added here

- Dance School Name can be entered here

- Press Edit for Certification Address if you want report sheets, certificates and trophies sent

to a different address than your membership address

- Exam Day Telephone Number can be entered here

- Should the Examination Department require any amendments to be made to the

application before it can be accepted, notes will be made in the Teacher Notes area

Please remember to press Save after making any changes

Logistics tab

Airport First Choice and Nearest Train Station to Studio are two obligatory fields in

the Logistics tab

- Additional info like name of the nearest hotel, suggested taxi company or distance from

hotel to Studio can be entered here. This is helpful information that the examiner will be

able to see.

- It is important that you confirm if the studio has a USB, MP3 or iPod connection

- Please remember to press Save after making any changes

Candidates tab

Please see the section ‘Adding Candidates’ for a complete explanation on requesting

new candidate PINs, adding candidates to application, editing and deleting

candidate bookings.

Submitting Application

You need to include all the details of additional staff, genres and highest level examinations, exam

dates and logistics details before you submit your application. You can revisit your application and

make alterations and save those changes every time until you submit the application.

When ready to submit the application press the Submit Application button.

It is strongly recommended that a venue is listed at this stage – at least

City/County should be listed now so that the Examiner knows where to go. Final

details can be added later.

Exam Requested

After the session is submitted it moves to the next stage of Exam Requested.

The ISTD reviews the application details and if everything is fine moves it to Application Approved

status, however if the number of candidates is too low, additional information is required or

alterations to the number of examinations or days are necessary, the application is Rejected.

When the examination is rejected, the ISTD will provide more information as to why the application

has been rejected in the Teacher Notes section of the application.
