INTRODUCTION Backupify for Microsoft Office 365 provides businesses that use Microsoft Office 365 the benefits of a data backup, long-term retention, search, and restorability for their digital assets within their Microsoft Office 365 SaaS domain. Three times each day, Backupify for Office 365 identifies the most recently added and updated data, and copies that data to an encrypted archive in Datto’s high-availability storage cloud. Backupify provides access to the data in the backups via Backupify’s web interface.

This Document: Domain Administration for Backupify Enterprise Clients

This document reviews how a Microsoft Office 365 domain administrator may set up, monitor, and manage Backupify data protection for their Office 365 SaaS domain. These Backupify services are purchased directly from Backupify.

What Backupify for Microsoft Office Protects

Backupify for Microsoft Office 365 protects, for each user, data within these five Office 365 applications: Mail, Contacts, Calendar, OneDrive, and SharePoint. Backupify for Office 365 Backup Schedule

The Backupify backup schedule for Office 365 is fully automated and runs three times daily, within specified windows of time, for each service. The day's first backup run occurs between 12 AM and 8 AM, the second between 8 AM and 4 PM, and the third between 4 PM and 11:59 PM (EST). The schedule is not adjustable. For more details, see https://kb.datto.com/hc/en-us/articles/205017500 REF17.

On-Demand Backups

Backupify administrators can launch a Backupify backup on-demand by hovering over the NEXT SCHEDULED BACKUP time and clicking the resulting BACKUP NOW button. Running an on-demand backup will not affect the three regularly scheduled backups.

Support for Versioning

The Backupify for Office 365 service does have support for object versioning, but this capability is off by default and enabling is not possible through the user interface (UI). By default, Backupify for Office 365 ignores all multiple updates made to a file between Backupify backup points, except the file’s state at the time of the backup. To enable versioning, open a request with Backupify engineering, starting with HELP for Backupify.

PURCHASE, AUTHORIZATION, AND BASE SETUP OF BACKUPIFY FOR OFFICE 365 PROTECTION

Purchase, Authorization, and Base Setup for Backupify Office 365 Accounts

You are responsible for initiating the purchase of Backupify for Office 365, and and managing the recurring monthly expenses from Datto. You will also be responsible for the authorization and all of the user configuration. Your steps in this process are outlined in this section.

1. Practice “clean browsing”. ○ Open a new Google Chrome (or other supported browser) private window before proceeding.

2. Go to www.backupify.com . 3. Start a free trial foe Backupify.

○ Click the "TRY IT FREE" button.

i.

○ Next, In the 15-Day Backupify Trial window, enter your email address. It is important to use an email address associated with the domain or tenant you will be backing up. This will also be the account you will receive a confirmation email and account notifications.

○ Write down the trial code, and select START THE FREE TRIAL NOW!.

i.

4. Create the Backupify account for the new Backupify client.

○ At this time, Backupify is still uninformed of the name of the Office 365 domain to protect. ○ First, Select a product - in this case Office 365.

i.

○ Next, enter your name, and the administrative email for the backupify account. The Backupify admin email is your email, and is not to be confused with the new Backupify client’s Office 365 admin account. This password is for the (new) Backupify account - it is not the password for the administrator’s email on Microsoft Office 365. When completed, click On to Backupify!.

i. Changing (updating) this email username of the Backupify admin is a manual process that needs to be done by a Support representative. For more, see https://kb.datto.com/hc/en-us/articles/211726123 REF13 .

iii. 5. Identify the Office 365 domain to be protected, and authorize Backupify protection of that domain.

○ First, use the “Backupify” Microsoft Office 365 Login Page to enter the Office 365 Business administrator account credentials (described in REQUIREMENTS).

i. This Backupify customer must provide an administrator account on the Office 365 Domain; this account must have global administrator credentials. For more on this, see https://kb.datto.com/hc/en-us/articles/205017350 REF2 .

ii. Backupify uses the Office 365 administrator account name (the email address) to identify the Microsoft Office 365 domain that is being protected.

iii. Backupify does not store this Office 365 password. Backupify uses OAuth2. See https://kb.datto.com/hc/en-us/articles/211682523 REF11 .

○ Next, Backupify determines the Office 365 domain being protected via the admin email. ○ Next, Backupify will automatically use Microsoft/Azure APIs to send to Microsoft a request to access data within the

Microsoft Office 365 Domain for backup and recovery.

These APIs include (but are not limited to) the EWS API (for Exchange services ), the OneDrive API (for OneDrive and SharePoint 2013), and the Sharepoint API.

○ Next, you will be presented with the Service-Side Authorization Page where you will be presented with a checklist of Scopes for authorization (see https://kb.datto.com/hc/en-us/articles/210762646 REF6). Grant Backupify access to the domain’s data by clicking Accept. For a thorough list of the permissions required, see https://kb.datto.com/hc/en-us/articles/217913043 REF12.

○ The authorization is complete. You will be directed to the Backupify for Office 365 Dashboard for the new domain.

6. Add users. ○ Once you have granted Backupify access to the Office 365 domain during setup, Backupify will scan Active Directory

for all user accounts. ○ Next, you'll be adding users to the account via the Seat Management Page. Start by selecting the “USERS” icon on the

top menu bar. Read the section BACKUPIFY FOR OFFICE 365 USER MANAGEMENT. 7. Allow time for initial backups to complete.

○ The initial backup time varies depending on the number of seats, and quantity of data there is to protect. Remember, during this time, gigabytes or even terabytes of data is being migrated from the Microsoft Cloud to storage managed by Datto at another location.

8. Ending the trail and transitioning into a paid Backupify for Office 365 subscriber. ○ A Datto sales representative will contact you and/or your business with details on this subscription.

CONNECTING TO BACKUPIFY FOR ADMINISTRATION Backupify access is web-based. Once you have created your Backupify account, authorizes the Office 365 domain to allow protection services from Backupify (see PURCHASE, AUTHORIZATION, AND BASE SETUP OF BACKUPIFY FOR OFFICE 365 PROTECTION FOR YOUR BACKUPIFY CLIENT), log in by visiting https://sso.backupify.com/login and entering the Backupify admin account credentials.

All regions

1. Go to the Backupify login 2. Enter Backupify admin credentials for the Backupify client.

3. Log in with the Backupify administrative account credentials. 4. The Backupify for Office 365 Dashboard will open for that Backupify client.

● To reset the Backupify admin account password, click the ‘Forgot your password?’ link and instructions will be emailed to the

Backupify administrative account.

BACKUPIFY FOR OFFICE 365 USER MANAGEMENT Backupify for Office 365 can be utilized to protect all users in a Microsoft Office 365 domain, or on a per-seat basis. Users may be managed automatically with optional governance rules, or manually. This section reviews this user management.

Backupify takes up to 24 hours to recognize newly provisioned users.

Overview of user management

Once you have authenticated the Microsoft Office 365 domain during setup (reviewed in PURCHASE, AUTHORIZATION, AND BASE SETUP OF BACKUPIFY FOR OFFICE 365 PROTECTION FOR YOUR BACKUPIFY CLIENT), Backupify will scan Active Directory for all accounts. Based on the SEAT MANAGEMENT setting, Backupify will add all of the users automatically and initiate backup, or it will wait until you manually select which users are protected. Entering the Seat Management Dashboard

1. Connect to Backupify. 2. When first connecting to Backupify, the Office 365 Dashboard appears as shown below. A review of the Backupify for Office 365

Dashboard can be found in the next section.

○ 3. Click the Users button in the O365 header to begin managing your users.

○ 4. This brings you to the SEAT MANAGEMENT dashboard shown below. We see in this image that Auto-add status is ON.

How many seats are needed?

Each Backupify-protected user in the Office 365 domain uses one seat of the allotted (purchased) number of Backupify licenses. Regarding the pricing of Backupify, the more users in a domain, the greater the price discount is per seat of protection from Backupify. See https://kb.datto.com/hc/en-us/articles/210274886 REF15.

SharePoint is different from other seat-based services. SharePoint is not associated with a specific user so it will show the same data regardless of the user in the drop-down. Sharepoint is included by default with a Backupify Office 365 backup purchase.

Automated User Addition

Auto-Add Turned On: This option is available if the client wants the entire domain to be covered (Note: This will back up all users that occupy an Office 365 seat regardless if they have services disabled. This will also take up a license seat.) Auto-Add Turned Off: This option allows the customer to manually add which users they want to be backed up.

1. Go to the Seat Management Page, and select ENABLE.

i. 2. Confirm.

i. 3. When adding new users, allow time for initial backups to complete.

a. The initial backups may take one to several hours depending on the number of seats, and quantity of data there is to protect. Remember, during this time, gigabytes or even terabytes of data is being migrated from the Microsoft Cloud to Datto’s Cloud.

Manually Adding Users

You can also bulk-add users by clicking the Upload button to upload a .csv file with the new user's' email addresses. For details, see Adding users by CSV list .

the Auto-Add feature by clicking the Disable button. a. Doing so activates the Add and Remove Users sections, allowing you to adjust backups on an individual basis.

2. To add a user, scroll through the Add Users list - sorted alphabetically by last name - or use the search to find the person's name. Select as many users to add as necessary, then click the Back Up Selected Users button. Backupify will add the names to the queue and will begin backing them up shortly.

3. Backupify's database updates daily at midnight ET. If you hired a new employee that does not appear in the Add Users list, click the Refresh Users button to trigger an on-demand update of the database.

Removing Users

1. See https://kb.datto.com/hc/en-us/articles/204806574 REF10.If you need to remove a user from regular backups, find or search for the name in the Remove Users section, select it, and click Stop Backing Up Selected Users. Backupify will remove the user and stop backing up all data shortly.

2. Remember to export the data associated with any user you remove; see https://kb.datto.com/hc/en-us/articles/205017480 REF19. Backupify does not guarantee that the data from removed users will be available long-term.

Ignored Users

The option to upload a list of users to ignore within a CSV list file is located at the bottom of the SEAT MANAGEMENT page. This is useful when Automated User Addition is enabled for Backupify.

USING THE BACKUPIFY INTERFACE

The Backupify for Office 365 Dashboard

Once logged in, you will see your Backupify for Office 365 Dashboard (shown below).

A. At the top of the Backupify for Office 365 Dashboard is an Navigation Icon titled USERS, highlighted below. This is link to the

SEAT MANAGEMENT page. See the section BACKUPIFY FOR OFFICE 365 USER MANAGEMENT for a review of that page and topic. B. The Dashboard Search Box lets you search for users that have been backed up in order to manage their accounts. As you

begin typing, the system auto-suggests users that match. C. The Dashboard Account Summary provides a macro-level summary of the major activities that are happening in the system.

For example, “Backups in progress” shows the number of services being backed up. This is the total number of services, not unique users. For example, if there are 100 users being protected and 4 Office 365 services per user, that may be up to 400 possible concurrent backups in progress. Other reported data include the total number of restores and exports (see EXPORTING ITEMS) in progress.

D. The Dashboard Activity Feed provides a streaming view of events as they occur in the system. Since activities such as restores or exports can take a while to complete, the Activity Feed informs the user as they are kicked off or completed. In the case of exports, the Activity Feed also provides the link to the export .zip file.

Viewing Users and Items

Once you select a Office 365 user, you are brought to the USER ITEMS page for that user. Backupify for Office 365 displays the “items” for one Office 365 application at a time. Shown below, the initial app is OneDrive. On the left are OneDrive folders for the user, and on the right are items in current OneDrive folder for the user.

The top of the page contains a drop-down menu that allows you to switch between OneDrive, Contacts, Calendar, Mail, and SharePoint.

Shown below is the Office 365 mail app data for a user. Browse for an email using the folder structure in the left pane, or click the Search icon in the upper right to search on fields including keyword, recipient, sender, date range, subject, or if the email contains attachments.

Users can have multiple calendars, and you can search for calendar events by a number of fields including keyword, organizer, participant, date range, subject, or if the event contains attachments. Contacts include both individual contacts as well as contact lists. Search criteria include keyword, name, company name, job title department, email address, address, and phone number. For each type of view, you can click an item to view a brief summary. The summary also provides a link to preview the full message or event content. Note that the preview only displays text and images, and removes all styling.

RESTORING ITEMS When restoring items, you can select a specific item or multiple items items and restore them by clicking the Restore button. You can also restore all items for the user by leaving all items unchecked and clicking the Restore button. Restoring all is useful in the event that a user deleted the full contents of their mailbox, their calendar, or other system. For more details on Backupify for Microsoft Office 365 restores, see https://kb.datto.com/hc/en-us/articles/205017490 REF20.

The Backupify administrator is responsible for handling all data restore and export requests. At this time, individuals users in the Office 365 domain cannot request and process their own data restores. An Office 365 account currently can only have one Backupify admin account associated with it. An option for Backupify for Office 365 users to have more than one Backupify admin role is projected to be in a future release. See https://kb.datto.com/hc/en-us/articles/214236706 REF1 .

Restore Options

You can choose to restore selected items from the results list or all backed-up content. ● Restore all items by leaving all items unchecked and clicking Restore. This will restore the entire OneDrive, mailbox, calendar,

or contacts list for a user and is useful if a user deletes the full contents of the mailbox. ● Restore select items by checking the box next to the items you want to recover, then click Restore. ● Note that OneDrive files and SharePoint objects larger than 250MB must be exported (see EXPORTING ITEMS) rather than

restored.

How to Restore

1. Go to an open Backupify admin session, or Connect to Backupify to open a new session. 2. Open the items for a Backupify-protected Office 365 user, and then select the protected application from the menu (OneDrive,

Mail, etc..). 3. Select the items to restore.

○ 4. You’ll then be asked to confirm your restore. Click START RESTORE to start the process. Backupify will create a new folder for

the restored files to ensure that it does not overwrite existing content. This is true for both full and select restores.

○ 5. In the upper right corner you will see a status box that identifies that a restore has begun.

○ 6. When the content is restored, Backupify will create a folder titled (Backupify Restore DATE) with the date of the restore. This

is so that no current content gets overwritten by restored items. Backupify creates this folder for both specific and all restores.

OneDrive and SharePoint Restores OneDrive and SharePoint restores have only one limitation and that is that files must be less than 250MB to be restored. Larger files are still backed up safely, however, you must use the Export feature (see EXPORTING ITEMS) to recover them. Note the data can be restored by any user, but only the data they had permissions for.

OneDrive backups also store File Permissions. If you would like to restore these, you can toggle "Item Permissions Will be Restored" to on.

For an existing Backupify customer, only the files that have been backed up since 02/15/2017 will store ACLs.

Mail Restores When email records are restored, they will be restored to a top-level folder created by Backupify titled (Backupify Restore DATE) and then they will be nested in the folder that the record was last located in.

Calendar Restores

When calendar records are restored, they will be restored to a new calendar created by Backupify titled ‘calendar_name (Backupify Restore DATE)’; where calendar_name is the name of the calendar that the record originated from. Users can have multiple calendars in Office 365 so we do this to make sure the records restored also retain the calendar that they originally belonged to.

Restore Failures In some cases our restore jobs experience issues and we are not able to restore some of your records. Typically these are caused by transient issues communicating with Microsoft's APIs, internal Microsoft exceptions, or processing errors on the Backupify side. If such an error occurs then you should receive an email alerting you to the restore failure and how many records failed. If you have any records that fail to restore in a restore job then please contact Technical Support and we can re-run the restore of just those failed items.

EXPORTING ITEMS Exporting allows a Backupify administrator to store a secure package of an individual’s data outside of Office 365. For example, if an executive is leaving the company and the company wants to keep track of all the executive’s records, Backupify for Office 365 can export that executive’s correspondence, contact list, Calendar, and OneDrive files. Overview of How to Export

1. Connect to Backupify. 2. Select content to export, and then initiate the export

○ You can either select an individual item or multiple items to export by checking the items to export and then clicking the Export button. You can also export all items for the user in the given service by leaving all items unchecked and clicking Export. Exporting all items is useful in the event that you want, for example, to secure or archive the mailbox of a selected user, such as the company executive that is moving on.

i. 3. Download and extract the export.

○ Once your export has completed, you will be emailed a message that has a link to your dashboard. The export complete alert in the Activity Feed will have a button to download the service export. The file that you will download is a .zip file.

○ Backupify will export the mail content in MBOX format and place it in a .zip file. OneDrive content is also exported in .zip format. You can access the zip file from the Activity Feed on the Dashboard. Calendar exports are in iCal format. Contacts are in vCard format.

Office 365 Email Exports

When you export emails, they will be written to MBOX format. You will receive an MBOX file for each folder that is backed up. You can access MBOX formats with an email client like Thunderbird or converted with a third-party converter to a PST format.

Office 365 Calendar Exports

Calendar exports are exported as iCal format (ICS). Calendar exports can be accessed using a client like Outlook or Apple Calendar.

Office 365 OneDrive Exports

OneDrive files are exported to the .ZIP file in their original MS Office format (e.g., .docx, .xlsx). You can open the files with the relevant MS Office application.

Viewing the Account Activity Log

Backupify provides an Account Activity Log which contains all activities within the system. In the event that the system is not performing as expected or you need to engage with Datto Customer Support, they will typically request your activity log to help troubleshoot any issues you are facing. To view your Account Activity Log:

1. In the upper right corner of any screen, click the Settings icon > Account Settings.
