American Express @ Work® Access Key - Overview and Instructions

Understanding the benefits of access key functionality

The American Express @ Work Access Key functionality allows employees

to apply for Corporate Cards online while enabling the Program

Administrator to maintain control of the process.

– When Cardmembers apply online, it eliminates 1)Program Administrator keying of

applications, 2)Illegible handwriting and 3) Missed fields that can delay the application

submission.

– Program Administrators can electronically send the employee an application, review

completed applications and electronically approve them for submission with a few clicks of a

mouse. Program Administrators may also set up approval routing to electronically notify other

managers for approval authority when a new application is submitted by an employee.

– Cardmembers with an email address receiving system updates on the progress of their

application, eliminating the need to call the Program Administrator for updates.

– This document is an overview of the Access Key process – how to set up, share with

employees to submit a Card application and set up an electronic approval process for quick

Card application submissions.

The Access Key can help save time and provide greater efficiency. As a

program administrator, Access Key is one way to help you achieve greater

business success.

Traditional paper application process

Processing paper Card applications tends to be manual and labor-intensive.

Employee receives or

has to track down copy

of a Card application

Employee may fill

application out by hand

instead of typing it

before printing

Employee is

responsible for getting

Mgr approval

American Express

rekeys the faxed

application for

processing

Program Administrator

(PA) faxes the

application to American

Express for processing

Employee faxes

approved application to

PA

PA manually matches

Employee to a Basic

Control Account (BCA)

and inputs BCA on

application

If Approved

Employee notified by mail within 7-

10 days of decline. Hold up of

application may be due to

incorrect/incomplete information

If Declined

American Express processes the

application within 3 days, Card

received in 7-10 days

Common inefficiencies in traditional paper application process

Applications are not associated to a Basic Control Account

Incorrect and/or missing information

Applicant has to track down approver to get signature

No validation of manager approval

Illegibility of applications

Multiple calls to PAs to check application status

Online application processing – two options

Employee initiated “Apply for Card” - The program

administrator has employees complete Card applications

online using the Access Key that was created. They may

be routed to management and the PA for approval and

submission to American Express.

NOTE: If the employee submits an application using the

Access Key functionality, this is considered a “signed”

application and a full credit inquiry is performed.

PA initiated “Apply for Card” - The PA may complete

and submit Card applications online on behalf of

employees.

NOTE: If a PA submits an application on behalf of an

employee, only limited information would be obtained

about the employee’s credit history. As a result,

employees who would otherwise be identified by us as

having a poor credit history would be eligible for Flexible

Spending features. This may lead to higher

delinquencies within your Company’s Corporate Card

Program.

Access key application process The online process simplifies the application submission and approval process with American Express @

Work.

Employee completes their

own application online using

Access Key

PA approves and sends

electronic application to

American Express

Approving Manager sends e-

mail notifying PA of

employee-submitted Card

application (if applicable)

If Approved If Declined

Employee notified by mail within

7-10 days of decline.

American Express processes the

application within 3 days; Card

received in 7-10 days
