5th – Human Resource Department
Here in Divya Fashion Mill the firm is not having any special HR department but
still the firm is using the HR concepts in practices to have the better performance of
employee and to satisfy them as well as to settle the harmonious relationship between
Manager and employees into the firm.
5.1 – Introduction & Objective of HRM department
“Human Resource Management is a Management function that helps the manager to
Recruit, Select, Train & Develop Member for an Organization. HRM is concerned with the
peoples dimension in the Organization.”
Organization is not just bricks, motor, machines or inventories. They are people. It is the
people who staff & manage organization.
“Human Resource (or Personnel) Management in the sense of getting things done by
people. It’s an essential part of every manager’s responsibilities, But many organizations find it
advantageous to establish a specialist division to provide an expert service dedicated to
ensuring that resource function is performed efficiently”.
Here in introduction as above paragraph indicates that the company is not having any
specialized department for the HR practices but the company is still uses the HR concepts to
improve upon its working conditions and work environment for the employee.
Human Resource Development:-
Human resource development continued to receive focused attention. Industrial
relation continued to be cordial throughout the year. The company has strength of 425
permanent employees. The company and its management value the dedication of its
employees and acknowledge their contribution in attaining goals of the company. The
company has been encouraging employees by providing a better working environment
and other additional benefit.
It is the HRD which focuses on the way in which the human resource of the firm
gets improvised upon the particular work and also the relation management in the firm in
employee and employer. It is all about how the individual develops his/her skills,
knowledge.
Personal Management Overview:-
The company management system is well established in the personnel
management system. The relationship between management and employee are
perfectly maintained in personnel management.
So it can be said that here in personal management the company focuses on the
relationship between individuals like manager & employee, employee & owner and also
manager and owner.
Objective of HRM Department:-
As in earlier mentioned that the company Divya Fashion Mill is not having the
special HR department but still we have marked and noticed the concepts of HRM used
into the firm based on which the following objective of the firm is,
The primary objective of the firm is to settle the harmonious relationship between
employee and employer and to manage the human resource of the firm start
from the hiring till retaining them.
The other objectives are:-
o To have the human relation without any conflicting situation
o To reduce out the grievance situations into the firm
o To give training to the employee for improved work and skills
5.2 – Structure of HR Department
The Company has its main office at Surat near at Ringroad.
The company has its production site in Jolva, Bardoli Highway, surat.
Following is the diagram of the structure of HR department:-
5.3 – Manpower planning
The firm is having currently 425 employees as on date 10-04-2012. And the firm
is not into the requirement of any new employee because it is not using its full fledge
capacity of producing the product. So the firm is not into the needs of doing the
manpower planning now, but for future uncertainty the firm acquires the employee on
the bases of daily wage payment.
5.4– Recruitment & Selection & Induction
Recruitment
The company recruits their employees through various type of methods say like internal,
external, etc.
Internal Source
The internal sources of recruitment are saying like, Present Employees, Employee
Referrals, Previous Employees, Former Employees, etc.
o Present Employees : - Here in Present employees the basic source of
recruitment is currently working employees & to recruit or Transfer them
from one department to another department as per the company’s
needed.
o Employee Referrals : - In employee referral the company recruits
employee on the basis of the reference of the present employee.
The recruited employee through this source may be the family
members or friends or any other person who is being in contact of
the present employee.
This source is motivate the present employee & as well as the
new recruited employee.
o Previous Employee :- This source is basically indicates that whoever is
being recruited is the previously applied, but the recruiter in this company
recruit the employee who has previously done the work & being rejected
because of their poor performance.
o Former Employee :- Here in the Former Employee is the source where
the recruiter recruit the employee who are retired from the organization
but willing to come back for the job, this type of employee are
experienced & also much productive rather than the new employee &
they are more attached with the company & its rules & regulation.
External Source
o Notice board:- In this source the recruiter recruit the employee through
attaching the notice on notice board.
5.5 – Training
Induction Training :-
The firm gives the training to its new employee in the context of removing their
fear of working in new environment and work condition and to habituate them the
company provides the Induction training.
Production Training :-
The company provides the basic knowledge about the production system of the
firm works in which manner and trains the employee accordingly.
For this the company has appointed one expert who gives the training and fulfills
the requirement of the production training.
On the job Training(OJT) :-
The company has also adopted OJT method means On the job training which
means the employees are trained during the working hours only as they commit mistake
can be corrected at that time only and during the working hours the firm provide training
to the employee.
Programmed Instruction :-
Here in programmed instruction the company just provide the theoretical
knowledge about how the production done, how machines work done. No practical
knowledge the employees have to apply his/her theoretical knowledge in practice.
Apart from this following are the training & development activities should be developed by HR
department:
Induction & Orientation Training
Identification of Training needs
Developing Training Programmer
Assessment of feedback Form
Refresher Training
Assessment of Competency & Skills
5.6 – Grievances & Grievance Handling
Here in grievance the firm is focuses more on it as not to take any risk through which the
grievance occur. For the removal of the possibility of grievance occurring company follows the
equal wage system and also tries to treat each employee equally, no chance of making
biasness among the employees.
And even after these precautions the grievance occurs than the company has appointed
one person specially to settle the grievance occur into the firm as fast as possible.
5.7 – Performance Planning:-
The firm has well defined & laid down system for gazing the performance of an
individual. There is one-to-one performance appraisal system used by company where the
immediate superior will appraise the performance of an individual. The main purpose of
company to carry out performance appraisal is to design various development plans for
development of employees.
Each employee has the opportunity to discuss & review performance & development
issue with their manager. The process hangs on the important management events that should
happen during the course of the year.
5.8 – Policies of HR department:-
The Personnel policy of company included the job securities to the employees give the
right work to the right employee and also give the training to the employees or their work to get
work in full fledge also provide the every well work environment to the worker to shoe his ability
in his way. The company gives guarantee of their life.
5.9 – Provident Fund scheme:-
The firm I providing the facility of provident fund to its employee by reserving the 5%
each year from the salary paid to employee as the reserve for the purpose of providing the
provident fund at the retirement of the employee. Provident fund is the sum assured reserve by
the firm for its employee given when the employee gets retire.
5.10 – Time office:-
The major & sole function of Time office is to record attendance of each & every
employee of the company either staff of workmen trainee. As name revels, time office keeps
record of timing of ENTRY and EXIT of Employee working in organization. Time keeping
function is a very important of HR department to check the regularity of the employee as well as
the degree of punctuation of the workers into the firm. It is truly said that the well punctual
person can only realize the importance of the work. Basically the company uses manual register
for daily attendance of permanent employee.
5.11 – Industrial relation:-
The main purpose of the IR is to maintain the harmonious relationship between the
following three parties.
a) Employee
b) Employer
c) Government
It is the firm which focuses on the smoothness in the relation of these 3 parties and tries
to maintain the relation and solve the disputes if occur. So here the industrial relation plays vital
role.
5.12 – Allowance to employee:-
The firm provides the extra allowances to its employee as per the performance of the
individual employee and the work done by them. For example, if the employee does the
overtime on regularly bases then the company provides extra benefits to that worker as per
his/her performance.
The company provides the allowances like, DA-Daily allowances based on daily target
fulfillment, etc.
5.13 – Canteen service:-
The company is having its own canteen which is specially provide the facility of food to
the employees who are in double shift or overtime at free of cost but charges from those who
are not working for overtime in company. Still the company’s canteen is not charging the excess
amount of money because the purpose of providing the facility of canteen is just to serve not to
have the profit from it.
So the company is providing the facility of the food in canteen at nominal charge and the
also maintains the quality of food as well.
5.14 – Welfare facilities:-
This company has given the welfare policy to the member of organization & their workers.
Welfare policy indicates welfare & gives benefits according to the situation. It includes the
insurance policy, Leave, Mediclaim, living room, Bonus etc.
o SECURITY
The company is very strict in the security so there is one security man at the
main gate. He checks everyone who is come in the company and no car allowed in
the company without permission of gate security all the employees are given gate
pass and also bus pass. Who has gate pass can only enter and go out of the
company.
o INSURANCE
The company pays the insurance premium of 100000/- per year for whole staff
member & its concerned with the Life Insurance Corporation (LIC).
o LEAVES
The company also permits 30 days leave in a year to each worker & if the worker
is having any difficult problem then he/she will be permitted for the extra leave
otherwise the company will cut the salary.
o MADICLAIM
The company takes whole responsibility of paying medical expenses if the
worker is injured during the working hours only and in case the worker injured apart
from the working hours then the company is not wholly responsible for that.
o LIVING ROOM
The company provides the 10+quarters to their employee also without any rent
which is beneficial for those employees who are doing the overtime on the regular
bases.
o BONUS
The company declaring bonus on DIWALI every year & the increment in salary
as per the designations and the performance measured.
o IDENTITY CARD
The company has provided ‘identity card’ to each employee at factory. The company
has given the attendance card to the employees to record their presence on the daily
bases into the firm which is signed by the supervisor of the department.
