Client Demographics: Fiscal Year 2018

In early 2012, AFAC developed a new client referral and registration software system (CCRTS).

CCRTS was completed and installed in August 2012 (Fiscal Year 2013). CCRTS is a secure,

password protected, cloud based software that operates on PC=s, tablets, and both types of

smart phones. Since Fiscal Year 2014, a full year data has been available. Data from CCRTS for

FY 2014 and following years has been used to develop the following charts describing the

population served by AFAC.

When an individual comes for the first time and is an Arlington County resident, we will

provide food and register the visit in CCRTS as a AWalk-in@ visit. A Walk-in file is created that

includes only the name and address of the individual served. The individual is then asked to go

to the Arlington County Department of Human Services to get a referral back to AFAC. Access

to CCRTS has been given to Arlington County DHS, to the Arlington Public Schools, and to a

selected number of other County and non-profit partner agencies to refer individuals and

families to AFAC.

If a social worker with one of these agencies determines that a family or individual would

benefit from the services of AFAC, they can enter CCRTS, retrieve and complete the original

Walk-in file, and electronically send it to AFAC. The file is reviewed electronically at AFAC and

if complete is approved. When the family returns to AFAC, they are issued a bar-coded card

than is used to register each time they pick up food at one of our 18 distribution sites. CCRTS

registers the date, time of the visit, and the site where food was picked up. Analyzing this data

is currently beyond the capabilities of our staff and has not been included in the charts.

No social security information, or immigration status information is contained in the database.

In addition, certain information, not relevant to the analysis contained herein, has been

modified in the original database to maintain confidentiality and to comply with various

federal, state, and local laws.

An incomplete file indicates that the family was served once and for some reason did not

follow-up with DHS. Some of these walk-in files have additional information beyond name and

address, thus in the following charts, the number of walk-ins may vary slightly depending on

the additional information in the file.
