EXHIBITOR INCLUSIONS• Two exhibitor registrations which entitles you to access the conference sessions. These

registrations also include tickets to the welcome and member receptions. Conference dinner tickets can be purchased subject to availability during the registration process.

• Additional exhibition passes can be purchased for $450 (inc GST) per person, for all three conference days, for staff who may be attending to assist in staffing your stand. These registrations also include tickets to the welcome and member receptions. This does not include access to conference sessions. Conference dinner tickets can be purchased subject to availability during the registration process.

• Unlimited exhibition visitor passes to allow you to invite potential and valued clients to your stand. We do ask that these visitors not attend during planned catering breaks to allow us to plan catering and venue numbers. You can download the exhibition visitor passes here.

DEADLINE: 2 JULY 2018Additional equipment and display needs can be organised through our recommended supplier Moreton Hire. This includes electrical and lighting, signage, audio visual, furniture and plant hire.

Moreton Hire will contact you directly by 4 June 2018 via email to confirm your signage requirements and any additional services you may require. You need to have your ordered placed on or before 2 July 2018. Even if you don’t intent to order furniture please ensure that you return your signage requirements by this date.

CUSTOM STAND BUILD AND DELIVERY

DEADLINE: 19 JUNE 2018Please advise us if you are building a custom stand for this exhibition. Contact details of the stand builder are required and all custom stands need to be approved by the GCCEC no later than one month prior to the event.

If you need walls removed, please ensure to let Moreton Hire know directly when booking your requirements.

REGISTRATION

DEADLINE: 16 JULY 2018All exhibitors are required to register for the conference. Most booths include complimentary registration for two attendees. This includes attendance at the welcome and member receptions. Conference dinner tickets can be purchased subject to availability during the registration process.

You may register additional staff members at a cost of $450 for the conference. This does not include access to conference sessions. Conference dinner tickets are not included in any registrations and can be purchased subject to availability during the registration process.

INDEMNITY FORM

DEADLINE: 2 JULY 2018ALIA and the Conference venue do not take responsibility for any damage or loss of items, before, during and after the conference and exhibition and requires that insurance cover be arranged by all exhibitors.

It is the responsibility of the exhibitor to hold adequate personal and public liability insurance coverage for their employees, guests, invitees or contractors while on site at the conference.

All exhibitors are financially liable for any damage sustained or loss incurred whilst participating in the Conference, through their own action or through the actions of their employees, guests, invitees or contractors.

INDEMNITY WAIVERGold Coast Convention and Exhibition Centre and Australian Library and Information Association shall not be held responsible for any liability for damages to exhibits by loss, injury, damage, theft, fire, water, storms, strikes, riots or any other cause whatsoever.

It shall be a precondition that the exhibitor arrange their own insurance of the exhibit and provide evidence of or sign this indemnity form, to cover loss or damage by any of the above mentioned mean and that the organisers shall be entitles to receive such indemnity prior to the exhibitor entering the exhibition.

LEAD CAPTURE

DEADLINE: 2 JULY 2018We would like to introduce a new and easy way to capture your leads. Please read through the instructions below, Cvent will get in touch with you to assist you in setting up your account. Don’t miss this opportunity to maximise your return on investment for your organisation.

As an Exhibitor Admin, you’ll play an integral part in your organization’s lead gathering. The first thing you’ll need to do is register your organization and purchase licenses for your booth staff through Cvent. These are the members of your team that will be on the front lines, representing your organization at the event and scanning potential leads. The instructions below will show you how to access the Exhibitor Portal, add your dream team, and export the leads they collect.

1 Access the Exhibitor PortalContact your planner to obtain your order site URL. The custom link will allow you to create an account for purchasing licenses, assigning booth staff, and exporting leads.

Log in to your account and complete the sign-in process by entering your email address, a new password, and your organization's name. The site will redirect you to the LeadCapture Welcome Page.

2 Purchase Your LicensesClick Buy Now, then Purchase. Next, select your desired license type. Bring Your Own Device Licenses require your booth staff to download the LeadCapture app on their own device in order to scan leads. Device Rental and Licenses include the scanning devices, which we ship to the site, ready to go.

Once you've made your selections, click Check Out to complete the transaction.

3 Add Your StaffClick Find Booth Staff. In order to add someone as Booth Staff, they need to be registered for your event as an attendee. Search for your team, check the box next to their names, and click Import Selected.

4 Assign LicensesYour staff won’t have access to the LeadCapture app untilyou assign them a license. To do so, click Assign Licenses from the home page or Licenses from the side nav. All your license codes will be listed. None available? Click the Purchase tab to buy more.

Click Options beside one of your unassigned license codes, then Assign License. Click the name of the person you want to assign the license to, and click Assign.

Once you’ve finished, that staffer will get an invitation emailed to them with instructions to download the app and start scanning leads.

5 Create QuestionsWant additional info about each lead? You can create questions you want your staff to answer.

Click Lead Collection from the side nav. The Leads Collected tab opens by default. Click the neighboring tab, Custom Questions, then Customize Questions. Existing questions are listed on the left. Select a question type icon to add more.

6 Capture LeadsTo scan leads, instruct your booth staff to download Cvent LeadCapture from the App Store or Google Play and enter the license code from their emails. Renting the scanners? Simply find your Onsite Solutions rep and they'll get you set up and scanning.

7 Export the LeadsAfter the event, you can export and save your scanned leads as an excel file from the Exhibitor Portal by clicking Export Leads at the bottom of the home page.

Exhibitors must adhere to the access time specified above. Access into the exhibition space prior to the scheduled time cannot be permitted.

FREIGHT You are required to organise delivery of your exhibition goods and equipment directly to the venue. Once your freight has been delivered the venue will arranged for your items to be delivered to your booth ready for you to unpack and more in. Empty boxes and pallets can be removed for you.

Agility Fairs & Events (a specialized exhibition & event logistics provider) is the recommended freight forwarder for domestic and international freight for the Asia-Pacific Library and Information Conference 2018. Agility can arrange all local, interstate and international transport services to the venue. Prior to the exhibition, Agility will contact all exhibitors to discuss specific transportation and other logistics requirements.

We recommend using Agility as their service is door-to-venue and they work weekends and outside normal business hours.

If you are using Agility for freight, your goods will be delivered to the nominated loading dock at the venue.

Please note, that Agility is not onsite at this show. Therefore, exhibitors should make arrangements directly with the venue, for the movement of their goods from the loading dock to the exhibition stand. This includes all materials handling (forklifts, pallet jacks, trolleys) requirements.

LOADING DOCK DELIVERIESGCCEC has four loading docks which can be accessed from the Gold Coast Highway at the northern end of the GCCEC. Goods will not be accepted at any other point.

Please ensure that ALL deliveries coming into GCCEC are labelled with the provided delivery label. Place label on ALL items being sent and ensure that all information is complete and accurate.

If you are using a courier please ensure you bring a copy of your consignment note for enquiries in the event that goods do not arrive.

Please ensure that you or your courier receives a signature for the GCCEC loading dock representative on delivery.

Loading dock hours are from 7:30am to 4pm Monday to Friday. Please note that goods will not be accepted more than 24 hours before the event.

STORAGEThere will be a designated area in the loading dock for exhibitor storage. Please do not leave valuable items in the storage area.

LIFTING EQUIPMENTThe GCCEC has a forklift, scissor lift and boom lifter for hire (subject to availability). This service needs to be organised no later than 14 days prior to the event.

PARKINGThe GCCEC operates an automated car parking system. The cost is $5.00 per vehicle per entry payable upon exiting the centre. There are pay stations positioned throughout various locations in the centre. These accept both cash and credit card.

Please note parking rates are subject to change without notification.

SAFETY — HIGH VISIBILITY VESTSAll contractors, tradespeople, exhibitors, sponsors and anyone else required to access the exhibition hall and loading dock during set-up and tear-down will be required to wear identification tags and high visibility safety vests at all times whilst in the exhibition hall and loading dock areas.

High visibility vests must comply with Australian safety standards and it is the responsibility of the individual to bring their own.

4:00PM – 6:00PMAll exhibitors must be fully packed down by 6:00pm Thursday 2 August 2018.

Please note you will not be allowed access to the exhibition area after 6:00pm due to health and safety regulations.

PACK DOWNEnsure all boxes are taped shut, and clearly labelled for dispatch. Leave all hired furniture (and keys) within your booth, and ensure all rubbish has been disposed of accordingly.

COLLECTION OF GOODSIt is the exhibitor’s responsibility to organise clear and accurate dispatch labels, consignment notes and couriers for the collection of any goods left at the venue on conclusion of the conference. Neither venue nor ALIA Staff will not fill in or sign consignment notes on behalf of the company. Courier companies must be told exactly how many boxes, the size and weight of the freight. All details must be provided by the company organising the collection of goods.

Exhibitors are able to leave packaged items within their allocated booth for dispatch and venue staff will move the items to the loading dock for collection.

All items are to be collected from the loading dock within 24 hours of the conference close. Any goods not collected by this time will be disposed of at the cost to the individual exhibitor. GCCEC and ALIA accept no responsibility for goods left behind after the closure of the exhibition.

EXHIBITION DISPLAY INFORMATION

ACCREDITATIONGCCEC require that all exhibitors wear an accreditation pass (your name badge) at all times when entering the GCCEC. Please ensure that all staff intending to attend the event are registered otherwise they will not receive a name badge and will not be able to access the conference and exhibition.

BALLOONSHelium filled balloons used in the exhibition area must be approved by GCEC. There will be a charge incurred for the retrieval of loose balloons.

BOOTH CLEANINGExhibitors are responsible for keeping their own stands clean and tidy for the duration of the conference. Rubbish such as boxes and printed materials, must be removed from the venue completely by the exhibitor.

Exhibitors can order stand cleaning services through GCCEC. Please complete the stand cleaning form and return no later than Sunday 8 July 2018.

CABLESAll cables need to be covered with a cable tray or be taped down to ensure that no trip hazard is caused.

COMMUNICATIONTelephone, fax, modem, data and RF TV lines can be provided by GCCEC for exhibitors on request. Please complete the application form and return no later than Sunday 8 July 2018.

EXTERNAL CONTRACTORSAll persons undertaking work at the GCCEC must comply with the following requirements:

• Enter into a contractors agreement which must be completed and returned no later than Sunday 8 July 2018.

• Comply with pass requirements

• Advise the security communications room of the details of all persons requiring a pass before they arrive at the GCCEC (email [email protected] or phone 07 5504 4050)

• Return the pass each time you leave GCCEC.

• All supervisors are responsible for the passes of their employees. Failure to return the pass will result in a charge of $300.

FOOD AND BEVERAGEGCCEC has the sole catering rights to all food and beverage products. Exhibitors are not permitted to bring food and beverage into the venue from outside caterers.

Catering can be pre-ordered for your booth during the exhibition. You will need to complete the Exhibitor Catering form and return no later than Sunday 8 July 2018.

FIXINGNo items or material can be taped, tacked, stapled, drilled or affixed to any surface of the venue in any way without the written permission of the venue.

Exhibition panel walls are compatible with self-adhesive velcro only. Please do not use pins, nails, tape or tacks on the exhibition stand or any other surface of the venue.

SIGNAGEAll signage and banners should be hung within the stand boundaries. Please do not allow your banners to hang over aisles, public areas or encroach upon adjoining exhibition stands.

Your booth comes with standard signage included. Additional signage can be arranged through the exhibition supplier, Moreton Hire.

SMOKINGGCCEC is a total non-smoking venue. Smoking is permitted at clearly signed designated areas outside GCCEC.

TESTING AND TAGGING/ELECTRICAL APPLIANCESIt is a legal requirement in all exhibition areas that all electrical equipment be tested and tagged in accordance with Australian Standard 3760 – 2003. The GCCEC management reserves the right to demand removal from the site of any electrical equipment it deems to be non-compliant or suspect.

All electrical installations, motors, generators etc must be approved by GCCEC management and installed by a licensed electrical contractor.

WEIGHT LOAD CAPACITIESThe floor load allowances for GCCEC are as follows:

• Arena 15 kPa

• Central rooms 15 kPa

• Halls 20 kPa

• Rooms 1-12 5.0 kPa

Should you plan on bringing heavy equipment you will need to submit dimensions, weights and specifications in writing to GCCEC for approval.

ACCOMMODATIONSponsors and exhibitors can receive a special rate at participating local hotels. If you wish to book this rate please visit the conference website for more information.

CATERINGLunch, morning and afternoon teas will all be served in the exhibition halls.

Exhibitor catering will be served 10 minutes prior to the delegates in order to give you a chance to eat before they break from the sessions.

Every effort will be made to accommodate all special dietary requirements; however, advance notification is required. You will be able to advise us of your dietary requirements during the registration process.
