American Express @ Work® Access Key - Overview and Instructions
Understanding the benefits of access key functionality
The American Express @ Work Access Key functionality allows employees
to apply for Corporate Cards online while enabling the Program
Administrator to maintain control of the process.
– When Cardmembers apply online, it eliminates 1)Program Administrator keying of
applications, 2)Illegible handwriting and 3) Missed fields that can delay the application
submission.
– Program Administrators can electronically send the employee an application, review
completed applications and electronically approve them for submission with a few clicks of a
mouse. Program Administrators may also set up approval routing to electronically notify other
managers for approval authority when a new application is submitted by an employee.
– Cardmembers with an email address receiving system updates on the progress of their
application, eliminating the need to call the Program Administrator for updates.
– This document is an overview of the Access Key process – how to set up, share with
employees to submit a Card application and set up an electronic approval process for quick
Card application submissions.
The Access Key can help save time and provide greater efficiency. As a
program administrator, Access Key is one way to help you achieve greater
business success.

Online application processing – two options
Employee initiated “Apply for Card” - The program
administrator has employees complete Card applications
online using the Access Key that was created. They may
be routed to management and the PA for approval and
submission to American Express.
NOTE: If the employee submits an application using the
Access Key functionality, this is considered a “signed”
application and a full credit inquiry is performed.
PA initiated “Apply for Card” - The PA may complete
and submit Card applications online on behalf of
employees.
NOTE: If a PA submits an application on behalf of an
employee, only limited information would be obtained
about the employee’s credit history. As a result,
employees who would otherwise be identified by us as
having a poor credit history would be eligible for Flexible
Spending features. This may lead to higher
delinquencies within your Company’s Corporate Card
Program.

• From the Card Accounts section, select the Process Applications link .
• To the right, Click on Create & Manage Access Key link.

•Enter a Basic Control Account Number.
•Select Next.
• Select a nickname* for your Access Key.
• Select the number of applications for
which the Access Key will be valid (10,000
maximum)
• Select a start and end date or leave the
default expiration period of two years.
• Click the Create button.
Note: This is optional. The “nickname” assists a PA with multiple access
keys & control accounts to quickly find an access key to process
applications.

• Write down the new Access Key.
• Verify all information is correct.
• Select Rush Card if applicable.
• Optional: Select Activate Approval

• Enter either the Approvers information or
leave blank for the Applicant to fill out.
• Choose the appropriate Approval Routing

Approval routing is an OPTIONAL choice available when you set up an access key. If others should be
notified by e-mail regarding an application submitted for processing (or a PA would like e-mail
notification) – select from one of four approval routing options.

You can view your Access Keys online
1. Log in to American Express @ Work® and enter the User ID & Password
2. Select the Process Applications link from the Card Accounts section.
3. Click on the Create & Manage Access Keys link to the right.
4. From the Access Key Maintenance page, click the Report of Access Key link.

In this example, the PA has one (1) active Access key.
This page will allow you to verify Access Key information associated with a BCA.
If you need to an Access Key to expire, select the one you would like to expire, then click Expire Selected.
If you would like to make changes to an Access Key, click on the Basic Control Account Number. This will take you to the Access Key Maintenance page.

A PA has the ability to modify an Access
Key at anytime by using the Maintenance
feature within @ Work.
This feature allows the PA to:
• Expire an Access Key
• Change the nickname for the Access Key
• Change the number of Applications that
can be submitted under that Access Key,
• Extend the End Date (an Access Key is
only valid for two years)
• Add or remove the Rush Delivery option
• Modify the Approval Routing process.
Note: Once an Access Key has expired, it cannot be reactivated.

Access key e-mail template
When the new Access Key is created, it needs to be communicated to the employee to complete and submit the application.
This e-mail template is an example of a communication that a PA may use to send the appropriate Access Key and application URL to their employee, and is available in the @ Work Resources and Help section.

When Agree is selected, this is acceptance of
the terms and conditions set forth in the
American Express Agreement .
The confirmation page will display and provide
the new account number for immediate use by
clicking on the “Get Account Now” button.
Note: The account number is valid for immediate
charging, phone orders, mail orders, and online orders
only.
When Disagree is selected, it is a refusal to sign the agreement between American Express & the client. The application cannot be submitted.
Review Purchasing Card applications
By attending, viewing and/or reading this American Express Travel Related Services Company, Inc. (“American Express”) document, <%Client_
Name%> (“Company”) acknowledges and agrees to comply with the following confidentiality obligations (“Obligations”):
Company agrees to treat as confidential all information about American Express obtained by Company in connection with this proposal, related
presentations and discussions (“Confidential Information”). Confidential Information does not include information that: (i) becomes publicly available
without Company’s fault or; (ii) Company rightfully receives from a third party, without restriction, or (iii) information that is independently developed by
Company, without reference to or use of the Confidential Information.
Without first obtaining written consent of American Express, Company will not disclose the Confidential Information to any third party, except that
Company may only disclose Confidential Information to those of its employees and agents that require such material to evaluate this proposal and the
potential business relationship, and for no other purpose. Notwithstanding the foregoing, Company may disclose Confidential Information to the extent
that such disclosure is required by an order of a court or by any law or regulation; provided, however, that, where legally possible, Company will give
prompt written notice of any such requirement to American Express. Company will cooperate with American Express, at American Express’ expense,
with any reasonable efforts of Amex to avoid or minimize such disclosure
In the event of a breach or threatened breach of the Obligations by Company, Company will promptly give notice thereof to Amex and will take
reasonable steps to enforce the Obligations, and American Express reserves all of its rights and remedies at law and equity in connection with such
breach. Company will indemnify American Express for all loss or damage to American Express caused by Company’s breach of these Obligations.
No representation or warranty, express or implied, is made as to the accuracy or completeness of any information that is provided in this proposal.
These Obligations will survive any expiration of this proposal.
At any time and upon American Express’ request, Company agrees either to return or destroy the originals (and all copies) of such information,
documents and/or materials which are in its possession or under its control. Unless extended upon mutual agreement between American Express and
Company, the terms of this proposal will remain effective for a period of 90 days from the date of submission. This proposal is not a contract, nor does
it imply a legally binding relationship between American Express and Company. All terms contained in this proposal, including, but not limited to, any
financial and operational terms, are subject to final review and negotiation.
As part of this Proposal, American Express has attached its standard Master Commercial Account Agreement. If and when American Express is
awarded the business, American Express would seek to have the applicable program and product terms & conditions contained therein govern the
relationship between the parties.
