    Organization and Planning

    Definition

    Organization and Planning allows you to establish and maintain comprehensive models of anorganization in the system. These models, called organizational plans, may includeorganizational structures, various types of reporting structures (chains of command), jobclassifications, individual position assignments, task assignments, as well as othersupplementary information

    Organizational plans respond dynamically to time-related events, so rather than being a staticrecord, they present a fluid view of an organization. Once information is established, it is possibleto experiment and plan for future developments with great detail. Statuses may be applied toinformation, allowing you to represent actual versus planning-stage situations. You can alsomaintain a number of organizational plans, with each representing different scenarios. Reportsare able to extract information according to time-sensitive and status-sensitive criteria.

    Information established in Organization and Planning forms the basis for all Personnel Planning

    and Development components.

    Purpose

    SAPphone integrates telephony functions in R/3 applications. This allows data to beexchanged between computer and telephone processes. The telephone functions are linkedvia the R/3 GUI and are supplied with data from the R/3 System.

    Users can choose a person in an R/3 application directly and establish the telephoneconnection. When an inbound call is received, the system either displays the caller data orlaunches a predefined R/3 application. Users can also enter notes during the call or edit tasksin an R/3 application.

    The objective of SAPphone is to merge telephone and onscreen work, thereby integratingtelephony more closely in day-to-day activities. SAPphone is intended for both office staffand telephone support staff in call centers.

    Integration

    As a Basis component, SAPphone is designed to be used as a cross-application module.SAPphone functions can be integrated in transactions, reports, and workflow processes in everyR/3 application.

    The following areas support outbound calls:

    Controlling (head of cost center)

    Application management (applicants and employees)

    Support for Sales and Distribution (contacts and visitors)

    Foreign trade (export licensors)

    SAP Retail (suppliers)

    Treasury Management (business partners)

    Money market and foreign exchange (parties to contracts)

    Real estate management (business partners)

    SAP Business Workflow (enhanced user decision and integration of the Initiate callstep as awork item in the workflow)

    Business Workplace (sender and creator of message)

    EDI (persons responsible for and parties to IDocs)

    The following areas support both outbound and inbound calls:

    Service Management (parties to service messages)

    Inventory Management (parties to Inventory Management messages)

    Quality Management (parties to quality messages)

    Sales and Distribution support also supports Predictive Dialingfor telephone campaigns.

    Integration of SAPphone in further application areas is also planned.

    Features

    Basic Functions

    SAPphone allows users to perform telephone functions by clicking the mouse. The following

    basic functions are supported by SAPphone:

    Initiating outbound calls

    Terminating calls

    Displaying inbound calls

    Attaching notes to calls.

    The importance of integration between R/3 applications and telephone processes is illustrated bythe following functions:

    Branching to an application when an inbound call is received

    Identifying callers

    Providing caller information stored in R/3

    Storing unanswered calls with callback function

    Linking calls to documents from the Business Workplace

    Integrating calls in SAP Business Workflow

    Using telephone calls to start workflows

    Call Center Functions

    The following functions for connecting to the Call Center Systems are supported via theCustomer Interaction Center [Ext.] (CIC).

    Telephony control and work modes [Ext.] (for example, registering in and deregistering froma queue, conference calls and transferring calls)

    Support of predictive dialing for efficient processing of lists of telephone numbers (forexample, when conducting a telephone campaign).

    Implementation Considerations

    SAP introduced the ABAP Development Workbench for the development of its business-wideclient/server applications.

    Customers can use ABAP Development Workbench tools to adapt and enhance SAPs standardbusiness applications.

    The ABAP Development Workbench can also be used to develop new software projects whichare integrated into the R/3 System.

    Integration

    The ABAP Development Workbench is a fully integrated part of the R/3 System. Its tools aretransactions within the R/3 System which allow you to change objects in the R/3 Repository. TheRepository is a part of the database assigned to the R/3 System itself which contains no

    application data.

    The following are some important R/3 Repository object types:

    Data model objects

    Data types and table structures for the ABAP Dictionary.

    ABAP programs

    Screens and user interfaces

    Reusable functions

    Classes for ABAP objects

    Language-specific texts such as help texts, documentation and error messages.

    Features

    The ABAP Development Workbench contains the following tools which you can use to edit R/3Repository objects:

    DATA MODELER for creating data models

    ABAP Dictionary for creating database tables

    ABAP Editor for editing ABAP programs

    Screen Painter and Menu Painter for designing user dialogs

    Implementation Considerations

    The ABAP Dictionary is the central information store for application and system data. The ABAPDictionary does not contain the data itself, but describes it from a logical point of view.

    Integration

    The ABAP Dictionary is an active dictionary and is fully integrated with the rest of the tools in theABAP Development Workbench. Information which you enter in the ABAP Dictionary isimmediately available in the whole system.

    Features

    The ABAP Dictionary tool in the ABAP Development Workbench allows you to edit and createdata types, data structures and views.

    Within the ABAP Development Workbench, the ABAP Dictionary is the only way in which you cancreate and change database tables.

    Features

    This component comprises SAP programs which allow you to create customer enhancements atspecific points in the system.

    At various points in their applications, SAP developers have provided opportunities for customersto add their own enhancements using the tools in this component.

    Constraints

    Release 4.0 sees the introduction of the new Modification Assistant. This tool, fully integrated intothe ABAP Development Workbench, makes it easier to carry out release upgrades if you havemodified SAP standard Repository objects, In the longer term, the Modification Assistant willreplace the objects in the customer enhancement component.

    Purpose

    Implementation Considerations

    Logical databases are reusable objects in the ABAP Development Workbench which are used inABAP Query and ABAP programs.

    Integration

    Logical databases are themselves ABAP programs consisting of a series of subroutines. Queriesand stand-alone ABAP programs (reports) can be linked to logical databases, giving them accessto their functions.

    Features

    Logical databases provide a pre-defined access path to hierarchically structured relationaldatabase tables. When you use a logical database, it generates a selection screen, reads datafrom database tables and makes the data available to the Query or ABAP program.

    Constraints

    You use Transaction SLDB to create and maintain logical databases. Before creating a logicaldatabase, you should check to see whether one has already been supplied by SAP which servesthe same purpose. Maintaining your own logical databases is not easy, and those supplied by

    SAP have been optimized in every way.

    Purpose

    SAPoffice is the R/3 System's electronic mail and file system.

    The mail system can be used to send documents internally (to other SAP users in the samesystem) and externally (to non-SAP users or SAP users in another R/3 system), e.g. via Internet,fax, or X.400.

    Documents are managed in folders in hierarchical folder structures. A difference is madebetween private folders and shared folders.

    Implementation Considerations

    SAPoffice is part of your R/3 System and does not need to be selected separately. SAP office isinstalled automatically. Specific settings can then be made directly within SAPofficeadministration.

    Purpose

    SAP ArchiveLink is a high-performance cross-application tool which acts as a communicationinterface between R/3 application components and optical archiving systems.

    SAP ArchiveLink is therefore an enhancement to standard SAP application software.

    Implementation Considerations

    This component needs to be selected whenever documents, e.g. inbound and outbounddocuments, print lists, archiving files or binary files, which are used in an R/3 application requireoptical archiving. You can find a description of SAP ArchiveLink and a summary of the existingSAP ArchiveLink scenarios for R/3 applications in the online documentation.

    SAP Business Workflow

    Purpose

    SAP Business Workflowcan be used to define business processes that are not yet mapped inthe R/3 System. These may be simple release or approval procedures, or more complexbusiness processes such as creating a material master and the associated coordination of thedepartments involved. SAP Business Workflow is particularly suitable for situations in which workprocesses have to be run through repeatedly, or situations in which the business processrequires the involvement of a large number of agents in a specific sequence.

    You can also use SAP Business Workflowto respond to errors and exceptions in other, existingbusiness processes. You can start a workflow when predefined events occur, for example anevent can be triggered if particular errors are found during an automatic check.

    SAP provides several workflows that map predefined business processes. These workflows donot require much implementation. For an overview of these SAP workflows, refer to WorkflowScenarios in Applications [Ext.].

    Integration

    SAP Business Workflowuses the existing transactions and functions of the R/3 System and doesnot change the functions. You can combine the existing functions of the R/3 System to form newbusiness processes with SAP Business Workflow. The workflow system takes over control of thebusiness processes. If you are already using SAP Organizational Management, you can use theorganizational structure created there to have the relevant agents carry out the individualactivities. It is possible to have an activity carried out by a position. This ensures that therespective occupiers of the position can carry out the individual activities during execution of theworkflow. This means that personnel changes in your organization are taken into accountimmediately in the execution of a workflow.

    FeaturesSAP Business Workflowprovides a number of tools for defining and analyzing workflows as wellas for monitoring operation.

    The Workflow Builderis for displaying and making changes to workflows. You can make smallextensions directly to the original workflows supplied by SAP, such as carrying out your ownagent assignments or changing deadline monitoring.

    There are several Workflow Wizards to support you in the definition of workflows, with which youcan create specific parts of a workflow. The Workflow Wizard Explorergives you an overviewof the existing Workflow Wizards.

    In order to make the functions of the R/3 Systems available to a workflow, you use businessobjects, which you can define and analyze in the Business Object Builder. These business

    objects are made available to the workflow in reusable tasks. The Business Wizard Explorergives you an overview of all existing tasks.

    The end user receives information about the activities they are to carry out in theirBusinessWorkplace. This provides them with a central overview of all the activities that they areauthorized to carry out. They can commence the activities from here.

    Several tools are available to the workflow system administrator, with which they can control andanalyze the current workflows. The workflow system administrator is notified of problems

    Structural Graphics allows you to present information from Personnel Planning and Developmentin a graphical format, using hierarchical structures. A graphical display particularly suitsPersonnel Planning and Development since information in this area tends to be hierarchical innature, with many interrelationships among different pieces of information. It is also possible toedit information while working in a graphical display.
