JOB DESCRIPTION Job Title: Facilities Management – Maintenance Supervisor Responsible to: Operations Manager Hours: This role is shift based and the hours will vary dependent on the college needs, the contract will be for a 40-hour week. A general shift will be between 8-9 hours with a 1-hour unpaid lunch break. Working Days: Flexibility is required to support the college’s hours of operations (5:00am to 22:00pm Monday to Friday at the latest and Saturday 7:00am to 16:00pm) with occasional overtime and Sunday openings required. Salary: £26,000 Introduction: The job description which follows incorporates the collegiate, collaborative and individual duties of the job holder at the time of issue and will be reviewed regularly to reflect any changes Main purpose: The college’s facilities need to be managed closely and proactively in order to ensure a safe, presentable and working operating environment for students, staff and visitors. This is a core role within the Facilities Management team with a specific responsibility for managing the maintenance of the site. This is not a desk-based role and the post holder is expected to familiarise themselves with the college environment, internally and externally. They are expected to get to know the regular staff who work during their hours and to check the identity of those staff who are working outside of their usual hours. They should alert senior staff to any concerns they have including lone working, safety within the grounds, on the premises, intruders etc. MAINTENANCE SUPERVISOR DUTIES: Open up / close and lock the building as required (dependent on shift) Take a lead role in managing incidents or emergencies whilst on shift Work closely with other members of the Facilities Management team and cover their duties as required, from time to time in absences and shift patterns

MAINTENANCE SUPERVISOR DUTIES:

their duties as required, from time to time in absences and shift patterns Liaise with external contractors in relation to the maintenance in particular in

relation to regular servicing for assets such as air-conditioning, boilers / heating, electrical faults / failures, access control and CCTV maintenance and faults (liaising with the Reception team as needed), lifts and theatre seating / moveable walls etc.

Ensuring that the premises is well presented and that any snags, repairs or decorating requirements are handled, in communication with the Operations Manager preparing quotes / tenders as needed with the preferred suppliers

Be the first port of call for emergency skilled issues within the college e.g. plumbing, mechanical, electrical etc. during shift

Ensure proactive checks are carried out regularly in relation to the whole site to include internally and externally, all fixtures, fittings, assets, cleanliness etc. working with the Grounds Supervisor and Premises Supervisor to ensure this is done at least daily

Work with the Facilities Management team to ensure the frequent task schedules are carried out on time and as required, reporting any issues as soon as possible to the Operations Manager

Carry out asset tagging and tracking working closely with the Finance Team to ensure applicable assets are managed effectively

Act as a Fire Warden with the option of being trained as a First Aider for the college

Ensure the building complies with all health, safety & wellness and safeguarding policies Report any health and safety or safeguarding concerns to the appropriate

colleague Report to the Operations Manager on a regular basis in relation to maintenance and ad-hoc

tasks as part of the overall team requirement to upkeep the grounds and buildings, attend regular team meetings to update and share progress, raise concerns/issues

Co-ordinate the delivery and collection of music instruments within the local area using the college-owned vehicles

Carry out regular checks to ensure the college vehicles are roadworthy and clean Act as part of a call-tree for intruder alarms / alerts of other issues as part of the service

provided by external key holding and monitoring companies There may be a requirement from time to time to cover morning / day cleaner shifts (in

short notice absence) There will be an opportunity for training and development in this role to suit the continuing

needs of the college and to ensure cover in the absence of the rest of the Facilities Management team.

RECEPTION COVER:

From time to time, there may be a requirement to cover reception for appropriate breaks and emergencies:

Covering the switchboard, greeting visitors and contractors and ensuring the sign-in / out and fire safety information is shared

Handling cash/card payments for music lessons, instrument hire and printing credit for students and ensuring these are logged appropriately for financial purposes

Being the first point of contact for students, staff and visitors throughout the cover

Ensure adults and visitors have been escorted to the correct waiting / holding areas until such time as they are collected by their host or they leave the premises

PERSONAL QUALITIES & PROFESSIONAL SKILLS:

Excellent team player who is also able to work independently Proactive and uses own intuition in day to day practice Previous experience within facilities management is essential Basic qualifications in electrical, plumbing and carpentry desired although not

essential Full, clean driving licence may be required Moderate Microsoft Skills to include Excel, Word and Outlook
