The Time & Attendance Workflow Process

Overview Your Time & Attendance module simplifies the job of collecting your employees’ time and attendance information and moving it quickly and accurately through the payroll process. The following illustration shows each stage of this process.

Stages and Descriptions The following table describes the stages of this process.

Step Action

1 After the new payroll cycle starts, employees enter their time data in the Time & Attendance module, and the timecard punches are collected. The application applies rounding rules, totals hours, calculates overtime, and highlights missed punches and other exceptions.

2 Managers or supervisors review and edit time information and generate reports. Managers can also approve time online, if your company is set up for this feature.

3 You close the pay period (so that no further entries can be made in the Time & Attendance module), adjust the payroll as necessary, create the files with pay data, and make them available to the Payroll module.

4 The Payroll practitioner receives the pay detail files in the Payroll module and submits the payroll to ADP.

5 ADP processes the payroll.

6 ADP sends the output; including checks, vouchers, and reports, to the Payroll practitioner who verifies the information and then starts a new payroll cycle in Payroll.

7 You can now move to a new pay period in your Time & Attendance module.

Editing Timecards

Overview Let’s assume that it is the beginning of the pay period and employees have entered their time data for the week. One of your more important tasks is to edit employees' timecards to make corrections on a daily basis.

What Are Timecard Exceptions? You generate a timecard exception when you attempt to process a timecard that does not meet certain expectations or requirements. Exceptions are a way of notifying you that timecard entries require user intervention before they can be processed.

Not all exceptions are generated by timecard errors. Some exceptions are triggered by application rules set up during implementation.

Examples The timecard is missing hours.

The timecard is missing clock in or clock out time.

The employee has clocked out early or late.

The number of hours in the schedule does not match the number of hours worked.

The timecard is missing supervisor approval.

The Timecard Manager Page

Elements and Descriptions

Element Description

Pay Date Range fields Indicate the period of time for which information is currently being displayed and allows you to change the time period. You can select a predefined range (such as Previous Pay Period or Current Pay Period) using the list selections or you can specify a User-Defined Date Range.

Lookup button When clicked, opens a pop-up window that displays all of the available values for the field. For example, to locate an employee record, click the icon and select the name from the list that displays.

Processing symbols Convey information about each entry. For example, the green checkmark indicates you processed a task was processed successfully. Refer to Online Help for a list of processing symbols and their meanings.

Entry fields Display clock in and clock out times and/or the total hours worked.

Adding Missed Punches to Correct a Time Pair Error Job Aid

Instructions

Step Action

1 Access Timecard Manager.

On the Role Selector, select Practitioner.

Point to Time & Attendance and select Timecards.

2 If the desired employee timecard does not display, on the Timecard Manager page (Single Employee View), beside the Find field, click Lookup. Then select the employee from the list.

Result: The Timecard Manager page displays the timecard for the employee you have selected.

3 In the row with the missing punch, in the Time In field, right-click the punch and select Insert Time.

Result: The time automatically moves over to the Time Out field in the same row.

4 In the Time In field, enter the time the employee returned from lunch and press Tab.

5 If necessary, make any other edits to the employee's timecard and then click Save.

Adding Missed Time Out and Time In Punches Job Aid

Step Action

1 In the row with the missing punch, in the Time Out field, enter the time the employee left for lunch or left at the end of the day.

2 In that same row, click the Insert (+) button.

Result: A blank row is inserted for that day.

3 In the second row for that day, in the Time In field, enter the time the employee returned from lunch.

4 In the Time Out field, enter the time the employee left for the day and press Tab.

5 If necessary, make other edits to the employee's timecard and then click Save.

Deleting Punches Job Aid

Instructions

Step Action

1 In the first row for the day, in the Time Out field, right-click the time and select Delete Time.

Result: The time from the second row moves into the Time Out field in the first row, replacing the incorrect time in the first row. The red highlighting in the second row and the X in the processing symbols column marks the row for deletion.

2 Click Save and then click OK.

Result: The second row for the incorrect time pair is removed, along with the Error symbol. The Unprocessed symbol displays in the updated rows and the “Operation Successful” message displays.

Practice: Editing Punches

Overview The following practice consists of a two-part scenario that allows you to apply the knowledge you just learned. Read both parts of the scenario and follow the instructions from the job aids in this course.

Scenario – Part 1 Frank punched in on the first Thursday of the time period at 8:54 a.m. Then, forgetting that he had already punched in, he punched in again five minutes later. This duplication created a time pair error. As a result, when he punched out at 5:02 p.m., he created a second row in error.

Delete Frank's 8:59 a.m. punch for that day. Do not save your changes at this point.

Scenario – Part 2 On the second Tuesday of the current time period, Frank Cavallo punched in at 9:58 a.m. He punched out for lunch and at the end of the day, but he forgot to punch in after lunch. His normal schedule is 10:00 a.m. to 4:00 p.m. with a half-hour lunch. You need to add a 12:30 p.m. lunch punch-in time to account for his missing punch and complete his shift for the day.

When completed, save your changes.

When completing Part 2, remember to press Tab after you enter the punch.

Editing Nonwork Time for Hours-Based Employees Job Aid

1 Navigate to the employee’s timecard.

2 In the timecard, correct the number of hours worked.

3 Add a row by clicking the Insert (+) icon and record the number of hours the employee was sick.

4 In that same row, to display the Lookup button, click in the Earnings Code field.

5 Click the Lookup button and then click the appropriate earnings code.

6 Click the Note button and, in the Note window, enter your note.

Result: The row where you are adding the note is highlighted. Once you enter the note, the employee can view it.

7 Click Done.

Result: The Note button is now green with writing on it to indicate the entry of the note. After you save the timecard, the button will change to yellow but will still show writing.

8 Click Save.

Result: The Unprocessed symbol displays in the row with the hours that you have edited. After the application processes your changes by applying your company’s pay rules, the Unprocessed symbol is replaced with a Processed symbol.

2 In the row for the day that requires editing for nonwork time, in the Hours column, enter the correct number of hours that the employee generally works.

3 Click in the Earnings Code field to display the list of earnings codes and select the appropriate code.

4 Click the Note button and, in the Note window, enter your notes.

Result: The row where you are adding the note is highlighted. Once you enter a note, the employee can view it.

5 Click Done.

Result: The Note button is now green with writing on it to indicate the entry of the note. After you save the timecard, the button will change to yellow but will still show writing.

6 Click Save.

Fixing Exceptions

Overview You can find timecard exceptions in two ways: by employee and by type of exception. You can locate exceptions by type and employee in Manager view. You switch to Manager view because, typically, managers edit timecards with exceptions. However, depending on your role, you may complete this task or a manager may need help, may not be available, or may assign this task to you.

To find exceptions related to an individual employee's timecard, you need to display a list of exceptions by employee.

Explore: Locating Exceptions by Employee

Solutions and Descriptions

Solution Description

Approve Marks the time pair as approved and removes the exception from the time pair and from the exceptions summary.

Note Indicates that you are aware of the exception but does not change the condition that caused the exception. This is a common solution for low-severity exceptions. The exception is stored for future reference but no longer displays in the exceptions summary. This solution is irreversible.

Use schedule Resolves the exception by applying the employee's schedule to the time pair. This solution is common to exceptions caused by missing punches, incorrect time punches, or total hours.

This option is available only if a schedule exists for the employee. The employee's schedule displays in parentheses to the right of the exception description so that you can evaluate the effect of applying the schedule to the employee's time pair.

No solution Resolves the exceptions that cannot be resolved using automatic solutions. To resolve these exceptions, click the time pair link to open Timecard Manager. On this page, you can edit or delete the time pair as needed.

Fixing Exceptions by Type Job Aid

Instructions

Step Action

1 Access the Exceptions by Type summary.

On the Role Selector, select Manager.

Point to Time & Attendance and select Home.

2 Click View by Type.

Result: A list of the number of exception types displays.

3 Click the exception type you want to view and correct.

Result: A list of employees with that exception type displays.

4 Make changes to resolve the timecard error.

5 Click Save.

Result: The timecard exception has been resolved, and it no longer displays in the list of exceptions.

6 To return to the list of exception types, click Timecard Exceptions.

7 Repeat steps 3 through 6 until you have resolved all of the exceptions.

Practice: Editing Hours and Fixing Exceptions by Type

Overview The following practice allows you to apply the knowledge you just learned. Read the scenarios and follow the instructions using the job aids in this course.

Scenario 1 Thomas Evers took a last-minute half vacation day on the first Thursday of the current pay period. Account for the half day worked and the half vacation day. Assign the vacation earnings code to the four hours on Thomas's timecard for the half day and create a note indicating that it was a last-minute decision.

For the purposes of this practice, locate Thomas’s timecard by using the Lookup button.

Save your changes.

Scenario 2 You want to locate only those timecards with exceptions, so you can correct them. You need to switch to Manager view to view exceptions by type.

First, locate Missing Out Punch exceptions. You remembered that Mary Macgill left in a rush one day and forgot to clock out when she left at 5:00 p.m. You need to resolve her missed out punch by entering the 5:00 p.m. time.

Next, locate Zero Hours on Time Pair exceptions. You notice that two employees have timecards with this type of exception. For the purposes of this practice, just correct Raul Martinez’s time pair exception. Raul clocked in at 8:45 a.m. one day and then accidentally punched in again, resulting in a Zero Hours on Time Pair exception. You need to resolve this exception by entering Raul’s correct clock out time of 4:45 p.m.

Save your changes.

End-of-Period Tasks

Overview At the end of the pay period, you perform a series of tasks to close the pay period. These tasks include:

Locking the payroll cycle to prevent further changes

Correcting any critical errors

Generating reports

Preparing an export file to be used in your Payroll module

Moving to the next pay period

Option Description

Step-by-Step This validation process stops at each task, and you must click Next Step to proceed.

Automatically The application runs through the same validation process as the Step-by-Step method; however, instead of stopping at every task, it stops only if exceptions are found that require your attention.

You can then fix the exception, and the process will continue automatically.

Steps 1 and 2 — Check for Pending Events and Payroll-Related Exceptions Job Aid

Instructions

Step Action

1 In the Practitioner role, access the End of Period page.

Note: Only active payroll cycles display on the End of Period page. Contact your ADP representative to request that a payroll cycle be made inactive, which will prevent it from being used.

2 In the Run End of Period column, click Automatically.

Result: The steps display on the left side of the page and the first step launches automatically.

3 If any pending events or payroll-related exceptions occur, follow the instructions on the screen. Then, restart the end-of-period tasks.

Important Information Approval policies vary from one company to another. This optional task may not be available if your company does not require approvals.

Note: All pending time-off requests for the selected pay period will be cancelled if they are not resolved prior to closing the pay period.

Step 3 — Check Time Pair Exceptions Job Aid

Scenario You are running end-of-period operations, and an employee's timecard shows timecard exceptions. The supervisor is not available to fix the timecard, so you must resolve the exceptions.

Instructions

Step Action

1 In the list, select All Supervisors on All Pages and click Notify.

Result: An e-mail message is sent to the selected supervisor(s), and a confirmation message displays.

2 In the Edit Time Pair column, click the pencil icon.

Result: The Timecard for Employee with Exceptions page displays.

3 To open the employee's timecard for this entry, in the Time column, click the link with the error.

4 Correct the error.

5 Click Save & Calculate.

Result: The invalid or missing entries are replaced with the new entries. The timecard is updated, and the hours are recalculated. The Processed without Errors icon displays in the selected row.

Note: To update the record, you need to recalculate the hours. Save & Calculate is used effectively here.

6 Click End of Period Operations.

7 If your company requires supervisor approvals, in the Solution field, select Approve and click Submit.

8 Click Restart Check Time Pair Exceptions.

Note: You must correct any additional error exceptions before you can complete the remaining end-of-period tasks.

9 Click Run Automatically.

Result: The application automatically locks the payroll cycle.

Performing Payroll Export Job Aid

Overview Running reports ensures that employees are paid correctly. Before creating the payroll export file, run the following reports (if applicable):

The Posting Transaction Error Report lists punch errors that were made but not imported into employee timecards. This report is available only if your employees use time clocks to enter their time.

The Payroll Detail Report lists the total hours and earnings codes charged to each employee.

Instructions: Step 6 – Check Payroll Export and Run Reports

Step Action

1 On the Check Payroll Export page, click Access Reports to Run Payroll/Timecard Reports.

Result: The Reports page displays.

Note: If you have edited this report before, you can access it from the My Reports section.

2 In the Name column, click Administrator Reports.

Result: The Administrator Reports page displays.

3 Next to the Payroll Detail Report, click the View Report icon.

Result: The report opens as a PDF file.

4 Close the report, and then close the Reports page to continue.

Important Information If you see any discrepancies on the Payroll Detail report, click Previous Step. Then, click Unlock Pay Cycle, make edits as needed, and start the end-of-period tasks again by clicking step 1.

Instructions: Create the Payroll Export File

Step Action

1 Click Run Payroll Export.

Result: The New Export page displays.

2 In the description field, enter a name for the export file.

3 In the list, select a predefined export template.

Result: The template name displays.

4 Enter a Time & Attendance user ID or e-mail address (optional).

5 Click Submit.

Result: The Exports page and a confirmation message display. In the Export Status column, the Unprocessed symbol displays while the export file is being created.

6 To refresh the page, click Refresh.

Result: The Exports page is refreshed. In the Status column, the Processed without Errors symbol displays.

Instructions: Upload the Payroll Export File

Step Action

1 Click the Upload icon to the left of the name of the export file.

Result: A pop-up window displays asking if you want to continue with the upload.

2 Click OK.

Result: In the Export Status column, the Waiting for Acknowledgement symbol displays.

3 Click Refresh.

Result: The Exports page is refreshed. In the Export Status column, the Processed without Errors (green check mark) symbol displays.

Transmitting the Payroll and Verifying Checks

Starting a New Pay Period

Overview Once you complete your end-of-period tasks and submit the payroll, you are ready to move to the next pay period.

Step 7 – Move to the Next Pay Period Job Aid

1 Access the Time & Attendance > End of Period page.

2 Depending on the mode of operation, click Automatically for the locked payroll cycle.

Result: The end-of-period tasks begin to run automatically and stop at the last task if no exceptions or errors are found. At the last task, the Move to Next Period page displays.

3 Select Required.

4 Click Move to Next Period.

This step is irreversible!

Result: The pay status changes to Move Pending.

5 Click Refresh.

Note: The application may take a few minutes to process the information.

Result: The pay status changes to Open, and the current period reflects the new payroll cycle dates.
