7 Minimize Left Side Bar

Upon click, the Bulletin Board portlet and Calendar portlet will be hidden. The left side bar starting from below the secondary navigation row will be hidden. The rest of the portlets will automatically expand to fill the width of the browser page.

8 My Current To Dos Dropdown

Options: Pending Items Completed To Dos

9 Due Today Clicking will filter Action Items to only display options that are due today.

10 New This Week Clicking will filter Action Items to only display items that are new this week.

11 Past Due Clicking will filter Action Items to only display items that are past due. If there are 1 or more past due items, a red visual indicates the importance to the user.

12 Pending Items Clicking will filter Action Items to only display pending items. If any filter has 0 items, that filter is grayed out.

13 Saved for Later Clicking will filter Action Items to only display items that the user has saved for later.

14 Total By Default, Total action items is selected. All Action Items are displayed except for those Saved for Later. The selected filter has a visual indicator.

15 View # The user can select to view 10, 20, or All Action Items at one time. The user's selection is remembered the next time he visits Axess.

16 My Action Items Columns

The user can sort his Action Items by all 3 columns.

18 Action Item Hover Hovering over an Action Item displays additional options for that Action Item. Clicking Save for Later will remove the Action Item from this list and add it to the Saved for Later bucket. If an Action Item has a direct link, the → is displayed and clicking the arrow or the title of the Action Item will take the user to the appropriate page. If the link is an external page, the external link icon is displayed.

19 Quarter Selection If both the current quarter & next quarter are available for viewing, both viewing options are displayed to the user. If only the current quarter is available, on the current quarter is displayed.

20 Current Courses Options

21 Current Courses Sort

User can sort courses by each column. The carrot signifies the current sort order.

22 Grading Column The Grading column displays the status of the class' grades. If the grades have been submitted, the user has the option to Edit the grades. If the grades have not been submitted, the user has the option to Enter & Submit grades.

23 Roster Clicking Enrolled will open the Individual class page with the Enrolled students displayed. Clicking Waitlisted will open the Individual class page with the Waitlsited students displayed.

24 Email icon Clicking an email icon will open the user's default email program.

25 Crosslisted View Clicking link opens existing portlet in single portlet template page.

26 Add Grading Proxy Link

Opens the existing Add Grading Proxy portlet within a single portlet template page.



27 View Pay Statement

Opens the most recent Pay Statement in a single template portlet page.

Same functionality as PeopleSoft Drop Down Menu, except admin resources will open in a new window. External links in drop down will be designated by external link icon.

2 Workflow Upon hover or click, the Workflow secondary navigation is displayed. Each workflow is listed individually. Clicking a workflow item in the secondary nav will open that workflow in a single portlet template page. (Phase 1 functionality)

3 Main Navigation Carrot

Main navigation items that have drop-down functionality only (clicking on the main nav item does not open a page) will be designated by a down carrot.

2 Student Financials Snapshot

Only those items that are applicable to the specific user are displayed.

3 Student Financials Snapshot Display

Only those items applicable to the user will be displayed. Any overdue payments will be displayed with a visual indicator (like red font).

4 Some grad students are not in charge of paying this amount. If a student does not need to pay this balance, "As a grad student, you are not responsible for this payment. Please see _____ (appopriate URL) for more information." is displayed under the amount due.

12 Degree Progress Report Button

On click takes user to the existing Degree Progress Report portlet, placed within the single portlet template page.

13 Declare Major/Minor On click takes user to the existing Declare Major/Minor portlet, placed within the single portlet template page.

14 Make a Payment Button

On click takes user to the existing ePay link.

15 View/Accept Award Button

On click takes user to the existing Request Official Transcript portlet, placed within the single portlet template page.

16 Final Grade Column When a user's first final grade is released, the Status column is changed to display the Final Grade Column. If a grade is not yet available for display, "Pending" will be displayed.

17 Employee Snapshot If a user has multiple employee titles at Stanford, each title is displayed separately.


6. Main Navigation - hover




1 Main Navigation

Upon click of the main navigation title for Students, Employees, Advisors, Faculty & Instructors & STARS Training, the applicable dashboard landing page is displayed. Upon hover the secondary navigation is displayed. Upon click of a secondary navigation item, the user is taken to the appropriate page.


7. Right bar nav


1 Hover Options Upon hover of a portlet in the right side bar, two icons are displayed. � On click, this icon displays the drop-down menu containing the View, Sort by, and Filter by options. � On click, this icon minimizes the portlet, and toggles to � when collapsed.

2 Current Action Item

If a user selects an Action Item from the My Axess page or right side bar, the currently selected Action Item is highlighted in the right side bar until completed.


8. Hello Dropdown




1 Hello Dropdown The dropdown is only displayed to users with Student roles. My Personal Info is displayed to Student users only. If the user does not have a student role, there is no drop-down menu. When the user clicks the gear icon, the user is taken to the [Preferences] page.

2 Page Title All pages have the page title displayed below the navigation




9. My Shortcuts


1 Favorites Links Clicking a link will take the user to the respective page.





3 My Shortcuts Dropdown

Upon click or hover of My Shortcuts, the My Shortcuts menu is displayed.

4 Add Shortcut This button is only displayed when a user is on an Axess page that can be added to My Shortcuts. On click, the page is added to the My Axess Shortcuts list in the menu.

5 Edit Shortcuts Button

On click, the edit functionality is displayed. See [My Shortcuts > Edit]

6 Recently Used Shortcuts

The 3 most recently used links are displayed to the user.

1 Edit Shortcuts

The arrows move the link up and down in the list. Clicking the X icon will display a confirmation message, asking the user "Do you want to delete [link title]?" Delete or Cancel. If click-and-drag functionality is possbile, that functionality is preferred.

2 Save Shortcuts

When in Edit mode, the Edit Shortcuts button is not displayed, and the Save Changes button is displayed. On click, the users edits are saved and the save confirmation is displayed. The user is exited from edit mode.

8 Tablet Main Navigation

Tapping a main navigation item will take the user to that section's landing page (i.e. Student Dashboard). Tap and holding a main navigation item will display the secondary navigation dropdown, and the user drags to the secondary navigation item and releases finger to select the item. On other pages other than My Axess, the secondary navigation is displayed the same as on the desktop view.

2 On click, will take user back to his default homepage.





5 My Action Items Mobile Tablet

Only Due Date and Title columns are displayed. Other functionality not available on mobile.

7 Mobile Portlet Title Bars

By Default, My Action Items is the only portlet expanded. All other portlets on the page are collapsed. User can tap the title bar of a portlet to expand/collapse the portlet. All portlets are displayed as a single column.

8 Current Courses Mobile Portlet

By default, the mobile list view is displayed. This is also the list view for tablet.

9 Mobile Menu Tapping 'Menu' will expand to show the main navigation. Main navigation items with secondary navigation are displayed with +. Tapping a main navigation item with a + will expand that section to display the secondary navigation items.


13. Student Dashboard - Undergrad


1 My Advisors Portlet All of the student's advisors are listed. If the user does not have any advisors, this portlet is not displayed.

2 Secondary Navigation The secondary navigation is displayed under the main navigation. The current page is highlighted. Clicking a secondary navigation item will take the user to the appropriate page.

3 International Student Resources

If the student is an international student, this portlet is displayed.

4 Hold Notification On click will take the user to his My Axess page with all the holds sorted to the top of his My Action Items page.



5 Current Enrolled Units Notification

On click will take the user to the Enrollment page with the current quarter populated within Simple Enroll.

6 Total Stanford Units Notification

On click will take the user to his Unofficial Transcript

7 Total Units On click will take the user to his Unofficial Transcript

8 GPA Hidden By default, the GPA is hidden (for student privacy). On click, the GPA is displayed.

9 GPA Displayed Clicking 'Hide' will hide the student's GPA.

10 My Action Items - Right Side Bar

Once the user moves past the My Axess page, the My Action Items portlet is moved to the right side bar - with the appropriate user role action items displayed. See [Right Bar Nav] for other functionality.


14. Enrollment - Single Portlet Template with Links


1 Breadcrumb All pages except My Axess and Dashboard pages have a breadcrumb navigation displayed.

2 Single Portlet Template Page For most pages that are not redesigned during Phase 2, the existing portlet functionality (re-skinned with the new visual design) will be contained in this single portlet template.



3 Single Portlet Template w/ Additional Links

If an existing page has the need for a list of related links, this portlet can be displayed as well. Otherwise, this portlet is omitted.

Clicking the employee's name will display the employee's timecard in pop-up window.

1 Confirmation Message Pop-up

When a user saves or submits, this confirmation message is displayed. Clicking anywhere off the pop-up window, or clicking the close button, closes the window. Not Yet Saved: If a user has edited a form on Axess, and tries to click away from the page, a Message Pop-up is displayed: "Do you want to save your changes before leaving this page?" Primary button: Save Changes. Secondary link: Don't save

3 Open Holds On click, user gets taken to My Advisees page, sorted by advisees with Holds first.

7 User can select multiple checkboxes to release multiple holds at once.

9 Cancel On click, Confirmation Message displayed: "Do you want to clear your changes" Primary button: "Clear changes." Secondary link: "Release selected holds (5)." If the user has not made any changes, this link is grayed out.

10 View Other Holds If a user's advisee has another hold that is managed by another advisor, the user cannot release that hold. The advisor that manages that hold is displayed.

11 Thesis/Dissertation Approval Portlet

User can sort by any column.

12 Decision User can Approve or Not Approve a thesis/dissertation.

13 Submit On click, confirmation message is displayed: "1 Thesis/Dissertation Approved, 1 Thesis/Dissertation Not Approved" Primary button: Close If the user has not made any changes yet, this button is grayed out.
