ACCEPTING YOUR OFFER

Accepting your offer at BA ISAGO is an easy process. Whether you have a full letter of offer to study at BA ISAGO University or a conditional letter of offer, we have outlined five easy steps to assist you in preparation for university study life in Gaborone, Botswana.

FIVE STEPS TO ACCEPTING YOUR OFFER:

STEP 1: UNDERSTAND YOUR LETTER OF OFFER

Read your letter of offer and all the information provided. If you have received a conditional letter of offer, you must fulfill the condition(s) stated.You must provide evidence that you have met all condition(s) outlined in your letter of offer, prior to or at the time of acceptance. If you do not provide this evidence, Students will not be eligible to proceed with enrolment or study permit application.The type of evidence you must submit depends on the condition(s) as listed on your letter of offer. Examplesinclude:• Official or certified copies of

academic transcripts• Completion letters or certificates• Certified copy of passport/birth

certificate

STEP 2: ACCEPT YOUR OFFERORGANISE YOUR PAPERWORK AND PAYMENT

Depending on your country of citizenship you may need to show that you are eligible to apply for a study permit, before returning the following documents to the University or one of BA ISAGO’s registered agents;

• Complete and sign the application form

• Pay application fees and attach proof of payment.

• Offer letter from BA ISAGO.• Complete and sign the International

Student Acceptance Form.• Provide documents showing that

you have met the condition(s) (if any) indicated on your letter of offer.

• Provide a attested copy of your personal details pages in your passport.

• Provide evidence of tuition fee payment .You can pay your deposit using one of the payment methods below, details are outlined in the International Student Acceptance.

• Provide evidence of BOMAID International Student Scheme Health Cover. For more information see the BOMAID International Student Scheme Health Cover section.

• Proof of accommodation booking.

On receipt of the above, BA ISAGO will:

• Ensure all condition(s) of the letter of offer (if any) have been met

• Issue you directly or through your agent an Admission Letter electronically.

• Provide you with information on how you can inform the University of your arrival, request for airport pick up and arrange temporary accommodation at students cost.( accommodation to be finalised before coming)

STEP 3: APPLY FOR YOUR VISA

Upon receipt of your Admission letter, you should proceed with your study permit application at Botswana High Commission or Consulate.

STEP 4: PREPARE FOR YOUR DEPARTURE

Make your travel arrangements, inform the University of your expected arrival and book your airport pick up and temporary accommodation if required.

STEP 5: ARRIVE AND BEGIN YOUR STUDY JOURNEY

Arrive in Gaborone, attend the international student orientation and begin your academic journey.

To accept the offer and obtain your Admissions Letter, you must complete the tasks in the below list; leave enough time for the high commission to grant you study permit; and arrive on time for commencement of classes.

• Ensure you have read and understood your letter of offer

• Have documents available showing that you have met the condition(s) of your letter of offer (if any)

• Complete and sign the International Student Acceptance Form

• Photocopy your personal details page from your passport

• Arrange payment for relevant tuition fee deposit and Bomaid International student scheme health cover fee.

• If paying by bank draft ensure you have included your student ID number, full name and contact phone number on the back of

each bank draft .

• If paying by telegraphic transfer ensure you send the proof of payment by email given in the acceptance form.

• Provide a copy of the sponsorship statement/financial guarantee letter if you are receiving a scholarship or sponsorship from your home country (if applicable)

• If you will be under the age of 18 years when the programme commences, complete the Under 18 Declaration form (refer to Student Visa Information section)

• If you are applying to BA ISAGO from within Botswana, please provide a copy of your current Botswana visa.

Once the University receives your completed acceptance form and documentation including payment, an Admissions Letter will be issued. It may take 48 hours for the University to issue an Admissions Letter depending on how quickly the payment can be cleared and the processing priority.

You will need the Admissions Letter to lodge a study permit application at the Botswana High Commission or Consulate that you nominated on the International Student Acceptance Form.

As a student of BA ISAGO University, you are required to pay international student fees for your programme of study. This includes mandatory fees such as application fees semester registration fee, library fee, tuition fee, International levy. Students are required to pay exam fee and membership fee only where applicable. The indicative semester tuition fee for a particular programme is based upon the standard full time enrolment load of 10-12 modules / year. The amount to be paid, therefore, depends upon your programme of study and your enrolment load. Should you overload or underload, your fees will be increased or decreased accordingly. After your first semester, the University invoices you (or your sponsor) each semester according to you enrolment load in that semester.

BA ISAGO University reserves the right to annually adjust programme tuition fees to take into account increases in university and programme delivery costs. Changes to tuition fees will be applied at the beginning of each Academic year which starts 1st July. Programme fees will be approved by Board in the year prior to the fee increase commencement. Once approved, the programme fees will be posted on July 1 each year. In the event of variation between the fees on the letter of offer and the approved university schedule of fees, the approved schedule will prevail. Programme tuition fees are invoiced on a semester basis based on the enrolled load for that particular semester. If your fees are not paid when they are due, the University will cancel your enrolment or bar you from sitting for final examinations. If your enrolment is cancelled you are no longer permitted to participate in teaching, learning or assessments of any university programme. The University is required to inform Department of Immigration and Citizenship DIAC that you no longer meet your study permit requirements.

The Botswana Government requires all international students to have medical aid or health insurance. International student Scheme health cover helps pay for medical care you may need when you are studying in Botswana. You will need evidence that you have health cover before you obtain your Botswana study permit.

BA ISAGO’s preferred provider is BOMAID International student Scheme. If you choose to insure with BOMAID health cover through the University, you will be required to pay for BOMAID cover for the semester at the time of admission. The total fee for BOMAID health cover is quoted in your letter of offer ($54 Per Month). The University will disclose your relevant personal details to BOMAID for registering your Health cover.

Health insurance is your responsibility and current cover must be maintained by students for the duration of your stay in Botswana.

The admission, progression, assessment and graduation rules in a programme are governed by relevant academic programme rules. Refer to the Academic Programme Rules of your programme published in the Student handbook .

ACADEMIC PROGRAMME RULES

International student must satisfy the Botswana Immigration requirements before arriving for study. Upon receipt of the admission letter, students are advised to check with Botswana embassies in their countries if they need a visa to enter Botswana. The Visa and Study Permit application process can be lengthy, taking anywhere from a few weeks up to two months to be granted.

Requirements for a visa application: 1. Fully completed immigration

VISA & STUDY PERMIT

INFORMATION

If you wish to defer commencement to a date not specified on your letter of offer, or would like to change your study programme, advise BA ISAGO Admissions Office of your preferred intake date by submitting withdrawal or Deferment form.

Note: Not all programmes are available for the next intake. Please ensure you check with the Admissions Office.

STUDY PERMITApplication for a study permit will be processed only after admission and proof of registration at BA ISAGO University. Please note that Botswana does not issue a Study Permit, therefore your residence permit is your study permit. Requirements for a study permit application: 1. Copy of admission Letter2. Copy of sponsorship letter3. Two passport photos4. Pages of a passport that contain

passport number date of birth, expiry date of a passport. certified

5. Copy of birth certificate -certified6. Payment of P1,500.00 charged for

Immigration services7. Letter from Admissions office.• Emergency travel documents will

not be accepted when processing a residence permit, only a valid

passport will be accepted.• It is advisable to bring certified

copies of the above documents with you when travelling to avoid delays and paying fee for certifying.

• Students are responsible for maintaining the validity of their study permit throughout their stay in Botswana

• The Admissions Office will assist all international students with the application of a study permit after registration.

Breakfast and lunch is sold at the University Cafeteria at a nominal rate. However, there are supermarket which can be easily accessed for the students’ daily needs.

BA ISAGO University does not provide any accommodation but facilitate all international students to find safe and secure accommodation within the vicinity of the University.

The University works with preferred Real Estate agents to find the accommodation of your choice and budget. In the Acceptance form, you must indicate if you wish University to facilitate in looking for accommodation. Inform the University of you preference. [email protected]@baisago.ac.bw

STUDENT ACCOMMODATION

BA ISAGO University is situated in the heart of the Gaborone City. It is easily accessible from any major road by all forms of local transport. Common form of public transport is Combi or Taxi. Combi transport is the cheapest as it is shared transport whereas taxi charges are costly.

LOCAL TRANSPORT

FOOD AND BASIC NECESSITIES

As a condition of your study permit, you must provide BA ISAGO University with your current Botswana address and contact details as soon as you are permanently settled in Gaborone. You must also advise BA ISAGO University of any changes to your address and contact details within seven days of any change. This is a mandatory condition of your Study permit. Failure to notify BA ISAGO of a change of address may result in the cancellation of your study permit.

Students who have prior qualifications previously studied, can apply for credit or module exemptions. You must include certified copies of transcripts, certificates and the syllabus from your previous study programme to get exemptions. You need to fill up exemption form. If you are granted credit and this changes the duration of your programme, BA ISAGO University will issue you with a new Admissions Letter. This will notify Imigration office that your programme has been shortened in duration.

CREDIT FOR PRIOR LEARNING

As an international student you are obliged to complete your programme within the expected duration outlined on your Admission letter, so you must maintain a full-time load wherever possible. You can only reduce your study load in exceptional circumstances, or if it will not change your programme duration. You can overload your studies only if this is approved by your Faculty and if they believe it will not harm your programme progress.

TAKING A REDUCED STUDY LOAD OR OVERLOAD

If required, BA ISAGO University can help you to extend your visa and study permit in Botswana. The University can only extend admissions duration in limited circumstances, such as where you need to repeat a few units of study, you have a compassionate reason for not completing in the expected duration, or if you have made unsatisfactory progress and an intervention strategy leads to a change in programme duration. You should contact Administration office for an application to extend your admission letter in a current programme of study. You must apply for an extension at least six weeks before your visa or study permit expires, and allow at least one week for the University to process the application. When you renew your study permit, Immigration Office will require that you submit your admission extension letter and your academic transcripts. Note: fees are subject to change.

VISA AND STUDY PERMIT EXTENSIONS

You cannot change to another education institution during the first six months of your programme without first notifying BA ISAGO University. If you wish to transfer to another education provider, you will need to apply for withdrawal from BA ISAGO University and supply a letter of offer from the new institution. You need to fill up a withdrawal form. Changing your provider may affect your study permit, so students are advised to contact Department of Immigration & Citizenshipship for advice in this situation.

BA ISAGO University is committed to the responsible collection and handling of your personal information in accordance with all relevant national legislation. The personal information collected by the University will be used for the purposes of assessing and processing your application. Your personal information may be disclosed to State Agencies such as the Department of Education, Labour and Home Affairs, the Department of Immigration and Citizenship and regulatory body pursuant to reporting obligations under applicable legislation. Your personal information will also be disclosed to your health care provider Your information will not be disclosed to other third parties without your consent. You have a right to access personal information that BA ISAGO University holds about you.

USE OF PERSONAL INFORMATION

When you sign the International Student Acceptance form, you accept the offer of a place at BA ISAGO University and enter into a written agreement or a contract, with the University. The three parts of the written agreement are the letter of offer or conditional letter of offer and the International Student Acceptance form. The University cannot accept your tuition fees until you (or your parent or legal guardian if you are under 18 years of age) has signed the International Student Acceptance form and the form has been received by BA ISAGO University either before payment or at the same time.

You may only defer the start date of your programme, or take a leave of absence if you have approval from the University. A request to defer or suspend your enrolment will only be granted in limited compassionate or compelling circumstances. These include for e.g. if you are ill or injured, you are suffering a bereavement, or you are involved in a traumatic experience. BA ISAGO will normally expect to see evidence to support your reasons.

The University may decide to suspend or cancel your enrolment in the following circumstances:

• You do not pay your tuition fees• Your school or faculty suspend

or exclude you for unsatisfactory progress

• You are suspended or excluded for disciplinary reasons resulting from misbehaviour If the University decides to suspend or cancel your enrolment you will be given an opportunity to appeal our decision. The University is obliged to notify Government departments if your enrolment is suspended or cancelled, which may have an effect on your visa and study permit. Students in this situation

are advised to contact DIAC for advice.

In the event that BA ISAGO is unable to deliver the programme or have changed the programme you have accepted, we will let you know in writing and inform you of your rights and options. In the event that a programme has changed and replaced by another with similar content you will be given a new letter of offer for that programme.

CANCELLATION OF PROGRAMME

For many students this will be your first opportunity to live in another country. You may feel excited as well as a little nervous of what to expect. Botswana by better preparing yourself. FACILITIES, EQUIPMENT AND LEARNING RESOURCES

At BA ISAGO, our academics are focused on optimising your learning experience. Our teaching staff will use a number of innovative delivery methods to promote your understanding of your chosen programme. While you are studying with us you will have the opportunity to participate in a variety of lectures, tutorials, laboratory and studio sessions, group work, cross discipline projects, case studies, practical sessions, discussion groups and individual research projects, depending on the programme you choose.

BA ISAGO students are encouraged to participate in culturally diverse study groups and to take responsibility for their own learning. Much of your success will depend on your commitment to developing a mature and self directed learning style.

In addition, your programme may require you to gain work experience in practical settings. Many programmes include online references and resources to ensure that you have access to a wide range of up-todate information in your unit of study areas.

HIGHER EDUCATION LECTURESLectures are designed to help you better understand the topic you are studying. Your lecturer summarises the main points of the topic and introduces other related areas. You are expected to attend all lectures, and you are encouraged to take notes during the lectures. Lecture notes prepared by the lecturer may also be emailed to you upon request. Ask your lecturer if you can audio tape the lecture sessions. This enables you to summarise and prepare your own notes if you have missed out any importantpoints.

TUTORIALS AND CLASSESThese usually run in conjunction with the lectures. They are much smaller groups and enable you to address any questions that you may have during the actual lectures. Group work is very common in tutorials and classes, where everybody in the team is expected to contribute equally as marks are equally distributed to the group members.

The purpose of this policy is to augment the policies and to establish the policies and procedures of BA ISAGO University concerning the fees All fees/costs are generated by the Finance Division and approved by the Board of Directors.

The Fee Policy contains the Rules and Regulations for fee payment and is subject to the following conditions:

1. Change without prior notice. 2. All applicable Fees are payable

before Registration. 3. All Fees are in Botswana Pula

(BWP) unless otherwise stated. 4. Fees are expected to increase

at an average rate of 10 percent every year.

5. Both full-time and part-time programmes are offered subject to minimum number of students.

6. The University College reserves the right to cancel classes.

The following provide BA ISAGO University obligations and commitments towards the fees payable and regulations and procedures for financial management and control.

1. The contract to study at BAISAGO, which forms part of the registration process, signed by the student and/or his/her guardian/sponsor,

legally binds the student to pay the full tuition fees for a particular period as determined by BAISAGO.

2. The student's liability is not affected nor reduced through ignorance on the part of the student (or his/her principle) regarding the rules and regulations of BAISAGO or of the invalidity of his/her registration in terms of the said rules and regulations.

3. By Signing and submitting the Registration Form, the student accepts responsibility for the payment of all prescribed fees.

4. A student shall not be allowed to re-register before the financial obligations of the previous semester have been met in full.

5. It is the responsibility of the student to ensure that the relevant steps are taken to validate his/her account for omitted module(s) and to report it to the Admissions Officer before the closing date for registration.

6. Should a student not attend lectures and fails to give prior written notice of cancellation before the cancellation deadline, such a student will be held liable for payment of all tuition fees for the full study period and shall not be refunded under any circumstances.

7. Students attending classes for which they are not registered will be identified by way of class lists

and will be responsible for the full payment calculated on the fees applicable to the specific subject.

8. If BAISAGO's Academic Affairs Board temporarily or permanently suspends a student's privileges as a student, or temporarily or permanently suspends admission as a student, such a student forfeits all rights regarding the refunding, reduction or exemption of fees paid or payable to BAISAGO.

9. A change in the degree/diploma/certificate programme and/or individual programmes for which a student has enrolled for, may result in a change in tuition fees. It is the student's responsibility to ensure that all changes are reflected correctly on his/her account before the closing date for registration.

10.Students will be refused admittance to examinations and will not be allowed to participate in the graduation ceremony unless all outstanding financial obligations have been met in full.

11. The academic records and examination results of all students who fail to settle their accounts by the payment dates will not be released. Certificate/Diploma/Degree certificates will not be released until all outstanding financial obligations have been met in full.

12. Student accounts are sent to the sponsor/address provided by the student as guardian for account purposes. It is the responsibility of the student to forward such accounts to the person/party responsible for payment thereof if not him/herself.

13.BA ISAGO University is committed to setting up an endowment fund and commits to being ready to pay a refundable security deposit

14.Student accounts overdue by 120 days will be forwarded to BAISAGO’s external debt collection agents.

15.BAISAGO reserves the right to claim interest on arrear amounts at the prescribed prevailing interest rates.

International student fees will be determined by the country of residence of the student. The Southern African Development Community (SADC) students (including Namibia, Angola, Mozambique, Malawi, Swaziland, Lesotho, Madagascar, Zimbabwe, Zambia, South Africa, Mauritius, Seychelles, and Tanzania) will pay local fees plus a levy. International students from outside the SADC will be charged US dollar fees. Please refer to International Student Fee Schedule.

Always state your name & student reference number on the deposit slip. Without reference number your payment cannot be accepted. A deposit slip must be submitted to finance after a deposit is made to ensure that it is processed to the right account. It is the responsibility of a student to make sure that all payments are credited to his/her account.

PAYMENT OPTIONSInternational Students are required to pay all fees upon registration at the beginning of the semester. The fees will consist of:

SPONSORSHIP PAYMENTSA letter of authority on an official company letterhead is required prior to registration when a sponsor grants financial assistance in respect of student fees. Sponsored students will be exempted from the initial deposits, provided that such letter meets the requirements of BA ISAGO.

Sponsorship Conditions1. The letter of authority confirming

the sponsorship amount is subject to the approval of BA ISAGO.

2. The sponsor’s commitment must be specified in the confirmation letter. • The confirmation letters must

indicate that the payments will be made directly to BA ISAGO, not to the student.

• The letter must contain the student number.

3. Re-registration is subject to the full settlement of the account balance prior to registration and no extension for payment will be granted.

4. BA ISAGO signed Student Application Form forms the basis of a contract between BA ISAGO and the student/parent/guardian. Student/parent/guardian will be held liable for the full balance on the account should the sponsor fail to pay the account.

5. Statements will be sent to both sponsors and students, provided that the student’s account address is not similar to that of the sponsor.

6. Transactions excluded from the sponsorship will be the responsibility of the student and is payable by the deadline dates.

7. It is the ultimate responsibility of the student to communicate the fees due to the sponsor.

Written consent of the sponsor is required in the event of an overpayment before an application for a refund in the name of the student can be considered. No refunds will be made available to students unless the account has been fully settled and reflects a credit balance.

REFUND POLICY

Cancellation of StudiesAny student wishing to apply for a refund for their studies at BA ISAGO, shall notify the Admission Officer in writing of the withdrawal. Telephonic or verbal cancellations cannot be accepted.

Cancellation Conditions1. Only written cancellations directed

to and received by the Admissions Office will be valid.

2. The cancellation instruction must be dated and signed by the student.

3. The date on which BA ISAGO receives the cancellation will be deemed as the official cancellation date, not the date of the cancellation letter.

4. Should a student fail to attend classes and neglect to submit a written cancellation before the deadline dates, the student will be liable for payment of fees for all registered modules.

5. After the termination of studies by a student, the full outstanding balance will immediately become due and payable and BA ISAGO will exercise the right to take the necessary steps to recover the full outstanding balance.

Change of Programme/Programmes/Modules

Any difference in study fees resulting from change in programme/programme/module maybe refunded to the student if it is done before the stipulated deadline as per the College calendar. The following will be considered:

1. Only written requests for changes directed to and received by the Admissions Office will be relevant

2. The change instruction must be dated and signed by the student.

3. The date on which BA ISAGO receives the change request will be deemed as the official change request date, not the date of the letter as such.

4. Students will not qualify for any credit should they neglect to submit a change request by the stipulated deadline dates.

5. Students remain liable for the registration fees and late enrollment fees (where applicable).

6. Should a student fail to attend classes and neglect to submit a written change request before the deadline dates, the student will be liable for payment of fees for all registered modules.

Refunds for OverpaymentsRefunds can only be requested in the case of an overpayment on the student’s account if the account reflects a credit balance.

Refund Conditions

1. All overpayment refund requests must to be referred ONLY to the Finance Office.

2. Deposits made by students can only be refunded to the student after payment from the sponsor is received, provided that the amount claimed does not exceed the available credit on the account.

3. For payments made by parties other than the student, written consent from the payer is required before the refund request can be considered.

4. A request for a refund, indicating the forwarding address, must be in writing and / or signed by the applicant.

5. A minimum of 14 days is required for processing and 21 days with respect to International students.

6. Cheque payments (excluding bank guaranteed payments) are subject to a 14-day clearance period before a refund application can be processed.

7. The original receipt is required for payments made via BA ISAGO’s bank account.

8. No refunds will be processed until after the official registration period.

9. The year-end closing date for refund requests must be done two week before the University College closes for the December vacation.

10.All refund cheques issued by BA ISAGO are not transferable and cannot be exchanged for cash. The cheque must be paid into the bank account of the beneficiary.

CORRESPONDENCE

1. All students are required to provide postal address details of the addressee which could be self/guardian/sponsor. Correspondence sent by BA ISAGO will be deemed received by the addressee.

2. As BA ISAGO cannot guarantee the delivery of mail sent, BA ISAGO does not accept responsibility for incorrect addresses resulting in the non-delivery of a mailed account.

3. The student/guardian/sponsor may contact BA ISAGO Finance Department for any enquires.

4. It is the responsibility of the student to make enquiries should he/she not receive an account.

5. As required by law, BA ISAGO must be notified in writing within 14 days of any address changes and students should specifically indicate to which addresses the changes apply.

6. Statements are sent to the account address as provided by the student. The account address refers to the student’s OWN address and it is NOT the sponsor’s or employer’s address. For recipients of a sponsorship, BA ISAGO requires an official confirmation letter of the sponsorship/employer before the student will be able to register.

7. Sponsor’s address details are recorded separately. The student’s account address should, therefore, not be the same as that of the sponsor. It is important that the student at times, is informed of

the status of his/her account to validate registration details for omitted or erroneous subjects, etc. Statements are sent, one directed to the student’s address and a copy to the sponsor’s address. If the account address of the student is the same as the sponsor’s address, both copies will go to the sponsor.
