Asset Compliance Tracking Quick Start Guide

Getting the printer Installed

1. Connect your Datamax printer to the mains and to your PC by following the supplied installation instructions. A web based quick start guide to setting up the printer is also provided just click the hyperlink: Printer Installation

2. Install the bartender barcode printing application, please follow the instructions supplied with your software. If you have any problems please contact

3. Once you can run the test printer function to print legible bar-coded labels move on to installing the barcode scanners.

Installing Symbol’s P360 Scanner

1. Power up the scanner for 4 hours to ensure it is fully charged 2. Connect the scanner to your PC with the supplied USB cable3. Hit enter on the scanners keyboard and start scanning your test

print labels a beep will indicate that the code has been read.

Installing PC-ACT Software

1. Install PC-ACT from the supplied file into directory C:\asset 2. Click the PC_ACT icon and run the application3. PC-ACT will start-up and attempt to connect to the internet to reconcile

its user, asset and location information with your brigade’s ACT web site. It will report if it cannot connect to the web.

4. A failure to connect to the web indicates that you’re brigade’s LAN, Firewall or Proxy settings are disabling PC-ACT communicating with the web application. Ask your IT staff to resolve these impediments.

5. With PC-ACT active hit the following keys together Alt and M6. Insert the password brite-spark into the password pane7. Select system management and then select system parameters8. Ensure that the upload destination is pointed at the correct station location9. If not; select the appropriate location ( station) and save settings10. Note; communication settings can be configured to match network

requirements via the system parameters menu.

Printing Labels for your First Appliance

1. Open the spreadsheet Irish Fire Service Asset Classes2. Examine the default Appliances complement on sheet 2 3. If your Appliance has an identical complement then use the descriptions

and asset class codes present as an excel print file for bartender see Example Ctrl Click the blue text to open.

4. Where your complement differs you will need to edit the Excel spreadsheet to reflect your appliances differences

5. If these differences are just differences in existing identified asset types (e.g. These different assets are already described by existing asset class descriptions) just substitute an existing asset code and description with a replacement. The logic test will display False indicating that the asset class is identified

6. Print and apply your labels 7. If these new assets are not described in the list of asset classes you will

need to identify these assets to the system by creating a new asset class to depict them. The logic test will display True indicating that the asset class is not identified

8. This can be done by either editing an existing asset class that your brigade will never use . e.g. These are unlikely to be used outside of Dublin. Or you can create a new asset class which will have code AJZ (the next code in the list) to describe your new asset class.

9. Open the Web_ACT application and use the Setup >Asset Class Setup> Asset Class to create a new or edit an existing asset class.

10. Use Set-up >Container Set-up> Complement template to remove / add assets to the complement of your first appliance ( container) Edit the station officers water tender template to reflect your brigades first appliance.

11. Note you can change this name to something more appropriate for your brigade by editing the template description in edit template

12. Once you have edited and created appropriate asset classes for your appliance print labels and check readability before applying the labels to your assets.

13. lay the labels in large RS ( Radio Spares componet) boxes to reflect the layout of your appliance ( follow check off sheet below) This ensure that if labelling is disrupted by a fire call the appliance can be quickly released and labelling can be speedily resumed once the appliance has returned to the station.

14. Where possible follow Dublin’s solutions for labelling difficult assets like hoses and branches etc.

Scanning your First Appliance

1. Use MS Word to design and print your first check-off board for your first appliance. Follow the design used by Dublin fire but amend the codes to follow your Appliance identification codes e.g. 1COZAB0001 ( see spreadsheet notes) and the specific asset complement of your appliance.

2. Laminate your check off board. 3. Check that your first user is registered within the system4. Open set-up>access control>staff logins and check that they are

registered. 5. If they are not, create a new user and assign a electronic badge code via

1CO PBN and their pay number (Note PBN is a restricted code and is used exclusively for) Personal Brigade badges.

6. Print a brigade badge for your first user following the format 1CO PBN and their pay number.

7. Undertake a daily Equipment Scan or an Inventory Scan as detailed in the Training Manual

To Carry out a Daily Equipment Check on an Appliance

To Carry out a Daily Equipment Check on an Appliance

1. Ensure the Barcode Reader is Clear of any Barcodes

2. If the Barcode Reader is not clear Start Pc Act to Clear Data

3. Scan the Container Barcode on the Top of the Check Off Board

4. Crew member Scans their Badge Number

5. Crew scans the Equipment on Appliance as Listed

6. Barcodes are uploaded using Daily Equipment Scan.

8. See the returned upload report for discrepancies. 9. Amend any compliment discrepancies by scanning the missed items and

uploading them via a partial inventory scan or if the compliment for the container needs changing by editing the appliance ( containers) complement to accurately reflect what is present and required on the appliance.

10. Label and repeat the process for your next appliance. 11. Note if this is at a new location you will need to identify this upload

location in PC-ACT via the systems menu pull down list.12. If this new location is not viewable use the set-up location and location

login features in Web_Act to create this new station location.
