Make the receiver get the actual meaning .
For effective communication, we have 7 C’s.
Communication:
1- Correctness.
2- Clarity.
3- Conciseness.
4- Completeness.
5- Consideration.
6- Concreteness.
7- Courtesy.
The 7 C’s:
1- Correctness:
Message must have credibility.
Correct use of grammar, spellings and punctuation marks.
Proof read before you send in written communication.
Correctness in message helps in building confidence.
Language should be according to the level of the receiver.
2- Clarity:
Each and every point of the message should be clear.
The language must be vivid, clear and simple.
Use familiar words.
Do not make the reader “read between lines”.
Clarity makes comprehension easier.
3- Conciseness:
Message must be brief and to the point .
Convey the subject in the fewest possible words.
Lay emphasis on important ideas.
Conciseness saves time.
Avoid needles repetition.
4- Completeness:
The message must have all the necessary information.
Answer all the question of the audience.
Give the audience the whole picture, laying down the benefits.
Completeness brings the desired response.
Give all the required facts and figures.
5- Consideration:
Focus on “You” instead of “I”.
Visualize readers, their desires, problems, emotions, circumstances, benefits and expectations.
Consideration means understanding of human nature.
Highlight the receiver’s interests and needs.
Emphasize the positive, pleasant facts.
6- Concreteness:
The message must be definite and specific.
Give the audience energetic and vivid picture.
The details must be factual and according to the client’s need.
Your voice should sound definite.
Concreteness reinforces confidence.
7- Courtesy:
Value your client’s feeling, showing respect and sincerity.
Message should sound friendly and honest.
Must use positive, pleasant-toned words so that it wins good will.
Do not use such expressions that irritate or hurt.
Courtesy strengthens relations.
CONCLUSION:
Use the 7 C’s of Communication as a checklist for all communications. By doing this, we'll stay clear, concise, concrete, correct, considerate, complete, and courteous.
