Subject: 2014 Citizens Awards
Contact: Janet Proctor, Manager, Festivals and Special Events Office
Overview:
• In previous years, the Citizens Awards Ceremony took place on two evenings; the Sports Achievement Ceremony was held in April at the Powerade Centre and the Arts, Inspirational and Long Term Service Ceremony was held at the Rose Theatre in May.
• Through the 2014 Citizens Award nomination process, there has been a significant decline in nominations.
• As result of this decline and the reduced number of expected attendees, there is an opportunity to merge both events and have one ceremony at the Rose Theatre in May.
• City Council is required to approve the list of award recipients, as recommended by the Citizens Awards Selection Committee.
Recommendations:
1. That the report from Janet Proctor, Manager, Festivals and Special Events Office, dated February 25, 2015, to the City Council meeting of March 25, 2015, re: 2014 Citizens Awards, be received;
2. That the merger of the Sports Achievement and the Arts, Inspirational and Long Term Service ceremonies be approved;
3. That the list of award recipients as recommended by the 2014 Citizens Awards Selection Committee, as shown in Appendix A "2014 Citizens Awards Recipients" be approved; and
4. That the Director, Strategic and Enterprise Services, be authorized to execute, on behalf of the City, all agreements, contracts and related documentation, as may be required to deliver the Citizens Awards Event program outlined in this Report, and that such agreements, contracts and related documentation shall be with a content satisfactory to the Chief Operating Officeror Manager, Festivals and Special Events and in a form satisfactory to the City Solicitor.
Background:
Since 1974, the City of Brampton has been proud to offer a recognition program for outstanding citizens in the community who have made achievements in the areas of Sports, Arts Acclaim, Inspirational Acts and Long Term Community Service, known as the Citizens Awards.
The Citizens Awards program honours residents over two ceremonies, the Sports Achievement Ceremony, held typically in April at the Powerade Centre and the Arts, Inspirational and Long Term Service Ceremony, typically held in May at the Rose Theatre.
In a Community Services Committee Report presented on December 8, 2004, the recommended Citizens Awards recipient names were to be presented in an annual Report to Council, for approval by City Council, before the recipients are notified of their achievement. The recommended Citizens Awards recipients are determined by the Citizens Awards Selection Committee.
Current Situation:
Through the 2014 nomination process staff has identified a significant decline in nominations for the Citizens Awards program. Extensive marketing initiatives were completed prior to the November 30,2014 deadline which included:
• Hardcopy nomination forms sent to all municipal buildings and community liaisons
• Front page title on the City of Brampton website • Media release
• Brampton Guardian matte story • Email to an extensive list of community/sport organizations
Proposed merger of Sports and Arts. Inspirational and Long Term Service Awards
The 2014 Citizens Awards program has experienced a decline in annual nominations, specifically in the area of Sports Achievement. For budget efficiencies, staff recommends the merger of the Sports Achievement ceremony and the Arts, Inspirational and Long Term Service ceremony into one event. This one day ceremony would be held on Wednesday, May 20 at the Rose Theatre to accommodate the anticipated number of 2014 Citizens Awards recipients and their guests.
MZ-l-3
The merge of the two ceremonies should be considered for the 2014 Citizens Awards program on a one-time basis, as the number of nominations could increase in 2015 and a single venue would not be able to accommodate all of the attendees.
Proposed Event Format Changes
The proposed changes to the merge of the Sports and Arts, Inspirational and Long Term Service Awards include:
• Combining both ceremonies into one evening at the Rose Theatre • Introducing a registration system for recipients at the pre-reception • Staggering the Sports Achievement awards throughout the Arts, Inspirational and
Long Term Service awards during the ceremony • Adding a visual element, with the recipients/team names and award categories
on a projection screen when recipients are onstage.
Further details can be found in Appendix B "2014 Citizens Awards Sports Achievement and Long Term Service Awards Event Plan".
