Automating paper processes signifi- cantly reduces administrative and physical storage costs, while sharing of electronic copies of paper docu- ments eliminates dependence on interoffice mail, couriers, or regular mail. Providing simple, structured doc- ument capture, processing, and rout- ing workflows, KYOcapture — which is driven by NSi’s AutoStore — provides a single platform which enables com- panies to easily and seamlessly cap- ture, process and route information directly from the control panel of the MFP. Device-independent in nature, KYOcapture captures both hardcopy and electronic (e.g., Word, PDF, and XLS files) documents through multiple sources including MFPs, digital copiers and scanners, e-mail, desktops, wire- less devices, and fax equipment from various manufacturers. Captured documents are recognized, tracked, and indexed — individually or in batches. Capture can be as simple as a basic scan to file task, to more complex tasks including barcode recognition and key metadata field population at the Kyocera MFP touch screen routed directly to new or exist- ing customer databases. Following capture, documents can be processed through a wide range of Best Workflow Management Application Kyocera KYOcapture Administrators utilize an easy-to-use interface to design workflows within KYOcapture.

image enhancement and editing toolsincluding OCR, despeckling, deskew-ing, and much more before the finalstage of the process is undertaken.

The final stage in the KYOcaptureworkflow process involves the routingof the captured and processed docu-ment to multiple final destinations.Documents can be routed to numer-ous content repositories or businessapplications, databases, and e-mailsystems. Tight integration with docu-ment management systems helps con-solidate and streamline captureprocesses into a single action process.

One set of capture workflows can bedefined for all document and contenttypes, both easing administrativerequirements and reducing the userlearning curve. Alternatively,KYOcapture can be set up to automati-cally capture and archive content sentto a particular e-mail address (POP3 orSMTP) or polled/monitored directory.

The application is fully integrated andcertified with Documentum D5 andApplicationXtender, Domino.doc,SharePoint Portal Server,Hummingbird, iManage, OpenTextLiveLink, Lotus Notes/Domino, andExchange. Also featured is the ability tosend documents to multiple documentmanagement applications, networkfolders, printers, and fax services.

While KYOcapture’s open architecturemeans that it can be used with anyscanning input device, Kyocera hasworked closely with NSi to create amuch richer marriage between thehardware and software elements.

The first key differentiator betweenKYOcapture and some the other

MFP/AutoStore solu-tions is a result of thestrong bidirectionalinterface. This bidi-rectional capabilityallows the wizard-likedevice interface to berefreshed as userwalks through thedevice panel. Thisenables KyoceraMFP devices to becapable of interacting with the applica-tion while in use, allowing:

1. Server level validation of thedevice panel interaction

2. A dynamic menu definition for theusers and the way they walk throughthe wizard-like interface; and

3. Allows applications to directly inter-act with the device without takingCPU time on the device.

A second key differentiator ofKYOcapture is its ability to make greatuse of the range of local databasesthat house users, private contact list,public email address books, and PCaddresses. KYOcapture has madegreat use of the interfaces into thesedatabases to integrate them directlywith Lotus Notes Public AddressBooks or Microsoft Exchange GlobalAddress List. Even further distinctionwas built by Kyocera that enablestheir users to synchronize their privatecontacts from Notes or Exchange intothe device.

In summary these capabilities enable:

• Public Email Synchronization: veryvaluable for remote devices thatneed updated Public email

• Private user contact list synchroniza-

tion: very valuable for offices whereusers have private contacts for send-ing emails

• Device propagation which allowsone device to be primary/masterdevice and other devices to be sec-ondary: valuable to keep devices insync automatically

• Device grouping which allows adevice to be grouped by organiza-tional definitions (defined in ActiveDirectory) so that various users cansee their own set of capabilities with-in their own devices

• Authentication directly with ActiveDirectory/LDAP/Novell directoriesfrom the panel.
