Drawing guides (I)Working with drawing guides allows you to have a consistent lay-out across slides

What is a drawing guide?• A guide is a dotted line that appears on the slide while you edit it, but does not

appear in the presentation mode• The guide line can help you to make sure that objects are within a certain area of

the slide, that the title is always in the same spot etc.• Most presentations use a “box” in which all the figures are placed (in this slide, a

gray line outlines this box)

How to use it?• In PowerPoint 2007, go to home then to drawing then to arrange then to allign

then to grid settings then click display drawing guides• To move a guide, just click and drag it• To add a guide, press Ctrl and then click on the guide and move it

Aligning objects (I)PowerPoint can automatically align objects

How do I align objects• Select 2 or more objects• Go to home then drawing then arrange and then click the alignment you need

(top, bottom, left, right)• PowerPoint can also distribute objects evenly (horizontal and vertical)• Tip: You can group objects first (right click on selection of objects) and align these

groups

Short cut• If you’re a heavy PowerPoint user and work with a lot of graphics, you can add the

alignment icons to your quick access toolbar. (this will save you clicking and clicking to execute these functions). Go to the command, right click add to quick access toolbar. The icons will then be placed above the ribbon

• For older versions of PowerPoint, go to help and type “customise” to add short-cuts

What is the slide master?• The lay-out of your slides is defined in the slide master. You can change the lay-out

of these slides, and all your new slides will be adjusted. You can also add text or objects on the slide master, and this will then become visible on all your slides

• For example: Add the word “DRAFT” on top of the slide master slide, and this appears on all your slides – no need to type it yourself on all slides

How to access slide master?• Go to view and then slide master• To go back to your normal slide pack, click exit slide master

Reducing the size of your presentation fileWhen your presentation is too big to send

When you use images• When you insert a lot of images into your presentation, the file tends to become

very big. Compressing your pictures will help reduce the size of the presentation• Select a picture in the presentation, go to format and click compress picture,

select all pictures and compress to print quality
