Job Title Fundraising & Finance Administrator

Purpose of Job To prepare and submit grant claims to external funding bodies, to secure income against budgeted spend, to raise funds from grant making trusts and foundations and other grant makers and to provide support to the wider finance and fundraising team in order to contribute to the RSPB’s strategic goal to increase net income and achieve our overall purpose of Saving Nature.

Main Duties Monitor and ensure accurate administration of funding contracts, in line with the team work

programme and the RSPB’s project management framework so that governance and audit requirements are fully met.

Compile and submit timely grant claims to funding organisations to secure funds and ensure they are received promptly against budgeted spend.

Identify the requirements of our funders, including communications requirements and manage the delivery of any funding conditions to optimise relations and ensure compliance.

Ensure funder engagement activity is correctly branded, represents our organisational values and follows governance guidelines to build a strong corporate and professional reputation for the RSPB.

Identify potential external funding sources and match these to agreed priority work on our nature reserves, projects and core work, as allocated by the Fundraising Manager to maximise our impact against agreed planned priorities.

Complete funding bids (majority small bids (up to £5k and occasional medium sized bids (£5k-£100k)) tailored to external funding bodies in order to secure income to drive forward RSPB work.

Working with HQ and region/country colleagues, ensure our funders have an excellent supporter experience with us and increase their understanding and awareness of the impact of RSPB work in saving nature.

Plan and attend appropriate meetings and events in order to manage funder and partner relationships and advocate the work of the RSPB and the need to grow support in order to save nature.

Provide administrative support to the fundraising team to ensure they are able to deliver the team’s work programme and meet or exceed agreed key performance indicators.

Produce regular reports to assess progress and action needed against KPIs to ensure agreed annual performance targets are met.

This role is responsible for specific budgets (including projects). Responsible means:

Monitors income against targets whilst minimising risk. Decides on appropriate expenditure to meet objectives. Manages day to day procurement of goods and services, including selecting

appropriate suppliers and contractor.

To raise invoices, process financial transactions and provide administrative support to RSPB NI. Resolve ad hoc finance related enquiries

Partnership Information

Key contacts and working relationships:

Internal: Colleagues in the region/country fundraising team in order to collectively delivery the team work

programme and meet agreed key performance indicators. Colleagues in the wider regional/country team from Communications to Conservation and

Reserves (including Reserve Site Managers) to ensure that funders’ grant conditions are met (including publicity and PR) and appropriate evidence is provided to support grant claims.

Other Region and Country Fundraising Officers (grants, trusts, business) and the head office High Value Fundraising Team to share best practise and achieve the best outcome for the RSPB, through one team working.

Fundraising Manager/Senior Fundraising Officer – line management, support and direction, budget sign-off.

Volunteers – ensure effective delivery of volunteer role purpose and deploy appropriate level of direction and support.

External: Officers, administrators, trustees and other key contacts at donating and prospect trusts, grant-

giving bodies and businesses. Members of the public – representing the RSPB in line with our organisational values. Institute of Fundraising specialist groups and fora - sharing best practise, keeping abreast of

Volunteers

Volunteers founded the RSPB 125 years ago and remain a vitally important part of the organization today; there are approximately nine volunteers for every paid member of staffOur volunteers bring a unique range of skills and qualities to the RSPB, help stretch our scarce resources and keep us in touch with grass roots.

The RSPB exists to give nature a home. We help our birds, other wildlife and natural places survive and thrive.

On our doorstep are woods and farmland, moors and marshes, cliffs and mountains. They are home to an astonishing array of precious but threatened wildlife. Every species is unique, but they are all connected to one another. And every one of them needs a home to survive.

Sadly, many of our best loved and most iconic species can’t find a welcome home here any more. It’s our job to change this. A country that’s not home to skylarks and puffins, red squirrels and hedgehogs is not a country any of us want to live in.

To protect our threatened birds and other wildlife, we need to protect the places where they live. If we are taking care of nature, we are taking care of ourselves and future generations.

Working at the RSPBHours of workNormal hours of work for full-time employees are 37.5 hours per week. We are introducing new Flexitime and TOIL frameworks to recognise the commitment of staff and their willingness to be extremely flexible in the interests of conservation and the organisation, with the aim of making flexibility available to as many people as possible.

Leave entitlementHoliday entitlement in a full year is 26 working days, four of which must be taken during the RSPB’s Christmas shutdown. Public holidays (or days in lieu) are additional to annual leave. Long serving staff receive additional holidays:

3 years’ continuous service 28 days

7 years’ continuous service 30 days

Part-time staff (which includes part-year staff) are entitled to a pro-rata number of days annual leave.

The RSPB prides itself on being a flexible and supportive employer. We have a range of options available to support our employees including parental, family, and special leave alongside our maternity and paternity leave arrangements. Payment during sickness absenceThe RSPB operates an Occupational Sick Pay Scheme (OSP) in parallel to the Government Statutory Sick Pay Scheme. OSP allowances are determined by length of service from 30 days (6 weeks) in your first year up to 180 days (30 weeks) after 5 years’ service

For part-time employees, OSP is based on the number of days worked per week and paid at the normal part-time rate.

Learning & developmentThe RSPB is committed to supporting new employees. We offer a wide range of learning and development opportunities including on-going training, e-learning and through our induction process.

We have a long standing commitment which has survived the economic downturn, to providing quality learning and development opportunities. We prioritise leadership and management which are key to people motivation and success. Our recent leadership programmes have received the Institute of Leadership and Management accreditation.

Staff benefitsPensionThe RSPB operates a defined benefit pension scheme, called a cash balance scheme. Both members and the RSPB make contributions to the scheme and the RSPB bears the administration costs of running the scheme. The RSPB’s cash balance scheme is contracted in to the State Second Pension.

Flexitime The RSPB operates a flexitime system.

Childcare Voucher Scheme The Childcare Voucher Scheme is open to all employees who are parents or guardians and currently use childcare facilities. Employees can opt to receive part of their salary in childcare vouchers up to a maximum of £243 per month and can be used for a wide range of childcare providers. The amount received in vouchers is tax free.

Employee Assistance SchemeAll RSPB employees have free access to an Employee Assistance Programme provided by The Validium Group.  This service is available 24 hours a day, 365 days a year.

Green loansEmployees can apply for an interest-free loan to buy a bicycle or a season ticket.

Free entry to RSPB Nature Reserves and discount on RSPB retail itemsEmployees can visit any RSPB reserve free and can receive up to 20% off retail items in the RSPB shops.

Staff AssociationThe Staff Association is the official, independent body that exists to protect and promote the interest of its members, to represent their views and to act as a consultative body. It is officially recognised and supported by the Management Board and Council as the formal channel for the communication of staff views. All employees are eligible to join the Staff Association.

Sabbatical leaveFor every seven years continuous service from the date of joining and each seven years thereafter, all employees are eligible to apply for a sabbatical. We give a maximum of four weeks paid leave.

Life AssuranceAll our staff are automatically covered for death in service benefit. This cover is not conditional on becoming a contributory member of the RSPB pension scheme. A lump sum of three times their pensionable salary at the date of the employee’s death is paid to their beneficiaries or estate.

Relocation policyWe are able to offer a limited amount of financial help towards relocation costs for employees, depending on the circumstances.
