Ordering Instructions
The Katy Independent School District Nutrition and Food Service Department (NFS)
offers catering services at district sites both during and after the school day. We also
offer our services on weekends.
The following instructions will help guide you through the steps to guarantee the
food is ready in a timely manner for your special event.
Please observe the event notification timelines.
Food Table set up is the responsibility of the sponsor of the event unless the
event is in the Education Support Complex or the Merrell Center.
Additional catering information is available by calling the Nutrition and Food
Service Catering Department Coordinator at 281-396-2570 or 281-396-2250.
In-District Requests
1. Select the appropriate Catering Event form
Three District catering request forms are located on the district Katy Net site in
the Online Forms section. (Search by the name of the form)
Submit at least 5 (five) business days in advance of service.
Catering Request
o Complete to order food and beverages for any district catering event. o Complete to order paper goods and food supplies by the case.
o Note if the event includes students.
o Skirting will be an additional charge of $5.00/table or disposable table cloths
of $3.00/table if not ordering a full breakfast or buffet.
o Refer to our department website www.katyisdfoodservices.com
Student Food and Beverage Request
o Complete to order food items for student events including testing treats, incentives, or snacks.
o Items ordered to give to students refer to TDA/USDA Smart Snacks in
School located under District Procedures. You can also visit the TDA
website located at www.squaremeals.org to view the Policy.
Kitchen/Facility Use Request
o Complete when usage of any school kitchen or Rhodes or Legacy
Stadium Concessions are needed. A certified NFS manager is required to
work in the kitchen/concessions during a function. Some events may also
require more than one food service employee. See Board Policy GKD

2. Completing the forms
o Complete the correct form for each scheduled event. o Include a district budget code.

o For check or cash payments please add 0’s in place of the budget code so
the form will submit properly.
o We do accept credit cards for payment.
o Billing information must be completed in the school organization information section.
o Complete the additional information section for special requests or set-up
directions.
o Press submit button to send the form via email to catering department.
3. Payment
o Billing to the recorded budget code will be sent by the food service staff
directly to the Business Office to credit and debit the appropriate budget
accounts at the conclusion of each month.
o Note the name of the responsible party to pay the invoice o Checks should be payable to Nutrition and Food Service Department
Catering, P.O. Box 159, Katy, TX. 77492-0159 no later than the day
following the conclusion of the event.
o Cash Payments may be given to the catering staff on duty to pay for the event.
o Credit Card payment are also accepted. If paying by credit card please contact our office.
o Sponsors of events not associated with the district that are tax exempt
must provide a copy of their Tax Exempt Certificate prior to the event. The
State of Texas sales tax (8.25%) will be added to the invoice if this
certificate is not received.
o Agreed upon invoice will be sent by email to the sponsor prior to the event, or given to the sponsor the night of the event.
o A late charge may be assessed; a 15% late fee charge after 14 calendar days from billed invoice if payment is not received.
4. Event/Guest Guarantee
o Guarantee number of guests required seven (7) days prior to the event. o Cancellations are requested at least 48 business hours prior to the
scheduled time of the event. If the event was not cancelled in a timely
manner, the organization may be charged for food and labor.
5. Summer Catering
o Available during the week days and when the ESC kitchen is open.
o Not all products and services are available during the summer months due to staffing and product availability.
6. Equipment Rental Policy
o Equipment is used exclusively for district catering events provided by the department.
o Supplies and equipment should not be removed from the event location.

o Equipment removed from the location is subject to a cost replacement fee. o Individual equipment items, including tablecloths and skirting, cannot be
borrowed or rented.
7. Delivery and Set-Up
o A $50.00 minimum order required for all service outside the ESC/LMC. o Items will be delivered to the location specified on the Catering Request
form and set up on the table or countertop requested by the event sponsor.
o Food Table set up is the responsibility of the sponsor of the event. o If adequate space is not available at the time of set up an additional “wait”
charge may be added to the final cost of the event.
o If the catering order is not a buffet, or bar a skirting charge will apply.

Event Requests
1. Pre-event Meeting
o Call to request a meeting to discuss the event thirty (30) days prior to the event.
o Estimated Menu, service type and pricing (proposal) by Catering
Coordinator should be finalized a minimum of fourteen (14) days prior to
the event.
o A Facility/Kitchen use form must be completed when usage of any school
kitchen or Legacy/Rhodes Stadium Concessions are needed. A certified
NFS manager is required to work in the kitchen/concessions during a
function. Some events may also require more than one food service

o The district food service staff takes the responsibility of safe food handling
seriously to ensure that none of your guests are susceptible to food borne
illnesses. Prepared foods that are not consumed at the catering event may
not be removed from the premises. For the safety of our clients, we will
take care of disposing of any potentially hazardous foods as is the
standard catering industry policy.
