    MEMBERSHIP AND CONSTITUTION OF THE B

    The appointment must be confirmed by the issuance of letters of appointment.

    Letters of appointment must be delivered to the persons concerned.

    Appointed members are required to attend Board meetings.

    The Board must ensure that the Secretary duly registers it with the Registrar od EducationInstitutions.

    Each time there is a change in members of the BOG (i.e. after election of office bearers forat AGM), names of new Board members are to be submitted for registration.

    The principal shall be the ex-officio member of the Board. He/She will be the Secretary of tBoard.

    No member of the staff of the school shall be appointed as a member of the Board.

    The term of office of a member shall not exceed 3 years.

    Members of the Board may be reappointed upon expiry of term of office.

    Any member who is absent from 3 consecutive meetings without approval of the Board, shcease to be a member.

    MEETINGS

    The Board is to meet at least

    three (3) times a year.

    Meetings are to be convened bythe Secretary on the advice ofthe Chairman by not giving not

    less than 14 days notice settingout the agenda for the meeting

    Additional meetings may beheld at the request of the

    Chairman or at the request in

    writing by any 3 members of theBoard.

    At a meeting, no decision shallbe taken on any matter not

    included in the Agenda unlessallowed on grounds of urgencyand such a decision shall not bebinding unless confirmed at the

    next meeting.

    Every decision shall be taken byvotes of the members presentat the meeting (the Chairmanshall have a second or casting

    vote in the case of equal split of

    votes.

    A secret ballot may be taken atmeetings if requested for by

    any member.

    Board members need to be clear aboutthe purpose of the Board and equippedwith some knowledge and skills.

    The Board shall, with the Agreement of the Mission Authority,determine the use to which the premises may be put to outsidedesignated school hours for activities compatible with theethos and traditions of the Institution.

    The Mission Authority has the right to the continued use of

    non-educational buildings. The Board can play a role in ensuringthat the school does not encroach into non-educationalbuilding.

    New Board members and principals should be briefed onsections that are non-educational and should draw up aschedule that defines the premises and property that has beenmade available for use of the school.

    The Board has the right to refuse the use of premises for any

    purpose deemed incompatible with character, ideals, traditions& essential identity. The Board should be kept informed of any intention to use the

    schools premises after school hours for purposes other thanwhat is indicated in the school calendar.

    Should the use of such buildings by the school be deemednecessary, permission has to be sought from the MissionAuthority.

    STUDENT AND STAFF WELFARE

    The Board is responsible for the welfare and generalprogress of the school, the students and the teachingand non-teaching staff but shall not interfere in internaldiscipline and running of the school.

    The interests of the school may be looked into by:

    Providing a forum for and servicing the welfare andgeneral progress of the school.

    Assisting and complementing efforts of the school inmeeting the material needs of pupils.

    Providing support and assistance to families ofstudents who have suffered some form of tragedy ortrauma.

    Caring and providing for the marginalized in theschool population.

    The Board can consider working with the alumni toset up a trust fund, scholarships/bursaries for poorstudents, etc.

    The Members of the Board need to:

    Participate in school activities fDay, Sports Day, Speech Day, anschool functions including retioccasions with the invitations exAuthority to develop good relaand non-teaching staff.

    SUMMARY The BOG is set up to manage and govern the school in accordance to the visio

    founding missionaries.

    The BOG has a crucial role to play in taking the mission schools forward.

    The BOG needs to meet regularly (at least once every 4 months), to have a preand to continue to be an influence in the school through collaboration with theschool administration.

    The BOG must ensure its Instrument of Government is in place and send noticmeeting and minutes of meetings to the Mission Authority and to the RegistraSchools.

    The BOG needs the support of the alumni to ensure the ethos and traditions aalive.

    The BOG needs to open a bank account to operate private funds from use of spremises. The funds are to be operated by the Secretary (i.e Principal) with apof the Board. The Chairman and either the Secretary or one other representatthe Mission Authority shall be the signatories of the account.
