What makes the International Geological Congress unique?

The conference represents the ‘Olympics’ of geology and is held every four years in a city selected for its attraction as a meeting destination and also in recognition of the host country’s outstanding geology and long term contributions to the earth sciences. South Africa will be hosting the 35TH IGC in Cape Town in 2016. The event will be a Pan African one with the support of the major African Geo-scientific Societies and other related organisations. Large numbers of African delegates are expected to attend and field trips are planned to all parts of the African continent.

The IGC, which was founded in 1876, is the pre-eminent global geoscience congress – it provides a forum for presenting scientific results across the whole spectrum of the geosciences, facilitates the holding of business meetings, encourages international networking and provides the opportunity to study geological features of interest through field trips. Each IGC has had its own flavour and features, reflecting the circumstances in the host region and what it sees as important for such a large and prestigious event.

The 35TH IGC will have a wide-ranging technical

program, united by the theme ‘Geology in Science, the Economy and Society’, with a view to delivering solutions to the world’s challenges. The event will include approximately 35 parallel sessions over five days as well as workshops and short courses relevant to:• environment, heritage and education (‘Geology in Society’);• minerals, water, oil and gas

(‘Geology in the Economy’);• latest developments in earth sciences (‘Geology in Science’).

The event offers opportunities for companies in the area of staff recruitment, as well as the forging of contacts with developing countries, notably those in Africa. It will also offer the opportunity for brand-building, with the technical community and with governments. There is also the opportunity for individuals and companies to assist with skills development, enhancing their corporate citizenship in a rapidly growing and evolving African economy.

Who attends the International Geological Congress?

Based on the attendance at recent IGC’s (Brisbane, Oslo and Florence), IGC 2016 is expected to attract between 6 000 and 10 000 delegates from at least 100 countries including attendees from African countries. As a result, this will be the largest gathering of geoscientists ever held in Africa.

HOW TO SECURE YOURPARTICIPATION

Rates in South African Rands

The exhibition will be on the entire lower level of the CTICC, spanning all the Exhibition Halls, Foyers, Conservatories and Restaurants with two hundred and eighty stands of 3x3m. Exhibition space will be hired out as ‘floor space only’ without prefabricated walls, installations, furniture, carpet, electricity or any other technical supplies. All stand fees, includes one stand staff registration which will give access to the exhibition (but NOT

to the scientific programme), teas, lunches and attendance at the Welcome Function.

Companies exhibiting will be entitled to a maximum of 1 free badge per 9m² booked. Any additional exhibitor badges to those already allocated for exhibition staff, will need to be booked online at the cost of ZAR 5 000 per exhibitor badge which will give access to the exhibition (but NOT to the scientific programme), teas, lunches and attendance at the Welcome Function. All staff, whether company staff or local stewards/hostesses, will need to wear an exhibitor badge.

During the exhibition AND during non-show hours, individuals without an exhibitor badge will not be admitted into the halls. To allow their staff to participate into the scientific programme, companies will need to register their staff at the congress delegate registration rate.

The list on the right is a provisional overview of the exhibition build-up and dismantling schedule. Exhibitors will be informed of the final dates and time schedule through the exhibitor manual (to be available online by January 2016).

General terms & conditions

• For safety and aesthetic reasons, exhibitors are required to set up and dismantle their booths at the times requested. All exhibitors contractually agree to comply with the opening and closing times.

• A standard shell scheme measures 9m² (3x3m). The shell scheme package will be supplied with a fascia board spanning the width of the stand (printed with company name) stand walls, a 15 amp plug point and two spotlights.

• All shell schemes and extras should be ordered directly with the stand builder (contact details will be online shortly).

• All peninsula, corner and in-line stands must be separated from the neighbouring stand(s) by means of a separation wall. Over 2.5m, the separation wall should be finished or open.

• An exhibition manual will be available online by January 2016 and will include:• all relevant technical information, including rules and

guidelines for stand activity and promotion;• order form for materials available for rental (panels, chairs,

flowers, etc.) and corresponding prices;• order form for storage, transport, customs and forwarding

agents;• exhibition opening hours;• construction and dismantling hours;• a detailed road map of the exhibition area indicating access

for trucks;• rules related to height limitations;• local requirements with regards to VAT or other taxes and

conditions for reimbursement.

Exhibitors must submit an exact statement of the dimensions of their stand as well as plans and descriptions of their stands for approval by the organisers. The graphics must clearly indicate the planned layout, equipment and furnishing of the stand, including the signage and visuals.

Documents should be received by the organisers for approval

no later than 60 days prior to the congress. Documents will then be submitted by the organisers to the CTICC for final approval.

Each exhibitor is asked to take into consideration the impact of the stand’s construction on neighbouring exhibitors and to comply with the build-up regulations which will be included in the technical manual.

Payment deadlines for exhibition space • 1st instalment (50% of total amount) following receipt of

application and provision of invoice by organisers.• 2nd instalment (50% of total amount) by 01 September 2015• Interest will be charged on any late payments.

Payment terms • Invoices are payable within 30 days following the date of

issue and prior to the deposit and balance due dates. In case of non-payment on the due date, late charges of 5% per month will apply.

• If rental charges are not paid within the allotted time, exhibition space will be released and any loss incurred by the organizer through such non-payment shall be covered by the defaulting exhibitor.

• Direct transfer payments are preferred and should be made into the congress account, clearly indicating the invoice number. Sender’s bank charges will be at the expense of the exhibitor.

• Cheques will not be accepted.• Other than for on-site registration, no cash payment shall

be accepted.

Cancellation/reduction of exhibition space Total cancellation of exhibition space• In case of total cancellation before 27 August 2014 an

administrative fee of 10% of the total amount due applies, with a minimum of ZAR 2 000.

• In case of total cancellation before 1 August 2015, a cancellation charge of 50% of the total amount is due.

• In case of total cancellation before 27 May 2016, a cancellation charge of 75% of the total amount is due.

• In case of total cancellation on or after 27 May 2016, the total amount is due.

• Total cancellation fees apply irrespective of whether the space can be reallocated.

Partial cancellation of exhibition space• In case of partial cancellation before 27 August 2014, an

administrative fee of 10% of the amount of the cancelled space applies.

• In case of partial cancellation before 1 August 2015, a cancellation charge of 50% of the amount of the cancelled space is due.

• In case of partial cancellation before 27 May 2016, a cancellation charge of 75% of the amount of the cancelled space is due.

• In case of partial cancellation on or after 27 May 2016, the total amount of the cancelled space is due.

• Partial cancellation fees apply irrespective of whether the partially cancelled space can be reallocated.

• Partial cancellation of exhibition floor space may require the remaining exhibition space to be relocated to another area of the exhibition. Relocation will be considered in consultation with the exhibitor. In any case, the organisers will have the final relocation decision with no recourse by the exhibitor.

Important note

All invoices need to be paid in full before the start of the congress. Failure to do so may lead to the cancellation of all sponsorship items, be it exhibition space, symposia slots, sponsorship items or hospitality suites.

Subletting and sharing exhibition space

The exhibitor shall neither share nor sublet whole or part of the allocated exhibition space to a third party without the written agreement of the organizers.
