Dietary Requirements

All food served on the hotel premises must be supplied and prepared by the hotel’s Culinary Team. Due to the hotel having no control of how food is transported, stored or secondarily prepared after it leaves the premises, no leftover food from catered functions may be taken from the hotel. Notice: Consuming raw or undercooked beef, steak, meats, poultry, seafood, shellfish or eggs may increase your risk of foodborne illness, especially if you have certain medical conditions.
All alcoholic beverages, to be served on the hotel premises (or elsewhere under the hotels alcoholic beverage license) for the function, must be dispensed only by hotel servers and bartenders. Alcoholic beverage service may be denied to those guests who appear to be intoxicated or are under age. All of our servers and bartenders are certified by TABC.
The Embassy Suites San Marcos-Hotel, Spa and Conference Center does not allow alcohol to be brought into the hotel without prior approval. If approval is given, a corkage fee will apply.
Confirmed food and beverage pricing will not be given more than 90 days prior to any function/event date.Our Culinary Team uses only the finest ingredients in the preparation of your meals. Due to fluctuating food and beverage prices, menu prices may change without notice unless arrangements are confirmed by a signed Banquet Event Order (BEO).
Our Chef will provide meals for your attendees with special dietary requirements. Please advise your Catering/Event Manager if a special meal is required to be included in final planning of banquet event orders.

All set-ups are based on all standard set-ups.. Additional fees apply for extensive meeting room set-up and any furniture removal. Fees will be based on size of meeting room, scope of services and labor involved. These fees are in addition to any Meeting Room Rental and are subject to applicable service charge and sales tax. The hotel reserves the right to charge an additional fee for set-up changes made the day of the function

Wall/floor electrical and technology outlets are not part of the rental space, and will be charged accordingly. A customary 23% Service Charge and applicable Sales Taxes will be added to all Food and Beverage charges as well as any Meeting Room Rental and/or Audio Visual charges as specified on the contract and BEO. All food & beverage functions require a minimum number of attendees. Any food & beverage function not attaining listed minimums will be subject to published per person surcharges in addition to the customary service charge and sales tax. Service fees for bartenders, food station attendants, cashiers and other additional staff are applicable. All beverage services and hospitalities on the premises require the services of a bartender or attendant. All personnel service fees are for up to 4 hours, additional hours are at $25 per hour.
Function rooms are assigned according to the anticipated guaranteed number of guests. If there are fluctuations in the number of attendees, the hotel reserves the right to assign accordingly the banquet function room. Function room names will not be guaranteed.
Security arrangements should be made for all merchandise or articles set-up prior to the planned event, or left unattended for any time. The hotel may require security officers for certain events. Only hotel approved security firms may be used.
To ensure our entire team is prepared and all your needs are accommodated we request that the final details of your event be submitted 30 days in advance of your event.
We require a confirmation of guaranteed attendance at least 3 working days in advance of all functions. Your bill will be based on the guaranteed number, plus charges over and above. Meals will be prepared for your guaranteed figure. Our Culinary Team will make every effort to duplicate your menu for any additional guests, in the event this cannot be done, a substitute entrée will be provided. In the event we do not receive a guarantee, we will consider the number of guests indicated, as “Expected”, on the Banquet Event Order as the guarantee.
Our staff will be pleased to assist you with any recommendations for floral arrangements, decorations and/or services, photographers and entertainment to create your event.

In order to preserve the integrity of the hotel and to comply with local fire codes all signage, displays or decorations and their set-up is subject to prior approval of the hotel. Scotch-tape, nails, push-pins or any other damaging fasteners may not be used to hang any material on walls in the hotel. Banners may be hung with the approval and coordination of the Event Department. The hotel reserves the right to charge an additional fee for excess clean up and/or damage at the conclusion of the function.Only professionally printed signage is allowed in the meeting/convention areas. These signs can be used with easels or in sign stands. No handwritten signs or flipcharts are allowed outside the meeting rooms.
No banners can be hung along the walls of the Public Areas. Hotel personnel must provide the labor to hang the signs at a fee of $25 to $50 each.
In addition, nothing is to be placed over exit doors or located to conceal or obscure any exit.
Items in our banquet inventory are for your use (based on availability) at no additional charge. Any equipment requested not in inventory, which have associated costs, will be passed on to your group. For more information on banquet equipment, please see your Catering/Event Manager.
All events associated with your program will appear on our electronic reader board system as they appear on your final, approved banquet event orders.

Shipping and Receiving
The hotel reserves the right to inspect and control all private functions. Liability for damages to the premises will be charged accordingly. The hotel reserves the right to cancel any event that has been interpreted to have been misrepresented in the booking, or if a group’s intentions appear to be controversial or destructive to the premises. If guest, their guests and invitees or agents of the guests violate the law, the function may be terminated without refunds. The hotel cannot assume responsibility for personal property and equipment brought onto the premises.
The Housekeeping department administers lost and found. The hotel cannot be responsible for damage or loss of any articles or merchandise left in the hotel prior to or following your banquet or meeting.
All incoming packages should be addressed to your Event or Convention Services Manager and marked with the company’s name and date of your meeting. Because there is limited storage space, boxes can be accepted no more than three working days prior to your meeting. A storage fee of $5.00/per day, per box will be applied to any materials shipped earlier than three days prior to the event. Boxes left on the premises for longer than one week after departure without shipping instructions will be discarded. Any item over 250 pounds must be delivered to a drayage company; your Event or Convention Services Manager can assist you with these arrangements.

Trash Removal
Please contact your Catering/Event Manager for complete party package menus. We are happy to suggest ideas on novel favors, souvenir menus, printed programs, creative ice carvings, theme food presentations, and room accent decor and specialty linens.
We are not responsible for any loss or damage to property belonging to you or your attendees and do not maintain insurance covering it. All displays and/or decorations will be subject to our written approval and we reserve the right to contract and charge for hotel staff to provide the labor for any installations or removals of such.There is a $75.00 clean up fee for the use of helium balloons. All helium tanks must be in an approved safety stand or cart. There must be prior written approval for the use of all displays and/or decorations proposed by guest. Please see the Banquet Event Order (BEO) for other specific contractual information.
The use of glitter, confetti, feathers and other small particle decorations is prohibited.
The hotel will gladly accommodate reasonable trash removal in the meeting space. Should your event require additional equipment or staff to accommodate trash removal, fees will apply.
