What are “Notes” in DegreeWorks?

• The “Notes” feature of DegreeWorks allows you to create an official advising record that will be available to you and any other present or future advisers of the student.

• Your advisee also sees the notes you have posted on his/her record, unless you opt not to display a note to the student.

Notes can be added one of 2 ways:

1. The paper/pencil icon near the top of the screen is a shortcut to adding a new note. To modify or delete a note, or to view all notes for a student, you must use the Notes tab.

The Notes Tab Menu

You will initially see a list of all notes entered for the student, along with the name of the adviser who added the note, and the date the note was added.

To add a new note, click “Add Note” on the left.

Enter free-form text in the text box, or click the drop-down menu to access a list of predefined notes.

If you choose to use the drop-down menu, you may select multiple notes.

Notes are Visible to Students By DefaultBy default, all advising notes are visible to the student. If you do not want the note you entered to be visible to your advisee, be sure to add a check to the box labeled “Not available to student.”

Save Your NoteWhen you are finished reviewing your note, click the “Save Note” button to post it to the student’s record. A message will appear on the screen to verify that your note was added successfully.

Modify Your Previous NotesIf you would like to change a note that you saved previously, click on “Modify Notes” on the left.

Simply edit the text within the note, and click the paper/pencil icon to save your changes.

Delete Your Previous NotesIf you would like to delete a note that you saved previously, click on “Delete Notes” on the left.

CAUTION: the only action required to delete a note is clicking the paper/pencil icon.

Where Does My Note Appear in the Audit?All notes appear at the very bottom of the student’s audit. Confidential notes are denoted by a check-mark in the “Internal” column.
