With our new systems we are able to attract, convert & close with OP/ORS

So what happens after they sign up?

The Stages

The user has registered for

more information and given

some of their information in

The user has gone to the Opportunity Portal and

started making searches

The user has clicked “show interest” in an Opportunity on

the Opportunity

The user has passed review and is raised

The system automatically shifts the students from open to in progress and from in progress to in review.

Once we have selected the EP, the EP manager puts the student on raised stage (manually) and inserts the EPID

in the student data.

We need to follow up with students in the ‘open’, ‘in progress’ and ‘in review’ stage!

How can we convert the student as fast as possible from ‘open’ to ‘raised’ stage?

By using the automated emails!

IMPORTANT!

There are different flows/ways a student can move from the ‘open’ to ‘raised’ stage!

Scenario 1

Open info evening interview raised

Student signs up on ORS on the global

website.

Our automated email invites to info evening and

interview.

Student goes to info evening and

decides that he/she wants to apply.Student fills in

interview form from same email.

Student had interview and is

selected.EP manager puts student on raised

stage in ORS system.

Student gets automatic email with invite for introduction meeting (to raise the form in aiesec.net, do

expectation setting and get education on how to search for internships.)

Day 1

Student comes to information evening/hour/meeting the first Monday after sign up!

oGIP member gives information and can recommend or not recommend to take a GIP with AIESEC based on first conversation.

Day 4(Monday)

Person tells AIESEC that he wants to apply, EP manager put student on ‘in review’

Day 5

Step 2. Automatic email to invite for interview

Thank you for applying for an internship with AIESEC.

Plan in selection days

Manage bookings by selection responsible

Include phone number for in case of changes/ questions

Students schedules an interview.

Day 5

Students has an interview with a member of the oGIP team.

Day 8(Friday)

oGIP team decides on selection of EP in team meeting.

Day 11(Monday)

Person is selected, and will be raised.(or not selected and put on rejected.)

3. Invite for introduction meeting

Use ‘book me’ website

Plan in introduction days or times per EP manager

Introduction day: first meeting with EP manager, set expectations, explain further the process, plan in activities, plan in weekly calls,

raise in system, explain how to use the system

Manage bookings by EP manager team leader

Include phone number for in case of changes/ questions

4. Your student is now an EP! Day 14 (ThursdaY)

Two weeks from sign up to raise!

After promotion peak; plan in selection & introduction/raise days at one day. Immediately select/rejected students and raise them at once!

Assessment IntegrationEnglish Test Integration - We have started working with EF to integrate an English

competency test to the OP to speed up selection - Timeline for launch is at IPM. - First priority is English, then Spanish, German and EF is currently developing the tests for Portuguese and Mandarin.
