April 27-28 EVENT DETAILS
Location: Downtown Olathe, KS Event is on Park St. and Cherry St. (streets will be closed down) For directions use the address for Kansas Coffee Café: 101 E Park St, Olathe, KS 66061
Dates & Times: April 26: Set-up Hours 1pm - 7pm (note your specified time below)
April 27: Event Hours 10am - 6pm April 28: Event Hours 11am - 4pm, Tear down 4pm - 8pm
1. Booth Space Assignment & Orders
➢ BOOTH DETAILS – All vendors will be located under white tenting that we provide,unless otherwise approved to bring your own tent or not be under tenting (trucks).
We DO NOT include tables or chairs, but they may be rented or you may bring your
own. We do not provide vendor signage so please bring your own or contact us ifyou need help with designing/printing.
➢ NEED TABLES/CHAIRS? – You are welcome to bring your own but if you need anyrentals, please fill out the attached rental form and return to Chick Events via email
no later than 4/6. No additional rental orders can be accommodated after 4/6.
➢ TENT FRONT COVERS – NOTE: We DO NOT cover the front of the tents. There will bevinyl back walls only. Corner booths will not have a side wall so you will have corneraccess. If you’d like the front of your tent (or corner side) covered after hours youmay bring a tarp to hang or rent tent front cover panels (you will be responsible for
putting these up and taking them down). To order, fill out the attached rental formand return to Chick Events via email no later than 4/6. No additional rental orderscan be accommodated after 4/6.
➢ ELECTRICAL – If you ordered electrical (noted on the vendor booth assignment),
please bring your own outdoor safe extension cords and power strips. There will bean electrical outlet in or near your both. Low voltage items (phone chargers, tabletchargers, light fixtures) are permitted. No heaters, fans, or higher voltage items arepermitted due to limited strength of the rented power generators. No additionalelectrical orders may be placed at this time.
➢ BOOTH ASSIGNMENT – All vendors were assigned booths in conjunction with thesquare footage requested. We did our best to accommodate your requests.Assignments were also based on product assortment and electrical needs. (Seeattachment for your booth number).
➢ WI-FI – You will need to bring a WI-FI card or will need to tether to your cell phone. There is no public WI-FI at the event.
2. Set-Up
➢ SET UP TIMES - IMPORTANT INFORMATION: To accommodate driving to or near your
booth, we have dedicated times when you may drive onto the streets. PLEASE NOTE
YOUR DESIGNATED TIME is based on your booth number/location of booth. During these hours we will do our best to have you pull your car as close as possible to your booth. You will need to unload and move your car as soon as you are unloaded. If you are unable to come during the designated hours, you are welcome to park in
any available space in any lot or surface parking and unload and carry items to your booth. Once unloaded you are allowed to stay until 7pm for set-up on Friday, 4/26.
Move-in 1-3pm (In green on map): Booths 21-40 (Enter off Chestnut), 59-93 (Enter off
Santa Fe)
Move in 4-6pm (in yellow on map): Booths 1-20 (Enter off Chestnut), 41-58, 94-112 (Enter off Loula) NOTE: Designated times are necessary to ensure a clear flow of traffic in and out of the streets. The south side of Cherry St. and Park St. are not wide enough to turn
around vehicles so they will need to pull forward to exit out the north side of Cherry. Our staff will be on site to assist but will not allow you to enter if it is not during your designated time. Contact us if you foresee any issues with your scheduled time and we can do our best to find a solution.
➢ PARKING DURING SET-UP: You may park your vehicle in any available street parking spot or in the parking garage. Please do not block traffic or any parked cars during load-in.
➢ CHECK IN: Please check in with our staff at the registration table near the sponsor
tents (center of Park & Cherry Street intersection) for your vendor packet. Four vendor wrist bands will be enclosed. Please have your staff wear these wristbands during the weekend of the event. For additional wristbands please contact a Chick Event staff member during set up.
➢ PARKING DURING EVENT: During event hours we ask that you DO NOT park on the lower level of the parking garage off Chestnut/Cherry, as those spots are used for shoppers. Vendors must park in the upper level of the parking garage or they may use any street parking. The parking garage is located on the southeast side of Cherry St. and you may enter off Chestnut or Cherry.
3. Security & Weather – Park and Cherry Streets will be securely guarded during non-
business hours by hired security. Chick Events does not take responsibility for any lost or stolen merchandise. In the event of inclement weather, vendors are responsible for
securing and protecting their products. We encourage vendors to tarp the front of their tent overnight (rentals available) if worried about security of product or the weather. Chick Events does not does not take responsibility for damaged goods due to weather.
4. Tear Down/Move-Out – Vendors must tear down immediately after the event. Move-out
must be completed by 8pm Sunday night. If you tear down before 4 pm on Sunday, you will be fined a $100 early departure fee per our terms and conditions. In the event of an emergency please contact a Chick Event staff member immediately. Move out details and a game plan will be provided to you on Sunday in a final day letter.
5. Pre-Event Media Kit – We believe that the success of our events depends not only on
the paid & promotional advertising we commit to, but primarily by word-of-mouth and social media buzz from our vendors. Because of that, we have created social media graphics for you to use to help promote your participation. Thank you for your help

6. Marketing Materials – Marketing cards & yard signs are available! We are happy to mail
out any of this material, so please let us know if you’d like us to do so. Email
[email protected] and she will coordinate the delivery/pickup with you or you may pick them up at our home office at 4140 W. 151st St. in Leawood. Thank you in advance for helping us market the event!
7. Free Tickets – If you’d like free tickets to give away for contests, email us at
[email protected] for a free ticket code!
8. Tax Rate and KS Dept. of Rev Info – The tax rate for Olathe is 9.475%. All federal, state,
and local laws governing retail sales tax must be followed. By participating at our event you agree and understand the rules and regulations of the show and will comply. Failure to comply may result in expulsion from the event.
9. Digital Vendor Training – We will upload to the Facebook Vendor group a digital vendor
training video that will address common questions, setup details and other important information. Please expect to see this video uploaded no later than April 13th.
