Bunnings BBQ Note that these notes must be read in conjunction with the Bunnings agreement which has a copy supplied with the BBQ BBQ coordinator organises supplies If out of stuff, go to Foodland in the shopping centre (crn. Bridge and McIntyre roads) and buy what is needed using money from the cashbox. Put dockets in cash box. If you run out of gas, go to entry (security) counter and ask that another be connected) .Bin liners are in the box. Rubbish must be taken away All workers are required to wear closed footwear. We usual-ly wear club shirts.

Set Up

Equipment is at the front , near the door Put up gazebo Put out bin. Turn on gas at cylinder and light under the plate with the long lighter (in the box) if the piezo does not work. Chalk on board for club details and price etc. Gloves for food handlers, serviettes etc. are in the storage box and all food handlers are required to use them.

Afterwards

Fold gazebo, pack BBQ & return to “home” spot Clear out rubbish which has to be taken away. Clean BBQ plate. Be very particular because there have been complaints Wipe down surfaces etc. Repack the boxes. Leave table until last because it is easier

and cleaner on top of the BBQ Wash utensils and put back into the storage box for the next cook. Hot water available from Bunnings canteen. Unscrew fat holder clean tube and empty fat collector. Access to Lions Shed

Traditionally all members had a key to the shed but since Golden Grove High put in a security fence, changes have been made.

Only one set of keys to the security gates have been allowed by the school and we must respect this condition. It is believed that these are master keys which can only be cut by locksmiths after identification and justification has been established. Similarly, we must also respect their policy of no smoking or alcohol on the premises.

One key fits the padlock on the chains put across to prevent access to the oval and to the gates which gives access to the shed. This access is only need for vehicular entry.

Our own shed has our own key which all mem-bers used to keep. It is of no use to retain this policy because Lions cannot get to the shed without the securi-ty gate key.

If you do not need vehicular access, there is a smaller security gate near the shed. The easiest entry is from the “Park and Ride” park (near the hockey ground) and walk to the small gate.

Entry to Dame Roma Mitchell hall via electronic keys held by President and Vice President. These need “recharging” at regular intervals.

If you need access during school hours, it is es-sential that you report to the front office to be registered

Spectacles

The spectacles are collected from various sources. A number of members have regular contact with opticians and arrange to col-lect spectacles which are stored in the shed.

When there are enough, the spectacles chairperson organizes a working bee to pack the spectacles and then send them to a depot in QLD. Cases are not required (to reduce bulk and weight) so these are disposed of. If we can find someone who wants cases, they are given away.

At present, sunglasses are taken as well as prescription spec-tacles.

Spectacles need to be packed for posting. Bubble packing or similar is used. We usually cut a strip of bubble wrap the width of spectacles and roll up the spectacles inside, then tape the roll to pre-vent it unravelling. At present we ask anyone who has bubble pack-ing to save it for us. Post offices have bubble packing but we have to pay for it. Sealing tape, cake boxes, packing etc. is stored on the steel shelving by the shed doors.

When the boxes are packed, they need a freepost sticker with the address and taken to a post office. As we often have a lot, it is best that the cartons are taken to a suitable place. At present, we use Salisbury South Business Centre, Rundle Rd. This post office has trolleys and trailer access for the larger loads.

Recycling We collect deposit containers as a fund raiser. Please encourage friends and relative who may put them out in the recycling bin to collect for us. If you do not enough room at home to store your collection, con-tainers may be left in the Lions Shed at Golden Grove High. At present, we use the recycling centre on Greenwith Road. These people are open from 8:30 am. until 5 pm. every day. This centre is not only local but quickly sorts a trailer load so we do not have to wait long. As the sorting section is under cover, weather presents no problems but those on trailer duty might like to take a poly-tarp to cover cardboard containers with bottles etc. if it is raining. Pay-ment is made in cash on the spot. Tips

Crushed cans and PET (plastic) containers take up much less room.

Strong containers such as poly bags are best for storage as many rubbish bags and cardboard cartons come apart after a few months in storage. Bags will be returned to the shed after a recycling centre visit.

If you have lots (more than a car boot full) arrangements can be made for a trailer pick up from your home.

Don’t forget tetra packs such as flavored milk also have a 10c. Deposit.

Don’t bother with wine bottles as we get nothing for them

Storage and management of stock The Cake Chairman is responsible for the safe storage of the stock on hand and for recording detail of stock on hand, cakes issued and sales to ensure that a reasonable control of this valuable club asset is maintained. A basic MS Excel worksheet can be used for this. Cakes returned from retail outlets are to be checked for condition and those with the shortest shelf life stored at the top of the stock pile so that they are the first to be sold. The FIFO (first in first out) principle applies. Cakes must be stored in a cool, dry, vermin free place. Ordering of Cakes The initial order of cakes should be based on existing stock on hand and sales achieved during the previous Christmas period. The club profits will be maximised by sending full payment for the or-ders wherever possible. The manual provided by the District Cake Chairman will give de-tails of how to order cakes. Selling of Cakes Cakes that have exceeded the ‘best by’ date are not to be sold under any circumstance. To avoid any losses through cakes exceeding the ‘best by’ dates, sale of carry over stock needs to be carefully managed by either:

a. Selling carry over stock to members through the ‘off’ season OR

b. Using the carry over stock first at the cake stall conducted at the Village Shopping Centre OR Used for donations, e.g. Meals on Wheels Winding Up During January the Cake Chairman needs to contact members who have taken cakes to place at retail outlets to:

DUTIES OF CLUB YOUTH CHARIMAN

The Youth portfolio potentially involves at least four sepa-rate Lions youth projects: Youth of the Year, Youth Ex-change, Quest Skills and Leo Clubs. Our club tries to take part annually in Youth of the Year (YOTY) and has been involved in Youth Exchange (YE). The Youth Chairman is advised to become familiar with these two and to be, at least, aware of the overall nature of the others. Inform District Coordinator that GG Lions intend to partici-pate.

Youth of the Year – What to Do

1. Become familiar with the overall structure and for-

mat of this project. A manual for running the club level is available on www.liondclubs.org/YOTY and a chairman should print this for guidance.

2. Organise and Chair the club final/level – due to be completed by the end of February each year. This will require you to:

a. Gain candidates from the local high schools – preferably year 12 in either the past or the current year but year 11 students are ac-ceptable.

i. This will involve liaison with school personnel, having the students com-plete a copy of the ‘Contestant Entry Form’ and possibly discussion with parents.

b. Gain three(3) judges who are not Lions members and familiarise them with the quest format – give them copies of the “Guide to Judges” sheet. They will require copies of each contestant’s ‘Contestant Entry Form’ and will need time to prepare impromptu and general knowledge questions prior to the interview session.

c. Organise and run the two (2) segments that comprise the quest format

i. The Interview Session usually held at a member’s home, the Sunday prior to the second session, the pub-lic speaking.

ii. The Public Speaking Session nor-mally held as part of the dinner meeting – has always been February, but can be earlier. This session should be chaired by the club Youth Chairman or a willing, delegated club member.

d. Purchase Prizes/Gifts for contestants and judges and ensure that official YOTY certifi-cates of participation and thanks are ready for presentation at the conclusion of the Pub-lic Speaking session.

e. Ensure that the ‘Winner Notification Form’ is completed and forwarded, together with the original copy of the winner’s ‘Contestant Entry Form’ to the Region Chairman, in time for the Region Final.

3. It is important to recognise that this is an overview only and the successful running of this project re-quires attention to the finer detail associated with each of the above tasks. Much assistance is available from the above-mentioned manual and the District chairman.

Youth Exchange – What to Do

1. Details of this project are available on the Lions

Web site at www.lionsclubs.org/youthexchange and from the district Youth Exchange chairman.

2. Outward Exchange – when we sponsor an eligible

young person to either a participating overseas coun-try or interstate. Outward exchanges usually occur in the summer school holidays.

a. Obtain an eligible young person to repre-sent our club, Lions and our country.

b. Complete all the necessary paper work to ensure our nominee is accepted, insured and can pay the necessary financial obligations for travelling to the receiving country/interstate location.

c. Ensure that the student attends the Youth Exchange seminar that is held prior to depar-ture.

d. Discuss and agree on the level of support that the club is prepared to offer our spon-sored young person. This usually can take the form of some or all of the following, de-pending on a club’s financial position:

i. Provision of Australiana material (kangaroo/koala badges, Australian flags, badges, etc.) and club banner-ettes.

ii. Provision of the Youth Exchange blazer.

iii. Provision of domestic airfares to the exit international airport.

e. Ensure that club member(s) farewell our sponsored young person and also welcome them home at their return.

f. It would be expected that the young person would attend at least one meeting prior to departure to meet the club members and also on their return, to address the club on their experiences.

3. Inward Exchange

g. In this case, the club agrees to host an in-

coming young person from overseas or inter-state – usually a period of approximately 3 weeks in either June/July or December/January.

h. A Club member would most likely volun-teer to provide the accommodation in his/her home for this person but the club would ex-pect that, as this is a whole club project, the task of providing experiences/activities for him/her would be shared.

i. The exchangee would be met at the airport and also transported back there at the end of the stay.

j. The club would expect him/her to attend at least one club meeting to address us on his/her country, experiences so far and to pre-sent bannerettes, etc. on behalf of the spon-soring Lions Club. We would also be ex-pected to reciprocate with out bannerette, etc.

Quest Skills and Leo Clubs

Our club has limited participation in these youth projects. If the decision were made to do so, advice and guidance would have to be sought from the appropriate district chairman. Quest Skills is the sponsorship of a one-day course for teach-ers, to train them to incorporate appropriate life skills into their courses with a view to enhancing positive student atti-tudes to peers, family and study. Leo Clubs are Lions-Clubs sponsored service clubs for com-munity oriented young people aged from their teens to 20’s. Many successful clubs have been formed within high schools. The ultimate objective is that these clubs will be-

Bunning’s Weekend Barbeques After running a weekend barbeque and discussion at the December work meeting it was felt that some guidelines for future barbeques would be helpful. The following suggestions have been put forward for discussion. * Three shifts 8-11am, 11-2pm, 2-4:30pm. *Four people are needed to manage the workload especially at the busiest time i.e. 11.am -2 pm. *An extra person rostered on to help with the cleanup. * A reserve should be available in case of illness and their contact number included on the roster. Although these barbeques are extremely lucrative we need to question whether we can run them if we cannot fill the roster suc-cessfully. We need to fill the roster before accepting the barbeque. Perhaps we could investigate sharing with another Lions Club and sharing the profits. For future information, on the Saturday we used – Sausages -52kg Bread -41 loaves Onions – 11kg Drinks – 96 cans and ran out. Sauce – 2 tomato and one of each of the others.

Directories A club calendar with member details is published by the club each year. Please ensure that your details are up to date. A MD directory is purchased by the club. Ensure the club secretary is notified if you need a printed copy. DVD copies may be shared to reduce costs to the club. Copies may be put on your own computer and incorpo-rate a search facility. These directories contain information about all of the clubs in Australia and other information.

Lions Structure Club Zone (we have zone meetings, Zone Chair appointed by District Gover-nor) Region (We do not use them but some districts do) District There are 19 in Australia and we are C1 (sometimes referred to as MD201C1). C2 is the other one in SA and other nearby interstate clubs) Districts are governed by a district governor and Cabinet. Any Lion interested in becoming part of cabinet should check for any prere-siquites such as needing to have served as a president or cabinet position Multiple Districts We are MD 201 which includes Australia and Papua New Guinea.

ANZI Forum These are open to all Lions in Australia, New Zealand and Indonesia and each country takes it in turns to host. There are many interesting speak-ers with opportunities to question.

Conventions The District Convention is held in October each year. District clubs volunteer to host the event which has a Business session which is the Annual General Meeting. The host club usually puts on some of the fellowship activities and the DG organises guest speakers and various Lions Club visitors. Catering is managed by the host club and each club has delegates who vote in the business sessions. The number of delegates for each club is decid-ed by the number of Lions and Past District Governors (PDG) who are in the club. All lions may attend but only registered delegates may vote. The Multiple District (MD) convention is held somewhere in Aus-tralia in about May of each year. All Lions may attend but voting is restricted to delegates who vote by holding up a distinctive voting card. Clubs decide how they may support delegates but all cost must come from the Administration Account because Lions Fund raising has to go into the Activities Account and cannot be used other than for chari-table activities. Many Lions choose to cover all costs as a “holiday” because they en-joy taking part and fellowship with other Lions. Many clubs have a formal or semi formal plans to join in.

President Chairs meetings. Attends Zone meetings with other club officers. Ensures Lions are active and involved. Contact point with other groups or individuals. Represents club in civic, school or other ceremonies. Ensures officers know their roles and feel supported in carrying out their duties.

Treasurer Ensures Activity and Administration accounts are managed ac-cording to Lions Clubs standards.

Minute Secretary Records and notes at meetings. Writes up theminutes and distrib-utes them by email or brings a copy for any Lion not on email. There are a number of other club duties and responsibilities as listed in the club directory. Let others know of any that interest you and try to learn more about the role if you are unsure.

DUTIES OF CLUB SECRETARY

Collect, List and Sort Incoming Correspondence

1. Collect from PO Box 1349, Golden Grove; 2 – 3 times a week is sufficient, nb: it should be collected, if possible, on meeting days to ensure the collection is up to date.

2. List mail received in our club correspondence (It may be advisable to give a copy to the minute secre-tary to include in the minutes).

3. Sort mail received into appropriate folders – Secre-tary, Treasurer, 1st V.P. (administration matters like grants, conventions, membership matters, newslet-ters, etc.), 2nd V.P. (project information) and 3rd V.P. (fund raising and social activities).

Write letters on behalf of the club as directed at club meet-ings. These can include responses to requests for assistance, postings of minutes, orders for new dinner badges, orders for awards (e.g. for the president prior to handover), current new member kits and certificates, etc. List outgoing correspond-ence in the correspondence book. At Meetings

collect members’ activity hours on the appropri-ate form ( you will need to update this form at the beginning of the year according to current membership).

Present a report of incoming and outgoing mail, with a brief summary of content and indication of action taken for that not allocated to a V.P. or Treasurer folder – e.g. tabled, phoned a response after consulting with president, etc.

Ensure that articles from the monthly district mailing reach the appropriate club officers – e.g. an item from the District Cake Chairman should

be passed to our club Cake Chairman, etc.

Very early in the year, present club policy minutes for review and update if necessary, as directed by the meeting.

In February, ensure that the club elects a new executive (president, secretary, treasurer, mem-bership chairman) – report this to District by March.

Collate and Forward, by the due date, returns (detailed in instructions at the beginning of the Lions year) to nominated District Officers – usually the Cabinet Secretary. These in-clude:

monthly membership reports (by the web is en-couraged – called wmmr’s) and activity reports (still done in hard copy).

Check and update of member details

Incoming club executives’ names, check of meeting venues and club postal address – called the PU101 form

Delegates to conventions + names of deceased members for recognition at conventions.

Keep Club Files which include records of

minutes of meetings, finance reports, monthly district mailings, etc.

copies of correspondence, when appropriate (both incoming and outgoing)

membership records – which need updating an-nually – often done by outgoing secretary before handing over to you

Notes and Tips Minutes Files File minutes in numeral form YearYear , Month Month, Day Day. Minutes for the meeting held on 22nd. of April, 2008 would be filed in the minutes folder as 080422. By doing this, the computer keeps all the minutes in order with the latest one at the bottom. Cleaning BBQ If you have a lot of grease to get rid of, there is a can of degreaser in the shed. Do not use it just before a BBQ (it smells) and ensure you rinse well afterwards.

New members inducted into the Lions Club of Golden Grove will have their Lions Clubs In-ternational joining fee paid by the club (28/8/07), but they will be required to pay pro rata Annual Subscriptions if they join before end of February. It is the responsibility of the New Member’s Sponsor to ensure that the New Member is fully aware of the initial and annual fees payable, and that any initial fees are included with the completed “Membership Application Form” before it is handed to the club Secretary.

Approval of Expenditure. All expenditure must have prior approval from the board of directors of the Club, or a quorum of club members, which should be recorded in the minutes of the meeting as a motion.
