T he Geographical Association(GA) is the national subjectteaching association for

geographers, representingapproximately 6000 membersfrom all phases and areas of theteaching of geography. For our2011 Annual Conference we arereturning to the University ofSurrey on 14–16 April, with settingup and pre-Conference events on14 April.

ExhibitionThe Exhibition is an integral part of theconference programme and an excellentopportunity to promote your products andservices directly to a targeted audience. OurConference regularly attracts over 900participants with delegates attending from24 countries in 2010. The Conference isadvertised nationally to attract delegatesincluding:• Primary, secondary and FE teachers• NQTs• Advisers, inspectors and consultants• Head teachers, heads of department andco-ordinators

• Lecturers• PGCE and undergraduate students• Overseas visitors• Other interested parties.

The Conference will run over two full dayswith major events and high profile lectures

programmed to maintain maximumpresence throughout both days.

The 2011 Conference has extended breaktimes and revised closing times (see page4).

VenueThe University is set in beautifullylandscaped gardens, only a 10-minute walkfrom Guildford town centre and railwaystation. Only 40 minutes by train fromLondon, with frequent services throughoutthe day, and served by the M25, M3 andA3, this venue is very well placed. There isalso free car parking on site. See detailedmaps on page 5.

Exhibition spaceExhibition pitches are available on a firstcome, first served basis. Each pitchmeasures 2.5x1m, price £395.00 each(£375.00 for registered charities – proofrequired).The pitch price includes:• Organisation contact details and briefdescription in the Conference Handbook

• Organisation link from the GA websiteconference pages

• Refreshments each day (for 2 people perpitch maximum)

• Tables and chairs (available by pre-booking only)

• Internet access via the University WiFinetwork.

Please request as many pitches as you

need, indicating your first, second and thirdchoices for location. If your requests cannotbe accommodated, alternative space maybe offered.

FurnitureThe Exhibition pitches comprise of floorspace only. Tables (measuring 2’x2’) andchairs, though free of charge, do need to bebooked in advance. Please note we are notable to supply display boards or tablecloths.

Electric pointsElectric sockets also need to be booked inadvance. Sockets supplied are intended forlight use only – a single socket is notsufficient for running a four-point extension.Any exhibitors requiring heavier usage mustnotify the GA in advance and we will passon your requirements to the University.Sockets will be positioned within the areaof your pitch at the discretion of thecontractor. Please ensure that all electricalitems have an up-to-date PAT mark tocomply with Health and Safety guidelines.Price per socket: £90.00

Set up andbreak downSetting up hours are 13.00–18.00 on Thursday 14 April. Please ensure that youallow sufficient time to get your stand fullyset up within these hours. Last arrivals willbe at 17.30. Contractors should also be

made fully aware of these times. For Healthand Safety reasons there will be noopportunity for setting up outsidethese hours. If you have only a displayroller banner to site please contact LucyOxley ([email protected]) at GA HQ.

Break down is from 14.30–15.45 onSaturday 16 April. As delegates will stillbe present in the area, it is essential thatyou do not start to pack away your standsbefore this time.

Security and storageThe Exhibition area will be locked as soonas the exhibition closes each day. However,while open it is also open to the public,and exhibitors are responsible for ensuringtheir belongings are kept safe at all times.

Luggage and small valuables, e.g. laptops,may be stored in a lockable room at theowner’s risk. Space will be available on afirst come, first served basis, and it isadvisable to ensure all items are adequatelyinsured. Please note that this area is notavailable for the storage of empty boxes orpacking cases. For access to this facility,please see a member of staff at theWelcome and Information Desk (open13.00–18.00 Thursday and 08.30–18.30Friday).

DeliveriesParcels will be accepted between 08.00and 16.00 on Monday 11 April andThursday 14 April only. Please notedeliveries will not be accepted onTuesday 12 April or Wednesday 13 April.

An address label for parcels will beprovided with your booking confirmationdetails.

Parcels can be collected from the Universityafter Conference. Details available onrequest.

AdvertisingThe A4 Conference Handbook has space forfull, half and quarter page colour adverts.See booking form for prices. Space islimited so please book early to avoiddisappointment. Full details andspecifications will be confirmed uponbooking.

AccommodationWe have secured a number of discountedrooms at two hotels close to Guildfordrailway station and city centre. Prices areper person per night on a bed andbreakfast basis. For double/twin occupancyrates please contact Lucy Oxley([email protected]) to checkavailability and booking details.

RefreshmentsTea and coffee will be available forexhibitors from the refreshment points from08.15–09.30 and 10.30–11.45 eachmorning, and from 15.30–16.30 on Fridayafternoon.

There will be a hot buffet lunch served from12.00–14.00 on 15 and 16 April, price£15.00 per person per day by pre-

booking only. Alternatively there areoutlets open on campus serving sandwichesand cold snacks.

Conference DinnerThe Conference Dinner will be held at theUniversity of Surrey on Thursday 14 Aprilfollowing the Public Lecture, AwardsPresentations and wine reception. The priceof £35.00 includes a three-course meal andcoffee, and two bottles of wine plus wateron each table.

DirectionsFrom the A3 do not take the exit forGuildford town centre, but follow the brownmortar board and cathedral signs. TheUniversity is next to the cathedral, directlyoff the A3 Hospital/Cathedral and Universityexit. The main entrance has its own exitfrom the roundabout.

Unloading andparkingYou may pull up outside the main entranceor at the delivery bay at the rear of theAustin Pearce Building to unload. To reach the unloading area, enter theUniversity grounds, continue straight on atfirst roundabout and follow the road rightround past the car parks to the left.
