Best Continuous Improvement of a WHS Management SystemThis category requires you to describe an improvement you have made to your WHS/OHS management system and the effect it has had on your staff and business. Finalists of this category must demonstrate that the improvement is part of an on-going process.

Examples of improvements could include new ways of integrating with other organisational systems and incorporating change management, managing new and emerging risks and upgrading compliance systems.

A. Small business: 1-50 employeesB: Medium to large business: 50+ employees

This category requires you to describe an innovative solution to an identified WHS/OHS risk or issue. It can be a newly identified risk or issue (due to a change in work activities etc.) or it can be a risk or issue previously identified with a new solution that has been implemented.

Finalists in this category must demonstrate that their solution is innovative, proven to work in an organisation (showing evidence eg. testimonials, photos, reports), has demonstrated a return on investment and significantly eliminates a workplace risk.

To be nominated the individual must have played a significant role in a recent WHS/OHS initiative and gone above and beyond their normal duties, which has resulted in a sustainable improvement within an organisation (or area they work or volunteer).Please note: No self nominations. Individuals must be nominated by their peers, work colleagues, managers and/or organisation.

Programs include, for example, reducing ‘presenteeism’, addressing mental health issues, tackling bullying and harrassment and improving physical health.

Finalists of this category must demonstrate that their health and wellbeing program has had a positive effect on the participants and/or the workplace through changes in workplace behaviour/performance/processes.

Award for Excellence in WHSThis prestigious Judges’ Choice Award is presented annually to the most outstanding achievement in work health and safety of an organisation, alliance or individual. This award is not open for nomination, instead it is the eight category winners who progress to this final stage to claim the top honours at the awards ceremony.

NSCA Member of the Year This award recognises a NSCA Individual or Corporate member who has demonstrated commitment and leadership in work health and safety. It could be the implementation of a safety management system, project, program or a solution that reduces the risk of work-related injury and disease.

Regardless of whether your safety initiative is big or small, if it is making a positive difference to work safety and culture, we want to hear about it.

Who can enter?The awards are open to any Australian operating business, organisation, alliance or individual in the public or private sector with a workplace health and safety initiative that complies with one of the eight categories.

Regardless of organisational size (with exception of Category 2 & 5), entries are judged on the innovation and excellence of the health and safety initiative and how well it meets the criteria.

Nominees from previous years are eligible to enter again with the same initiative however, must prove a significant increase in return on investment and improvement in the health and safety initiative since the previous submission.

Any third party suppliers/contractors utilised in the development of the organisation’s initiative must be recognised.

How to enter:a) Submission ProcessEntering the 2014 awards is simple and free of charge:

1. Visit www.nationalsafetyawards.com.au, click on the “How to Enter” button and follow the instructions to create an online account

2. Download the required official nomination template/s within your online account

3. Complete the nomination template and submit it via your online account by uploading it before Sunday 6 July 2014. Additional electronic attachments supporting your answers can also be submitted via your account.

b) Nomination templateAnswers must be submitted:• On the official nomination template• Within the answer box provided and be no more than 450

words in length per question• According to format (1.5 line spacing, Arial font, size 11).

Attachments (photos, incident/injury data, operational material, reports etc) that support your answers and strengthen your claims are encouraged and can be referenced in your answer. Up to 10 attachments (max. 5mb each) in Word, PDF, Powerpoint, Excel or Jpeg format can be uploaded at time of submission. Where supporting attachments cannot be uploaded, three hardcopies may be posted to the NSCA Awards Department (See left for details).

Please do not state “refer to attachment” as your only answer, instead elaborate and clearly explain the reason for its inclusion.

Applicants should provide adequate objective information to enable the judging panel to form a clear view of the integrity and performance of the submission. Clarity should be the prime consideration. Do not leave any answers open to interpretation - Judges will not “read between the lines.” For HINTS & TIPS see page 17.

c) Terms, Conditions and Agreements of Nomination Submissions

• The National Safety Council of Australia Ltd (NSCA) reserves the right to revoke any nomination made should it come to its attention that required information was not disclosed or an entry is deliberately incomplete or contains false information which would have affected the panel’s decision

• The judges’ decision will be final and no further correspondence will be entered into

• The grant of an award does not constitute NSCA’s or a sponsor’s endorsement of a product, or of the applicant’s total health and safety performance

• Nominees from previous years are eligible to enter again with the same initiative however, must prove a significant increase in return on investment and improvement in the health and safety initiative since the previous submission

• Any third party suppliers/contractors utilised in the development of the organisation’s initiative must be recognised

• The panel may, at its discretion, move a nomination to a more suitable category which is different from the nominated category

• Any supporting documents or material will not be returned to entrants, unless specifically requested

• The judges reserve the right not to allocate an award in a particular category if in their opinion there are no entries of sufficient merit

• Applicants shall not have had a workplace fatality or prosecution in the year for which they are nominating

• All entries must be original. The entrant must, where

applicable, own the intellectual property rights in the work, design or invention

• Entrants acknowledge that they may be required for further questioning, presentations and media interviews in respect to their entry and agree to take all reasonable steps to make themselves available

• In keeping with the spirit of sharing knowledge to promote Work Health and Safety management, winners agree to share their successful case studies with the public

• Please note: The panel does not necessarily have the knowledge of the details and background of the organisation or the submission topic. Therefore, please provide as much relevant information as possible

What is the judging process?A panel of expert assessors appointed by the NSCA conduct the judging throughout July and August. The panel will consider the nominations on the basis of the written evidence submitted, taking into account the nature of the work being carried out. To ensure the progression of your nomination, please ensure your answers are informative and clear with any supporting evidence referenced.

Under certain circumstances, the judges may require further imformation about your submission. Award finalists may be selected based on a worksite assessment/inspection and/or further questioning via in person or teleconference. All nominees must take reasonable steps to make themselves available for further questioning.

Before you start• Focus on what you do well from a work health and safety

perspective.

• Decide which of the eight categories best suit your initiative. You can nominate:

• In one category

• Across more than one category with the same initiative and/or

• More than once within the same category with separate and unrelated initiatives.

• Consult with your team and management.• If you have questions or need more information please

contact the NSCA Awards Department – email [email protected] or phone (02) 9213 6299.

Preparing your nomination• Plan your time to include discussion with relevant

colleagues, request specific information, answer all the questions, gather evidence and other supporting material and undertake a final review.

• Read all the questions thoroughly and outline what information you will include in each question to demonstrate the safety issue/s, consultation, development, implementation, progression, outcome and review of your initiative.

• Answer all parts of the questions asked – use the examples provided as a guideline if needed.

• Measurable evidence is essential to support your answers – results should be substantiated by facts and figures. E.g. ensure that evidence is provided wherever successful solutions or benchmarks are identified.

• When explaining your objectives, ensure they are S.M.A.R.T (Specific, Measurable, Action orientated, Realistic and relevant, Time based).

• Demonstrate to judges that your strategies are based on sound research, planning and consultation with stakeholders. E.g. outline your consultation methods,

results and feedback, and provide evidence where necessary.

• Answers should always be logical, concise and relevant. Use bullet points and subheadings to present your case. Jargon should be avoided and acronyms must first be explained.

• Provide your answers within the answer box (max 450 words per answer), using the correct font (Arial) and font size (11pt). Photos/images of your initiative are encouraged and can be inserted within the answer box or attached separately at submission.

• Attachments can be included at time of submission, but please don’t write “refer to attachment” as your only answer, instead elaborate and clearly explain the reason for its inclusion.

• Allow time for a review process, proof-reading (by someone other than you) and final editing.

• Use all of the word count - and make each word count. Take the opportunity to promote your initiative, enthusiasm and passion for your safety achievement.

• Assume nothing – you can only be judged on what you state in your nomination so please spell it out.

Submitting your nomination• Include any relevant supporting evidence as attachments

(you will be prompted to include additional attachments at the time of submission). This could include reports, manuals, images, photos of the initiative and of the responsible team and evidence including surveys, evaluations, or statistics in graph, chart or table format.

• If you are unable to attach information electronically please post three copies of each to the NSCA Awards Department to be received by the closing date.

• Your nomination can be edited as many times as you like, as long as it is before the submission deadline of Sunday 6 July 2014 (AEST). Access to edit is via your online account.
