    Chapter 1

    A Propose PC-based Professor Locator and Log-In System for CEIT

    Introduction

    Siena College of Taytay, formerly St. Catherine Academy, is a

    Kindergarten through Education Institution located inTaytay, Rizal. It was

    founded in 1957 by theDominican sisters. One of the Siena College Taytays

    buildings is St. Dominic, where Engineering Professors are located. Professors are

    one of the busiest people in the College of Engineering and Information

    Technology of Siena College of Taytay. They often go from one classroom to

    another to attend classes and other activities for their work. Because of the hectic

    schedules of the CEIT professors, sometimes they forgot to notify the faculty that

    they will be away.

    For years, students oftengo inside the faculty to ask if a certain professor

    is around. Such situation may disturb the professors who are preparing a lecture

    for their respective classes or checking quizzes and/or major exams of the

    students under them. As we all know, the faculty room is not a place for the

    students to stay in. Most ofthe time students who are asking for their respective

    professors from the student assistant stays inside the faculty room for prolonged

    period of time instead if going outside and wait for their professors to go inside

    the room assigned to them.

    With these things going on most of the time, students are sometimes

    becoming a source of disturbance not only for their respective professor but to the

    other professors who are also inside the faculty computing grades or doing any

    other thing related to their profession.

    These are the reasons why the proponents proposed the CEIT Professor

    Locator to know if the professors are available on that time or not or whether they

    are in school or if they are absent for the day. The aim of the study is to create a

    system to identify the location of the professor easily without asking the student

    assistant or any other people inside the faculty room and to minimize as well the

    disturbance caused by the students who are asking for where the professor is. The

    study will also show the schedule of the CEIT professors for the whole week

    including the room number assigned for each subject they handle. The locator

    system will display the location of a certain professor in the display monitor

    outside the faculty, so the students will easily find their professors. The study

    will provide an easy, quick and convenient way for everyone to track down the

    location of a certain professor within the boundaries of 2nd

    floor, St. Dominic

    Bldg.

    Statement of the Problem

    How to design a device that can easily locate and visually identify the

    location of CEIT professor without disturbing people in the faculty office?

    The figure shows the Input-Process-Output (IPO) of the project. These are

    the elements of the system, the input of the system would be the ID number of the

    professor and the output is displayed on the LCD screen. Information such as the

    professors name, room location, schedules are the details will be displayed in the

    monitor.

    From the beginning of the process, the professor will have to scan their ID

    so that it will save the room location of the professor into the server. In case the

    professor misplaced or forgot their ID, they can use the numeric keypad provided

    to input their ID number as an alternative input device.

    If a guest wants to see the professor, they will have to go in front of the

    faculty where the monitor is located for them to see the room location of the

    professor. They can click the picture of the professor to see their schedule of

    classes, or notice that they will attend other business outside or inside the school.

    As for the chairpersons view, it is the same as looking at the monitor outside the

    faculty.

    Objective of the Study

    To develop a project that will help those people who are looking for the

    professor easier.

    Specific Objective

    Listed below are the specific objectives of the study:

    1. To create a system that will help save time in searching for the professor.2. To make a system that could track the location of the professor easier.3. To implement a system that will help to avoid disturbance on the queries

    of students to their professors.

    Significance of the Study

    This section creates a perspective for looking for the importance and

    beneficiaries of the study. It points out how the study helps everyone in the CEIT

    Department:

    CEI T Chairperson & Professors

    The chairperson and the professors will be the main beneficiaries of the

    system. The system will help them with following:

    The disturbance caused by the students or visitors who are inside thefaculty room will be minimized.

    The chairperson or other professors will have the idea where their fellowprofessors room location.

    The chairperson can monitor the attendance of the professor easier. The chairperson or other professors knows the schedules of the fellow

    professors.

    Students

    For the side of the students, their benefits to the system are the following:

    The students will track the professor faster and easier. The students will identify if the professor is in the school or not. The students will see the schedules of the professors.

    Scopes and Limitations

    The scopes of the system are the following:

    Students

    The system has LCD Touch screen Monitor which displays the professorsschedules and which room are they located.

    The system allows the faculty to leave a remarks or any related matter forthe students to be informed.

    Faculty

    The system has a Barcode Scanner that can scan the barcode of IDs. The system provides a Numeric Keypad can be used to input the ID

    number of the professor in case they misplaced or forgot their ID.

    The system provides a Finger Print Scanner so that only the professorshave the authority to input in the LCD Touch screen Monitor.

    The system can record the log-in and log-out time of the professors perroom.

    The system records the schedules of the professors. The system use biometrics as security for log-in. The system includes the summary of the professors log-in/out, daily and

    monthly attendance.

    The system includes the summary per room usage.The limitations of the system are the following:

    It only covers the 2ndfloor of St. Dominic Building. The system is implanted for CEIT Department of Siena College Taytay

    only.

    Non-Professors has limited access to the system, they could only look forthe schedules and the room location of the professors.

    Definition of Terms:

    Biometric - pertaining to, noting, or using a person's unique physical and other

    traits for the purposes of identification and security.

    Locator - The act or process of locating.

    Barcode Scanning-means translating optical characters printed on the back of

    different commercial products. Bar codes usually represent a product identity

    code provided by a manufacturing organization for the purpose of product

    categorization.

    Barcode-it is used to read data and information based upon the widths of those

    small black lines.

    Fingerprint - An impression on a surface of the curves formed by the ridges on a

    fingertip, especially such an impression made in ink and used as a means of

    identification.

    Fingerprint Scanner-device that scans a fingerprint and keeps a record of it.

    CHAPTER 2

    REVIEW OF RELATED LITERATURE AND STUDIES

    In this chapter, the focus is on various literatures and studies that explain

    the concepts of different locator system. Similarities and differences of these

    literatures and studies to the proposed project will be discussed within this

    chapter.

    Precision Personnel Locator System

    The latest development in the Worcester Polytechnic Institute (WPI) and

    Precision Personnel Locator (PPL) is The RF-based PPL system is being

    developed for tracking of first responders and other personnel in indoor

    environments. The system assumes no existing infrastructure, no pre-

    characterization of the area of operation and is designed for spectral compliance.

    Recent testing with wider bandwidth (150MHz) ranging signals has shown sub-

    meter positioning accuracy of a transmitter even in difficult indoor environments

    with high multi-path all receivers being placed outside the building.

    As part of the testing and evaluation, fire fighters from the local Worcester

    fire department provided feedback on various systems aspects: the suitability of

    the locator devices worn by the first responders, the incident commanders display

    unit, the improvement in situational awareness, and the suitability for both search

    and rescue operations. The system has also been extended to provide basic

    physiological information from the users, and a preliminary evaluation is also

    Active Badge Location System

    Efficient location and coordination of staff in any large organization is a

    difficult and recurring problem. Hospitals, for example, may require up-to-date

    information about the location of staff and patients, particularly when medical

    emergencies arise. In an office building, a receptionist is usually responsible for

    determining the location of staff members in some organizations, public address

    systems are provided to help a receptionist locate employees but, more frequently,

    a telephone is used to contact all the possible locations at which the required

    person might be found. These solutions can cause a great deal of irritation and

    disruption to other employees; a solution that provides direct location information

    is more desirable.

    Location information for office staff that is available in a computer-

    readable format can also be used to improve the operation of the office telephone

    system. Integration of telephone systems with computer systems is also important

    in the development of the automated office. Much work hasalready been

    undertaken integrating digital voice and computer data into a single network, but

    there has been less commercial effort invested in improving the telephone

    interface. Although these interfaces are functionally sophisticated, they are cryptic

    and their operation is difficult to remember. (URL 2)

    A Short-Range Locator System for Detecting Trapped Miners

    As part of the Bureau of Mines health and safety research program, a

    short-range locator system, capable of locating miners who have become trapped

    following a mine accident, has been devised.

    The system consists of a lightweight, low-power radio transmitter

    incorporated into a miner's cap lamp battery and a directional receiver carried by

    rescuers. Prototype transmitters have been constructed, and the propagation of

    their signals has been investigated.

    The detect ability of the signal in underground coal mines has also been

    investigated, This research indicates that a short-range location system would

    serve as an economical and practical means of locating miners from within the

    mine following an accident. (URL 3)

    Online detainee locator

    A system used by the US immigration and customs enforcement which is

    use to locate a detainee which is currently under the custody of ICE. You can

    search using the A-number of a detainee which is recommended by the ICE or

    you can search by their biological information. The system cannot provide records

    of person below 18 years of age.

    The online detainee locator provides a search bar to search for the location

    of a certain detainee. Since the US keeps records of their detainees, the locator is

    a must have for them. The locator recommends the used of the A-number for easy

    searching of the detainees.(URL 4)

    National Housing Locator

    HUDs NHL is a response to lessons learned from Hurricane Katrina and

    related disasters. It complements HUDs proven housing and emergency disaster

    voucher programs and is designed to be a single, Internet-based website that will

    assist individuals and families in finding rental housing in a Presidential-declared

    or local disaster.

    The NHL is a searchable, web-based clearinghouse of available rental

    housing nation-wide. It allows HUD and its business partners, in particular State

    Housing Authorities, public housing authorities, and other critical First

    Responders, to deliver housing assistance by rapidly locating rental housing and

    available government-owned single family homes for sale during emergency. The

    NHL uses a rental housing industry standard for requesting data, and collects

    available responses to a housing request from private and public housing locators

    across the country. A selected housing query through a website sends the

    requester to the private or public housing locator providing the data. The original

    data provider provides the details on the rental, points of contact and other value

    New locator system for North Luzon Express Way (NLEX)

    The AVLS, which is used by the most modern expressways overseas, is a

    combination of hardware, software and maps that enables traffic specialists in a

    control room to track down patrol vehicles deployed on the thoroughfare in real

    time.This allows them to immediately dispatch the nearest patrol car to the area

    where the accident happened, Aberilla said. (URL 6)

    UCB ultrasound Personal Locator System

    The system consists of one to five small ultrasound emitting devices

    (locators) and one ultrasound receiving device. Each locator is worn on an

    individuals clothing and produces a distinct pattern that is emitted every few

    seconds. The ultrasound receiver, mounted on the wall of a room, detects the

    pattern from the ultrasound emitting locator. If the identifying signal pattern

    emitted from a particular locator is received a certain number of times during a

    minute, that locator, and presumably the person wearing it, is recorded as being

    present in the room during that minute. Preliminary tests show good results, with

    a 93% accuracy rate in field trials as measured against direct observation. Future

    improvements include a stand-alone feature for the receiver, better current

    consumption, reduction of sensitivity, and more field testing. (URL 7)

    Synthesis

    Cited literature and studies show the different kinds of locator system that

    already exist. Literatures explain how inventing machines evolved through ages

    of innovation. In foreign literatures especially locator system, it covers a large

    variety of services it can bring to the people.

    The proposed project is similar to these cited literatures and studies in

    terms of undergoing enhancements. The basic features of a locator machine are

    included like guide information of looking for something. However, the proposed

    project is far different from these literatures and studies in terms of using

    manageable barcode scanner for the professors location.

    Since the study that the researchers are proposing is similar to the basic

    concepts of the cited literatures and studies conducted, these existing studies may

    contribute to the recreating of the current study being done by the proponents. The

    proponents believe that the current enhancements of the proposed study will be

    beneficial to Siena community.

    CHAPTER 3

    RESEARCH METHODOLOGY

    Prototyping is a method used by designers to acquire feedback from users

    about future designs. Prototypes are similar to mock-ups, but are usually not as

    low-fidelity as mock-ups and appear slightly later in the design process.

    (Soegaard, 2009)

    The proponents decided to use a prototyping model which was developed

    on the currently known requirements. This model includes Communication,

    Quick Plan, Modelling Quick Design, Construction of Prototype, Development

    Delivery and Feedback that helps the researchers to gather information and come

    up with this project. The figure below shows the model diagram that the

    researchers used.

    The prototyping method starts from communication where the proponents

    will talk about necessary topics of the project followed by a quick plan in which a

    plan on designing the project will be formulated, the third step is modelling quick

    design where the initial design of the project will be created, and next step is

    creating the prototype in which the final design and function of the machine will

    be created the last step is development delivery and feedback this is where the

    machine will be tested by the beneficiaries and their feedbacks on the machine

    will be given to the proponents for further improvements.

    Project Design

    The proposed system will be implemented with these expected functions

    and specifications:

    To begin, the professor will have to scan their ID at the barcode scanner

    located in each room to store their location. In case the professor forgot or lost

    their IDs the system provides a manual process in which the professors could

    input their unique codes through the use of number pad. When someone wants to

    meet a professor, a monitor that contains the professors information and location

    is located near the door of the CEIT office. So the student will know the location

    of the professor without asking or looking all around the CEIT department

    The system will provide a daily attendance module for the professors of

    the CEIT department. The module will record the time of log-in and log-out of the

    professors. The monitor will also display the schedule of a subject assigned to a

    specific room for the week.

    The fingerprint scanner provided, will allow the professors to leave a note

    telling whether they are busy or available to accept questions from students or

    guests. Upon scan of the finger print of a certain professor, their profile will

    appear and they can leave a note.

    Project Development

    The proponents used the prototyping technique to develop the design

    project. It is a process of implementing the easiest way of gathering information

    to achieve the satisfactory of the people who using the system. The proponents

    studied different kinds of variation to manage the pattern of locating numbers of

    people who where it from.

    The following are the step by step phase of project development which

    was done by the proponents:

    Phase I: Communication

    The proponents gathered information by asking questions to students and

    school staff to have an idea on how the proponents system will work well. The

    proponents earn their knowledge by listening and applying all the opinions of

    their adviser and fellow students of the school by communicating with each other

    for this kind of system.

    Phase II: Quick Plan

    The proponents have conducted interviews to the beneficiaries of the

    proposed project to know their opinion and insights about the project. Also the

    proponents conducted a brainstorm to know what will be the outcome of this

    system, and so the proponents provided new ideas to enhance and improve the

    existing system. Observing similar existing systems will help the proponents to

    improve it. The proponents conducted several interviews on a number of users

    representing the departments or aspects of the existing system. Through this, the

    researchers provided ideas to enhance and make the existing system more

    significant. Data gathering and observations of the existing system are conducted

    to help the researchers surface further development of the system.

    Phase III: Modelling Quick Design

    The appearance and display of the system will be designed in a user

    friendly manner. A monitor will be placed outside the faculty room for the

    students to see easily if their respective professors is already on the school or will

    be absent for the day. A scanner will be placed outside each room for the

    professors to log in and update their location that is displayed in the monitor, a

    numeric keypad that will also be placed outside the room in case the professors

    left their ID, this will serve as an alternative way of logging in and out.

    Phase IV: Construction of Prototypes

    It is where the prototype of the machine will be created, the appearance,

    display and functioning system of the machine will be designed and created. After

    the system is created, the proponents will do several test to determine bugs and

    errors.

    Phase V: Development Delivery and Feedback

    After completion of the prototype, the proponents conducted a

    demonstration that will test the design, speed and accuracy of the project. As the

    system appear not exactly as like a perfect system, the proponents still find some

    variety of errors or bugs that may affect the working process of this system. After

    testing, the researchers distributed questionnaires for the evaluation of the

    prototype to assess the whole system.

    Operation procedure

    The Propose PC-based Professor Locator and Log-in System for CEIT

    will be located at the 2nd

    floor of St. Dominic of Siena College Taytay to help the

    guests or students of the professor to know their location easier and to show their

    schedules.

    In this section, the proponents will explain the steps on how the system

    works:

    This figure shows how the professor stores their room location, schedules

    and notice to the system. If the professor arrives at the CEIT Department, the first

    place that they will go is the faculty office to prepare for their class. If, any

    circumstances that the professor unexpectedly has to attend other business like

    meetings, they will have to encode a memo so that it will leave a notice that they

    are away. In order to save their room location, the professor should swipe their ID

    then input what room location they will enter. In case they forgot or lost their ID,

    schedules of the professor by clicking the professors picture. The schedules and

    any notice in case the professor left the school earlier will be displayed.

    Evaluation Procedure

    The proponents will make an evaluation procedure that will determine the

    effectiveness of the prototype in its operation in the CEIT department. The

    proponents will prepare the prototype for the evaluation procedure

    The proponents will provide survey form for students and the professors.

    The proponents will take 50% of the population of the students and professors to

    test the efficiency, effectiveness and user friendliness of the prototype.

    The overall performance of the prototype will be determined by the

    following criteria selected by the proponents. The criteria are: accuracy, speed,

    convenience, design, and user friendliness.

    Accuracy- the machine functions with less errors, it shows the exact room

    number where the professor logged in.

    Speed-the machine updates the location of the professor on the display

    monitor right after they scan their ID or input their employee number in the

    numeric keypad.

    Design- includes the appearance of the machine and the interface in the

    display monitor.

    Convenience- the machine helped the students to find their professor

    easier

    users to use it without a hassle.
