About AIESEC About AIESEC 60 years activating youth leadership
AIESEC is the international platform for young people to discover and develop their
potential to have a positive impact in society. AIESEC’s core activity is a unique
leadership development program (AIESEC Experience) which is comprised of
international internships, leadership opportunities, various activities in teams and
projects and personal and professional development conferences.
AIESEC is present in the whole wide world, in over more than 106 countries. It
consists of an international network of 1100 universities worldwide, providing
more than 6.500 leadership opportunities annually. Developing 80.000 high-
potential students into globally minded, responsible leaders is our goal and giving
them cultural knowledge by taking care of 4,500 traineeships annually.
AIESEC in Belgium has more than 400 members from 12 Universities. Over 50
students go abroad for internships and over 200 international interns join
companies and organizations in Belgium. There are more than 100 companies and
organizations partnering with AIESEC in Belgium to connect to our network.
The AIESEC Experience is the leadership development program that we offer to
all our members. This same platform also serves to connect our partner
organizations to the talented young people within AIESEC.

AIESEC VUBAIESEC VUBOur local working
AIESEC VUB is the youngest Local Committee of the 12 committees in Belgium,
and today, we are already the highest performing team in exchanges!
Since August 2007, AIESEC VUB has provided internships for 14 foreign students
in Brussels, and has sent more than 10 VUB students to countries like India,
Nigeria, Brazil and Venezuela.
We organize many different projects on the VUB campus, such as the Go Abroad
Food Fair and the Brussels Skills School. Next to that, we organize events related
to current global issues. Last year, our teams worked on themes like social
entrepreneurship in developing countries, the BRIC countries and the geopolitical
conflict in Georgia.
AIESEC VUB currently consists of 40 motivated and dynamic members, and we
are constantly looking for more students who are willing to join and discover their
potential with AIESEC !

AIESEC VUB goes Nepal 2010
AIESEC VUB goes Nepal 2010 is a non-profit project, initiated and carried out by 14
students. We aim to have a positive impact on the lives of Nepali orphans.
In order to make our plan a reality, we are reaching out to businesses, family and
friends. We offer the opportunity to help! We sincerely hope you consider sponsoring
our project.
Your contributions may take any form and will be targeted at supporting Nepali
orphanages.

The Exchange Program is the main program developed and run by AIESEC
globally and it consists in offering working and cultural experiences for young
people in the AIESEC network.

1 AIESEC contacts the company in question and establishes main features of the collaboration. The corporation defines profiles, job descriptions, working conditions and remuneration of interns. The company assigns a person from within the organization, who is responsible for all actions implied by the AIESEC partnership.

2 AIESEC promotes the defined opportunity in the target countries and pre-screens the applicants according to the required profile. This is an internal pre-screening of candidates before a review board of interviews and tests.

3 AIESEC presents a set of pre-screened candidates. You as a company decide on the most appropriate candidate.
Supplementary testing (online interviews, phone interviews, interviews at offices in the sending countries) can be conducted.
In the end, the organization informs AIESEC about the selected candidates and AIESEC informs the all the applicants about the decision.

4 AIESEC has a work permit exemption so our interns do not need work permit for a maximum period of 1 year. Visa obtaining procedures are conducted by AIESEC. (However, you as a company are involved all throughout the process, supplying an invitation letter.)

Between the partner and the AIESEC intern:
The Employment contract with Fixes Duration or The empathy contract:
The partner is recommended to use one of these two types of contracts. The choice
between one and the other depends entirely on what the organization is advised by
its Social Secretariat or social advisor.
The employment contract with fixed duration
These contracts are the ones used usually in many organizations as typical
employment contracts with fixed duration. In French, it is named “contrat à durée
determine”, and in Dutch, “arbeidsovereenkomst voor bepaalde duur”.
The empathy contract
It is a learning contract that commits a company with a trainee for a specific period of
time. This type of contract states that the company is taking this person, receives a
monthly allowance with no fringe benefits (only the point of social security is covered
as an extra benefit, but aside from that, nothing else), and the ending and starting
dates of this traineeship. A learning/development plan has to be designed for the
trainee which can be the job description or could be designed by filling in a template
provided by e.g. Bruxelles formation for the Brussels Region. This plan might have to
be validated by latter institution.
The empathy contract should be in a Belgian official language. That means, if the
trainee is working in the Flanders Region, then the company must use a
‘Beroepsinlevings’ contact. If the trainee is working in the Walloon Region, then the
company must use a “Convention de stage” our “d’immersion professionnelle”
contract. For the Brussels Region, both can be used.
AIESEC in Belgium can provide a template for such contract in both languages that
its partners can use.
Between the AIESEC intern and the AIESEC entity:

The exchange participant (EP) acceptance note
This document is an AIESEC internal document where the intern, or the exchange
participant, commits to the internship he/she has just been matched to. This contract
binds the intern, an AIESEC member, to the exchange program. If he/she breaks
the contract before the realization (him/her being actually in the internship country)
without a valid reason, he/she will not be able to go through the AIESEC exchange
program anymore and AIESEC will provide another intern to its partner.
Between the partner and the AIESEC entity:
The internship job questionnaire
The internship job questionnaire is a sponsorship contract where the partner
supports a not-for-profit organization, AIESEC, that is thereby 100% deductible
(different from e.g. an interim contract which is NOT deductible).
In addition to the job description and the profile the partner is looking for, the last
page of the document is a contract stating the commitments of AIESEC and the
partner in the exchange partnership.
As well, the partner and the intern should receive a document called ‘organization
statement of understanding’ that underlines the responsibilities of each
stakeholder involved in the exchange program. Last but not least, the partner
should also fill in evaluation forms provided by AIESEC.
The intern’s salary
The intern coming to Belgium through the AIESEC exchange program needs to
receive a minimum salary determined by the ‘convention collective/collectieve
arbeidsovereenkomst’ of the sector in which the intern will work, with a minimum of €
1.200,00 netto. This amount represents the minimum amount an intern requires to
cover accommodation, transportation and general living expenses in Belgium.

According to the Belgian law, every employee or intern has to be covered by social
security which implies that he/she and his/her employer has to pay a social security
fee and taxes. These, due to the living standards of Belgium, are quite high.
However, they can be reduced for internships and may be even lower with an
Empathy contract (to be confirmed by a social secretariat or social advisor).
Visa and work permit
Since AIESEC internships are a form of employment, the visa type that all interns
should issue is a TYPE D VISA, which is a working visa. Getting a work permit is a
long and expensive procedure that for non-EU nationals can take between 6 months
to 1 year. However, thanks to its good relationship with the Ministry of Foreign Affairs
and the Ministry of Labour, AIESEC has a Work Permit Exemption for the visa
application, which makes the process faster. However, it implies that the internship
cannot exceed 12 months. The visa process can take between 1 day and 3 months
depending on the country of residence of the intern.
For this process, the partner has to provide the intern with a support letter in order
for him/her to go through the visa application process.
All internationals (EU or non-EU) need to register to their local Town Hall ( in French,
Maison Communcale; in Dutch, Gemeentehuis – where they will live during their
internship) within 8 days after their arrival in the country. This due to the fact that
only Belgium-issued identification is valid to stay in this country for over 3 months.
For EU citizens
Nationals from the European Union do not need a visa to come into the country as
they are privileged with free mobility. That means that once they come into the
country they only need to go through the procedure of registration for a Residence
Permit
Other countries that benefit from the free mobility agreement are Nationals under the
Schengen agreement: Iceland, Liechtenstein, Monaco, Norway and Switzerland. For
these countries, no visa application is necessary. Only the registration procedure is
required.

When the intern is a student from France, Luxembourg or the Netherlands,
companies can cover their expenses without the need of a contract or the
covering of social security and taxes. However, it is necessary that, for this case,
the intern presents a letter from the university stating that he/she needs this
internship to obtain his/her degree and that the status of the intern is consulted with
a Social Secretariat or social advisor. The university should be recognized for having
the right to issue any papers stating that. Because this person is indeed, and intern,
then the money they pay this person in an allowance and this person is not the
headcount.
