CAR Phase 21 Release Notes

Corporate Account Reconciliation

May 3rd, 2013

Required Allocation Description: Clients will now have the ability to require their Cardmembers to enter an

allocation description. If marked as required, a user will need to populate a description for each line of accounting,

before being allowed to submit changes for reallocated transactions.

Publish Search: Two new permissions will allow Site Search Managers and Company Search Managers to create

searches and publish them for use by other users within their Site/Company. This release also includes additional

enhancements to existing search capabilities.

Native File Support for Receipt Imaging: Allows Cardmembers, when configured at the Site level, to attach receipts

in their original file format, thereby reducing the number of receipts rejected during the receipt attachment process.

@ Work Single Sign-On for CAR: Provides the ability for Program Administrators with access to both CAR and @

Work to link their login credentials together. This will enable single sign on by allowing these users to log in

through @ Work and directly access CAR without the need to perform an additional log in or maintain additional

user credentials.

Required Allocation Description

A new configuration setting

has been added to the Card

Type Level screen that

allows the site administrator

to enable the functionality.

• Default setting = “No”

• Setting to “Yes” will require

that an allocation description

be populated during the

transaction reallocation

process.

• Setting to “Yes” will cause

the Revalidate task to flag

allocations with blank

descriptions as exceptions

with a note stating “Allocation

Description Missing”

When a user reallocates a

transaction where the

“Required Allocation

Description” is set to “Yes”

for that specific Card Type, a

message will be presented to

the user stating “Entry is

Required”.

Mass Updates

When multiple transactions

are selected, and “Replace

specific account fields” is

selected, a check box will be

visible next to the Allocation

Description field. This check

box will work the same as

the boxes next to the

accounting fields by allowing

the user to apply the entered

description to all selected

transactions.

Searching

When searching for

transactions, you may now

perform a search on the

Allocation Description field.

• The search is case

insensitive, meaning that

search results will be

returned even if the letter

case does not exactly match.

On the reallocate panel,

when searching for an

accounting value by

Description, that search will

now be case insensitive.

• In the example to the right,

searching for values that

start with a lowercase “u”,

returned results with an

uppercase “U”.

Two new permissions have

been added, to support the

ability for users to publish

searches:

• CAR Company Search

Manager: allows a user to

publish and delete searches to

the CompanySearches folder.

• These searches will be visible to

all users on that company.

•CAR Site Search Manager -

allows a user to publish and

delete searches to the

SiteSearches folder.

• These searches ,will be visible to

all users who have access to the

Site where the search was

published.

• If a user wants to make a search

available to more than one Site,

but not the entire company, then

the Site Search Manager would

have to publish the search under

each Site separately by switching

to an account for the applicable

Site(s).

Accessing Searches

A user that is not a search

manager, will now see up to

3 search folders:

• CompanySearches is

available to all users for the

company.

• Site Searches is available

to all users on the Site that is

currently being viewed based

on the users role.

• MySearches include all of

the searches created by the

user.

A folder will only show if

there is at least 1 search

posted in the folder.

The right-click feature on the

search screen has been

removed.

Search Enhancements

Users can now select which

searches from the

MySearches folder they want

listed in their favorites (quick

search) area.

• Click the star to change the

status to favorite (yellow) or

not (gray).

• Favorites with a star

replace the former method

where first 4 searches were

marked with blue..

A description field is now

available for each search.

This field will be required for

any search that gets

published.

The last update information

is now listed on each search.

Searches marked as

favorites will now be

available to run directly from

the favorites star icon, to the

right of the search button.

• The star icon has replaced

the former drop down arrow

icon.

• There is no limit to the

number of searches that can

be marked as favorites.

Search managers will have

up to 2 additional folders:

• AmexSearches are created

by American Express and

made available to all search

managers.

• Search managers can save

these searches to their

MySearches folder, then

publish those searches to

their users based on their

Site/Company search

manager permission(s).

• DeletedSearches are

previously active searches

that have been deleted.

• Only Search Managers can

delete searches from the

Site/Company Searches

folders.

• Those searches will be

moved to the

DeletedSearches folder for 10

days.

In order to publish a new

search or update an existing

published search, the Search

Manager must first create

the search in MySearches

and then click the “Publish to

Site” or “Publish to

Company” button.

A published search will then

be listed in the Site or

Company Searches folder

• It will only be available to

users on the same Site to

which the search was

published.

• If a search is published with

the duplicate name, then the

Search Manager will be

asked to confirm they with to

overwrite search.

Deleting Searches

Search managers with the

proper permissions have the

ability to delete site/company

searches.

• This will NOT delete the

original search from the

MySearches folder.

• A warning will be displayed

when a Site/Company

Search is marked for

deletion.

The deleted search will

placed in a DeletedSearches

folder for 10 days in the even

that it needs to be

reactivated.

• A delete search may be

reactivated by saving it to

MySearches and then

publishing the search again.

Native File Support for Receipt Imaging

Non-Standard Receipt Images

CAR may now be permitted

to accept “non-standard”

PDFs. If this is set to yes,

then users attaching receipts

that might have failed due to

conversion errors will now

be able to attach the original

PDF file.

• Receipt package swill

contain 1 separate file per

original PDF in addition to

the consolidated file for all

converted (standard)

images.

• Users will be unable to

attach individual pages of

an unconverted image to

different transactions. The

user must attach the

entire PDF for each

transaction.

• There will be no thumbnail

available for previewing

the image.

@ Work Single Sign-On for CAR

Updated Web Screens

All CAR web screens have

been formatted to look more

like americanexpress.com

and @ Work pages.

• The links at the tops and

bottom of the screen will take

users away from CAR and

into americanexpress.com

content.

Logging in Via @ Work

CAR Administrators with

access to @ Work have the

option of using their @ Work

ID and password to access

CAR.

• This service is not currently

available to End Users

(anyone who is not an @

Work user).

• Administrators wishing to

access @ Work and CAR

from a single location, will log

in to:

atwork.americanexpress.com

Accessing CAR from @ Work

When the Administrator

clicks on one of the new

CAR links for the first time

they will be asked to provide

their CAR login credentials.

• American Express will

automatically provide

existing @ Work users with

access to the CAR links.

• Future access is granted to

by contacting the @ Work

help desk.

Managing Linked CAR IDs

Once configured, the @

Work ID and CAR ID are

considered to be “linked”.

• The Linked status will be

visible in User Profile

Maintenance and a new flag

will be available in IFB.

• Linked IDs will no longer be

able to login to CAR directly.

• If a user no longer wants to

login to CAR from @ Work,

then someone will need to

Reset their ID, which will

unlink their ID, and send a

new CAR temp password to

the user.
