•Annual Report• In order to accurately capture the

information needed for the audit, for us to be able to accurately report to our governing board of directors, as well as share ideas with our Big Ten colleagues, we are asking all chapters and groups to fill out a short annual report on or before June 30th (fiscal year end).

•There are 8 sections to it, with simple yes/no questions in each section

•Other Big Ten Alumni Associations that have annual reports include MI, MSU, WI, Purdue, Iowa, MN and OSU

•Help NAA allocate support and resources.

Budgets are still tight and we want to be sure that available resources support what is most relevant and useful to chapters.

•Help chapters evaluate and plan. Completing the annual report provides you the opportunity to evaluate last year’s programs and set goals and events for the upcoming season.

Brooke greeted all chapter representatives who called in and introduced the staff present: Shelley, Bob, Sarah, Pam and Diane. (A complete list of those on the call is listed after the minutes; we apologize for any misspellings).

Diane introduced Dan Koraleski from KPMG, a national U.S. audit, tax and advisory services firm, who is already working with the alumni association and the University of Nebraska Foundation to complete the FY11 audit

1. Dan Koraleski: In order to gain an understanding of our organization, KPMG will be sending out letters to all of the chapters to confirm whether or not you have your own 501c3 status. Please check the box that applies to your chapter and send the letter back to KPMG. • As a reminder, the letter will come from

KPMG, not the NAA.• Bob will be the contact at the NAA with

questions, or please call/email Dan directly• Please return your letter before May 13,

2011.2. Chris Anderson, Associate Athletic Director/

Community Relations: Chris discussed the autograph request policy and how/why it has been streamlined, as well as speaker requests.

• The Athletic Department needs to know where the autographed item(s) is going. Anyone older than 8th grade is considered a prospect of the university/athletic department and cannot receive a discounted autographed item. That would be a strict compliance violation

• To request an autographed ball, please go to www.huskers.com/autograph or you can purchase a ball at retail price through Huskers Authentic.

• If you are tax exempt of any kind (meaning you have your own 501c3 status), you will need to input your status in order to receive the item at cost.

• If you are a chapter that does not have their own 501c3 status, please work with the Alumni Association to use ours to receive the discount.

• You may purchase a ball at full price and raffle it at an auction. The only balls you cannot raffle to raise money for scholarships are those requested at a discounted rate from the athletic department.

• There is a limit to one (1) ball that can be purchased at the discounted rate

• The Athletic Department does not provide tickets as a donated item per the rules of state institutions

• If you are interested in Coach Osborne speaking, please contact the NAA directly.

• For all other coaches, please fill out the speaker request form http://community.huskeralum.org/speaker

• Coaches will most often require a stipend as well as their travel costs. Feel free to be creative when accommodating these requests – think of their families and other things that may support the cash stipend

• The sooner you request a speaker, the better. Think even a year or more in advance. Football coaches will not travel during coaching/playing season – May/June/July is best for them. Basketball coaches will not travel from October 15 to April 1st.

• Remember, you can request any coach from any sport!

3. Brooke Heck: Volunteer Chapter Leadership Conference• Thursday, September 8th will be dinner at

the Nebraska Champions Club• Friday, September 9th will be the

conference at the Nebraska Champions Club

• Two members may attend at no cost to the chapter; additional chapter board members are invited and will be $50/person

Brooke greeted all chapter representatives who called in and introduced the staff present: Shelley, Bob, Sarah, Pam and Diane. (A complete list of those on the call is listed after the minutes; we apologize for any misspelings).

1. LinkedIn – reminder to join this group online. You can post ideas, ask questions, etc. It is checked every day and questions are answered. Great way to keep in touch and network.

2. Leadership Conference will be September 9th at Champions Club. The Fresno State game will be the following day. There will be a dinner on Thursday evening, September 8th, as well. Brooke gave a brief summary of what the leadership conference entailed, for the new chapter leaders. Anyone from the chapter is free to attend as a chapter representative if the leadership cannot be present. Chapters may send as many delegates as they like, but they may not all be “comped”. Brooke will check to see if she can secure reduced room rates at one of the Lincoln hotel/motels.

3. Brooke and Sarah will spend the first and last weeks of April on a tour of Big Ten schools. They will visit each University and

check out sites appropriate for pre-game activities/events. They will also visit each Alumni Association to establish relationships there. There will also be a meet and greet event involving chapters in the area they are visiting. More information will come about these meeting at a later date. The office of Admissions and the Foundation will also take part in this tour.

4. Diane Mendenhall thanked everyone for taking the time to join in the call, and offered the Association’s assistance if chapters are needing information/assistance concerning the respective chapters. She then turned the football ticket process discussion over to Bob Stelter.

5. Bob explained a few minor tweaks to the previous process – all ticket payments will go through the NAA, rather than the chapter, and all tickets will be picked up at the alumni association, or association events (in the

case of away games). This gives the alumni association an opportunity to connect and engage our members.

6. Paperwork for the chapter ticket lottery will be in the mail next week on the 18th or 19th– documents will also be emailed. This will go to the chapter leadership, who will then fill out a portion of the form consisting of the chapter name and game priority, then send this on to chapter members.

7. Chapter members must also be Association members – limit of 2 tickets per household. We will not receive as large an allotment of tickets from the Big Ten as we did from the Big 12.

8. Chapters are getting the first chance at these tickets before our general membership. Request forms must be returned to our office by March 1 – notification of which game and who received tickets will be made by March 31.

9. Bus trips, raffles, and special circumstances ? We will work with you on a case-by-case basis. Please contact Bob or Brooke.

10.Chapters close to the game site will be given priority on tickets. We will also be asking the chapter for volunteers to help with the pre-game events planned for the game.

11.Homecoming will be the Ohio State game. Brooke will check on kick-off time for home games, and pay per view. She will also check with ticket offices of the other schools to see about single game ticket sales, and let you know.

12.SpeakerShare was awarded to the following chapters: Capital of Texas Nebraskans, North Carolina Huskers, Siouxland Chapter and South Florida.

NCAA compliance and your chapter. Top 10 rules- Laure Ragoss, Assistant Director of Compliance, Nebraska Athletics• A representative of athletic interest: anyone

who gives money or promotes athletics through purchasing game tickets or donating funds is considered an athletic representative.

• A prospect is any student who has entered the 9th grade.• prospects and current students cannot

receive any sort of special benefit including free admission to an event,

complimentary food, etc. They are welcome to attend chapter events and watch parties, but cannot be specifically targeted for recruiting purposes.

• With social media channels of today, it is not allowed to “friend” prospects on Facebook. LinkedIn, call them on the phone or send emails. If a known prospect requests membership into an online alumni chapter group, the best reaction is to deny their request, but send them a message explaining the circumstances. If you have a prior relationship with the prospect such as a neighbor or family friend, it is acceptable to maintain your relationship, but be aware that it is not acceptable to actively recruit them.

• If you have a prospect in mind for a Nebraska athletic team, you can contact the athletic department directly. Please do not actively recruit them.

• Agents are not allowed on campus. Students are not allowed to receive benefits or contract any deals during their time at the university.

• In order to have coaches speak at banquets, please fill out the speakershare request form. The time of year will determine the availability of a guest coach.

• It is not permissible to promote a singular current student. For example, a picture of Taylor Martinez by himself cannot be raffled or sold. Group photos or promotional pieces are acceptable.

• If you have any other compliance questions, please contact any member of the chapters team and they will accommodate your questions.

Donating to chapter scholarships online—Bob• The scholarship page is now equipped with an

online payment option.• Go to huskeralum.org • Select Chapters and Groups• Then select “chapter scholarships”• If you have a scholarship and do not see it

online, please contact Bob.• There is the option of setting up a reoccurring

gift, and noting if a company will make a matching gift.

• If a donation is made, the donor will receive a receipt. Donations are tax deductible.

• You can link the donation page directly to your chapter page.

• Checks can still be mailed. Be sure to include the fund number.

• Individual donations are preferred to group giving for tax deductibility purposes and for impacting our U.S. News and World Report Rankings

Ideas for raising money for scholarships other than watch sites, courtesy of Brooke White, South Dakotans for NE

We’ve never been able to make watch parties a big thing here. All our money comes from extra funds we charge for our events. Meaning, we have a picnic in the summer that we charge a little extra for...same thing with our spring banquet. We also try to have a lot of silent auction items that we pay a minimal fee for at our spring banquet. It’s always amazing how people “know people” that are willing to donate items. We have an alum in town that owns a liquor store and gas station chain. He donates beverages to all our events where we can supply our own. He picks up the tab for our picnic and our bus trip coming up next weekend. Beverages may not seem like a lot, but it adds up...it’s one less thing to have to pay for and more money that can go into the pot. We also have a member who works for the Nebraska Bookstore and can get us discounts on items which cuts down on costs. We are starting to do 50/50 drawings which around here are a big draw. Everyone pays a buck for a ticket and whoever

wins gets half the pot. People like the idea of getting money back verses a t-shirt or hat that they already have plenty of. To be honest, our biggest money raiser is our bus trip. We charge $175 per person...we probably make $50 or more per ticket times 40 tickets. It’s a nice way to get our scholarship fund paid for. Our bus trip sells out every year. We compare our prices to some of the other options out there...say concert bus trips or other sporting event trips hosted by local radio stations, etc. We’re always cheaper and you get FOOD and BEVERAGES! People LOVE it! I think there’s opportunities for folks to do these same kinds of trips...maybe not to Lincoln, but to places close to their sites.

Red Out Around the World (Michael Stephens)• Red Out Around the World (ROAW) is a

celebration of you, the fans. We want to connect, unite and salute Husker fans all over the world.

• It is not about one particular opponent, but focused on celebrating the fans all season long. The one game where there is a true “red out” will be October 16 vs. Texas. Wear red that day. Not white, not black, not grey. Wear red no matter where in the world you are.

• The website, www.redoutaroundtheworld.com will be live mid-August.

• A press release will go out the day the site goes live. Chapter leaders will be notified via email from the Nebraska Alumni Association in advance of the website going live. Please forward the information to your members.

• You can find information about ROAW on the Athletic Department and the Nebraska Alumni Association’s facebook pages. www.facebook.com/huskers and http://www.facebook.com/UNLalumni. You can also follow the Huskers on Twitter at www.twitter.com/huskers.

• On the ROAW website, you will be able to upload photos, connect through social media and read about your favorite university.

• You are also encouraged to go to the map and register yourself. Eventually (and hopefully) the entire map will grow red with Husker fans all over the world! We encourage you to take laptops to your watch site locations and have

your members register. We want to see that map turn red!

• There will also be some apparel and non-apparel ROAW items for sale on the website. If you have any ideas for non-apparel suggestions, please email Michael at [email protected]

• Michael will check and see if he can send each chapter the ROAW logo for their use.

• In the August issue of the GoodNuz, the center spread contains a poster with this year’s schedule as well as the ROAW logo.

• ROAW will have a link to huskeralum.org to call attention to all of our chapters and watch sites.

Chapter Banner Program (Michael and Brooke) • As a reminder from the Athletic Department,

banners must be 4’x6’ in size to be fair and for a sense of continuity. Your cooperation is greatly appreciated.

• If your banner is larger than 4’x6’, it will be sent back to you to be re-sized.

• We will know by mid-August how much space is available compared to how many banners we have. If there are more banners than spaces, a rotation system will be developed.

Leadership Conference Reminder • Dates: September 23 and 24 • Please submit your ideas for “The Good, The

Bad and the Ugly” portion of the conference.

Speaker Share Update • Back in April, it was brought to our attention

chapters would like help from the NAA to pay for speakers to come to their chapters.

• We appreciate the suggestion and have been working on a plan.

• We simply do not have the finances to support every chapter. Therefore, this fall, we will be unveiling an application process for a small amount of funds we set aside for speaker share. Chapters may apply for the funds and will be selected based on criteria to be determined. We will unveil the application process at the Leadership Conference.

• Membership in the Nebraska Alumni Association brings in a significant portion of the association’s income, funding our operating budget. If membership in the NAA grows, our budget for programs (like chapters) grows, giving us more flexibility to allocate funds toward chapters’ speakers in the future.

• Therefore, we are conducting a pilot program with 6 chapters (North Carolina, Oklahoma, Chicago, Mad City, Georgia and Californians for Nebraska) to help recruit NAA members. It is called the Member Share program. For every NAA membership these chapters acquire, they will receive a portion of the dues in return. The chapter can use this money for their operating funds, to fly speakers to their events, contribute it to their scholarship fund or to subsidize memberships at the local

level. It is up to each chapter to decide how to allocate their funds. The more NAA members the chapters recruit, the more money they will receive

• If this member share program goes well, it will be made available to all chapters to participate next summer. A progress report will be provided at the Leadership Conference.

• Ticket request forms are due today, April 15. If you need to fax the form in, please send it to 402-472-4635

• 60-70% of the requests already received are for the TX game. Obviously we will be unable to honor all of these requests, but we will do our best.

• We will let you know what tickets your chapter was awarded by mid-May

• For individual requests, chapter members may fill out the For Members Only lottery form in this month’s issue of the Nebraska Magazine

Optional Background Checks Service (Sara Skretta, Director of Human Resources, University of Nebraska Foundation)• To protect the safety of all chapter members,

to protect the integrity of the alumni association and its affiliate chapters as well as protecting any monies, we are offering background checks for chapter leaders

• The Nebraska Alumni Association will pay for the cost

• It is suggested you do this just for the president and/or treasurer

• This is OPTIONAL for our existing chapters, but if you have an election coming up and would like to utilize this service, please contact Bob Stelter at [email protected]

• We will be requiring this for any new chapter in the formation stages

• There is a consent form (see attachments) that must be completed prior to any check being run. Once we receive the consent form we enter the information and depending upon how many counties the person has lived, the completed check (criminal only) comes back within 3-4 days. If everything is clear then we are good to go. If there are issues that arise that would result in you or us needing to ask someone to step down, there is a standard letter that we send providing them with the information the company sent us.

Banners in Memorial Stadium• Due to limited space in memorial stadium,

we are going to develop a rotation system for chapter banners hung during home games

• We will develop a fair and equal rotation for all chapters and send that out to you prior to the start of the season

• Please note the senior game has the least amount of space, due to senior banners being hung by players’ families

• The Athletic Department would like us to remind you that all banners must be 4’x6’ in

Discussion:• David Pegg, president, Bay Area Huskers,

brought up the idea of a cost sharing program for speakers for chapter events• It is difficult to secure speakers on your own

and pay for them on your own.• It is difficult to find speakers willing to

travel 1500 miles from NE• Could the NAA develop a cost-sharing

program with the chapters to help bring speakers to chapter events?

• It does not have to be a football coach. Keith Zimmer gave an excellent presentation on Student Life at the Bay Area Founders’ Day event

• Other chapters agreed with this idea (Houston, Mad City)

• Brooke will take this idea to the NAA strategic planning session May 14 as well as her meeting with Chris Anderson from the Athletic Department April 21.

501c3 status and Insurance Coverage• Steve Coleman, New Mexicans for NE, brought

up if your chapter has its own 501c3 status, you have until May 15 to file taxes for your group for the past three years or you are in jeopardy of losing your non-profit stats. The IRS passed a new law that you have to

report every year. Go to www.irs.gov for more information

• The NAA would prefer you do not file your own 501c3 status. It creates less work for you in the long run; you don’t have to worry about filing your own taxes AND you are covered by NAA’s insurance! Please see the attachment for clarification on the coverage.

• We will provide you with a certificate of coverage if you are hosting an event. Please contact either Brooke or Bob to obtain this.

• If you do have your own 501c3 status, you must purchase your own insurance and have your own Tax ID #. Please see the attachment for clarification on what you need to purchase

• For auditing purposes, we cannot share our Tax ID# with chapters, nor should it be given out to any vendors.

• We have a Tax ID#, but that does not mean we are tax exempt

Contributions & Tax DeductibilityAlumni and friends are encouraged to financially support their favorite chapter. However, in order for a “contribution” to be considered tax-deductible, it must be directly received by the alumni association – funds that flow directly to an alumni chapter are not eligible for tax-deductible status. Should someone desire to make a substantial gift of $250 or more (IRS Guidelines requires a receipt from a charity for all gifts of $250 and above), please contact the alumni association who will assist in processing the donation for the chapter and generate a donation acknowledgement letter.

Tax ID Status and Deductibility Information• The Alumni Association’s is a 501c3 not-

for-profit Nebraska corporation. It is not a tax-exempt organization. This means the association and all affiliates must still pay applicable sales taxes on the state and municipal level. The association’s charitable status does not waive these taxes.

• Any gift given to a scholarship fund held at the University of Nebraska Foundation or the Nebraska Alumni Association is 100% tax-deductible

• Membership in the alumni association is at least 70% tax-deductible, based on the value of benefits available to members. Members are advised to consult with their tax advisor.

• If the chapter or affiliate is not its own 501c3:• For memberships and donations to be

tax-deductible, the funds must physically flow through the alumni association or foundation. Just giving a member/donor the association’s tax ID number is not sufficient.

• If the chapter or affiliate is its own 501c3:• Chapter memberships and gifts must flow

through that organization for charitable purposes for it to count as a deduction. It is up to the chapter or affiliate to produce any requested gift receipts and disclose the value of any benefits received.

• Radio funds may or may not apply as a gift for a deduction, depending on how the radio fund is set up and where the funds flow.

Insurance CoverageFor most chapter events, the venue is usually responsible for general liability during the event. This applies to golf events, watch parties and banquets as part of the lease or rental of the space. Be sure to check with your venue for this information when booking your event.

If the chapter or affiliate is not its own 501c3:• The association’s insurance provider passes

along some coverage of volunteers and event participants, if operating or assembling within the scope of the association’s mission. The Nebraska Alumni Association can provide you with a certificate of insurance for your event.

minimum amount of coverage for volunteers and event liability. It is not permitted for an organization/firm (the association) to provide these types of coverage to a separate organization/firm (chapter or affiliate), regardless of affiliation.

Football Ticket Policy Discussion – Requesting Chapter BlocksBrooke: • The policy we used last year worked very well.

We intend to use the same policy as we did last year, but with a few tweaks:•The association will collect payment from the

chapter members, rather than the chapters. This takes some of the burden of being a ticket broker and a banker off of a single chapter leader.

•The Nebraska Alumni Association will take care of the distribution of tickets, rather than one member of each chapter. The benefit of this is saving chapter members time and energy sorting and mailing all of the tickets, but also provides some additional security of the tickets. We will send via FedEx to track the package, or the tickets can be picked up at the Wick Center

• If the chapter order exceeds the number of tickets allotted that chapter, those requests should be ranked by the chapter leader and it is encouraged (but not required) they are

awarded according to the chapter members’ level of engagement with the chapter, such as volunteering, board members, etc.

• If the chapter leaders do not want the responsibility of determining/ranking who receives tickets and who doesn’t, the alumni association will select the recipients, either on a lottery basis or a membership status with the Alumni Association.

Feedback: • Several chapters voiced concerns about this

new policy as they do an annual bus migration trip, and the price is all inclusive – Bob Stelter thought in these cases, it would work for the chapter to receive all orders and pay the association for the tickets—same as it has always been.

• Another suggestion was for the chapter to partner with one of our travel companies and have them handle everything, freeing the chapter of only securing the travel company.

• These are options that each chapter can work out with Bob before securing tickets.

Action Items:• Brooke & Bob to meet with the NAA staff

internally and discuss the bus trips and how to incorporate that into the process

• Brooke to report back to chapter leaders in the next 2 weeks as to the outcome of that discussion prior to the order forms being mailed

Optional Bank Opportunity DiscussionBob: A document outlining the Wells Fargo option was sent out to all chapters who rsvp’d they would be on the call. This is another option for all chapters to consider. It would allow for a smooth transition between chapter leaders and to protect the chapter funds. This is optional for existing chapters. All new chapters will be steered in this direction.

Update on web enhancements – DiscussionBrooke: • The chapter pages on www.huskeralum.

org have been changed, making it easier to find your chapter in your state.

• Soon, a page will also include leader resources with links to documents that your chapter may be missing, forms to request items for your events, and a message board for chapter leaders. Brooke and Bob will start with a few questions chapter leaders can respond to, but feel free to add your own messages or dialogues as well.• Note: While some of this stuff is “live” right

now, it is not functioning properly. Please be patient as we work out the bugs
