Getting Started This document will guide you through making PSA donor acknowledgement letters, envelopes, and labels. The sample Parish “zz test1” will be used for an example, think of your Parish name where you see the “zz test1” profile. If your Parish has a need for a custom report, please contact the OCF Team to discuss your requirements. This guide includes: Prerequisites: You are currently working with the PSA application and have your assigned User ID and Password. There are some components that you may not be aware of and we have defined them below:

1. Raisers Edge: This is the application you will use to enter your batches and run your reports. 2. Attached Printer to print letters and or Envelopes.

What will print: Only the pledges that have not already been acknowledged will print. When you run the letters the first time they will not be acknowledged, but once you print out the donor acknowledgement letters, you may acknowledge them to know that they have received a letter from your parish. Creating the Donor Acknowledgement Letter: Step 1: Log on to Raiser’s Edge and locate the mail category at the left had side of the screen. Step 2: Click on your Donor Acknowledgement Letter Folder. Step 3: Double Click on your Parishes’ File in which you would like to create the letter.

Step 4: This box will pop up for you to start applying the desired information to create the letter. Next, “Send to Word Merge Wizard.” Step 5: This screen will pop up and click, “Next,” to continue.

Step 6: Click “No” when the acknowledgement screen pop-ups if you are doing a run-through to see how this process works. If not, click “Yes” to acknowledge that a letter has been sent. Note: If you do not click “Yes,” then you may end up sending multiple letters to the same constituent. Step 7: Click, “Perform a simple mail merge using only one document.” Then click, “Finish”

Step 8: Do not change the name of the document because a message for “Overwrite the document” will appear. Please click yes.

Step 9: Review your donor acknowledgement letter and then proceed to printing if everything is in place.

Creating Envelopes: Step 1: From Raisers Edge we will create the envelopes in which the letters will be mailed in. Click on the “Mail” icon and then on the “Envelopes” tab to start the process.

Step 2: From the “1: General” tab, include the document in which you would like to create the envelopes for. Also create the size and format in which the envelope will be printed on, as well as who you wish to mail to.

Step 3 Preview the envelope before printing and make changes if necessary. Begin printing the envelopes.

Creating Labels: Step 1: Click on the “Mail” icon and then on the “Labels” tab to start the process.

Step 3: Print preview before printing to find any mistakes that need some adjusting. Begin printing the labels. Congratulations, You just finished creating and printing out acknowledgement donor letters, envelopes, and labels.

Optional “Edit” Document before Printing: After Step 7 to print letters press “NEXT”, and then “Edit Merge Document.”

Step 9: Your word document will look something like this.

Step 10: Make sure everything is in the correct order for your donor acknowledgement letter and then click on the “Save and return to RE7,” from the “Add-Ins” tab.

Step 11: Click, “Finish.”
