Objective: To be able to add hyperlinks in a PTK website.

Prerequisites before studying this manual:

You must have read the following manuals:- Introduction and login in to a PTK website - Metadata- Edit text in an object

1st step: Create the external hyperlink

What is an external hyperlink?

It is a link that enables the visitor to reach a webpage located on a different website. If the information you are giving on your website is already available on another webpage, it is useless to add a new webpage!A hyperlink to this webpage will be sufficient!

Important: All the external hyperlinks must be located in the «Information and links» section of the PTK website.

A URL checker runs at a regular basis and identifies the broken links located in this section.

Exceptionally, we ask you to create the hyperlink in your personal folder and not in the “Information and links” section of the PTK training website.The procedure will be the same as follows except that here we explain how you will proceed when working on your national PTK CHM website.

First, log in the website and reach the «Information and links» section by clicking on it on the left menu of the homepage.

You have reached the «Information and links» folder. It contains several sub-folders.

Usually, there will be at least 2 sub-folders for the hyperlinks: one for the national organisations and one for the international organisations.There will also be a sub-folder for the geopoints (see the concerned manual).

Click on the folder entitled «International organisations». It is where the external hyperlink will be made.

Once in the «International organisations» folder, you can click on «Add content…» and select «URL» in the menu.

You have reached the «Submit URL» form.

You already know how to fill out the first fields, which are the Metadata Fields (title, description, etc.).

As an example, we will create a hyperlink to the CBD secretariat website.

Please fill out the Metadata Fields by yourselves.

Above, you can see the metadata fields filled out!

The next fields are new and specific for forms to submit a hyperlink/URL.

The box «Automatically redirect to the given URL» must always be checked. It enables the visitor to go directly to the webpage where the link is made.

The « URL » field will contain the URL address of the webpage towards which you want to make the link.

Do not forget to type the entire URL address, meaning with the http:// before the www.

The last step is to fill out the word verification field.

Once you have filed out the verification field, you will have to read one last time the whole form.

If everything is correct, you can click on the «Submit» button.

N.B.: We remind you to never use the navigation arrows on the PTK! If you use them anyway, you risk losing all the data!

You have been automatically redirected to the «International organisations» folder. A message informs you that the hyperlink has been submitted.

You can see that your hyperlink to the CBD has been added. All the hyperlinks are alphabetically ordered on the folder. On the Web, by convention, a text on which a hyperlink is made will always display in blue and underlined!

You can check that the link is correct by clicking on the name of the link.

If correct, you should reach the homepage of the website of the CBD secretariat as seen above.

Now, let’s go back to the «International Organisations» folder because the course is not over yet!

The red sign in front of the link title shows that this link has not been approved yet by the website administrator.

You now have to tell the administrator about your link submission in order that he approves it.This step is mandatory before you can make an internal hyperlink within the PTK website.

It is still possible to Control or Edit the hyperlink.How?

You can click on the Edit button in order to go to the «Edit URL» form.

You have reached the «Edit URL» form.

You can modify the content of any field, even the URL…

Do not forget to click on the « Save changes » button at the bottom of the page to save your modifications!

A message will inform you that the changes have been made.

After saving your changes, you can click on «Back to index» on the right top of the page to quit the form and go back to the hyperlink.

You reached the secretariat webpage.You must leave it and go back to the PTK website.

Congratulations, you have learnt how to add an external hyperlink in a PTK website!The 1st step of the manual is finished.

What is an internal hyperlink?

It is a link that will the visitor to another webpage or any other item already inside the PTK website.

2nd step: Create an internal hyperlink

Some golden rules apply here:

• Internal hyperlinks will always be developped from external hyperlinks. It is mandatory to always make the external hyperlink first.• A external hyperlink must be approved by the administrator of the website before anybody can make an internal hyperlink toward it.

2nd step: Create an internal hyperlink

First, you are asked to make a new webpage inside which we will make the internal hyperlink.

If you do not remember how to proceed, look at the manual.

To make this exercise, you must go to your personal Folder and add a new webpage entitled «The Convention on Biological Diversity – Presentation» where we will add the hyperlink we made during the 1st step of this course.

You can fill out the metadata fields as usual.

The following text must be pasted in the «Body (HTML)» field:The Convention on Biological Diversity (CBD) is an international agreement established by the United Nations. Its aim is to preserve biological diversity around the world. Belgium became a CBD member during the Earth Summit in Rio de Janeiro, in 1992.The CBD has three main objectives: to conserve biodiversity, to enhance its sustainable use And to ensure an equitable sharing of benefits linked to the exploitation of genetic resources.The Convention puts much emphasis on the exchange of information and the cooperation between countries. To help these processes, the CBD has set up an international network of partners called the Clearing-House Mechanism (CHM). This website contributes to the CHM network by illustrating what Belgium is doing in the framework of the CBD.

Now we will make the internal hyperlink.

You must click on the «Edit» button to reach the «Edit HTML document» form.

The internal hyperlink will be created in the “Body (HTML)” field of the form.

The first step is to select the text on which you want to make the internal hyperlink. You can see that the selected text displays with a grey background.

You can click on the «Insert/edit link» icon, symbolized by a small chain.

The window «Insert/Edit link» opened. You can enlarge it by clicking its bottom-right corner.

Scroll down until you reach the «Information and links» folder. As you already know, this folder contains all the hyperlinks of the website.

Develop the content of the folder and sub-folder by clicking on the black triangle located before each name.

Click on the external hyperlink you want to use in the sub-folder. For our example, it is the link to the Convention on Biological Diversity.

You can see that the URL field was automatically filled out.

The «Target» menu enables you to chose to open the new webpage in the same window or in a different one. We advise you to keep the option selected by default, which is in same window.

Last, the «Title» field enables to add a title to the link. This will appear when you point the text on a webpage. We advise you not to use this option.

You can now click on the <<Insert>> button to validate the link.

You are back to the HTML editing form.

As before, you can see that the words leading to the hyperlink are blue and underlined.

The last step is to read carefully the form.

If everything is correct, you can click on the «Save changes» button.

An automatic message informs you that the changes have been saved.

You can now click on the «Back to index» button to quit the form.

You are back to the CBD presentation webpage.

If the link is correct, you should reach the homepage of the CBD secretariat website.

Exceptionnally, you can click on the «Go back one page» arrow of your Internet browser to go back to the PTK training webpage.

It is still possible to modify the link by going back to the Editing form.

You have to go to the Body (HTML) field of the form.You can see that the buttons to modify the links are not functional yet.

You must click on the underlined text to activate the two buttons.

You have two possibilities: - Edit the hyperlink- Delete the hyperlink

To edit the hyperlink, you must click on the left button «Insert/edit link». The «Insert/Edit link» window will open so that you can change the URL.

To delete the hyperlink, you must click on the right button «Unlink».

As you can see, the hyperlink has been deleted.Do not forget to click the «Save changes» button before leaving the form.
