Although PDF has become a standard in the construction industry, there are many versions and types of PDF files. When utilizing DFS Document Preparation Services all Drawings, Specifications and Sketches will be converted to an ANSI Standard PDF/A format for maximum compatibility.

The design team may deliver the drawing files as a single PDF containing all sheets, a PDF Digest, or individual files. DFS Document Preparation Services will convert all drawings into a single PDF file for each drawing. All drawings will be rotated to the proper orientation for easy viewing.

When utilizing DFS Document Preparation Services, all specifications files will be converted into a separate PDF file for each specification section. This approach makes it much easier for users to find the specific information they need. Also, when updates are delivered, the users will be able to access only the sections that have changed.

All Drawings and Specifications will be cross checked to the drawing index and the narrative documents to make sure that all of the proper information has been received and matches the cover sheet / drawing index. If any discrepancies are detected, a list of issues will be returned to the design team for reconciliation.

All drawings will be converted to single a PDF/A file per sheet, rotated for proper viewing and compressed. The drawing

set will then be compared to the Drawing Index and Release Narrative if they are provided and a list of any discrepancies

return within 24 hours. All drawings will be indexed with Drawing Number, Revision, Name, Item Date, Discipline, Issue

Name, and Issue Date. The drawings will be loaded in the project so that a Current Set and Discipline sets are available.

All Specification files will be converted to multipage PDF/A files for each specification section. The specifications will be compared to the Release Narrative if provided and a list of discrepancies will be returned within 24 hours. All Specifications will be indexed with the Specification Section Number, Section Name, Division Number, Item Date, Issue Name, and Issue Date. The Specifications will be loaded in the project so a Current Set and Division Sets are available.

Each RFI file will be broken down into separate PDF/A files for the Narrative and individual sketches. The RFI will be linked to each Drawing or Specification that is related to the RFI. All RFI’s will be indexed with the RFI Number, RFI Name, RFI Description, RFI Date, Issue Name and Issue Date. The RFI’s will be uploaded into a Current RFI folder.

When an RFI is processed, each sketch will be related to the individual drawings and attached as additional sheet to the drawing’s PDF File. Each Sketch will be indexed with the Sketch Number, Sketch Name, Item Date, Issue Name, Issue Date and Related Drawing Number.

All other documents will be added to the system as the original file type. They will be indexed with the File Name, and Item Date. The user can provide the folder structure that will be used for each document.

BIM Models will be compressed to reduce file size and uploaded into a BIM Models folder.

DFS Document Linking Services

The DFS System allows users to navigate between related project documents using Links. The Links for each document are user defined using the DFS Link Tool. Since this is a manual process, users who would rather outsource the creation of the links can utilize DFS Document Linking Services. Our highly skilled document administrators will review each document and create the links to all related documents. All you have to do, is use the perfectly organized data!

In the construction industry it is very common that a floor pan drawing could reference many other drawings that contain relative information. It is common to link the floor plan to Detail, Elevation, and Section drawings.

The system makes navigating between these related drawings easier by creating links between the various documents that allows a user to navigate with a single click to the related drawings.

Frequently multiple documents are released together as part of a single change to the product. RFI’s, ASI’s, Change Orders are good examples of documents “Issued” as a package.

Frequently a user who is reviewing one document in the Issue, should review all of the other documents “Issued”. To make navigating to other documents in the Issue, the system allows links to be created between the document and the “Issue”.

When Addenda, ASI or other document releases are issued, a link can be created so that a user can quickly see what other documents were released along with each document. The Issue Link will be indexed with the Issue Name, Issue Number, Issue Date and a description so users can quickly recognize the issue related to each document.

Some clients would like customized linking of documents. The DOCUPRO Link Services technicians are happy to accommodate any linking requirements and will provide the services for an hourly wage.

Venture Document Preparation Services

Although PDF has become a standard in the construction industry, there are many versions and types of PDF files. When utilizing DFS Document Preparation Services all Drawings, Specifications and Sketches will be converted to an ANSI Standard PDF/A format for maximum compatibility.

The design team may deliver the drawing files as a single PDF containing all sheets, a PDF Digest, or individual files. DFS Document Preparation Services will convert all drawings into a single PDF file for each drawing. All drawings will be rotated to the proper orientation for easy viewing.

When utilizing DFS Document Preparation Services, all specifications files will be converted into a separate PDF file for each specification section. This approach makes it much easier for users to find the specific information they need. Also, when updates are delivered, the users will be able to access only the sections that have changed.


The DFS Document Preparation Services are performed by highly skilled and experienced technicians utilizing advanced software tools to quickly and efficiently process even the largest document sets. Now your project documents can be perfect without you lifting a finger!

Drawing Preparation

All drawings will be converted to single a PDF/A file per sheet, rotated for proper viewing and compressed. The drawing

set will then be compared to the Drawing Index and Release Narrative if they are provided and a list of any discrepancies

return within 24 hours. All drawings will be indexed with Drawing Number, Revision, Name, Item Date, Discipline, Issue

Name, and Issue Date. The drawings will be loaded in the project so that a Current Set and Discipline sets are available.
