    Important Website Information Websites

    ● https://ps.vail.k12.az.us/public/ The PowerSchool website. This site contains administrative information, student grades, schedules, teacher contact information, ect. To create a parent account, go to page 12.

    ● https://vail.schoology.com/ The Schoology website. The primary site in which students will conduct their schoolwork on. To create a parent Schoology account, you must have a Parent Powerschool Account. Then go to page 15 to find out the next steps.

    If you are using a personal computer: ● you need to use Google Chrome for school websites. ● Do not use Safari, or Microsoft Edge. The sites will not work correctly. ● If you need to download Google Chrome, click here to download from the

    official Google site.

    Notes

    ● Do not Google search for website urls. You will always get directed to the wrong versions of the sites to sign in.

    ● Make sure to bookmark these links. If you do not know how to use bookmarks in Google Chrome, click here to find out how.

    ● Make sure that you have typed in the correct url, or the website will NOT WORK.

    ● For students missing their login info, go to page 11 for more information.

    How to keep your laptop running smoothly

    Turn off your laptop. ______________________________________________________ To find out how to turn of Chromebook, click here

    Closing the laptop lid does not turn it off. 

    ______________________________________________________

    DO NOT hold down the power button to turn it off. That can damage the motherboard (the brain of the computer).

    Freezing? Mouse missing? Screen black? Wifi is suddenly dropping off? Most computer problems can be solved by turning it off. Turning off a computer regularly maximizes its life span and allows it rest and conduct operations to keep it in tip top condition. Leaving your computer on possibly saves you 20 seconds waiting for it to start up. Turning your computer off can save you from having to buy an expensive new battery or sending it for repair and be forced to use some random computer that doesnt even have a Supreme sticker on it. Blasphemy.

    Keep liquids FAR AWAY from the laptop.

    All it takes is one bump on that cup and

    BAM - you now have a non-working lemonade flavored laptop. Delicious.

    If you spill something, do not turn on the computer. Do not assume because it is dry it will continue to work. If anything is spilled

    on your computer turn it off immediately and take it in for repair.

    Go to page 6 for more info for repairs.

    Protect your Computer! 

    Understand that there is currently a

    WORLDWIDE SHORTAGE of Chromebooks. Which

    meanssssss….

    You need to take care of your computer,

    because the Tech Office

    does not have many replacements!

    Computer Pro Tips:

    ● Get a computer sleeve to protect it from minor bumps, spills and drops.

    ● DO NOT slam your computer closed. ● Know where your computer is at all times.

    ● Don’t eat food around it. ● Don’t have drinks around it.

    ● Just treat it nice like that new Coach bag, or those limited edition signed Air Jordans. 

     

    Computers are as fragile as newborn 

    baby birds.  Keep it away from: 

     1. Children under 5 2. Children over 5 3. Dogs 4. Cats 5. The edge of counters 6. Beds 7. Arizona Ice Tea 8. Truck Tires* 9. Disney theme parks 10. Gerbils  11. Food 12. The floor 13. Mashed potatoes 14. Literally everything 

    *Yes, we had a computer get run over by a truck. It’s jacked up. Stop by the Tech Office to see it!

    Don’t keep your laptop constantly plugged in. That can kill or drain the battery.

    Only plug it in when it needs a charge.

    If you have a

    School Chromebook:

    DO NOT charge

    anything on it (like your phone, smart watch ect ).

    That kills the battery MAD QUICK. 

    Don’t let other people use your 

    computer.  It’s best that you don’t share your computer because you know how it works and where everything is, and other people don’t. You might later find unwanted technical surprises or damages.

    Check for updates regularly (once a month).

    Keep the number of tabs that are open to a minimum (7 or less).

    If a lot of tabs are open it can slow down the computer and cause a lot of other issues.  

    The heat is not your computer's friend. Don’t leave it in

    vehicles or outside in a backpack for too long.

    If you are signing into Google Chrome on a Mac or PC:

    Make sure that you sign into both the webpage and the browser so that both icons match. ALWAYS ALWAYS 

    ALWAYS make sure you are signed into the same account. 

     If you are signed into your personal account up top 

    and your school account at the bottom (or vice versa), Google will get ALL your account information mixed up and it 

    will be almost impossible to get the accounts back separate. So, like… just don’t do it. 8D

    Oh no! My computer is broken! What now?

    If you have a personal Windows or Mac Computer that is damaged:

    ● Owners are responsible for their own repairs, not the Tech Office.

    ● If you need a Chromebook to use in the meantime, go to page 9.

    If you have a School Issued Chromebook that is damaged:

    Insurance ● If you purchased insurance, the cost is $50 per incident. ● If you did not purchase the insurance at the time of the incident, the

    price of repair will vary depend on the amount of damage, ranging from $100 to the full cost of the Chromebook of $359.

    Repair Process: 1. Bring the Chromebook to

    the Tech Office to assess the damage and cost of repair.

    2. Pay for the repair at the Bookstore.

    3. Bring the receipt and Chromebook back to the Tech Office.

    a. The District Office repair team will stop by every several weeks to pick up and return repairs.

    4. You will receive a loaner Chromebook to use while yours is in repair a. If the loaner issued to you is doing anything weird (freezing, mic not

    working ect.), bring it back to the Tech Office as soon as possible and we will give you another Chromebook.

    5. Use that computer until you receive an email stating that your Chromebook is back from repair.

    a. Estimated completion times vary on the current workload at the District Office, and the amount of readily available repair supplies.

    6. Bring the loaner to the Tech Office (make sure you sign out of it) and we give you back your now fixed Chromebook.

    Oh Great! My Chromebook is missing! If you have a School Issued Chromebook that is lost or believed to be stolen:

    1. Report to the Tech Office a. We will give you the serial number of the Chromebook and other

    necessary information. 2. Retrace your steps

    a. Backtrack to the last few places where you had your Chromebook and conduct a thorough search.

    i. Check if it went missing in a classroom, ask if the teacher (or anyone) saw a Chromebook anywhere. Check under desks, in and on top of bookshelves, everywhere!

    3. File a police report a. If no luck looking for your chromebook, file a police report with the

    school’s resource officer at the Front Office, or file at a police station nearest you. You will use the Chromebook information you received from the Tech Office to fill out this report

    4. Pay the cost of replacement at the Bookstore a. Fee schedule

    5. Get a replacement Chromebook

    a. Bring the Bookstore receipt and a copy of the Police report to the Tech Office

    b. We will then give you a replacement Chromebook. This will be the Chromebook you will use from now on.

    Note about Chargers

    ● Chargers are NOT covered by the insurance.

    ● If they are lost, stolen or damaged, you are responsible for replacing them.

    ● Chargers can be bought at the Bookstore outside of the 200 Building for $20.

    Loaner Chromebooks If you need a loaner Chromebook or Chromebook charger:

    ● You must give the Tech Office a trade in item in return. ● Don’t worry, we will give you back your stuff when you bring back the

    loaner device. ● Be sure to bring back the loaner by the end of the school day so we can get

    it ready for more students.

    Loaners are NOT to be used everyday ● If you are coming to the Tech Office everyday, you need to start taking

    steps into getting a reliable computer (or school Chromebook). The Tech Office can work with you.

    If it is not on the ‘Accepted ’ side, it’s not going to be accepted.

    How to check if a Chromebook needs an update Note: For best results, update at home! 

    _____________________________  

    1) Click on the Clock on the corner of the screen after

    logging in.

    2) In the popup menu, click on the Settings Icon.

    3) In the upper left corner of the new window, click on the three lines next to the Settings.

    4) Click on About Chrome OS at the bottom on the menu, and then click Check for Updates.

    5) Have the updates finish and then restart your computer. That’s it!

    Student account information New Students:

    ● If you are new to the Vail School District and just enrolled, it can take up to 48 hours to create your account and login for PowerSchool, Schoology and Google.

    ● Contact the Tech Office after 48 hours have passed to retrieve that information.

    Current Students:

    ● If you forgot your login information, contact the Tech Office to retrieve that information.

    How to sign in: School issued Chromebooks, Google Chrome Browser, Performance Matters, Schoology and Powerschool can all be accessed using your school username and your password.

    Example:

    Note: The password must be typed EXACTLY as shown for it to work.

    BYOD (Bring Your Own Device) Students If you do not have a district provided Chromebook: Download Google Chrome from the https://www.google.com/chrome/ page. Make sure to sign in with your school gmail in the upper right corner of the browser. ALWAYS use Chrome for school work. To access the internet on campus: bring your BYOD to the Tech Office so we can set

    that up for you ASAP.

    PowerSchool https://ps.vail.k12.az.us/public/

    Used to view grades, schedules and other information.

    Parent PowerSchool Account Creation If you need to make a Parent PowerSchool Account, email the Tech Office (titled Parent PowerSchool Account Creation) with the following information:

    ○ Name ○ Email ○ Full list of all the students

    you have enrolled in the Vail School District and the school they attend

    ● We will give you a temporary password to sign in with. From there you will make your own password.

    Parent PowerSchool Password for an Existing Account If you need to Reset your password, email the Tech Office (titled Parent PowerSchool Password) with the following information:

    ○ Account Username ○ Email associated with the Account ○ Names of students associated with that account and their student numbers

    ● We will give you a temporary password to sign in with. From there you will make your own password.

    Parent PowerSchool Password guidelines ● Minimum 1 capital letter ● Minimum 8 characters long ● Minimum 1 number ● Do not reuse old Passwords. Each password must be unique.

    Add a student to Parent PowerSchool Account

    ● Contact the Tech Office. Include: ○ Account Username ○ Email associated with the Account ○ Names of students associated with Vail School District and their student

    numbers

    A note about the PowerSchool App The app is not reliable with account logging in - even when your login is correct. The school district does not have the power to fix the issue. We have reached out to PowerSchool at length and the company acknowledges this is an issue of the app. Sign into the app at your own risk. The school code is BFSZ. If you do choose to use the app, the Tech Office cannot offer any assistance in logging in.

    It is best to stick to the web browser.

    ● DO NOT google ‘Schoology.com’, because the results will take you to the wrong version of Schoology ( app.schoology.com ), which will not let students sign in.

    Add a student to a parent Schoology account

    1. Sign into your parent Powerschool Account at https://ps.vail.k12.az.us/ a. If you are having issues signing in or do not have a Powerschool Account, consult

    page 12. b. If you have more than one child in the Vail School District missing on your

    account, contact us to update your account.

    2. Select your child on the top left bar (if you have more than one child in the Vail School District).

    3. Scroll down on the left hand menu until you see a link for Schoology. Click it.

    a. There you will see your child’s Schoology Access Code in BOLD RED code.

    b. If you don’t see the BOLD RED code, email the Tech Office (title the email Missing Student Code ) with the following information:

    i. PowerSchool username and email ii. Full name of the student

    4. Go to https://www.schoology.com/ and in the upper right corner, click Sign Up → Parent.

    5. Paste the BOLD RED Schoology Access Code on the next page.

    Hit Continue.

    6. Fill out the account information to set up your Schoology account. Hit Register.

    7. Now that you made an account, you can go to the upper right of the screen and click on your name to see your

    child’s name. Click on their name to see their courses.

    For multiple children: Click on your name in the right corner after signing into Schoology. On the drop down

    menu, there is an option to add more children. Just copy and paste their BOLD RED Schoology Access Code in the box when prompted.

    How to join class meetings though Conferences 1) After you enter your class in Schoology, click

    “Conferences “ on the left.

    2) This will open a window that will show a conference. Once the Status says “In Progress click on those words to enter the conference.

    3) Tip: If you lose your audio or video at any time refresh the page. This will also start the

    join process over again.

    How to join class meetings though Materials Note: Most Teachers use the Conference tab to hold their meetings. If your teacher does not, check the Materials tab to see if a link is posted there. 1. Sign into your Schoology account and click on your current class. 2. Find and click on the link for your video meeting.

    a. Check under Materials on the left hand menu thoroughly. Sometimes the link to the meetings is hidden under several files.

    b. Look for a title like ‘BBB ‘ or ‘BigBlueButton ‘ or ‘Video Conference ’ or ‘ Class Meeting ‘ for example.

    3. The page may look like this.

    (No worries! You’ll be

    able to still see the

    video!)

    4. Click on the in the right corner of that screen. It will open a new window.

    5. Enter your FIRST and LAST name into the box and hit Start. This is the only way for teachers to take attendance.

    If there is a class meeting currently going on, you will be able to join in. Make sure your audio is on. :)

    Check that the mic, camera and sound are working on BBB  

    1) Click on the lock next to the website url while in the class meeting. Click on 'Site settings' to open the settings tab in Chrome

    2) Locate the setting for the microphone, sound, and camera. Click on the drop down arrow and select 'Allow' for all three. Make sure your audio is not muted. Close the tab.

    3) Go back to the page that needed microphone, sound or camera access. Click on 'Reload' at the top of the screen. The permissions should be set now.

    Schoology assignments not loading

    If you see this when you try to submit an assignment in Schoology, or nothing is loading when you try to submit an assignment: 

    1) Click on 'My Document'. 2) Sign in with your school Gmail account. 3) Follow the prompts. 4) Refresh the Assignment page and click on 'My Document' and you should see your

    assignment.

    Access Performance Matters

    1. Click on the Performance Matters link from your Schoology class or go to: https://ola.performancematters.com/ola/ola.jsp?clientCode=azvail

    a. Click on the icon to open up a new window.

    2. Type your school username and password.

    3. Click on:

    Note: If you are missing a test/assignment, you will have to reach out to your teacher to enable that assignment.
