✦ Since we only host one wedding at a time you will have the undivided attention of the staff while enjoying your wedding celebration.
✦ For your out of town guests, we are pleased to offer a courtesy room block with a reduced room rate the weekend of your wedding.
✦ By hosting your wedding celebration at The Umstead, you will have access to the property for Engagement and Bridal Portrait photography sessions prior to the wedding date.

✦ We offer a complimentary menu tasting for up to four guests.
✦ The Umstead Hotel does not charge a separate facility fee for using the event space.

wedding lawnThe Wedding Lawn is available for wedding ceremonies with up to 250 guests and is exclusive to couples hosting their wedding reception at the hotel. The ceremony fee includes:
✦ Access to Lawn for an hour to rehearse the day prior to the wedding (rehearsal time to be confirmed 60 days prior)

✦ An indoor back-up location in the event of inclement weather

Special Events Manager Role Our dedicated and experienced catering professionals will provide warm and intuitive service throughout the planning experience. Your special events manager will work with you to coordinate all set-up, food and beverage details, from menu design to linens, as well as assist with other aspects of your event.
Floral Designs, Decor, Entertainment and Photography Your Special Events Manager will provide you with a list of the Hotel’s Vendor Partners to assist with the planning of your events floral, decor and music requirements. You are not required to use the listed vendors. However, we do require notice of your selected vendors prior to you contracting them. All vendors must be able to show proof of insurance along with a business license. This is to ensure the vendors you have selected are professionals and are aware of The Umstead Hotel and Spa’s vendor policies. Charges will apply if excessive clean up is required by the hotel after your event.
Inclement Weather Clause A decision must be made by the client 2 hours prior to the start time of the ceremony. Once the decision is made the hotel staff will execute the set up for the ceremony – either inside or outside based on client’s decision. See contract for details.
Menu Selection All menu selections will be confirmed four weeks prior to the event date. Your Special Events Manager will provide you with Banquet Event Orders (BEOs) and Diagrams detailing the menu requirements and other details of your event. Your manager and you will sign off on the Banquet Event Orders confirming all details meet your approval and to ensure the Hotel’s flawless execution of your event.
Food and Beverage No food or beverage of any kind will be permitted to be brought into the hotel or to leave the hotel by the host or invitees.
Guaranteed Guest Count A guaranteed guest count is required by noon, seven business days prior to your event date. Your catering agreement will state the actual date the guarantee is required. We will prepare for up to 5% over your guaranteed guest count. You will be charged for your guaranteed guest count or the actual attendance, whichever is greater. If we are not provided with a guaranteed guest count, then the tentative number of guests will become the guaranteed guest count.
Deposits, Cancellations and Payment Requested deposits will be credited toward the total cost of the event. Final payment is required seven (7) business days prior to the event. Cancellation of any event will result in cancellation fees and will be detailed in your Catering Agreement.
Labor Fees All service charges and taxes are included in the wedding package pricing. Additional labor fees may apply based on menu selections and guaranteed number of guests.
Labor fees will be detailed on the menus and reviewed with you at the final review meeting.
Deliveries Gift bags will be handled by our Front Desk. A delivery charge of $5.00 per room will be applied to all bags delivered to a guest’s room and $3 to be handed out to each guest at the time of check in. Please put each guest’s name on their gift bag.
Parking Valet parking is required for all social events and averages $3.50 per person if not included in your package. Your Special Events Manager will provide you with pricing for your particular event.
