ELEMENT 2: PROJECT BACKGROUND AND SUMMARY

Describe how this project was identified as a need, how it relates to your library's strategic plan, what will be accomplished if this project is implemented, and how you will know whether your project is successful. Summary should relate to activities in the timeline (Element 4) and include statistical info to support the project.

Mission Viejo is the first 100% Master Planned community ever created. Since the mid-1960s, Mission Viejo has grown from an area of cattle ranches into a thriving city of close to 100,000 residents. As the city is barely over 50 years old, we have many residents who have lived here since the community's founding. Through the personal photographic archives of these original residents, we have access to almost 50 years of firsthand sources chronicling the growth of the city. Though the percentage of original residents still living in the city is high, as the year's progress their numbers are beginning to diminish. It is our goal to preserve our city's history so future generations can learn where we have come from and what makes life in this city unique. Currently, we only have a small percentage of content related to local history digitized and available for the public to view. Though this collection is small, it is some of the most viewed material on our website. The hits on our city YouTube channel for the local history videos are very high, and we regularly have questions about our images from people all from all around the world.

Through purchasing a scanner and digitizing photographs from our longtime residents, this project aims to preserve the history of Mission Viejo and make it accessible online for the public and for future generations to view. Likewise, this project aligns with the City of Mission Viejo's Strategic Goals for community building. These goals include creating and fostering a sense of community pride through citizen involvement, engagement and participation. The project will also encourage and support neighborhood gatherings and city-wide events that connect the community.

We will host Mission Viejo Local History Community Digital Scanning Days where community members may bring their photographs of life in Mission Viejo and we will scan them. By purchasing a scanner, we plan on digitizing 1000 images and making them accessible online through our local history catalog and through the Califa's Digital Collections web site. We will continue to hold scanning days at least twice a year in conjunction with our Heritage Committee, so that we continue to collect and preserve our local history.

The overall project will consist of three different activites: a workshop, two scanning days and reception. First, in October 2016, we will have an education program where the public is invited to attend a class to learn how best to preserve their photographs and documents. Then, in December 2016 and February 2017, we will sponsor a "scanning day" where people will bring their materials to be scanned and will in turn receive a digitized image of their photo on a USB drive. In anticipation of providing web access to these scanned images the library will provide information to donors about copyright and licensing of their digital images. Particiants will be asked to provide information concerning the photographs so that the library can create the necessary metadata. We will conclude with a reception in May 2017, where the best images will be presented in a fun and educational slide show highlighting the history of Mission Viejo and its community members.

At the conclusion of this project, we hope to gain 1000 new images for our digital local history collection. In the process of collecting these images, we will also provide for our community an understanding of how best to preserve their family treasures both physically and digitally. And we will explain to participants their digital rights and how it relates to copyright. Concluding, we believe we can provide a place where people can come to learn about Mission Viejo from materials provided by its residents.

This grant will fulfill a great need within the library to further enhance and preserve out local history collection. And by asking community members to participate, we will foster a greater understanding and collaborative spirit in regards to Mission Viejo history ..

In order to preserve and share our city's past, The Mission Viejo Library plans to develop and deliver a workshop on preserving and sharing family treasures and then hold a public scanning event where library staff will create digital images of resident's family photographs that document the history of Mission Viejo. Our community will benefit from this program by having a greater understanding of our city's past and how our neighborhoods have changed over time.

C. Anticipated Project Outputs - Measures of services and/or products to be created/provided.

One educational program on preserving and sharing family's personal collections will be developed and delivered

One fully developed project plan that will be used to expand the digital archive beyond the grant period.

One digital photograph exhibition highlighting the history of Mission Viejo will be held in conjunction with our local Heritage Committee

Two public scanning day events will be held

1,000 photographs will be digitized

1,000 metadata records will be created and added to the library 's local catalog as well as Califa's CONTENTdm site.

All staff involved in the project will report having developed new skills and increased knowledge related to preservation and digitization of local history materials.

We will measure these outcomes using both in person and online surveys. Additionally, we will supplement this feedback with customer comments from at the scanning day events.

E. Briefly describe how this project will be financially supported in the future. This grant will help the library to launch what will be an ongoing program of education and creation of the community's local history digital archive. Given that this program aligns with the city's and the library's s trategic goals, the ongoing costs for the program will be assumed by the library with support from the Mission Viejo Heritage Committee, an organization with which the library has routinely collaborated with on other library and history programs. Internally, the city's IT department has committed to assisting with the maintenance of the equipment for the program in addition to providing the necessary server space for the collection's archival images.

Description: With our scanning project, we will host day long events where people will bring in photographs to be digitized. In order to model good archival practices, donors will be provided with archival sleeves to house their original materials. They will also be provided on a USB drive, a copy of their digital images. Donors will provide the descriptive information fo r the materials in order that a catalog/metadata record can be created making the digital obj ects discoverable.

Description: Equipment to digitize and store digitized materials will be procured. This includes a flatbed photo scanner to scan photographs, slides, and negatives. We will be purchasing portable USB "thumb drives" for participants ' digitized photos. Additionally, we will be purchasing one 3TB external hard drive to store images on. Las tly , we will be purchasing 500 2mil archival polyester sheet protectors fo r participants to store hardcopies of their photographs in.
