AQA-SET ASSIGNMENT 2009Instructions to Candidates

The examples used, given below in italics, do not directly relate to the 2009 assignment

The AQA-set assignment for 2009 concerns using Information and Communication Technology to assist with the running of the Hickley Health Club.

For the assignment you must complete:

ANALYSIS (10 marks) 1 Read the whole booklet thoroughly. You may stop at various stages to make the notes required

below. 2 For this next part it is important to use the headings given to identify what should be in

each task. Some items will appear under more than one heading.

For each task, list the following:

" Name the task

" The form of the output This is how the output will be presented. For example:

a two page leaflet;a screen display which can be printed out;letters to hotels.

" The information to be output This will be a list of the items of information to be included in the output. For example:

date;name;logo.

" The data needed to produce the output and the source of the dataThis is the data, given in the booklet, that you will need to use to produce the output and where it comes from. You may need to repeat where it comes from for each item of data, or group the data needed under a heading where it comes from (source of the data). For example:

Address as stated in the conversation on page 10;the picture of a roller coaster supplied on disk.

" The desired outcomes and performance criteria These are the things your solution must do or include to be complete, as specified by the user:For example:

The heading must stand out;The information must be arranged in rows and columns with a title at the top;It must be easy to change the number of items required; The system must produce the correct labels.

• TestingIs this needed or not?

At this point your work must be assessed by your teacher.

Now work through the design, implementation, testing and evaluation stages for each of the tasks in turn. Each stage should be separate and clearly identified. Try to complete one task before starting the next.

After the Analysis stage is complete, your teacher will provide a correct version for you to use.

Make sure you understand what the needs of the user are for each task before you continue. Show how you are meeting these needs in all your work.

DESIGN (25 marks)Develop a planned design showing how you will carry out the task. Provide sufficient detail so that someone else, familiar with the software, could implement your design. Your plan should include:

" Details of how you will carry out the task. You must include labelled diagrams to show layouts and formats (e.g. font sizes and colours), and, where appropriate, database structures, designs for forms, searches and reports; and spreadsheet layouts including formulae; and validation designs.

" An explanation of how your design choices meet the needs of the user. This should explain why you have designed your solution in this way and how this meets the desired outcomes and performance criteria that have been specified by the user. For example:

I have decided to use the Arial font for my leaflet because it is very clear and the new members should find it easy to read.

" A statement of the software you will use and the features of the software that make this software suitable for this particular task. For example:

I will need to add pictures to my leaflet and resize them. The package I have chosen will let me import graphics files and drag them to the required size.

" A testing plan.State what you will be testing, the data from the booklet you will input to test your solution and the results you expect to be output.

IMPLEMENTATION (45 marks)Carefully carry out the solution you have designed. You must: " Provide evidence that you have produced the solution.

" Include enough earlier versions of your work to show the progress of your solution.

" Add detailed notes to make it clear what you have done and how you did it.This is your opportunity to demonstrate your level of skill, understanding and efficiency.

" Show all the key stages of your solution.Evidence may be shown by a word processed commentary illustrated by screen shots and/or by annotated print-outs.

" You must describe any changes you have made from your design and explain the reasons why these changes are needed.

" Carry out any changes, if your testing shows they are needed.

" Use your solution to produce all answers or outputs that are necessary for the task.

TESTING (10 marks)Testing is restricted to checking that the solution produces the correct results. These results are given in the booklet. You must: " Follow the testing plan you created in the design stage and carry out the testing.

Provide evidence that you have input the data and produced the output. Also show evidence that you have checked the actual results against the expected results and come to a conclusion. Evidence of testing must be separate from evidence of implementation.

" Include your completed test plan here. " Describe any problems you find and carry out any changes that may be needed, then

repeat the test(s).If the actual results do not match the expected results then you must find out why, describe what has gone wrong, and how you will correct it. When you have made the corrections, you must repeat the test(s).

EVALUATION (10 marks)Using the correct desired outcomes and performance criteria, say whether they have been met. Discuss how well your solution has met as many of them as possible. This discussion must consider ways you could have improved some parts of your solution or other ways you could have done it compared with the way you did it.

AQA-SET ASSIGNMENT 2009INTRODUCTION

You take the role of Mel who has just started work as an ICT trainee at the Hickley Health Club. Hickley is a small town a few miles from Lancre. Your supervisor at the Health Club will be Katie Marsden. She wants you to use your ICT skills to help to improve the way in which the club operates.

The club has a range of facilities:

Aerobics/spinning/dance studio Swimming pool Squash courts

Hairdressing salonCafé barConference room

Multi-gym Dedicated weights area

Katie wants you to do three things for her:

" Produce a new leaflet to advertise the club to a wider audience

" Produce a new scoring system for the squash players, which will reward players for the number of games they win in a match

" Set up a system to send letters to club members of a specific membership type, when their membership expires.

Conversation between Katie and Mel at Hickley Health Club

Katie: Hello Mel, Im Katie. I hope you are going to enjoy your work here.

Mel: Yes, Im excited to be starting. What do you want me to do first?

Katie: The Health Club needs to attract more people to join.

Mel: How do you want me to help?

Katie: I would like to advertise the Health Club more widely. I want you to produce an A4 sized leaflet to do this.

Mel: What do you want it to look like?

Katie: Can you make a leaflet with 2 folds and with information on both sides?

Mel: Of course, but how do you want the leaflet to be folded?

Katie: Here are my sketches of the page layouts.

Mel: Im clearer now and I know how to make a leaflet like that. What do you want on each page?

Katie: On every page can you include a picture from the Health Club Picture Gallery?

Mel: Yes, does that mean you already have pictures from the Health Club?

Katie: They are saved in a folder, called Picture Gallery, which I have on disk.

Mel: What do you want on side 1?

Katie: Can you leave the front page blank at the moment?

Mel: I can do, but why leave it blank?

Katie: Ill tell you my plans for it later.

On the inside page I want the heading Facilities and Times when the club is open. I have the facilities and times already typed up and can let you have them as a file to add to this page.

Mel: Thanks for that, it will make it quicker to produce the page.

Katie: Include a heading on each page in the leaflet, make it stand out and be in colour.

Mel: Yes, what do you want on the back page?

Katie: On the back page, include the contact details the Health Clubs name, address, telephone number and logo plus the e-mail address. Members like to be able to contact us out of office hours.

Mel: So what exactly do you want on the page?

Katie: Id like the heading Contact details, the name and address are Hickley Health Club, 23 Singleton Street, Hickley, LN12 5ED, telephone number 01762 233455, e-mail address is [email protected] and the clubs logo.

Ill give you that on disk, here is a printed copy.

Mel: Thanks for the logo; Im sure I can do it exactly as you had planned for side 1.

What about side 2?

Katie: I plan to produce a different leaflet for each season of the year. On page one I would like the Classes and Events for this season. Again I have already got these typed up and can let you have them as a file to include on this page.

Mel: Thats another page which will be straightforward to do.

I assume you also want a picture on these pages and the heading to stand out and be in colour.

Katie: Yes please. On page two, I would like to advertise our fitness programme. This will have the support of a personal trainer and a fitness test for all members.

Mel: How would you like to have that displayed on this page?

Katie: Include a heading Fitness Programme and youll need to type in these details:

Personal trainerA personal trainer can be booked at reception for 6 sessions at £15 per session.

Fitness testA free fitness test is available for all new members and can also be booked at reception. Further fitness tests cost £10 each and again are bookable through reception.

M/Jun09/3521/7/CB

Mel: Yes, I can do that. What about page three?

Katie: On page three I want details about how our squash courts operate. I have them typed up for the squash players and can let you have them as a file to include on this page.

Mel: Im sure I can produce side 2 of the leaflet exactly as you want.

Katie: Thank you.

Mel: Why did you want the front page left blank at the start?

Katie: I have plans to attract new members but Im not sure how the front page should look.

Mel: Ive got some ideas.

Katie: Can you produce a trial version of the front page that I can show to the club manager for approval?

Mel: Yes, what do you want on this version?

Katie: I would like the Health Clubs name typed in and include the logo.

I also want it to include two simple messages which are relevant to the audience.

Mel: Who is the audience?

Katie: For this first version, my aim is to attract 16-21 year olds.

Mel: Do you have any specific messages in mind?

Katie: Not really, can you think of two messages which will attract this age group?

Mel: Yes, I can do that.

Katie:

Mel:

Katie:

As we want to attract new members it is important that the leaflet gives a very good impression and that key parts stand out.

Yes, I will do that. Do you want a printout?

I would like a printout either as two separate sheets or back-to-back.

Mels Notebook

There are several things that Katie wants me to include in the leaflet. These are notes to remind me of some of them.

To advertise the Health Club, I have to produce an A4 sized leaflet with 2 folds which has information on both sides.

I mustnt forget that Katie wants a picture from the Health Club Picture Gallery on every page.

I must have a heading on all the pages in the leaflet and make it stand out and be in colour.

On side 1:The inside page will have a heading and details about the facilities and the times when the club is open. Katie will give me these details as a file.

The back page must have the contact details. Katie has told me to have a heading, the Health Clubs name, address, telephone number, e-mail address and logo. I have to type these in, apart from the logo which Katie has saved on disk.

On side 2:Page one contains the classes and events. Katie has these typed up as a file which she will give me.

Page two contains a heading about the Health Clubs fitness programme with details about the programme a personal trainer, a free fitness test for new members and further fitness test at £10 each. I have to type these in.

Page three contains the information about how the squash courts operate. Katie will give me this as a file.

Katie wants me to produce a trial version of a front page for the leaflet but isnt quite sure how it should look.

On this version, I must include the Health Clubs name and logo, plus two simple messages which are relevant to the audience.

These messages should aim to attract 16-21 year olds.

Conversation between Katie and Mel

Katie: Mel, Ive got another task for you.

Mel: What is it?

Katie: For league matches, some of the squash players would like a new scoring system, which can also be printed out.

Mel: I tried to play squash once but didnt understand the rules.

Katie: Thats OK, leave the rules to the players.

Mel: Thats a relief, what do you want me to do?

Katie: A squash match is between two players. Each match has a maximum of 5 games and the first player to win 3 games wins the match. Players cant win more than 3 games in a match.

I want you to produce a new scoring system for squash players that records the number of games each player has won during a match.

Mel: Why do they want to change?

Katie: They feel its unfair that in matches where they lose narrowly, they get the same number of points as when they are well beaten. I want the new system to be able to keep the interest of all the players during the competition.

At the moment a player gets 1 point for winning a match, whether they win 3-0, 3-1 or 3-2. The loser gets 0 points however many games they win.

Mel: So what do you want me to do?

Katie: I need you to find the difference between the number of games each player has won in a match. The winning player will receive plus points and the losing one will receive minus points.

Mel: Im not quite sure what you mean.

Page 14: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

14

M/Jun09/3521/7/CB

Katie: Let me start by giving you an example:

If player A beats player B by 3 games to 1" player A would get 2 points (3 - 1 = 2)

" player B would get -2 points (1 - 3 = -2)

Mel: Now I see, so the winning player always gets a plus number of points and the losing player gets a minus number of points.

Katie: Yes, now that any games won are important, this will make the leagues more interesting for the players.

I want you to use a formula to find the differences in the results of every match. This is so that I can use your system for all the squash leagues.

Mel: Im sure I can do that.

Katie: Can you also add up the differences for each player in all their matches to find their total?

Mel: Yes thats easy enough.

Katie: There are just 6 players in each league and the two highest ranked players are promoted. The two lowest are relegated to the league below.

Can your system automatically work out the ranking of all 6 players based on their total differences? I would like it to show each players rank so that they can see their position in the league as matches are completed.

Mel: What do you mean by rank?

Katie: The rank is their position in the league and it could be from 1 to 6. The top player is ranked 1 and the bottom player is ranked 6.

Mel: I think I can do that. There is a spreadsheet function I can use that works out a persons rank.

Page 15: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

15

M/Jun09/3521/7/CB

Turn over!

Katie: I use a scoring sheet, similar to the one below, for the results of the players matches in a league.

When a match is finished, the players write in their scores. For example, in the match between A and B, the scoring sheet shows that player A has won 3 games and B has won 1 game.

Example Scoring Sheet

Mel: Why are there black boxes on the sheet?

Katie: Its to prevent a player recording a result against themselves A cant play against A.

Mel: Do I have to present it like that?

Katie: Yes, but the system must also calculate the total differences for each player and show their ranking. You can choose how to present this extra information.

Mel: Do you have any actual scores which I can use to test my system when I have created it?

Page 16: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

16

M/Jun09/3521/7/CB

Katie: I took the scores from the last League 1 competition and worked out what they would be under the new scoring system. Here is the scoring sheet that the players filled in.You can use this to test it.

Scoring Sheet

Mel: What were the differences for each player?

Katie: In a match, for each player in turn, I subtracted their opponents number of games from their number of games. This is how I did it for player A:

Opponent Match score DifferenceAgainst player B 3-2 3-2 = 1Against player C 2-3 2-3 = -1Against player D 3-0 3-0 = 3Against player E 2-3 2-3 = -1Against player F 3-1 3-1 = 2

Player A has a total difference of 1 1 + 3 1 + 2 = 4 points

I used this and the other players total differences in calculating each players rank in the league.

Mel:

Katie:

Can you give me the total differences and ranking of all the players?

Yes, these are the results that I worked out using the new system.

" player A had a total of 4 points and finished 2nd" player B had a total of 0 points and finished 4th" player C had a total of 7 points and finished 1st " player D had a total of -8 points and finished 6th" player E had a total of 2 points and finished 3rd " player F had a total of -5 points and finished 5th.

Mel: I will use this to test my system.

Do you have the scoring sheet on disk?

Katie: I can give it to you with League 1 matches already filled in if that will help.

Mel:

Katie:

Mel:

Yes please. What else do you want me to do?

When you have set up the test, please print out the following:

" scoring sheet" differences" total differences" ranks" all the formulae and functions (so we can check these together)

I can do that. Why do you want to check?

Katie:

Mel:

Katie:

Its so that we know your system is ready to be able to work out the total differences and ranking of all the players in the League 2 competition which has just finished.

I would like to publish the results of your system for League 2 on the clubs notice board. Dont forget to show the scoring sheet and please print it out on A4 paper. Can you include the clubs logo, an automatic date and a heading Rank order for League 2 on it?

Yes, I can do that. When its finished, I will also print out all the formulae and functions so that you can see that the date will change automatically.

That will help.

Mel: Do you have the match scores for League 2?

Page 18: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

18

M/Jun09/3521/7/CB

Katie: Here they are I have saved them on disk as well.

Scoring Sheet

Mel: Thank you, is that all you need from the new scoring system?

Katie: Would your system cope if players made a mistake in entering their scores?

Mel: If I used formulae to work out the differences it should do. You would just need to correct the scores. Why do you ask?

Katie: There actually was a mistake made in the League 2 results, which I didnt discover until the results had been put on the notice board. The score in one of the matches had been entered incorrectly.

In the match between J and K the score was 3-2, but it was incorrectly recorded as 2-3.

Mel: So you mean that J actually won 3 games and K won 2 games?

Katie: Yes, the players got confused after a close match. Then player J complained. If the result was corrected would the rank order automatically cope with the changes?

Mel: Yes it will. Ill type in the changes and then print it out to show that it works.

Page 19: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

M/Jun09/3521/7/CB

Turn over!

Katie: The fact that players may make mistakes when recording their scores made me think. Can you prevent another possible mistake by making sure that a player cant enter more than 3 games in a match?

Mel: I can do that, its called validation. Ill make sure I test it for one players score first.

Katie: Thats a good idea, just test the validation for the number of games L wins against G.

Try to mistakenly enter 4 games.

Then enter the correct number of games (remember L actually won 3 games).

Mel: Yes thats not a problem.

That means that there are two tests that I have to do now - for the results of League 1 and for the validation.

Page 20: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

20

M/Jun09/3521/7/CB

Mels Notebook

These are some notes to remind me of what Katie wants for the squash scoring system.

Katie wants a new scoring system for the league matches, which can also be printed out. A squash match has a maximum of 5 games - the first player to win 3 games wins the match. So players cant win more than 3 games in one match.

The new scoring system must show the number of games each player has won in a match. In each match, I must find the difference between the number of games a player has won compared with their opponent. This is so that the winning player always gets a plus number of points and the losing player a minus number of points.

An example that Katie gave me is, if A wins against B and the match score is 31, • then A gets 2 points (3 1 = 2)• and B gets 2 points (1 3 = 2)

I must use a formula to find the difference between the games won in every match.

I also have to add up the differences for every player in all their matches to find their totals.

There are just 6 players in each league. My system needs to work out the ranking (from 1 to 6) for each player automatically, based on their total differences and show it. This is so they can see their position in the league as matches are completed. For this I will need to use a function to calculate the rank.

Page 21: AQA GCSE ICT A AQA-set assignment Candidate booklet 2009

21

M/Jun09/3521/7/CB

Turn over!

I must present the scoring sheet results in the way in which Katie has given them to me but I can choose how to present the total differences and ranking.

I must test my system with the results for League 1 that Katie has given me and print it out. She has the scoring sheet for League 1 already filled in and saved on disk. Katie wants me to print out the scoring sheet, differences, total differences, ranks and all the formulae and functions.

Then I must work out the total differences and ranking of all the players in League 2. She also wants the clubs logo, an automatic date and for League 2 the heading Rank order for League 2 on it. Katie wants me to print it out when I have finished and I will also print out all formulae and functions again to show the automatic date. She has the current scoring sheet for League 2 also filled in and saved on disk.

My system must be able to cope with mistakes if players enter their results incorrectly. There was a mistake in the League 2 results: J actually won 3 2 against K.

I have to correct it and print out League 2 results again to show that the rank order copes with the changes.

Katie also wants me to prevent another possible mistake, so a player cant enter more than 3 games in a match. I will include a validation rule in the scoring system to prevent that.

For now, she wants me to test the validation rule just for the number of games L wins against G by trying to enter 4 games and then entering the actual number of games (3) that L won.

This means that I have to do two tests.

Conversation between Katie and Mel

Katie: Hello Mel, can you use the computer to set up a system to send letters to club members of a specific membership type?

Mel: Yes, no problem. What types of member does the club have?

Katie: We have members in several categories. We have Junior (under 16) and Youth (16-21) membership. But we also have these membership types: Adult, Family, Senior (60 and over) and Adult Off Peak.

Mel: I didnt know there were so many membership types.

Katie: Id like to send letters just to certain members, reminding them when their membership expires. At the moment I have to type out each one on ordinary notepaper.

Could you produce headed notepaper with the clubs name, address, telephone number, e-mail address and logo at the top?

Mel: Yes, I will print it out for you when its ready. You have already given me the clubs name, address, telephone number and e-mail address, plus I have the clubs logo on disk.

What else do you want included in the letters?

Katie: I want you to include the text about when memberships expire. Its already typed up and stored on a disk.

Can you add in the details of the member the letter is being sent to?

Mel: I can do that automatically for you, if you have all the members details saved.

Katie: Yes I have them in a file on disk. The members really appreciate personalised letters with their own details on.

Mel: Who do you want them sending to?

Katie: Can you send letters to all Youth members (16-21) who will become 22 by the end of February 2009? This is to test if the new system works.

I want to remind them that they will need to change their membership type when their subscription is next due.

Mel: Does the file contain the date of birth of the members?

Katie: Yes it does. We need to know their date of birth to decide which category of membership they are entitled to.

Mel: Are the letters being sent out in February 2009?

Katie: Yes, please make 01/03/2009 the date for checking their ages.

Mel: So for Youth members their date of birth will be over 22 years earlier?

Yes, it means their date of birth will be before 01/03/1987, which is 22 years earlier than the checking date. Its simpler to check their date of birth to find out when their membership type should change.

Now I know I need to subtract the age from the year of the checking date, so 2009 22 =1987.

Good. When testing, the only members your system should send letters to are:

Mr Bob Sanders, 22 Wood Road, Hickley, LN17 8AC, YouthMiss Pamela Corner, 93 Green Lane, Lancre, LN4 7BB, Youth

Mel: So this is what my test should find?

Katie: Yes, it is. Once you know that your new letter system works, can you send out letters to Junior members who will become 16 by the end of February 2009?

This is to remind them that they will need to change their membership to Youth member when they renew after they reach 16.

Mel: That will not be a problem. Shall I use the same checking date?

Katie: I would like you to do that, but can your system cater for other membership types and checking dates in the future?

Mel: Yes, I will make sure it does that.

Katie: Can you also send out letters to Adult members who will become 60 by the end of February 2009?

This is to remind them that they will need to change their membership to Senior member when they renew after they reach 60.

Mel: I can do that but I must remember there are two types of adult members, Adult and Adult Off Peak.

Katie: There is one more thing. I was wondering if you could revise the system to make entering new members a little simpler for the user.

Could you change the MembershipType field, so that I only have to choose an option from a list of the membership types? This would be quicker to do and would prevent typing mistakes. It would also help when we have to change a persons membership type.

Mel: Yes thats a good idea, I can do that.

Katie: Would you test that your revised system can do this using these new members details?

Mr, James, Richardson, 23 Holmes Lane, Hickley, LN13 7DJ, 01762 233233, 21/03/1976, Adult, 28/02/2010Miss, Kay, Richardson, 23 Holmes Lane, Hickley, LN13 7DJ, 01762 233233, 21/04/1997, Junior, 28/02/2010

I have shown the details in the order of the fields in the database:Title, FirstName, LastName, Street, Town, PostCode, TelephoneNo, DoB, MembershipType and MembershipDate.

For each new member I expect to be able to just choose the membership type from a list.

Mel: As I add these new members I will provide you with test evidence that shows the membership type being chosen from the field. So now I have two different tests to do altogether?

Katie: Yes, thanks for all your help.

Mels Notebook

These are some notes to remind me of what Katie wants for the system for membership letters.

I must produce headed notepaper with the clubs name, logo, address, telephone number and e-mail address at the top, and print it out for Katie.

The letter must contain the letter text about when memberships expire, which Katie will give me on disk. Katie will also give me the members details on disk.

The letter system must also automatically include the title, name (first and last) and address of the member it is being sent to plus their membership type. Katie has an example of a previous letter.

I must test the letter system by sending letters to all Youth members (16-21) who will become 22 by the end of February 2009. I will use 01/03/2009 to check. Their date of birth will be over 22 years earlier than the checking date; which means its before 01/03/1987. Its simpler to check their dates of birth.

When I know my system works I must send out letters to Junior members (under 16) who will become 16 by the end of February 2009 again using 01/03/2009 to check.

I have to make sure that my system caters for other membership types and dates to be able to use the letter system in the future.

I must also send out letters to adult members who will become 60 by the end of February 2009 again using 01/03/2009 to check. I must remember there are two types of adult membership Adult and Adult Off Peak.

Katie also has another part of the task for me.

She wants me to change the MembershipType field, so that she only has to choose an option from a list of the membership types (and not have to type it in).

As I add the new members that Katie has provided for me, I need to get test evidence that shows the revised membership type being chosen.

This means that I have two different tests to do altogether.
