EXHIBITOR AND SPONSOR TERMS AND CONDITIONS

Attendance The organizers make no warranty as to the number of delegates and/or visitors that may attend the exhibition and/or associated Conference.

*Provision of Delegates details Due to the Privacy Act (PIPEDA), only delegates who agree to release their contact info will be included on the electronic delegate list.

Cancellation of Exposition In the event of cancellation of the National Conference exposition due to fire, strikes, governmental regulations, terrorism or causes which would prevent or make the same commercially unreasonable its scheduled opening or continuance, then and thereupon exhibitors and CAFCE have no further obligation to each other, and the CAFCE Board shall determine an equitable basis for the refund of such portion of the exhibit booth fees as is possible, after due consideration of expenditures and commitments already made.

Cancellation of Exhibitor Booth Exhibit space that has been assigned and confirmed may be canceled by written notice to CAFCE Office (see address on registration form). If notice of cancellation is received:

Before December 31, 2013 -- Exhibitor forfeits 10% of total cost for exhibit space assigned.

January 1, 2014 or after, but before May 22, 2014 -- Exhibitor forfeits 50% of total cost for exhibit space assigned.

May 22, 2014 or after -- Exhibitor forfeits 100% of total cost for exhibit space assigned. Space requests made on or after May 22, 2014 are subject to the above-mentioned cancellation policies seven days after the booth is assigned.

NOTE: It is the exhibitors’ responsibility to cancel all other arrangements made in connection with exhibiting, including hotel reservations, requests for the services of official vendors, or any other contracted services associated with the National Conference. Exhibitor is liable for any and all fees or penalties associated with the cancellation of said services, including without limitation, attrition charges imposed by National Conference hotels to the extent applicable to exhibitors' cancellation.

Due Dates

Payment must be received on or before the first day of the Conference in order to participate. In order for your company name and logo to be included in the e-program, delegate communication and Conference website, payment and content must be received prior to our publication deadlines (details will be included with invoice). Recognition and optional link to your website on the CACFE 2014 Conference website will be provided once payment is received. The sooner payment is received, the more exposure for your company.

An Exhibitor Liaison will provide you with shipping, assembling and dismantling information should you need it.

Sponsor and Exhibitor Additional Attendee Registrations A registration form for additional attendee information will be sent upon receipt of the exhibitor and or sponsorship form and payment. Please contact us for spousal or guest pricing.

Electrical and Special Set-up Requirements

Exhibitor booths are supplied with an 8’ table and 2 chairs. Any electrical or additional setup requirements must be requested two weeks prior to the event and the exhibitor is responsible for additional charges that may be charged by the venue.

Banners and Hanging Signage All banners are subject to venue pre-approval. Freestanding upright banners are recommended. Please see venue regulations below.

Exhibitors must agree to the following Sheraton on the Falls regulations governing exhibits and displays. Any penalties incurred by CAFCE through exhibitor neglect will be billed to the offending exhibitor.

Sheraton on the Falls - REGULATIONS GOVERNING EXHIBITS AND DISPLAYS 1. The Exhibitor covenants and agrees that no furniture will be removed from the function area without prior approval of the Hotel. 2. Any artwork, posters, or signage is restricted to the convention area only. No signs are permitted elsewhere without approval from

the Hotel. 3. No displays and/or exhibit may be attached to the drapes, lighting, chandeliers, walls or wall decorations, or hung from the ceiling.

The Exhibitor, in erecting its displays will not drive any thumb-tack, nails, spikes or staples into any surfaces, nor shall the Exhibitor use any adhesives on any surface in the function area. Masking or duct take only will be used to affix any apply said displays to walls.

4. Any form of transportation of equipment for exhibits and/or displays (dollies or flat carts) must contain rubber wheels. This equipment is to be supplied by the exhibitor.

5. Any powered vehicles and/or equipment to be displayed must be cleaned and dried off prior to being moved into the function area. 6. All flooring and carpeting beneath any vehicles must be covered with plastic sheeting to protect the surfaces from tread marks and

wear and tear in the function area. The Exhibitor is to provide said sheeting at its own expense. 7. Displays or exhibits of excessive weight must first receive prior approval by the Hotel, and must be placed on wooden platforms to

avoid damaging the floor and/or carpeting and to ensure an even distribution of weight. 8. Displays and/or exhibits will not be set up on any covering that are not fireproof. 9. All displays and/or exhibits must be maintained in a safe manner so as not to create any danger to any other exhibitor or

participant at the display and/or exhibit, and must be in accordance with the Ontario Fire Code and Hotel Fire Safety Act. 10. Exhibits and/or displays that produce a high noise level while being operated or give off an offensive odour will not be allowed

within the Hotel. 11. The Hotel will apply a charge for cleaning and/or removal of garbage from the exhibit area. A flat fee of $500.00 Cdn will be

applied, unless negotiated in advance to an hourly basis. 12. Freeman Company is the preferred supplier of all power and any electrical connections made to an exhibit and/or display at the

expense of the Exhibitor. If the Exhibitor requires extraordinary power usage for its display and/or exhibit then, the Exhibitor shall pay the Hotel for such increased power as per the Hotel’s current rates.

13. The Exhibitor covenants and agrees that the Hotel will not be held responsible for any loss, theft, or damage of any kind to any property of the Exhibitor while on display in the function area, or while being dismantled, removed or stored by the Hotel.

14. Anything over 1,500 pounds must have the weight spread over a larger area with either ¾ ‘ plywood or ¼’ plate steel. 15. The max weight capacity for the freight elevator is 8,000 pounds. (i.e. Sample weight of a car)
