BRACKETT LIBRARY 2009-2010

Brackett Library is embracing the paperless society. Last year only 1,955,850 sheets of paper were printed at the two public printers, an increase of 22% from the previous year. Students find the library to be a comfortable place with assistance readily available. The new furniture creates an atmosphere conducive to both small group meetings and individual study. The access provided for approximately 38,000 electronic journals, 7,266 electronic books and 89,214 online government documents has received a warm reception. Professors who find it more convenient to provide their syllabus online have also contributed to the increase in student printing. However, in an effort to join this paperless society, the annual report is available on the library website for the first time this year. Technical changes that enhanced delivery of electronic resources included the implementation of Ebsco’s Integrated Search which provides simultaneous searching for many electronic resources, including the library catalog. The integrated search also ties into the link resolver to provide seamless delivery of full text articles. By participating with Ex Libris in field testing, Brackett Library was a worldwide leader in helping develop Voyager software for Linux servers. This provided the library an opportunity to move from Windows to the Linux platform creating a much more stable environment and a significant decrease in down time. Digitizing the Petit Jeans and other historical pictures from Harding history continues to be an interesting project for the staff and wonderful graduate assistants. Jim Bill McInteer’s granddaughter, Catherine Canterbury, worked diligently to digitally preserve Petit Jeans from the campus at Morrilton through the early 1960’s. Historic pictures are available through the Brackett Library Flickr account. Behind the scenes, the staff began the process of moving data into Ebsco’s Electronic Resource Management tool. This will provide online, searchable information of electronic resources including contracts, agreements, costs, etc. Reference expanded to include a Meebo instant messaging service with 240 questions answered. An additional 73 questions were handled through email and a total of 13,868 questions were recorded at the desk. The gate count increased by 3% this year. Librarians continue to review the collection before re-classing materials with Library of Congress call numbers. As a result of this effort, 12,099 books were withdrawn this year. Criteria for de-selection includes such things as the age of the material and circulation statistics. Many items have been replaced with more current materials.

Electronic reserve continues to be a popular option of faculty and students. Materials were accessed 7,921 times electronically and 3,205 print reserve items were checked out. Circulation of library materials continues to fluctuate from year to year with a slight decrease this year. Interlibrary Loan provided 3,113 articles or books to Harding faculty and students. Brackett Library’s goal of providing students and faculty with materials needed to support the curriculum continues but often in ways not even imagined ten years ago.

The library began the 2009-2010 school year with only one new staff member. Katherine Milner left in July to attend graduate school at the University of Arkansas. Her replacement, Nancy Eichman, accepted the position of Circulation Assistant and returned to Brackett Library after living away from Searcy for three years.

REFERENCE SERVICES

Students continued to enjoy the updated plan of the Library’s main floor with its versatile furniture arrangement. The furniture and floor plan easily accommodate individual study or adapt to the needs of study groups. Laptop users appreciate the small tables which can be placed next to electrical outlets for ease of use. Three iMac computers were added for use by Library patrons, bringing the number of public computers to 42. However, computers are always in demand by library patrons, who came to the library 373,041 times during the year, almost a 3% increase from the preceding year. Students printed 1,955,850 pages in the Library during the last academic year, more than any other location on campus. Two new printers for public use were added after the year began and they provided much more dependable service.

The most extensive project undertaken by reference services personnel this year was the review of print reference materials. The semester-long effort reduced the space needed for the reference collection by almost 30%. The reallocation of this space provided room for twelve additional public computers and more study tables for the 2010 – 2011 academic year. Factors which facilitated the review of print materials were the electronic usage counts for print materials and the increased availability of reputable online reference materials.

Reference e-books allow students access to them 24 hours a day. An additional 19 reference titles were added to the reference e-book collection. Also, the “Credo Reference” database, containing almost 500 reference books was added to the collection.

Reference service expanded to accept questions via Meebo, an instant messaging service. During the fall and spring semesters, 240 questions were answered in this way. An additional 73 questions were handled through the Ask-a-librarian email service, bringing virtual reference service to a 413% increase. Details of reference transactions were recorded electronically for the first time during the fall and spring semesters. A total of 13,868 questions were recorded for the academic year.

Weekday reference services were primarily provided by Ann Hobby, reference librarian, and Katie Holmes, information services assistant. Lisa Burley, Gerald Cox, Ann Hobby, Henry Terrill, Jean Waldrop and Shirley Williams share the responsibility for these services during the evenings and on Sunday afternoon. All full time librarians shared the responsibilities for Saturday reference during the semester.

SYSTEMS ADMINISTRATOR’S REPORT

This fiscal year was filled with improvements and enhancements to servers, software and services. The first set of enhancements was the addition of a collection of Harding historical photos shared digitally through an online photo sharing site called Flickr. There have been 5,482 images scanned, organized and tagged from Harding’s earliest picture to the late 1980s. Another enhancement that has received many positive comments has been the digitization of the Petit Jean yearbook. There are currently over 50 years worth of Harding yearbooks available to the public. A smaller related project included digitizing some Harding historical audiovisuals. There are currently 15 videos in iTunes that represent some of the National Educational Program lectures, Cold War cartoons, and various Harding slide shows from the 70's and 80's. This year's library graduate assistants, Jenny Thurston and Catherine Canterbury, put many hours of labor, love, and effort into the photo and yearbook projects. The second major enhancement to services was the implementation of EBSCO's Integrated Search. This service allows users to simultaneously search many of the library's electronic resources, including the library catalog. This new service also ties into the link resolver to allow for seamless delivery of full text articles. Integrated Search is a powerful research tool for faculty and students. Brackett Library was on the cutting edge this year as the first implementers of ExLibris' Voyager product in a Linux environment as well as first world-wide implementers of EBSCO's Electronic Resource Management system. Brackett Library was invited by ExLibris to participate in the Voyager Linux field testing which involved two rounds of tests between mid-October and late November. Being a field test site gave staff the ability to explore the Linux environment before going live in January. Voyager has been much more stable in the Linux environment and there has been a significant decrease in down time for Voyager since the migration. EBSCO's new ERM product, released in February, will be a significantly helpful tool for library staff once all the data is entered into the management tool. Data entry is a time consuming process and is expected to take many months to complete. Smaller, but still significant changes this year included:

• Migration from Serials Solutions, an e-journal management service, to EBSCO A-to-Z service. This service tracks e-journal and e-book subscriptions, provides MARC records for e-titles, and offers collection management and reporting capabilities

• Replacement of 14 staff computers (51% of our total staff use computers) • Configuration and implementation of a mobile interface for our EBSCO

databases • Modification of color schemes and logos in EBSCO interfaces to match the

COLLECTIONS

Government Documents Federal government publications were received from 1964-2002 and Arkansas state publications from 1981-2009 as a part of the depository program. Brackett Library will no longer receive Arkansas state publications through the Arkansas State Library. The Marcive online documents service allows access to approximately 89,000 federal publications online through the library catalog. Less than 1,800 federal documents remain in the collection and since those are very dated they will soon be discarded.

Electronic Resources Additional electronic books for the Reference collection were added during the year from the Gale Reference and Oxford University Press Reference collections. Over 3,600 titles were added to the online access for the campus in several databases (The Cochrane Library and Credo Reference Collection were major additions). With the purchase of a new software package, Ebsco’s Electronic Resource Management Tool, the licenses, payments and access information for all of the electronic resource packages may be tracked more efficiently in the future.

Serials Department Some journal titles were dropped from the current subscriptions due to the addition of online versions of the same journals. The slight increase of sixteen journal titles, in print, was greatly enhanced by the electronic access to approximately 37,500 titles in the full text online format. Brackett Library now receives 967 periodical subscriptions in print format. Processing of standing orders continued to transition to the Serials Department during this fiscal year. All standing order titles have been evaluated as received and 64 were dropped from future delivery. The remaining 393 will be further evaluated for usefulness in future years.

CIRCULATION DEPARTMENT

The 2009-2010 academic year began with a new Circulation Assistant, Nancy Eichman, replacing Katherine Milner who left to attend graduate school. Nancy, who had worked at Brackett Library several years ago, was a welcome addition to the staff, bringing with her experience and dedication to the department.

The Circulation Department performs many duties in the management of the library’s collection including overseeing approximately 40 student workers. Student worker training was moved from Blackboard to Moodle allowing students to do online training before the fall orientation meeting. Student workers continue to enjoy activities planned by the Circulation Department, such as Soup Day and Goody Plates.

In addition to the daily tasks that are involved in large amounts of items going in and out, the Circulation Department continues to assist in the ongoing shifting required to

accommodate the growth of the Library of Congress reclassification process project. Workers also prepare reclassed books for shelving during the final process and are involved in discarding for weeding. The department continues to work closely with the Harding Graduate School of Religion in Memphis where items are processed through Call Slip requests.

This past year, the Circulation Department also increased library outreach by participating in

the Trunk or Treat program, sponsored by the College Church of Christ, which coincided with Homecoming. The library handed out over 300 books to children in the community. This was Brackett Library’s second year to help organize the Alumni Author Book Signing that occurred over Homecoming weekend. The library hosted a Scholastic book fair in the spring with money and books going to the Para Cristo mission in Nicaragua. The Faculty Favorites program continued for third year in which faculty members recommended books and were featured on READ posters in the library and the student center. Dr. Burks and Keith Cronk’s reading of “Night Before Christmas” remains a popular activity. Circulation Transactions A total of 90,441 circulation transactions (including charges, renewals, and reserve items) were handled by the Circulation Department. Of those transactions, approximately 69% were attributed to students, which included Academy, Graduate, Undergraduate, and HUGSR students; 13% to faculty and staff; and 18% to Courtesy patrons, including ARKLink, Staff Family, Honors Symposium, and VIPs. Over 11,000 of those items were for physical and electronic reserve items. There was a decrease in use

of print items as Brackett Library offers more online resources through the increased collection of electronic databases and electronic books. In-house usage increased this year, showing that students are coming to the library to read the books. In-house usage of materials is tracked for one month in the fall semester (October) and one month in the spring semester (April). Total in-house usage for the school year was estimated at 25,818 items which is an increase over last year’s 22,793 items. Over the course of the school year, over 7,600 courtesy notices were sent out to patrons with the majority of these sent through email. This number is similar to last year, indicating that library users are considerate of due dates. The patrons are still offered the choice of renewing items online through the “My Library Account” option that is available to them.

ARKLink The ARKLink card service remains steady, with 34 new cards being issued this school year. This is a slight increase from last year. An ARKLink card allows students access and borrowing privileges from other colleges and universities in the state of Arkansas. Brackett Library registered four circulation transactions for patrons from other institutions.

Course Reserves Faculty members continue to use course reserves each semester to provide access to materials for specific classes. There were 3,205 charges for in-print items, which is similar to the previous year. E-reserves, electronic copies of materials, are still popular with the students, enabling them to access items on or off campus. Only 21 faculty members participated this school year, a decrease from the 29 who participated last year. There were only 7,921 “hits” for the 2009-2010 academic year. Numbers show a decrease by more than half for electronic reserve items since last year which could be a result of stricter enforcement of copyright policies concerning e-reserves. The largest amount of usage with electronic reserve items was shown to be at the end of January. This year, Tuesday was the day of the week that e-reserve items were used the most. Policies and procedures continue to be updated in this area to reflect the changes in copyright laws and usage of the program.

Student Personnel Without the excellent group of student workers, library operations would be limited and services would be impossible to maintain in several areas. Student workers staff the library’s Circulation desk and Information desks, assist the Technical Services Department in cataloguing and reclassifying library materials, process and re-shelve materials for the Serials department, fill Interlibrary Loan requests, mend books, shift the collection and shelve books plus shelf-reading to maintain the accuracy of the collection. This outstanding group of student workers accounted for 10,821 total hours for the school year 2009-2010. There were 7 students who worked over the summer sessions, with 38 students being employed in the fall and 40 students working in the spring semester. They worked an average of 216 hours a week. Brackett Library also celebrated National Library Worker’s Day in April showing appreciation for the excellent work provided by student workers. They were featured on the READ poster for this month and given a smaller version of the poster along with coupons to eateries on campus.

E-LEARNING AND INSTRUCTION DEPARTMENT

2009-2010 proved to be another year of growth for the E-Learning and Instruction department of Brackett Library. Increased interaction with students and faculty within the Colleges of Pharmacy and Communication Disorders provided the majority of the increase in instruction numbers. Although many classes still continued to meet in the Library Lab, most graduate level programs requested that librarians meet with students in their building, providing an opportunity for instructors to interact with students in their own environment. Both formats were favorably received. Due to librarians’ schedules, drop-in workshops were put on hold for the 2009-2010 academic year. Even without Brackett Breakouts, the total number of students who met with librarians increased by 1.5% in 2009-2010.

Liaison activities continued throughout the school year. Each librarian met with at least one faculty group, for a total of 10 meetings which included 78 members of the teaching faculty. Liaison activities ranged from one-on-one meetings to introduce new faculty members to library services and resources to meetings with entire departments. Harding’s transition to Moodle allowed for a larger presence within classes using the course management system. In addition to having a link to the library home page on the main Moodle site, each Moodle class included three permanent links that allowed students to search for books, search for articles, or contact a librarian for help.

The primary task of the department continued to be Information Literacy instruction within a classroom setting. Librarians met with 114 classes, which included 2,784 students. Participating librarians were E-Learning & Instruction Librarian Lisa Burley, Interlibrary Services Librarian Gerald Cox, Library Director Ann Dixon, Reference Librarian Ann Hobby, and Circulation Librarian Jean Waldrop. Voluntary evaluation of library instructional services was conducted via a survey housed in Google documents. A total of 224 students responded, which is almost ten percent of students attending classes who completed the form. Responses showed a favorable response to both the content and organization of Information Literacy classes.

TECHNICAL SERVICES ANNUAL DEPARTMENT

During the 2009-2010 year numerous activities were carried out by Technical Services. Reclassification of stack books to the Library of Congress system reached Dewey 338.5 and numerous items selected for retention from the US Document and Faculty Development collections were also reclassified and moved. Weeding continued in the foreign language and art sections in conjunction with the appropriate faculty members.

There was an increase both in OCLC records created (143) and those enhanced (395). Statistics for Bibliographic Notification records (contents notes) are no longer provided by OCLC but the number received appeared to be no less than last year (1,380). Because dealing with the contents notes is very time consuming, a student worker was hired to handle the less problematic records.

Standards were written for Voyager item records and shared with another department as well as being recorded in Google Sites. Maintenance was performed on Voyager database records when order-level bibliographic records were reviewed and cleaned up. Materials having process-level records were searched again to see if an OCLC record was available. Subject access in Voyager was improved when additional Bible commentaries in the reference collection were changed to individual bibliographic records and work continued on the cataloging of Harding LPs and CDs. The first ever review of the Author Number Authority file was undertaken and changes were made in a few Brackett Library call numbers in order to avoid conflict with call numbers assigned by the Library of Congress.

Several adjustments were made as a Voyager upgrade was installed and three out of four computers in Technical Services were replaced. In addition, the new Classification and Shelflisting Manual from the Library of Congress was studied thoroughly, along with Arlene Taylor’s Understanding FRBR.

Work in the reclassification project was forced to stop for two weeks while a few librarians weeded the early Dewey 300s again, more aggressively. The resignation of a student worker at mid semester in the fall also slowed progress in this project. In spite of these obstacles, approximately 5,720 books were reclassified. Regular processing of newly received materials continued on schedule with 3,027 items created for Brackett Library, 44 for the Music Dept. and 17 for the College of Pharmacy. This included 323 pieces of media and 8 microfiche books. Total withdrawals processed by Technical Services in all disciplines soared to 12,099 books and 38 media items with the majority coming from reference and stacks 300s.

INTERLIBRARY SERVICES DEPARTMENT

The overall number of requests received by the Interlibrary Services Department of Brackett Library increased again this year. However, both the number of items actually received from other libraries and the number of items actually sent to other libraries decreased. The number of items received from other libraries decreased 2% this year, while the number of items sent to other libraries decreased by 37%. Though overall

transactions increased by 17%, there was an increase of 55% in the number of requests from other libraries not filled by Brackett Library. 95% of the requests made by our students, faculty, and

staff were filled while only 18% of the requests made by other libraries were filled. The major reason for this is that so many of the most recent issues of the electronic journals Brackett Library holds are embargoed for 6-18 months, while the ability to indicate this in the resource sharing databases is unavailable. Therefore, borrowing libraries, believing Harding holds issues of journals that have not yet been received, will request articles and must be denied since the issues are not available to us.

The LinkOut service implemented last year through Docline, the National Library of Medicine's automated interlibrary loan system, has gone well. Medical students and faculty are able to more easily identify which journals are available to them while doing their research in the PubMed databases. This service provides “links out” from the retrieved records in the PubMed database directly either to the Brackett Library catalog (for retrieving print copies of the item) or to the electronic copy of the item when it became available in a subscribed database.

Analysis of the statistics provides a few insights into the service Brackett Library provides its patrons. The decrease in the number of interlibrary requests is a strong indication that Brackett Library is providing for the research needs of its patrons more completely with its own collection. Students and faculty are increasingly more likely to find what they need in the local collection of the library’s print and electronic resources. The high percentage of requests filled by the department for Brackett Library patrons is an indication of the staff’s high degree of dedication to service as well as their

The increase in the number of requests from other libraries is also an indication of the growing strength of Brackett Library’s collection. The number of holdings listed in Docline increased from 963 to 1009 this year. This is due to the growing collection of medical journals as well as to the ongoing entry of Brackett Library holdings in the database of the Docline service.

Seventy-eight percent of all borrowed photocopies were sent to Brackett Library electronically through the Ariel service of Infotrieve. U.S. This has stayed the same for the last three years. Articles were sent by email attachment this year 15% of the time

compared to 17% last year. Library Mail was used for sending only 2% of the photocopies requested by Brackett Library patrons. All other methods of delivery, such as FAX and courier accounted for the remaining 5%.

Email attachment remains the main method of delivering photocopies to other libraries. Eighty-eight percent of all articles were sent by this method. Only 11 % of photocopies were sent by Ariel this year. All other methods of delivery (USPS, FAX, etc.) accounted for less than 1% of photocopy deliveries to other libraries.

Borrowed items were sent from lending libraries 50% of the time by the Trans-Amigos courier, the same as last year. U.S. Mail was used by lending libraries to send items 42% of the time, again the same as last year. Other methods accounted for the remaining 8%. Of the loaned items Brackett Library shipped books to other libraries, 23% were shipped by the Trans-Amigos courier, reflecting no change from last year. The other 77% were shipped via U.S. Mail at Library Mail rate.

Expenditures of $4,751.22 for borrowing were down slightly this year from what they were last year. Of that amount, about $2,120.82 was spent in the Buy vs. Borrow program where the library purchases books our patrons request rather than borrow them from other libraries. This shows the success of that program where even though the cost has gone down, almost half of it is spent for materials that will stay in our collection rather than return to a lending library.

Income from loaned items (photocopies only – we do not charge for loaned books) this year was down to $212 from $374 last year.

Some journal titles were dropped from the current subscriptions due to the addition of online versions of the same journals. The slight increase of sixteen journal titles, in print, was greatly enhanced by the electronic access to approximately 37,500 titles in the full text online format. Brackett Library now receives 967 periodical subscriptions in print format.

USER SURVEY In April, 2010, Brackett Library conducted a trial online survey of faculty, staff and students concerning their experience in the library on that day. Respondents included 5 faculty or staff, 3 graduate and 21 undergraduate students. Nine of them frequent the library from 1 to 3 times a week; four from 4 to 6 times a week; eight more than 7 times a week and four who were not regular users of the library. The most frequent concerns expressed by students were the lack of study areas that were quiet, the shortage of group study rooms and the need for more computers. Noise in the library is a concern recognized by the library staff who try to contain most noise to the ground floor. A more comprehensive survey is planned for the spring of 2011.

• It's quiet. I like the ready access to coffee. • I love that there are areas for group work as well as

areas for individual work. I also like that there is a Java City here for people like me who need to snack while studying (usually to stay awake!).

• I think the library is doing an excellent job. The recent additions of a coffee shop and more tables downstairs are particularly appealing. The library seems to cater to students who wish to study in groups downstairs while maintaining a quiet environment for individual study upstairs. I am a senior and have thoroughly enjoyed my experiences at the library this year.

• I like how there are different places in the library for different types of people. There are quiet study areas for people who like studying where it is quiet, and then there are also group study places for people who like some type of background noise for their studying.

Please share with us what you would like to see change within the library. Faculty/Staff Responses: • Offices for your staff

• Nothing

• I'd like to see a wider (and newer) selection of fiction.

Not so much the Christian fiction, but the best-sellers.

• Sometimes there aren't enough computer terminals.

• More spaces and fewer shelves on the ground floor.

Graduate Student Responses:

• The noise level has got to go! It is so hard to focus and get work done when people are so loud. ...as much as I love the coffee shop being in the library, it brought on a whole new level of talking and socializing that makes it difficult to get the things done that I need to. I don't have internet access so I don't have the option of going somewhere quieter.

• Either move computers upstairs for quiet study and

work or enforce the noise level downstairs. While I have been told that the first floor is now the "group study" area, there are no computers upstairs for students who need to get work done yet don't have laptops

• Noise reduction. The library has become a hang out place...way too much noise. I would study in pharmacy library but it is too small and there are not enough quiet study areas. The library time has to be extended.11pm? common!! Focus should be paid more to enforcing quiet study and more research facilities than people attire.

Undergraduate Student Responses

• More computers and study areas

• More small study rooms, please. Those things are very resourceful for studying when you need perfect, calm concentration.

• Not many books

• Add more recent publications to make the library more extensive

• The whole half-library of congress, half-Dewey

decimal system thing is really confusing.

• One thing that would help would be the library carrying course textbooks so that students can use them if a book is lost or stolen

• More computers are needed!

• I think the staff does an incredible job. I would like to see more small group studies spaces and more vaulted ceilings, but as I realize that is something that would require a renovation of the current facilities

• Having spent a lot of time studying in the library I realize that after a long time in the library the low ceiling and fluorescent lights can be draining. I think it would be beneficial to create some way of allowing more natural light into the building. An idea would be to utilize the empty property behind the library, thus cutting off the drainage issues associated with the parcel and providing more study space for the student body. I would go as far as to recommend creating a connected conservatory behind the library that would not only add to the natural beauty of the campus but would create a pleasant and nurturing environment for students to study in.

• An explanation sheet Library of Congress/Dewey decimal system. I've gotten confused since there are both.

• • More computers. Sometimes I have to wait awhile to

get one.

• More research books and databases. Maybe a mural and cathedral ceilings.

• Wish there was a few more quiet rooms upstairs.

• The library does tend to get crowded very easily. More space would be beneficial to help out with the number of students present.

• I want the library to be cool place to go study, because I am in there all the time, and everyone thinks I'm a dork because of it.

• I don't really understand the new rule about no hot food. People spend a lot of time in here doing group work or individual study, and it's a pain to have to pack up everything, go eat, then come back and expect there to be a place for you to study. It gets busy in the library! Cold food like apples or celery is good for snacks, but sometimes you need something a little more substantial. I don't even understand why "hot" food is the problem. It's not like it would do less damage if spilled; that's determined by the consistency of the food, not the heat levels. Some of my friends think it's because it smells different. A sandwich with onions and mustard on it is just as offensive (if not more so) than fried chicken. I just think it's a silly rule that is more inconvenient than it's worth.

• I would not change anything about our library, other than possibly seeing it get bigger so more students can study.
